    1.0Introduction

    1.1Background of the Study

    A computerized system enhanced our lifestyle; the society has made a very real

    commitment to computer, an electronic device design to manipulate and used to store data

    and information. We must admit that companies and people in the business world have

    reached the point of no return in its dependence on computer. Most of the companies are

    experiencing problems in their manual system thats why most of them are engaging with

    computerized system to eliminate problems in transactions.

    The main purpose of library is to provide conductive learning tool and place for the

    students and other clients in order to attain good and high quality education.

    The library systems main purpose is to help the librarian to maintain library

    transactions so that nothing will affect the smooth flow of it. One way is converting manual

    system into a computerized system and Eduardo L. Joson Memorial College still makes use

    of manual library system.

    1.2Problem in the Current System

    1.2.1 General Problem:

    How to develop a computerized library system for Eduardo L. Joson Memorial

    College that will enhance the current library process?

    1.2.2 Specific Problems:

    Modifying the details of Students/Books records is a tedious process

    and may lead to chaos and is prone to errors.

    Due to wear and tear of the issue cards or if the cards has been lost

    then it is required that the new card has to be prepared as fast as

    possible and thus the details of the students are again to be fill up to

    new cards.

    Accession number or Control number of the new books is calculated

    manually by looking up into previous records which consumes a lot of

    time.

    1.3Objectives of the Proposed System

    1.3.1 General Objective:

    The aim of this project is to develop a system that can handle and manage the activities

    involved in a library in an efficient and reliable way. Less managing personnel and student

    profile managing are major goals in this project.

    1.3.2 Specific Objectives:

    The proponents aimed in fulfilling the following objectives.

    1. Develop a system that can replace the manual library system.

    2. Develop a system that can stores user details, student details, and book details.

    3.Create an easy to understand user friendly environment.

    1.4 Significance of the Proposed System

    The study will be significant to the following:

    To the Librarian

    The proposed study will help in recording details of books,

    updating, adding and deleting books/registered students.

    To Borrowers

    There is no need for borrowers card because they are registered.

    1.5 Scope and Limitation of the Proposed System

    Scope:

    The system can support large volume of books and student data.

    The staff adds the new students records in its student informationdatabase where the students were allowed to issue up to a maximum

    of 3 books at a time.

    The librarian can also see the list of students who have not returnedtheir books.

    Limitations:

    No book request form.

    The System does not print reports.

    The System is not online/network.

    2.0System Development Model

    Planning- It is a meeting with the group to understand the requirements needed.

    Interviews conducted and questionnaires are well-prepared.

    Analysis and Design- The proponents gathers the requirements for the system. This stage

    includes a detailed study of the business needs of the organization. Analysis and Design are very crucial

    in the whole development cycle. Much care is taken during this phase and the logical system of the

    product is development.

    Coding- In this phase the designs are translated into codes. The proponents put codes on

    the designs. Programming tool that is being used to generate the code is the Microsoft VB.Net and

    MySQL for database.

    Testing- In this phase the system is tested. The system is tested to view the details need to

    fulfill in case that problem occurs. The system is tested to ensure that interfaces between modules work

    and that the system does what the user requires.

    Maintenance- The proponent maintains the needs of the user. Software will definitely

    undergo change once it is delivered to the customer. There are many reasons for change. Change could

    happen because of some unexpected input values unto the system.

    3.0Data Gathering Techniques and Analysis Tools Used

    3.1Data Gathering Techniques

    Brainstorming- The proponents generated and shared other ideas to achieve

    solution to the problems.

    Research- The proponents conduct a survey, interview and observation who are

    under the existing system.

    Documentation- The proponents organized works and information that fit on

    the topic.

    Planning- The proponents also planned to prepare for what the system wants to

    be.

    Interview- The proponents conduct an to interview to gathered data.Internet

    The proponents used an online research to gather more data.

    3.2 Analytical tools

    One of the important aspects in system development is the data flow diagram. It shows a

    graphical point of view of the system to be implemented, from the input to the part of producing an

    output.

    A data-flow diagram (DFD) is a graphical representation of the flow of data through an

    information system.

    DFDs can also be used for the visualization of data processing (structured design).

    On a DFD, data items flow from an external data source or an internal data store to an internal data

    store or an external data sink, via an internal process.A DFD provides no information about the timing or ordering of processes, or about whether processes

    will operate in sequence or in parallel. It is therefore quite different from a flowchart, which shows the

    flow of control through an algorithm, allowing a reader to determine what operations will be

    performed, in what order, and under what circumstances, but not what kinds of data will be input to

    and output from the system, nor where the data will come from and go to, nor where the data will be

    stored (all of which are shown on a DFD).

    4.1Profile of the Current System

    The Eduardo L. Joson Memorial College library uses manual method in their every

    transaction. The librarian gives the students a registration form and issues a borrowers card.

    They do not use computers; instead they use papers, cards, and pen in their transaction. The

    records and borrowers card can easily be misplaced. The existing system is admittedly

    inaccurate, has high frequency of errors and consumes much of time in gathering and

    keeping the records in the absence of permanent and accurate recording system.

    6.0Description of the Proposed Software

    The proponents designed and developed a Library System for Eduardo L. Joson Memorial

    College to promote a fast and efficient way of borrowing books in the library. The developed

    system is assessed as more accurate and reduces transaction errors. The librarian can easilyadd/edit books, save the borrowed books to the database. This is more efficient than the

    existing system. The developed system consumes less time spending in writing to the

    registration card and borrowers card in the existing system.
