My mother often tells a story about me as a baby and how I would line up my toys in a row so they were perfectly organized. I was very particular that they stayed the way I had them, and I never wanted anyone to move my toys out of line. Throughout my childhood, people said I was just stubborn and would eventually loosen up, but I never did (still working on that). Now they understand that even as a baby, I was an entrepreneur. My childhood home was very traditional. My dad traveled a lot for work and my mother was a stay-at-home mom. We had a very typical family. I was brought up to believe that all moms would cook seven nights a week and raise the children. At the time, I wanted to be just like my mother with a family of my own.

As I got older, I discovered that the life I dreamed about as a child wasn’t really the one for me. I started down the pathway towards a stable career with a Bachelor of Science in Human Ecology with an emphasis in Psychology. I planned to work in mental health facilities. Upon completion of an internship in my field of study during the last semester of my college career, I realized I was not cut out for the challenge. It didn't take long for me to notice that my purpose was not the path that I had forged, but rather another that God had in store. Although I continued to work in the healthcare industry for stability (this went on for almost 10 years; working at a morgue, AIDS clinic, Joint Commission planning, Physician Recruiting, etc.), I started to plan events for some of my friends and co-workers on the side, for fun. While I felt as though event planning was my true calling, the path to get there was not an easy one. For ten years, I held three positions which included: Gymnastics Teacher, Healthcare Professional and Event Planner. All of these professions helped hone my skills in becoming an entrepreneur; the path I was chosen to pursue.

When I was asked to film a TV show exposing the wedding planning process for a well-known singer/songwriter, I jumped at the offer. I loved the couple, and I knew I would love working with them. My decision was made within 24 hours, and I leaped out of my comfort zone to leave my stable job for this wonderful opportunity. Although it was frightening, I took the leap of faith and it was the best decision I have ever made.

We immediately began planning and filming for the show. We were a month away from the wedding, and the couple decided they did not want to do the large wedding, but rather have a destination wedding on a private island with just the two of them. Although the show fell through, I was not the least bit upset. It was a good experience for me and it gave me the opportunity to focus on my event planning company and nothing else. Everything happens for a reason, and I reminded myself of that every day.

Planning such a special event in a couple's life is an honor to me, and I appreciate every client who has chosen my team and I to organize their momentous day. My goal with this book is to help the wedding planning industry learn how to better communicate with each other, and most importantly, our clients through personalized tools for success.

With over 15 years of experience in the events industry as an entrepreneur, I have had the opportunity to work with a vast group of clientele who are from all different walks of life. I want to share with you some of the secrets I've learned in communicating with my clients.

It would be naive to tell you that I have seen it all, heard it all or even been a witness to it all. As time always tells with the event industry, the only thing constant is that communication is ever changing and is becoming increasingly more difficult. There is so much noise around us on a day to day basis.

With my background in psychology, I wanted to position myself in the industry by truly understanding why, how and what makes my clients do the things they do and why they want what they want. It only took 15 years, but my team and I have studied and are continuing to study the behaviors of our clients, vendors and team members. For discretion, we have given each behavior or personality trait a character name:

THE PLANNER

When seeking an industry Professional, clients will usually enlist the expertise of a “Planner.”

“Planners” are considered the gatekeepers, the all knowing, and it is usually their brand that is sought.

They are involved throughout the entire planning process and delegate specific tasks among team

members as needed.

Communicating

“Planner” clients will want to be as involved in the process as the actual Professional. Expect this type of client to come prepared with checklists of ideas. It is typical for this client to have an inspiration board, books, pictures and articles that are color coded and in alphabetical order. This client values over-communication and seeks a Professional who is detailed oriented and sends prompt responses with adequate instructions. Doing these simple things alone will gain you the trust of your potential client.

Meeting Environment

Be on time, as this client is punctual and will expect the same from their Professional. Avoid spaces and meeting areas that are cluttered or scream disarray. This client will directly associate this with your work ethic and will more than likely decline to work with you. Your tidiness, organization and cleanliness will speak volumes for this client.

Planning

Transparency will be your greatest asset in working with this client. They do not like surprises. If there are changes that need to happen, be sure to include them throughout the process. Come prepared with several plans, as they will want to discuss and talk through the best alternative.

Family & Friends

Bare in mind that you may be gaining this client’s family as well. Family is extremely important to this client, and they might be heavily influenced by their loved ones. The “Planners” will keep a circle of friends who are like minded and share the same expectations for organization and details.

Reframing

Be sure to remain calm if a situations arises. Flustered and over anxious Professionals are triggers for this client. When communicating, be direct and “Oreo” the client: start with a positive, explain the situation and end with a positive. Never discuss an issue with this client without a presenting a solution.

The “Planners” thrive in structured environments and are the epitome of practicality. “Planners” are organized and responsible, with their greatest trait being their follow-through. If they say they are going to do something, they will in a punctual manner. “Planners” are rational. Extravagance at the expense of blowing their budget is not feasible for this client. When thinking about some of the joys for this client, they love checking off tasks from their checklist. They thrive when they feel prepared and enjoy the same from their Professional.

Strengths

They are ethical, rational and extremely dependable. Organizing is inherent. This client will often have a hard time relinquishing their trust and projecting their goals to the Professional. Synergy is key here. As the Professional, I encourage you to reframe your mindset and understand that it is not about what they want or what you want, but rather what you both can produce feasibly together, thus satisfying both parties.

Needs

Consistency and processes in traditional formats make this client most comfortable. They are not out-of-the-box thinkers, however, they value the beauty of simplicity and elegance.

Observations from Experience

Working with a “Planner” can at times have you questioning whether or not they need your services. Don’t be intimated. This client will come prepared with a bulleted list, calendars, a notebook with ideas and tasks that are left to be completed. This client is straightforward with their lists which allows you to assist them better. Remember, you are the Professional with lots of experience, and they will look to you for guidance. They are accountable for their choices, and they will expect the same in return.

Communicating

Vendors who are “Planners” are very organized. They value the importance of being detailed and punctual. Creating lists and completing tasks are second nature to these vendors. Expect communication to be timely and well-planned. Be sure to communicate in great detail your requests, as they thrive with clear, concise and timely communication.

Meeting Environment

Vendors with “Planner” attributes tend to be very practical. They thrive in environments with structure, routine and a checks and balances system. This vendor is not fluffy. When hosting a meeting, come prepared, clearly communicate your expectations and keep side chatter, and over sharing of personal anecdotes to a minimum. Anything deviating from the checklist will seem mundane.

Planning

They are great with checklists, and their follow through is impeccable. However, they are not seen as being creative and are not fluent in assisting with design elements. They are black and white and rarely negotiate in giving discounts, extra services or products. It is typically a yes or no with minimal wiggle room.

Core Needs & Values

The “Planners” thrive in structured environments and are the epitome of practicality. Although the event industry is a bit unconventional at times, this vendor will find way to create a routine or streamlined process that works best for the products or services they are offering. Maintaining integrity is key and being productive is integral for this vendor.

Strengths

Vendors with “Planner” attributes are happiest when given responsibility and asked to deliver with a clear deadline. While they are not the most creative, they will ensure that the logistics are well organized and carried out to perfection. Let’s talk black and white with this vendor, as they see joy in ensuring deadlines and tasks are completed and on time. They are proactive thinkers and usually have a solution when surprises arise.

Needs

They prefer to have structure and more formal environments. When you give clear direction on what you need from your vendor, and what your vendor needs from you, both parties are satisfied.

Observations from Experience

These vendors are a Professional’s dream! Quotes are always received in a timely manner and if an issue were to arise, it is generally taken care of before the Professional is aware. This vendor is dependable and extremely accountable. As you foster a relationship with this vendor, be sure to keep them around. The vendor will lend credibility to your brand and will serve as an extension in providing your clients with the best resources.

Team members with this attribute are vital for moving projects forward and meeting deadlines. Be transparent with this member and supply them with information you deem necessary for successful follow through. This member will display more introverted tendencies, simply because they’re focused on their work.

Meeting Environment

Stability and organization are key for this team member. Be cognizant when scheduling meetings and avoid unnecessary interruptions. These small things can be triggers for this team member. Create an “upfront contract” for meeting by laying out all of your expectations, tasks to be completed and end the meeting with a deadline.

Planning

Planning is their calling. There were born to do this. Being proactive is inherent. They are able to forecast situations before they arise. They are the epitome of planning for the worst and being successful when the best happens. Their aura creates a natural order which is essential for any organization.

Reframing

They take pride in their work ethic and what they actually produce. In your approach with this member, be aware that if you criticize their work, it will be taken personally. Be prepared to discuss in great detail how you envision projects and tasks when delegating. When communicating, be direct and again use the “Oreo” tactic: start with a positive, explain the situation and end with a positive. By using this tactic, you are personalizing the occurrence, empowering the member to become even more productive, which will in turn result in a more profitable company.

Personalized

These are not your average people pleasers. The effort exerted by “Planners” will speak volumes. When tasked with an opportunity, they will ensure that all components are personalized for either themselves, for the Professional or the organization. Socially, they will not become involved in your personal matters, don’t take it personally. What speaks volumes is their work and it will tell a story. While they are not people pleasers, they find enjoyment when people are pleased with their work. You can ensure that this person has personally taken the time to ensure that every aspect of a project, event or product is nothing but their best.

Productive

I once worked with a team member who 100% had “Planner” attributes. This team member created three circles on a flip chart that was displayed outside their office. One was green, the other yellow and the last one red. In being more productive, this team member used the “stoplight” method. When it was green, she was available. When it was yellow, she encouraged you to slow down and think whether or not the question posed could wait, and when it was red, you backed away slowly and returned another time. While this may seem extreme, “Planners” exhibit similar qualities. They are focused on the tasks at hand and are triggered with unnecessary interruptions. These are the movers, and they are integral in propelling any project, event or product forward.

Profitable

These people get shit done. In a fast paced world and even faster paced industry, clients, vendors and organizations want results quickly. The “Planners” produce, plain and simple. In keeping up with the demand for the industry, these people will work tirelessly in providing you with the necessary resources to ensure that the supply is there. This can range from seeking the best vendors for products or services, meeting projects deadlines with quality work, or providing a clear budget as a client. All of these aspects in conjunction with the “Planners” make for an equitable return on investment.

When it comes to decor, visions, negotiations and the atmosphere, clients will usually enlist the expertise of a

“Designer.” “Designers” are visionaries, the abstract thinkers and their work visually speaks volumes. “ Designers,” along with “Planners,” are involved

throughout the entire process and have a very hands-on approach when tasked with new opportunities.

They are very social and usually the highlight of any event, much like their work.

Client

Communicating

If you’re receiving a call inquiring about your services, it is likely that you have just met a potential client with “Designer” like attributes. While their call will be untimely, they will be direct, make decisions quickly and at times keep their options open until the last possible moment. Direct communication is best. Giving them flexibility in your response timeframe will put them at ease. Keep things light and humorous, as they are easily bored and distracted. Not every idea they have will come to fruition.

Meeting Environment

They are most productive in an informal environment and enjoy negotiation. Don’t be routine with this client, change it up with each meeting. Whether that is a venue change, meeting over dinner, drinks, etc., this allows for their creative talents to shine through. Be sure to be brief enough to keep their attention but direct enough to solidify the hard decisions.

Planning

People naturally gravitate towards clients with “Designer” like attributes. They are the life of the party and enjoy the spotlight as well as the planning process of their special day. Their main planning resource will be Pinterest, as they are very visual. They will want you to see what they like and what they want. Be clear on your communication here, as what they want may not be feasible. Once they see and like an image, it will be ingrained in their mind.

Family & Friends

While family and friends may offer their advice on certain subjects, this client will have the final say. They are not fans of rules and regulations. In fact, their events tend to be less than traditional. With all of this, they are fun-loving and extremely personable clients.

Reframing

Be sure to remain transparent and open-minded with this client. Professionals who overstep and make decisions without first consulting them can be a trigger for a “Designer” client. Be cognizant that if something does not go their way, they will be blunt, direct and extremely boisterous. This client can appreciate fluff before the stuff. Build the rapport first to enlist their trust, then share your advice.

Core Needs & Values

Enthusiasm radiates from this client. If this client knows you share their same excitement, you’ve won half the battle. They are very clever but may need time to fully develop their ideas. Give them some creative freedom so that they feel valued. These risk takers think outside of the box and are well beyond trends and fads in the present day. They are futuristic and continue to push boundaries.

Strengths

Flexibility is their greatest strength. They have a very “go with the flow” mentality and thrive with chaos. Don’t completely discount this client as they are easily adaptable and make rational decisions very quickly. They encompass the environment and have a way of putting people at ease.

Needs

Significance is essential to this client. They gravitate toward lively environments and find humor in every situation. They appreciate feedback to feel as if their requests are being tended to in an efficient manner.

Observations from Experience

Working with a “Designer” client can be cumbersome for the “Professional.” Have patience. You are in the presence of an originator, a pioneer and a futuristic thinker. While they may not come prepared with to-do lists, notebooks or calendars, they are making mental notes. They are visual. Decisions will not be made until they can envision the idea. They will seek the Professional for guidance and ideas, only after a rapport has been built. Synergy is not feasible with this client, as it is all about what they want.

Vendors who are “Designers” are natural born trouble shooters. The love being able to solve problems quickly and efficiently. Don’t let their natural charm fool you, they are master negotiators. Clear, direct communication is best for these vendors. Although they don’t typically enjoy deadlines, you rest assured that their work, when it is submitted, will be forward thinking, creative and out-of-the-box.

Meeting Environment

“Designer” vendors prefer the extraordinary over just ordinary. They like flexibility in their schedule and enjoy new scenery. When meeting, ensure that you engage first, then get to the business. Make sure you get every question answered and every detailed solidified as they will want to quickly move past the logistics. Bare in mind that they are visual and are most passionate or conversant in regards to things that have images associated.

Planning

When planning an event with this vendor, give them a variety of meeting locations and times. While this may be overwhelming for some characters, a vendor with “Designer” like attributes will not hesitate to voice their opinion. Be aware that this vendor may frequently run behind or occasionally cancel. Over communicate here, as this vendor will need more than just an email to follow up. Texts and calls will be more efficient. Their greatest strengths lies in the “what-ifs.”

Core Needs & Values
