The Basics
About AP and AP Coordinators
• Each participating school designates an AP coordinator
Who Are AP Coordinators?
• Coordinators are primarily responsible for organizing and administering the school’s AP program
• Coordinators agree to maintain the security of exams when managing the receipt, distribution, administration, and return of exam materials
2
• The AP coordinator cannot currently be an AP teacher.
Who Are AP Coordinators?
• The AP coordinator may be a full- or part-time administrator, counselor, faculty member, or other school staff person who doesn’t teach an AP course.
• In some cases, an AP coordinator may also serve as the Services for Students with Disabilities (SSD) coordinator.
• AP does not require coordinators to handle the AP Course Audit.
3
• Coordinators may designate an additional authorized staff person to assist or serve as a backup.
Who Are AP Coordinators?
• Important: All AP coordinator eligibility policies also apply to the additional authorized staff person.
• An individual cannot be the AP coordinator in the year when an immediate family or household member may be taking an AP Exam. This is regardless of whether the immediate family or household member is at the school where the individual works or at any other school.
• Coordinators have access to all AP Exams, which presents a conflict of interest.
4
Proctors must meet all of the criteria listed on the next few slides.
Identify Proctors (Slide 1 of 3) • Proctors must be responsible adults; they
may not be high school students.
• Proctors may be educational professionals; AP coordinators; teachers (active, retired, or substitute); or members of the administrative staff.
5
• Current, former, or retired teachers, including AP teachers, may serve as proctors for exams in a subject area other than the one they now teach or have ever taught.
Identify Proctors (Slide 2 of 3)
• Example: A ninth-grade English teacher may not proctor an AP English Language or AP English Literature Exam but could proctor an AP Biology Exam.
• This policy also applies to AP coordinators, department heads, and substitute teachers.
• Individuals who served as a substitute teacher in a subject for an extended period of time (i.e., a semester or school year) cannot serve as a proctor for an AP Exam in that subject area.
• The only exception to this is Studio Art.
6
• Parents are permitted to proctor as long as there are no conflicts with any of the other eligibility requirements listed on these slides.
Identify Proctors (Slide 3 of 3) • An individual cannot proctor an AP Exam or
handle materials for an exam in the year an immediate family or household member may be taking that exam. This is regardless of whether the immediate family or household member is at the school where the individual works or at any other school.
• Proctors cannot take any AP Exam or review in any manner the content of the exam.
• Proctors may not be employed part or full
time at a test preparation company.
• Proctors may not participate in any coaching
activity that addresses the content of secure
College Board tests.

More information is in
the AP Coordinator’s Manual, such as:
• Proctor duties before, during, and after the AP Exam administration
• Estimated timing for each AP Exam
• Sample exam covers (for label placement; confirming the exam subject, date, and time noted on the exam packet; and signing understanding of security policies)
8
• AP teachers are prohibited from having access to the exam materials.
AP Exam Security for Teachers (1 of 2)
It’s important that AP teachers are aware of
their role in maintaining
the security of AP
Exams. Communicate
the exam security
policies with them:
• AP teachers are prohibited from entering the exam room and from communicating with students during testing, including breaks.
• AP teachers are prohibited from taking or reviewing the content of an AP Exam.
• AP teachers may never discuss unreleased exam content with students or ask students to disclose the test content.
• AP teachers may only discuss exam content with students if those specific questions were released on the College Board website two days after the regularly scheduled exam administration. AP teachers may never discuss or disclose exam content with anyone if those specific questions were not released.
9
• Teachers, including AP teachers, may serve as proctors for exams in a subject area other than the one they now teach or have ever taught. (See next slide: “AP Subject Areas for Assigning Proctors.”)
AP Exam Security for Teachers (2 of 2)
It’s important that AP teachers are aware of
their role in maintaining
the security of AP
Exams. Communicate
the exam security
policies with them:
• Because AP French, German, Italian, and Spanish Language and Culture teachers and AP Music Theory teachers cannot have any access to student recordings, these teachers are not permitted to have Digital Audio Submission (DAS) portal accounts or any access to the DAS portal.

• The College Board provides a $32 fee reduction
per exam for eligible students with financial
need. Schools are expected to forgo their $9
rebate for these students, resulting in a cost of
$53 per exam.
Fee Reductions
• Many states use federal and state funding to
further reduce the exam fee for these students.
The fee reductions available in each state,
including the fee reduction information for
schools outside the U.S., will be on
collegeboard.org/apexamfeeassistance
in the spring.
19
• In 2018, more than 500,000 low-income students needed financial assistance topay for AP Exam fees.
Transitioning to ESSA (1 of 2)
• For nearly 20 years, a significant portion of these fees were funded through the federal AP Test Fee Program. However, under the Every Student Succeeds Act (ESSA), this program was eliminated.
20
Transitioning to ESSA (2 of 2)
States and districts have
opportunities under ESSA
Title IV and Title I to use
their federal funding to cover
low-income students’ AP Exam fees in 2019, as well
as to expand AP course
offerings and teacher
preparation and support.
What you can do:
• States and districts must act locally to
ensure funds remain available for low-
income AP students.
• Go to collegeboard.org/ap-essa
to learn what you and your administration
can do to make AP accessible to all of your
students, regardless of financial need.

Closing the Exam Room / Latecomers
In general, students should not be admitted after the start of the exam.
However, the school may admit a late student if the following conditions have been met:
• Student arrives to the exam room late but before the other exam takers have finished filling out identification information on their answer sheets
• School considers the cause of the student’s late arrival to be beyond the student’s control
A proctor should sit with the student after the exam to supervise the completion of any outstanding identification fields on the answer sheet.
Note: Schools are not required to admit or test latecomers. Students who arrive late must follow the directions of testing site personnel.
