THE PURPOSE OF THIS GUIDE

The purpose of this guide is to help you understand the features and functionality of the Therefore solution in detail. It will examine the four primary editions both in summary and detail, including positioning recommendations.

You will get a look at the various user interfaces via screen images and narratives for familiarity purposes. In addition, this document will address various native applications as well as the integration of third party solutions. Finally, it will include all specifications.

THEREFORE EDITIONS OVERVIEW

In order to meet the needs of various sized organizations Therefore offers four editions of its information management softwareranging from a single user environment, to large multinational enterprises.

PE Therefore Personal Edition – For single user environments

• This product is designed for a single user environment, ideal for freelancers and small businesses that use only one workstation to manage documents.

WE Therefore Workgroup Edition – For departments and workgroups

• This product is designed for workgroups and departments from 5 to 50 users and capture licenses can be individually added. The standard Workgroup Edition includes 5 user and one capture licenses.

ES Therefore Essentials Edition – For medium to large organizations

• Therefore™ Essentials Edition is an information management solution, combined with the dynamic Workflow functionality, suitable for small to medium sized organizations. It accommodates between 5-50 user licenses, with a minimum purchase of 5 user licenses required.

Therefore Personal Edition (PE)

Therefore Personal Edition is an information management solution for a small personal office. Designed for a single user environment, it is ideal for freelancers or small businesses that utilize only one workstation to manage their information. The user is able to scan, import, organize, edit and retrieve documents in Therefore easily and securely.

The Personal Edition is a standalone system designed for isolated information management, where archived materials are not meant to be shared with other users.

PE is primarily intended to be used in the following scenarios:

• Where customers use only one workstation to store and manage their information.

• It is utilized as a front-end “Standalone” document scanning and preparation station, to another back-end system.

• For environments where security policies restrict the sharing of documents across the network.

• As an evaluation of the software’s basic functionality and usability, before considering the Workgroup, Essentials or Enterprise Edition.

Therefore Personal Edition is designed for installation without the need for IT support or consultation. Automatic backup of information is the responsibility of the user and is NOT provided with the Personal Edition. If multiple users access the single PC, there is an option to activate the Therefore “single sign-on” security in the Solution Designer for Groups, Users and User Rights.

Therefore Workgroup Edition (WE)

Therefore Workgroup Edition is an information management solution, targeted for a workgroup, department or small business. This edition is well suited for departments or small businesses, between 5-50 users, who are looking for a way to improve the access and collaboration of their information.

In many cases Therefore Workgroup Edition can be installed and configured for simple “Team” use by the customer’s own IT personnel, without the need for Canon Professional Services (CIIS). Therefore Workgroup can operate in a network “WORKGROUP” (instead of a domain), which allows smaller customers to avoid the cost and complexity of setting up (and maintaining) NT Domain Controllers or Active Directory system servers.

This edition supports Microsoft® SQL Server Express Edition, and so customers do not need to meet the cost of any Microsoft SQL Server license. The easy upgrade path from the MS SQL Express Edition based Workgroup Edition, to the SQL Server based Essentials Edition, and is one of the major advantages of this product.

Therefore Essentials Edition (ES)

Therefore Essentials Edition is an information management solution, combined with the dynamic Workflow functionality, suitable for small to medium sized organizations. It accommodates between 5-50 user licenses, with a minimum purchase of 5 user licenses required. Essentials offers many of the same features as the Therefore Workgroup Edition, but differs with the inclusion of Therefore Workflow; for automating and streamlining business processes. Standard with ES includes 5 workflows, with the option to purchase additional individual workflows as needed.

Therefore Essentials Edition (ES) is a customizable solution, which can easily adapt and grow with a customer’s various departments within the organization. For instance, a small start-up company or a new department within a large organization could purchase ES, and begin with just 5 named licenses and a capture license as that company or department grows in size, additional user licenses can be purchased as needed, in packs of 5. Additional workflows can also be purchased, in individual units.

Therefore ES also supports the free version of Microsoft SQL Express, which may be perfectly adequate for smaller installations, and is easily upgradeable to the full version of Microsoft SQL Server, as the customer requires.

Therefore ES is a client/server system which operates within a Microsoft domain. It is integrated with the Microsoft network logon which allows “single sign on” with a network user account. This ensures the identity of the user is always validated via Microsoft Domain log-in security. Additionally, the Therefore users, groups and permissions available within Therefore Solution Designer can still be utilized if required. The administrator of the system can restrict users’ rights and permissions to specific ‘Categories’ of documents (for example the administrator can deny access, allow read, allow annotations, allow modify, etc.) or even deny access to documents based upon the values in some specific Index field (such as ‘Owner’ or ‘Salary’).

Therefore also includes built-in Version Control (all old versions of a document are saved and can be accessed) and can maintain a complete Audit Trail of all user activity and document access. This allows its use in secure application areas where access to documents must be monitored and controlled.

Since Therefore uses a standard database structure, extensive customization is possible. For example, ‘triggers’ can be programmed into the Therefore database Tables that initiate ‘notification’ messages or perform updates of information in other tables when specific values are entered into Therefore Index fields (for example ‘goods delivered’ could set a ‘send invoice’ flag - ‘invoice paid’ could set ‘allow next delivery’).

Flexibility is a key component of Therefore Essentials Edition, which enables the software to match the specific requirements and business processes of the customer. Most sales will require consultancy to ensure the product is customized to the customer’s needs, and that workflows match to their business processes, so that the productivity benefits can be realized. Preparation of a project scope document, pre-installation work and business process consultancy may also be required. The final sales package can often consist of consultancy, software licenses, hardware and a Software Maintenance Agreement Contract.

Therefore Enterprise Edition (EN)

Therefore Enterprise Edition is a full featured information management solution, including the dynamic Workflow functionality, designed for large organizations and enterprises with multiple locations. The Enterprise Edition puts no limitations on the number of workflows available, nor does it limit the amount of users the system can accommodate. Customers can purchase additional user licenses in single increments as needed, and a minimum purchase of 2 user licenses (named or concurrent) is required.

The Enterprise Edition offers customers the following advantages over the Essentials Edition:

• Unlimited Workflow

• Unlimited User Licenses (Named, Concurrent, and Read Only)

• Additional database support

• Therefore connectors to various 3rd Party systems

• Option to purchase additional Server Licenses for creating a multi-server system

Therefore Developer Edition

Therefore Developer Edition is for integrators or software developers within a company, to integrate Therefore with proprietary or legacy systems. Once the development work is complete, the output from that development work (connectors, etc.) can be used on a live production version of Therefore.

The Developer Edition should not be sold or used as a live customer system.

When purchasing the Developer Edition, developers and systems integrators need to complete the Therefore Technical Training on the Canon e-Support website, and become certified.

Therefore Developer Edition provides:

LICENSING

Therefore User Licenses

There are three types of user licenses available with Therefore:

• Named User License: this user license is specifically assigned to an individual employee for their use only. This type of license is ideal for a user who regularly needs access to the system.

• Concurrent User License: this user license is shared among all users of the system (excluding those who have a Named User License). When a ‘concurrent’ user logs-on to the system, they essentially ‘borrow’ a license from the system server ‘pool’ and return the license (automatically) when logging off. When all available licenses are currently being used by other users, additional users will be denied access until an active user logs off and releases their license.

• Read Only License: this user license is supported by the Essentials and Online Edition only and is not transferrable with other user licenses. It is designed for customers who would like to offer users very limited access to the documents in the Therefore repository. As the name suggests, the user will only be able to read or view the documents. Read only licenses are frequently used when Therefore customers wish to make Therefore documents available via a web portal (Therefore Web Access) to their own customers as part of a paid for service.

Therefore Server licenses

Therefore server licenses are included with the Workgroup, Essentials and Enterprise Editions. With Enterprise Edition, additional server licenses can be purchased to create a multiple server or multi-tenant environment.

Paper Capture Licenses

Paper Capture licenses are available for customers that require DR and MFP scanning capabilities. One license is required per scanning device.

Integration Licenses

Therefore offers a number of integration licenses to support connectivity to 3rd Party software.

THEREFORE APPLICATIONS

This section details all of the applications and connectors available with Therefore. Depending on your customer’s needs, and consequently the edition they choose, not all of these applications and connectors will be relevant or available to them. Also, not all applications will be relevant or accessible to all users of Therefore, depending on their job function. For a list of features available in each edition, please refer to the section named “Therefore Editions Overview” in Chapter 2 of this guide.

Therefore Solution Designer

The Therefore Solution Designer is the main application for the administration of a Therefore system.

Category / Repository Design

The foundation of the Therefore system lies in well-designed categories, which are used to store and find information. Categories are tagged with relevant index data, enabling the user to easily find and retrieve information when performing a search.

Therefore supports a wide range of index field types:

• String, Number, Money and Date

• Counters

• Check boxes

• Single and multiple keywords

• User data types (from foreign databases)

• Macros and regular expressions

Therefore also supports a wide range of additional functionality, which can be configured on the category level, including:

• Auto-appending to existing documents

• Defining header/footer and watermarks for printing documents

• Automatic linking of documents based on common index values

• Allowing documents to be taken offline

• Activating full-text searches

• Configuring check-in comment rules

• Document and index field permissions

CROSS CATEGORY SEARCHING

Therefore Solution Designer also allows the creation of cross category search templates, used in the searching for information across multiple categories.

STORAGE & RETENTION DESIGN

Therefore Workgroup, Essentials, and Enterprise Edition allow automatic backup of documents onto secure storage. The Therefore Solution Designer allows the design of Device & Storage Policies, which move documents from the Therefore Buffer, to the secure storage based on a predefined migration schedule.

Retention policies can also be defined to mark documents for permanent deletion after a pre-defined timeframe (for example 10 years after the document was last modified). An administrator can then regularly check which documents have reached their retention period and confirm them for permanent deletion. Documents are never automatically deleted from the system, even when they reach their retention date. An administrator must initiate the deletion process, and once initiated, those documents chosen for deletion are immediately unavailable in Therefore and then permanently deleted when the migration runs again.

In addition, for multi-server environments, it is possible to use pre-caching to speed up the retrieval of documents on the distributed servers.

Therefore Workflow

Therefore Workflow is a dynamic feature, which comes standard with the Therefore Essentials and Enterprise Edition. Utilizing the Solution Designer, your customer’s existing paper-based business process can be digitally designed; transforming them into electronic-based, fully transparent workflows.

Designing a workflow process in the Therefore Solution Designer, however, is the last step of a workflow design. Before designing in Therefore, it is imperative that the customer’s business process has been fully outlined and understood. Once the specific design has been outlined and designed outside of the system, only then should the customer’s business process be digitally designed in the Therefore Solution Designer. With a user-friendly graphical interface, and drag-and-drop functionality, workflows can be created without requiring any coding.

A number of predefined tasks are available that can be dragged and dropped into the design pane, and then connected using “transitions”. Therefore also supports parallel workflow which allows the workflow to be split into several tasks that can be worked on simultaneously. Each workflow must be linked to a single category, but individual categories can be linked to multiple workflows.

There are three options for starting a workflow:

• Automatically when a document is saved to the assigned Therefore category

• Automatically when a new version of a document is saved to the assigned Therefore category

• Manually by a user

Other useful features

Therefore Tasks

Therefore Tasks is a simple yet useful feature allowing a user to assign a task, for a specific document, which is then sent to the specified user for completion.

A task can be created in two ways, either from the hit-list of documents in the Therefore Navigator, or from the Therefore Viewer, after opening the specific document.

Once the “New Task” dialogue is invoked, the user can input the following information to describe the task: Subject

• Assign To

• Start Date

• Due Date

• Task Mode

• Notifications

• Instruction

A user can assign a Task to a single user, multiple users, or even to themselves as a reminder. A notification email is sent to the specified user, containing the instructions provided by the sender, and a link to the task and specific document. Users can also view a list of all their tasks in the Therefore Navigator.

Therefore Tasks is essentially an ad-hoc Workflow, wherein the Therefore Task feature resembles a single step within a larger Workflow. With Therefore Tasks, however, any user can easily create a simple, one-step task for a document, without requiring knowledge of how to create a complex Workflow.

Therefore Console

The Therefore Console application is an administration tool-set that allows the monitoring of status and events occurring on the Therefore Server. It does so by linking to the Therefore Server Service, which is the central controlling service of the Therefore Information Management System. All user activity, all access to media, and the migration of documents to archive storage media is controlled by this service.

In addition to monitoring events, a number of tasks, such as verifying saved documents and emptying the recycling bin, can also be performed.

Therefore also provides an Audit Trail feature, accessible from the Console, for auditing users, documents and workflows.

Therefore Gadget

The Therefore Gadget is a useful monitoring tool, which sits on your Windows desktop, enabling users to view activity in a specific category, workflow, or task.

The gadget monitors the Therefore Server, and is updated at predefined intervals, which users can define. The gadget can also be configured to monitor for specific activity, according to conditions set by the user, or it can monitor entire categories, workflows or tasks. Multiple instances of the gadget can be running simultaneously, enabling the user to monitor activity in multiple areas.

Therefore Navigator

The Therefore Navigator is a tool for searching and retrieving documents saved to Therefore. It also manages workflow process tasks, and is the starting point for users to display and edit documents in the Therefore Viewer.

The primary function of the Navigator is to find and retrieve the information you are seeking. There are a variety of search methods available to the user, which can be chosen depending on the method most convenient for them.

The following search options are supported:

• By document index fields

• By document properties (who saved, size, etc.)

• Full-text search

• Cross category searching

In addition to searching and retrieving documents, the Navigator also allows the user to group, sort, as well as manage workflow process tasks. A recently added feature called Therefore Tasks, can be created and managed from the Navigator. The Navigator also allows users, with permission, to take documents offline. Users can then search, edit and view documents while not being connected to the Therefore Server. Users can copy some or all documents of a category to their local repository and work with them offline. When they reconnect to the Therefore Server, all changes will be synchronized.

Therefore Viewer

The Therefore Viewer is used for displaying and editing documents that have been saved to Therefore. The Viewer enables users to view, print or annotate documents created in over 400 file formats, even if you do not have the document’s native application installed on their PC. However, if a user wants to make revisions to a document, the document’s native application must be installed locally, in order to make edits using the native applications inherent functionality.

Another important feature found in the Therefore Viewer is the “Check-in” and “Check-out” functionality, which is essential for effective collaboration. This feature prevents multiple users from making simultaneous changes to a document. When a user “checks-out” a document, in order to make edits, others users are prevented from also “checking-out” the document, but they are still able to view the document. Once the original user is done making edits, they save it to Therefore and then “check-in” the document, which synchronizes the edits and only then allows another user to “check-out” the document, if needed.

The Therefore Viewer also allows users to participate in workflows and complete Therefore Tasks. In addition, the Viewer enables you to create new versions of a document, view previous versions of a document and edit a document’s index fields.

Therefore Web Access

Therefore provides a web-based version of the Therefore Navigator and Viewer applications via Therefore Web Access. Perfect for allowing users to stay connected to their Therefore system when away from the office, this feature enables users to perform the main Navigator and Viewer functions via any supported web browser.

Therefore Mobile Application

The Therefore Mobile App allows users to access their Therefore system on their mobile device. The Mobile App enables users to search and view the latest version of documents saved to Therefore, and even export documents to an associated app on their mobile device. Users can also edit index data, as well as participate in Workflows via the mobile app. The Therefore Mobile App is compatible with the iPhone®, iPad® or Android™, and is available for download on the App Storesm or Google Play™.

Therefore Capture Client

The Therefore Capture Client is used to scan and save documents to Therefore. The Capture Client is typically used with a document scanner, although it can be used to import documents from a hard disk.

Paper documents are typically scanned in batches and the pages are ordered, grouped and assigned to a Therefore category automatically, or manually, by the user. Document index data is either generated automatically (e.g. barcodes or OCR), or manually keyed in by the user.

The Capture Client allows for customized settings to be defined in a Profile, which can automatically apply image enhancement settings, assign a category, capture index data via barcodes or OCR and split pages into separate documents. However, after scanning, all of these properties can be manually adjusted.

In addition to the default scan engine, which uses ISIS® drivers, it is also possible to use Kofax® as the scanning engine.

If the Therefore Capture Client is only used in the indexing Working Mode on some clients, for example in a group environment, then these clients do not need a Capture Client license.

Therefore MFP Application

The Therefore MFP Application is a MEAP application which integrates Canon devices directly into the Therefore system. It allows users to scan documents and save them to Therefore, together with index data, directly from an iR or imageRUNNER ADVANCE device. Please refer to the Therefore MFP Integration manual for more details.

Therefore MFP Print

Therefore MFP Print is a MEAP web application running on a Canon imageRUNNER ADVANCE device. This connects to the Therefore Server and enables users to search, view and print documents from the Therefore system. This feature requires the ‘Web Access Option’ and the Direct Print Kit for PDF/XPS’ for the Canon imageRUNNER ADVANCE devices.

Therefore Document Loader

Documents prepared elsewhere (e.g. by a scanning bureau) can be ‘imported’ in bulk using the Therefore Document Loader function (which can also import documents exported from iWDM).

THIRD PARTY INTEGRATION

Therefore Upgrade Utility for imageWARE Document Manager (iWDM)

This gives customers a way to move their documents from iWDM (v4.0 or v4.1, Workgroup or Enterprise Edition only) to Therefore. The utility allows users to export all documents from a cabinet in XML + document format. Using the Therefore Document Loader, the documents can then be imported into Therefore. The iWDM upgrade utility is available on the Therefore Software Setup.

Therefore Integration with eCopy® ShareScan®

Integration with eCopy™ ShareScan® allows user to scan, index and save documents from a MFP device directly into Therefore.

Therefore Integration with Kofax Capture®

The Therefore Kofax Capture connector for using advanced features of Kofax Capture software, is a particularly high-end application for use with high volumes of paper and for further document processing, (i.e. OCR, barcode recognition, forms recognition, etc).

Therefore Universal Connector

This option allows an easier integration with 3rd party applications without coding. Profiles can be created for dialogs in other applications, and associated keyboard shortcuts, for actions such as viewing a document,

searching for a document, scanning a page, etc. The information is then passed to Therefore and used for searching or indexing.

NOTE: Only Windows® applications using standard Windows® controls are supported. Every application must be checked for compatibility first, to determine whether it works with the Universal Connector or not.

Therefore Content Connector

The Therefore Content Connector automatically (using a server service) imports and indexes electronic information from PDFs, XMLs, and Print Runs as defined by profiles created by the Therefore Content Connector Administrator.

Therefore Connector for Microsoft® SharePoint®

The Therefore Connector for Microsoft® SharePoint® allows integration of Therefore with SharePoint. Through the SharePoint interface, users have direct access to documents saved in the Therefore system. The solution can be configured so that specific documents and their associated index information, are sent to Therefore and automatically deleted from SharePoint; thereby effectively reducing the size of the SharePoint system.

Therefore Connector for Microsoft® Dynamics NAV®

The Therefore connector for Microsoft Dynamics® NAV is an add-on that provides the end user the ability to interact seamlessly with both applications through the Microsoft Dynamics® NAV interface. The end result is a complete and customizable business management solution that will save time and money as it allows users to capture, store, search, retrieve, manage, share, and distribute information as needed.

Therefore Connector for use with SAP NetWeaver®

The Therefore® Connector supports the following scenarios:

Storage of Incoming Documents

Incoming documents can be saved directly from the SAPGUI for Windows® into Therefore. The Therefore connector supports SAP NetWeaver® barcode, SAP® Business Workflow/WebFlow and manual storage.

Storage of Outgoing Documents

Outgoing documents (customer related documents) can be stored into the Therefore categories.

Storage of Print Lists

SAP NetWeaver® Print Lists can be stored to Therefore.

Storage of Archive Files

In addition, SAP NetWeaver® files can be stored into Therefore for cost-effective data storage. This data can be restored at any time.

Viewing of documents

All documents once stored to Therefore can be retrieved in the SAP GUI. The presentation of the documents can be configured for each document type. Documents can be viewed using the Therefore Viewer or with the internal document viewers.

Connectors created by 3rd Party Companies

• ObjectifLune® PlanetPress integration with Therefore allows output from the PlanetPress application to be archived directly to Therefore repository. This plug-in is available directly from ObjectifLune®.

• ObjectifLune® PlanetPress also has a 2-way plug-in for Therefore. In addition to the above mentioned plug-in, this plug-in accesses and retrieves documents from the Therefore repository.

• All I.R.I.S. scan products can integrate with Therefore, via a connector developed by I.R.I.S.

• Streamline and automate document retention and destruction processes with custom business rules.

SPECIFICATIONS

Language Support

The ‘Server side’ language chosen has no effect on the Client side, nor does any language setting, change any database settings, nor the way the documents or index data is displayed. The index field names and contents (and the date display order) all remain ‘as set’ on the central database store, irrespective of the client side language chosen.

Client Side

By default, the Therefore Navigator Client uses the language of the users Operating System (i.e. GUI mode is set to ‘automatic’). The following languages are installed by default during ‘typical’ installation:

• English

• French

• German

• Italian

• Spanish

Therefore Client applications also support the following languages:

Document manuals and ‘Help’ files, are available in English, French, Italian, German and Spanish. Please refer to the Documentation Folder on Therefore software USB.

Note: Customers requiring localization in their native languages should contact Therefore Corporation for the language translation pack.

Database Server Side

When installing Therefore on the Server, by default the GUI (and Help) Language is set to the default operating system language. The Server side language chosen has no effect on the Client side.

Note: All the ‘*.CHM’ (complied html) Help pages are installed with the main setup and installation of Therefore server and client applications.

Database Speed Notes

In a heavily used multiple-client system, database search times will often become the main system ‘bottleneck’. In such systems it is advised that the index fields most used for searching are set to ‘Index=normal’ (in the Therefore Category definitions) and that some attention is given to monitoring the Database Server ‘loading’.

In many cases, a significant speed improvement can be achieved by adding more RAM. It is often found that a ‘medium speed’ processor with maximum RAM will perform significantly faster than a ‘high speed’ processor with minimum RAM.

The Therefore Server(s) acts as the ‘central controller’ for Therefore Clients. Search operations initiated by clients must pass through the Therefore Server to the Database Server so some marginal speed advantage may be seen when a SQL Server database is used that is present on the same Server as the Therefore system.
