During Interaxions 2013 there were several new features and enhancements introduced including the Master Bill of Lading tool which allows users to consolidate multiple orders on to a single Bill of Lading. This new tool will save your company time and money by streamlining your shipping process.

The Master Bill of Lading Entry provides a means to build a Master Bill Number by Customer Ship To which may be used to generate a combined Bill of Lading, proportional freight distribution, and voucher entry by Master Bill of Lading #.

Entry of a new Master Bill of Lading may begin by highlighting the first row in the grid with “Create New” in the Master Bill # column and pressing the button or just by selecting the button. Alternately an existing Master Bill of Lading may be updated by highlighting the row in the grid for the desired Master Bill # and pressing the button or selecting the button.

If an open Master Bill of Ladings exist for the entered Customer Name/ID and Ship To ID then a grid will open in the middle of the screen showing it. Double-clicking on any row containing an existing Master Bill # will open the Master Bill of Lading Details screen. If an open Master Bill of Ladings does not exist users can create a new Master Bill of Lading.

The Master Bill of Lading is a new feature that delivers the means to consolidate multiple orders together onto a single Master Bill of Lading. In addition, order shipments, printing of post-shipment documents, and processing of order shipments may also be done by utilizing the Master Bill of Lading. Linking multiple order shipments together on a single Bill of Lading with a single Bill of Lading # offers various advantages that include the following:

• Generates a Consolidated Bill of Lading

• Reduces Shipping Costs Based on Master Bill of Lading Total Quantity

• Distributes Freight Proportionately Across All Sales Orders

• Consolidates Totals for Hazmat Placarding

• Reduced Paperwork

• Streamlines Shipping Process

ENTER NEW MASTER BILL OF LADING

SUMMARY & DETAIL MODE

Creating a new Master Bill of Lading will bring up the Master Bill of Lading Entry Form for the selected Customer Ship To. The entry form is separated into two browsers. The top browser contains available Orders that have at least one open Line Item not yet placed on another non-cancelled Master Bill of Lading. While the bottom browser contains Order Line Items that are to be included on the Master Bill of Lading upon clicking the “Enter Master BOL” button.

The top browsers has two modes: Summary and Detail. Initially, the browser open in ‘Summary’ mode and can be switched by pressing the mode button or .

Summary Mode

When in Summary Mode, all Open Order Line Item quantities for an order not yet put on another Master Bill of Lading will be summarized and converted to “LB”. The total quantity is listed in the “Qty Not Mast BOL (LB)” column. The first column “Sel” allows pending selection of that order to be placed on the Master Bill of Lading by changing its value to “Yes”. Doing so will update the Running Total Gross Weight on the bottom of screen. Note: warning will appear should the newly selected quantity exceeds the 80,000 lb. Maximum Gross Weight.

Detail Mode

When in Detail Mode, users have more specific Order Line Item information that allows for partial Line Item quantity to be selected on the Master Bill of Lading. The Line Item U/M Column defaults to the Quantity U/M the Line Item was entered in on the order. Changing the first column “Sel” to “Yes” will fill in the open order quantity not yet existing on a different non-cancelled Master Bill of Lading into the row’s “Selected Quantity” figure. It will also update the Running Total Gross Weight on the bottom of screen. This figure may also be decreased by overriding the value in the browser if desired.

Removes the selected Order Line item from the bottom browser, and puts it back into the top ‘available’ browser.

Moves the pending quantity in the top browser to the bottom browser.

Scheduled Ship Date - Defaults to Today’s Date (Required)

Freight Cost and Freight Charge - Defaults to Master Bill of Lading Shipment Confirmation (Optional) Freight Currency - Defaults

to the system’s base currency or the shipper’s (Required)

Shipper ID - Defaults to the Customer Ship To’s Preferred Shipper or Customer’s Preferred Shipper (Required)

MASTER BILL OF LADING MAINTENANCEThe Master Bill of Lading Maintenance functions very similar to the Master Bill of Lading Entry except the Master Bill of Lading # must be chosen and locked in at the top portion of the screen. This screen allows users to update or cancel the Master Bill of Lading.

MASTER BILL OF LADING INQUIRYThe Master Bill of Lading Inquiry screen allows details of a Master Bill of Lading to be viewed but not updated. Entering the Master Bill of Lading # at the top of the screen will automatically fill in the Customer and Ship To information. The selected master Bill of Lading’s Scheduled Ship Date, Shipper ID, Freight Cost, Freight Charge, and Freight Currency will be displayed. Order Line Items on the Master Bill of Lading will appear in the browser with information identical to the Detail Mode browser in the Master Bill of Lading Entry and Maintenance screens.

MASTER BILL OF LADING SHIPMENT CONFIRMATIONOrders on a Master Bill of Lading are shipped confirmed using the Master Bill of Lading Shipment Confirmation. Selecting a non-cancelled, non-shipped Master Bill of Lading # will prefill its Ship Data, Customer, and Ship To information. All Order Line Items and their chosen quantities from the Master Bill of Lading will display in the top browser. The Master Bill of Lading Shipper ID, Freight Cost, Freight Charge and Freight Currency will also be pulled in from the Master Bill of Lading, but may be changed here for this shipment.

The shipped quantity for each Order Line Item cannot exceed the value entered on the Master Bill of Lading, however it may be reduced or left as zero. If the Order Line Item has been Staged, the minimum of the Staged quantity and the selected Master Bill of Lading quantity will be used as the Line Item’s maximum quantity shipped. Therefore, a Staged Order Line item may be partially shipped when on a Master Bill of Lading and may reside on more than one order shipment.

MASTER BILL OF LADING SHIPMENT CANCELCancel a Master Bill of Lading shipment through the Master Bill of Lading Shipment Cancel screen. All quantities selected on the Master Bill of Lading will be available for re-shipment upon cancelling a Master Bill of Lading Shipment regardless of whether they were on the initial shipment or not.

ORDER SHIPMENT CANCEL

INVOICE MAINTENANCE

• Answering “Yes” will open Master Bill of Lading Shipment Cancel with the Master Bill of Lading number for the shipment prefilled.

• Answering “No” will allow the user to cancel only that order’s portion of the Master Bill of Lading shipment.

Cancelling a Shipment that was part of Master Bill of Lading Shipment through Order Shipment Cancel will warn the user: “This Shipment was part of a Master Bill of Lading Shipment with other orders on it. Would you like to Cancel the entire Master Bill of Lading Shipment?”

Cancelling an Invoice created off a Master Bill of Lading will prompt the user whether to cancel the Master Bill of Lading Shipment. Doing so will open the Master Bill of Lading Shipment Cancel with the Master Bill of Lading # prefilled.

The capability of printing Order Documents by Master Bill of Lading # is available on the Master Bill of Lading Document Print (Crystal) screen. This screen functions very similarly to the O/E Document Print (Crystal) screen. The following Order Document print screens have the ability to print by Master Bill of Lading #:

• Pick Ticket

• Post Shipment Bill of Lading

• Post Shipment MSDS Print

• Post Shipment MSDS Print (Crystal)

• Pre Shipment Packing List

Note: Post Shipment Certificate of Analysis in Q/C can be printed by Master Bill of Lading #.

The Master Bill of Lading Entry is available through the Portal Grid context menu when viewing a grid containing General Order information or Order Line Item information. Choosing this context menu item will open the Master Bill of Lading Entry with the Order’s Customer and Ship To automatically filled in.

PORTAL GRID ACCESS

A new browser has been added to Order Maintenance on the “Order” tab to display any Master Bill of Lading(s) that contains the selected order. The browser displays the Master Bill of Lading # (MBOL #), Order Master Bill of Lading Weight (lb), Master Bill of Lading Gross Weight (lb), Shipper ID, Freight Charge, Freight Costs, and Freight Currency.

ORDER MAINTENANCE

Double-clicking the Line Item brings the user to the Inquiry screen.

A new Master Bill of Lading # range has been added to Process Order Shipments and will be available when the “Process Order Shipments” toggle is ON. Order shipments created from Master Bill of Lading Shipment Confirmation will not be processed unless they fall within the Master Bill of Lading # range selected. The Order # filter does not apply to shipments created from Master Bill of Lading Shipment Confirmation.

PROCESS ORDER SHIPMENTS

• Processing only Order Shipments tied to a Master Bill of Lading may be done by leaving the Order # From and To blank and turning OFF the “All” Order # toggle. The Master Bill of Lading # drop down browse contains all shipped Master Bill of Lading #’s not yet processed.

• Processing only Order Shipments that are not tied to a Master Bill of Lading may be done by leaving the From and To Master Bill of Lading #’s blank and by turning OFF the “All” toggle for Master Bill of Lading #.
