INTRODUCTION

Dear future students!

We are happy that you want to study at the University of Warsaw. It’s a great choice! Our university is the biggest in Poland, and we have put enormous effort into making it Poland’s best and most student-friendly. In ever wishing to ensure and improve the quality of education, we aspire to prepare our students to make avail of all the opportunities open to them through the knowledge they gain at UW. In 2007 our university was again ranked at the very top in evaluations carried out by such well-respected magazines and newspapers as Wprost, Rzeczpospolita, and Perspektywy. The qualifications of UW graduates are highly valued on the labor market.1

One reason behind our excellent ratings is our application of modern management methods. For many years we have been using various IT systems that serve to support e.g., teaching and the recruitment process. The University considers the Internet an important tool for communication with students. The Central Token Registration System (USOS), which is a modern and user-friendly IT tool, serves our students from recruitment all the way until they obtain their diplomas.

On the following pages of this mini-guide you will find some basic and necessary information about studying at the University of Warsaw and about the computer systems that assist in acquiring the knowledge you seek.

If you are going to study at the University of Warsaw, we encourage you to visit our website: http://uw.edu.pl/ (Figure 1):

By clicking on O UNIWERSYTECIE you will find the most important information concerning studying at the University of Warsaw. This is listed in the Regulations for Studying (link: Dokumenty programowe).

In order to become acquainted with the specific rules for studying the major you are interested in, you can enter its website. In the last chapter of this mini-guide – The most important links – we have included the websites of individual faculties.

THE SYSTEM FOR INTERNET REGISTRATION Information of crucial importance for candidates can be found on the Recruitment Office website. You can go there by clicking on

(Figure 1) or by going directly to: http://www.rekrutacja.uw.edu.pl (Figure 2):

Current and detailed rules for the recruitment process for the current academic year can be found by clicking on (see Figure 2, number 1). Of course, these rules are updated every year and that is why you should make sure which academic year they relate to. For instance, in 2009 you will wish to click on “Rekrutacja 2009/2010”.

By clicking on (see Figure 2, number 2) you can get a lot of highly valuable information about major programs, dormitories, financial support for students, and the University’s rich academic life.

In order to find information important for disabled students, use the link “studenci niepełnosprawni” or go direct to: http://www.bon.uw.edu.pl/.

On the Recruitment Office’s website there is a link to the registration system for candidates (click on “Rekrutacja” – see Figure 2, number 1). The address for On-line Candidates Registration (IRK stands for Internetowa Rejestracja Kandydatów) is: https://irk.uw.edu.pl (Figure 3):

By clicking on “Pomoc” (“Help”) in the upper menu of the On-line Candidates Registration website, you will find a discussion forum. It offers answers to frequently asked questions about recruitment and registration for studies and has other valuable information about studying at the University of Warsaw. If you have any doubts concerning the recruitment process – just ask! We guarantee you will get the answer.

In the On-line Candidates Registration (IRK) system you can follow your recruitment process all the way until the decision to admit you for studies is taken.

The Recruitment Office is located on the Main Campus of the University of Warsaw (Warsaw, 26/28 Krakowskie Przedmieście Street) in the Kazimierzowski Palace (Figure 3):

IMPORTANT: the University of Warsaw's teaching facilities are located on three campuses:

Make sure you know the address of your faculty headquarters (you will find it on the website).

IT SYSTEMS AT THE UNIVERSITY OF WARSAW – GENERAL OUTLINE FOR PROSPECTIVE STUDENTS

When you become a student of the University of Warsaw all your personal data that is entered into the On-line Candidates Registration system (IRK) is automatically transferred to the Central Token Registration System (Uniwersytecki System Obsługi Studiów – USOS). You will get a personal account enabling you the access the internet service USOSweb (more information on USOS and USOSweb, see below).

IMPORTANT: Remember: your login and password remain the same as in IRK.

The USOS System stores all details concerning your studies. While logged on to USOSweb, only you have the access to such information as your grades or schedule. You will also use the USOSweb for signing up for your classes.

As a UW student you receive an Electronic Student ID (ELS), which besides identifying you as a student, is also your library card at the University of Warsaw Library. Your ELS may be used as a season ticket or a method of payment for parking, as well.

WARNING: Each semester you have to extend your ELS’s validity in the office of your major field.

THE UNIVERSITY OF WARSAW’S CENTRAL AUTHENTICATION SERVICE

This is a system which stores IDs and profile passwords (names of services) of entitled persons. So, the password you create during registration to the IRK system is entered to the CAS data base. When you start your studies at the University of Warsaw your password gives you access to all the IT systems for students described in this mini-guide. Don’t forget your password from the IRK system!

USOS AND USOSWEB

USOS is the main data base containing information about students of the University of Warsaw. All the details of the progress of your studies are stored in this system. You have access to this data through the USOSweb service. The USOS and USOSweb data bases communicate with each other. However, because of the huge amount of information, the synchronization of data is run once or a few times a day. That’s why after entering the USOSweb always check when the last updating of data took place. This information is displayed on the home site of the service in the upper left of the page (Figure 6):

Some faculties have their own servers for their students. Other faculties use the main server, administered by the Section of IT Applications (DAK – Dział Aplikacji Komputerowych). Thus, depending on where you study, you have access to one of the USOSweb installations given below. And if you choose inter-faculty studies, you can use several of them. Currently at the University of Warsaw the following services are available:

You can use the USOS data base (albeit with limited access) before you are enrolled as a University of Warsaw student. The information found by clicking on “Aktualności” (“News”) is already available to you. Here you will find up-to-date information about the particular major fields. It is worth getting acquainted with “Katalog” (“Catalogue”), where you can get information concerning university employees, education units and their majors, along with a list of all subjects.

You don’t have to log into the service to read the information found at “Aktualności” and “Katalog”. In the event of any problems with this service we encourage you to click on “E-Nauka” (“E-Teaching”) and then “Pomoc” (“Help”). “E-Podręczniki”. (“E-Handbooks”) and “E-Ćwiczenia” (“E-Excercises”) will lead you through the USOS.

After admission you can make avail of the opportunity to sign up for lectures in the USOSweb system.

Faculty registration

Faculty registration is an on-line enrollment in the major subjects accessible on the faculty USOSweb website. It is maintained by the unit that runs your program and can be done in two ways:

directly to groups – according to the rule “first come, first served”, in two stages – the order of applications doesn’t matter. First you

need to express your wish to enroll in the subject, and in the second stage the student is enrolled in the group.

The “Step by step” guidebooks on the kinds of registration described above will help you in properly enrolling, whether directly to yourgroups, or in two stages.

Token registration

Token registration is used in the case of subjects whose “value” is given in tokens (such as P.E., foreign language courses or general university subjects).It is worth remembering that the University of Warsaw has a modern sports centre with a beautiful swimming pool.

The tokens are contractual and virtual “legal tender”. One token is equal to one hour of classes. Different kinds of tokens enable registration for different subjects (Table 1):

Each student is entitled to a number of tokens that derives from their program of studies. If you start a new major, you won’t be given new tokens, but rather the number reflecting whatever difference between the two majors there may be.

WARNING: Token registration, unlike faculty registration, is accessible via only one server for the whole University: http://rejestracja.usos.uw.edu.pl/.

It always operates on a “first come, first served” basis.

The booklet Rejestracja żetonowa. Przewodnik „krok po kroku” dla studentów will help you to properly enroll for the subjects your tokens allow you.

THE UNIVERSITY’S STUDENT MAIL SERVICE

When your personal data is entered into the USOS data base (usually before the academic year starts in mid-September), you are obliged to open an email account with the University’s email service (http://poczta.student.uw.edu.pl/).

Having an email address in the University of Warsaw's domain enables on-line communication with the employees who run your classes, and with students who attend the same classes as you. This is possible thanks to the U-MAIL service in USOSweb system. You don’t have to know the addresses of these people: it’s enough if they are entered into the USOS data base!

WARNING: The faculties with their own email servers generate email addresses for their students automatically.

THE MOST SIGNIFICANT IT PLATFORMS OF CHOSEN UNIVERSITY OF WARSAW UNITS

CENTRE FOR OPEN AND MULTIMEDIA EDUCATION – COME COME makes on-line courses (mainly general university subjects and language courses) accessible when you enter the address http://www.come.uw.edu.pl/. These subjects are stored in the Inter-Faculty Data Base of On-Line Academic Classes (Interdyscyplinarna Baza Internetowych Zajęć Akademickich - IBIZA). If you choose any of its subjects, you will download teaching materials from the data base, do the homework and undergo on-line tests.

You will find a list of all these subjects on the website for token registration http://rejestracja.usos.uw.edu.pl/:

and on the COME platform available at http://kampus.uw.edu.pl/.

Entering the COME platform you will also find: 1) the Health and Labor Safety course you will have to complete during your first year of your studies,2) a how-to-use the library program you can take part in,3) tests evaluating your level of fluency in foreign languages. You will have to take one to enroll in the language course appropriate for your level.

THE UW LIBRARY’S ON-LINE CATALOGUE

Students of the University rely on the resource-rich Library of the University of Warsaw in Warsaw, and also faculty libraries.We encourage you to visit the Library website and to acquaint yourself with its on-line catalogue – (http://www.buw.uw.edu.pl/ – Figure 7).

GLOSSARY

While browsing the IRK, USOS and USOSweb systems you will come across a lot of new concepts and terms. You will find definitions of some of them below:

didactic period – complete period concluded with examinations (academic year, summer semester, winter semester and trimester) including classes and end-of-term examinations – including correction exams. The indications are as follows: 2008 – academic year 2008/09; 2008Z – winter semester of academic year 2008/09; 2008L – summer semester of academic year 2008/09;

stage of studies – a part of teaching program separated from the plan for studies, which includes a set of subjects and classes that should be completed in a particular period;

organizational unit – a part of the University of Warsaw's structure; this might be a faculty, an institute, a department or a library. A list of all University of Warsaw units can be found on the University website (http://www.uw.edu.pl/). Each unit is marked with an 8-digit code number, for example, Faculty of Modern Languages – 330000000, Institute of English Studies, which is a part of this Faculty – 33010000.

major – particular field of education which leads to getting a professional title (Bachelor or Master). For example, geology.

studies program – a set of subjects, periodic courses, internships, etc., which the student has to complete within specified stages of studying. The program may be accomplished within the context of one or more majors, for example, the “Simultaneous mathematics and IT studies” program run by the two fields: Mathematics and Informatics.

ECTS points (European Credit Transfer System) – reflects the results of the education process. The studies program defines the expected and required results of the education process (knowledge, skills), and this is attributed a number of points. The number of points is determined on the basis of student workload, i.e., how much work the student needs to do to attain desired results. The amount of work is counted in hours and covers class-time at the University, as well as the hours spent by the student working alone. The number also reflects the time spent while preparing for and taking exams. 1 ECTS point equals the results gained after 25 to 30 hours of work2.

stage requirements – a group of requirements of a studies program at a particular stage, needed to complete this stage;

subject requirements – a group of obligatory and non-obligatory subjects to be completed at the particular stage of studies;

point requirements – the number of ECTS points necessary to complete the particular stage of the studies.
