1. SCOPE

This procedure is an integral part of the deliverable to the consultants and the contractorscontracts, for the different LHC* packages, in complement to the paper exchange of drawings.

The aim is to harmonise the electronic drawing interchange through the Internet.

The drawing number identification and additional codification makes the electronictransfer traceable. The latest approved drawing is easily identified. All transmitted drawings can beretrieved in any revision status and consultation is possible from everywhere in the world.

2. GENERAL

2.1 Type of Exchange Channels

The electronic exchange comprises two types of drawing information packages :

• The description file• The graphics file (can also be handed over on CD-ROM).

Each information package is conveyed respectively by distinct Internet channels :

• The CERN’s Drawing Directory (CDD)

• The CERN’s Civil Engineering CAD Disk (CADD).

2.2 Exchange Principle

2.4 Drawing Number

The CERN’s Civil Engineering drawing number acts as a link in between CDD andCADD.

The drawing number corresponds to the principal title block number and is made up of 7block identifiers (A,B1,B2,C,D,E,F) regrouped in an 18 digits codification (see annex 1A) :

Drawing ObjectsThere are several concepts around the management of drawings and it is important to

identify them clearly. Throughout this manual and in the application itself, there are severalcommonly used terms which are explained below in detail.

Drawing SystemA drawing system can de defined as a common set of rules which define the way that any

drawing created inside that system must be identified, numbered, and managed.

In this way, we can deal with drawings belonging to different drawing systems. Some dataand functionality will be common to all drawing systems, and some will be specific to each one.

One of the most important points which differentiates one system from another isobviously the way drawings are numbered.

The following drawing systems have been identified at CERN:

• ST-CV (Cooling and Ventilation)Numbering scheme:

Management rules: Drawings must be controlled twice before they can be archived.

Other specific information: Activity, Function and Design Office must also be defined forevery drawing.

Drawing SubjectA drawing subject is a concept that can be found in any drawing system. It is a ‘logical’

way to group or class a set of drawings within a given drawing system. This concept is important asit allows us to group a large number of drawings according to a more selective criteria than thenumbering scheme.

In every system, the drawing subject will include one or more components of the drawingidentification. For example in the EST/LHC drawing system, the drawing subject is defined as thepair Project + Equipment. This means that drawings will only exist if they belong to pre-definedsets of pairs. It also means that we can easily obtain the list of all drawings created under a givendrawing subject (e.g. LHCLQAO_).

The following are the drawing subject definitions inside each of the previously mentioneddrawing system:

• ST-CV:Project code (3) + Activity code (1) + Ouvrage code (4)

3. CERN’S DRAWING DIRECTORY (CDD)

What is CDD?CDD is a multi-platform utility which manages engineering drawings made in any division

at CERN or in external institutes and companies. Access to the data is provided via WWW (CDDWeb) and a graphical user interface which is based upon ORACLE Forms (CDD Forms).

Drawings which follow different numbering systems and different management rules canbe handled by CDD.

Several drawing systems have been identified in CERN and were therefore consideredwhen designing the application. CDD supports the following naming systems: ALICE, ATLAS,CMS, EST/LHC, LHC-B, SL-PO, ST-CE and ST-CV; LEP and SPS naming systems are stillsupported though they are no longer in use. Other systems can be easily integrated on demand.

C.D.D. is the acronym for CERN Drawings Directory.

It is a multi-platform utility which manages engineering drawings made in any division atCERN. The aim of C.D.D. is not to store the graphical drawing itself, but to store a

reference with every information related to the drawing. Access into this data is providedvia a graphical interface based upon Oracle Forms (CDD) or the World Wide Web (CDD Web).

Drawings following different numbering systems and different management rules can behandled by C.D.D.The only condition is that those particular functionalities are well defined.

Different parts can be distinguished in the CDD application:

The CDD database is an ORACLE database where the information used in the applicationis stored, as well as some general procedures that deal with it. These procedures are stored in thedatabase and can be executed from the external world.

The CDD user interfaces

The CDD user interfaces are sets of programs, which allow the CDD user to interact withthe information stored in the database. There are two kinds of interface:

CDD Web which is a Web interface and offers all CDD functionalities including foldermanagement and approval process.

CDD Forms is a user interface written in ORACLE Forms 4.5 which offers some CDDfunctionalities: creation, quality control and retrieval of information.

All general concepts and procedures described in this manual are valid for both interfaces.As it is the same database in both cases, the user can use the interface he prefers.

The consultants and contractors have only access to the :

3.3.1 New Drawing Insertion

Important note :As a general working principle, applicable to each single drawing or to a batch of

forecasted drawings, it is recommended to reserve from the beginning a series of drawing numbersin CDD (even if the drawing isn’t executed later).

First screen : Drawing Subject

SUBJECT CODE : starts with the drawing number block identifier “A” followed by theblock identifier “B1” respectively :

4 digits project code : LHC-

3 digits design office : enter appropriate acronym e.g. : JV1

Second screen : Register New Drawing

TITLES : the English title shall be mandatory completed (Appears in the drawing titleblock designation). The French titles are useful for text search in the drawing retrieval. If no Frenchtitles are filled in, complete each line with one space character.

Source address : don’t fill in.

FUNCTION / PHASE : select appropriate drawing type, admitted only A, B, C, F, G.

EXTERNAL REFERENCE :

The CDD system offers 3 options.

Option 1 : no external reference is typed in.

The CDD system will automatically increment by one the latest drawing serial number(corresponds to drawing number block identifier “D”). The consultants and contractors have nocontrol on the drawing number.

Option 2 : type in your internal CAD reference (e.g. : CAD123457A), space characters areallowed.

The CDD system acts as under option 1 but allows to make a drawing retrieval (see sub-clause 3.3.3) with your internal CAD reference.

Option3 : type in your internal CAD reference and force the drawing number.

The insertion format for this is *****#nnnn.

***** : type in your internal CAD reference as under option 2 (not mandatory).

# : type sharp / dièse.

nnnn : forced 4 digits drawing serial number corresponding to the choice of blockidentifier “D”. See table annex 1B.

Note : When first option 3 was used for a series of drawings and afterwards option 1 isused for a new series, the incremented drawing number will be the lowest available in the CDDsystem.

3.3.3 Drawing Retrieval

Click on direct drawing retrieval or guided drawing retrieval

DIRECT DRAWING RETRIEVAL : there exists 3 possibilities to retrieve a drawing :

- CERN drawing number : enter the drawing number (see sub-clause 2.4) without

drawing index. The CDD system displays the latest available drawing version.

- External reference : see 3.3.1 option 2 or 3

- Title : not recommended (too long search)

Important note :Once a drawing has been approved by CERN, it is possible by the CDD system to display

the graphics file (see 3.3.3 second screen : Visualise drawing). For that you need to have an HPGL1 viewer installed on your machine (see 4.4 : Transmission format).

4.1 Internet Address

The consultants and contractors need no password to access to the CADD server.

4.3 Notice of Transmission

The CADD service is for exchange purpose only, the server is not intended as a storage orarchiving device. The directories are cleaned every two weeks. Each transmission of the graphicsfile of a drawing shall be notified by an Email to be sent to one of the CERN's engineers in charge.

4.4 Drawing File Format

The drawing shall normally be transmitted during phases 1,2,3,4 in HPGL 1 format(extension .plt). The consultants and contractors are invited to check, at their home location, beforeelectronic transmission, the opening capability of their drawings with the CERN HPGL 1 viewer(version 4.0). The latter can be made available on simple request for you precise type of operatingsystem (Macintosh, Win95, WinNT, UNIX).

4.5 Drawing Identifier

The transmitted drawing files put on the CADD server shall be identified by the "C" and"D" block identifiers of the drawing number (see 2.4) followed by the file extension ".plt". The fileshanded over on CD-ROM shall also be named according to this principle :

4.6 Special Requirements

After completion of all works, during phase 5, the complete set of the "as built" drawingsshall be transferred in the original ".dwg" file extension.

The CADD server can also be used, on CERN's request in the other phases, to transmitdrawings in ".dwg" format ot planning in ".mpp" format created with Microsoft Project.

5. APPROVAL PROCESS

The approval process is based on distribution lists. A distribution list contains the name ofstandard approvers and is managed by a single person, the “appro-leader”.

Here is a typical approval process workflow:

1) The “appro-leader” selects some drawings that he wishes to have approved.

2) He starts the approval process, indicating a deadline and giving an explanation ifnecessary.

3) Everybody on the distribution list receives an automatic e-mail requesting them to sendcomments on the “started” drawings.

4) These standard approvers connect to CDD, check the drawings and enter theircomments for each one. They can accept, refuse or mark a drawing as seen.

Note: a personal list is displayed for each approver, indicating the drawings that shouldbe commented.

Note: if the user does not reply, this does not block the process. In most cases, no replywill be taken to mean acceptation.

According to the received comments, the “appro-leader” terminates the process byaccepting or rejecting the drawings.

Note: nothing is automatic: the “appro-leader” is responsible for a correct analysis of thecomments.

The “appro-leader” can even terminate the process before or after the deadline he set. Hecan decide to accept or reject a drawing whatever the received comments. He can base his decisionon reports derived from the received comments.

There are several notifications which are sent to users by e-mail. For example, the “appro-leader” receives a message when the deadline is reached.

The active distribution lists are visible at any time via CDD Web as well as the relevantdrawings.

6. GLOSSARY

It is important to note that because CDD has been developed in the bilingual environmentof CERN, where the official languages are French and English, some words are given slightlyspecial meanings according to the habits which have developed over many years at CERN. In somecases this is because the French word does not have a well known or convenient Englishequivalent; for example, ouvrage. In others it is because the French meaning of a word is so wellknown and the word so frequently used by English speaking CERN staff in that sense, that it wasjudged better to use the normal CERN word rather than introduce a new term according toconventional English usage: for example the word control is used with an extended meaning,borrowed from the French.

Appro-leader the person responsible for a list of “approvers”.

Approval processthe process of collecting comments from a list of “approvers”.

Approvers the members of an approval list.

Archived used in a general sense to mean entered into CDD. It does not have anyconnotations of “no longer active” or “of no current interest” as might be expected from a normalEnglish usage.

Control used with an extended meaning borrowed from the French meaning ofthe word, where often check would be the more normal English word.

7. ANNEXES

General - Title block right down cornerThe drawing number follow the CERN's civil engineering general drawings identification

scheme with 7 mandatory block identifiers with in total a 18 digits codification. The drawingnumber appears at the right down corner of the title block as presented in Annex 2.

First digit = 3 for LHC

Second digit = geographical location number : 1,2,3,4,5,6,7,8(details see Annex 3).

Last 2 digits : 00-49 for underground structures, 50-99 forsurface.

Identifier "D" : Drawings serial number = 4 digits (fill with zeros to be left).

Read carefully 3.3.1 - External reference. See Annex 1B.

In house drawings first digit = 0.

Identifier "E"** : Normalised drawing size = 1 digit (without preceding letter).

Identifier "F"*** : Revision index. A dash revision index shall be assigned at eachnew drawing. First index = "-", second index = "A", third = "B".

NOTES :

* If the drawing concerns multiple structures (general drawings), use the geographicalzone code e.g. :

For surface structures : - point 1 = 3199 Point 2 = 3299 etc…

For underground structures - point 1 = 3100 Point 2 = 3200 etc…

For identical underground structures, on different locations, the drawingsstructure code shall be an exact "Code Ouvrage" chosen out of the other ones (see Annex 3).

**1) No sizes other than the following shall be accepted.

Horizontal : A0 (1188 x 840 mm), A1 (840 x 594 mm), A2 (594 x 420 mm), A3 (420 x297 mm).

Vertical : A4 (297 x 210 mm).

**2) For drawings with an unusual length / height ratio (e.g. tunnels) an exception can bemade with regard to the drawing length (preferably in multiples of the standard length). Thedrawing height must be respected (A0 : 840, A1 : 594, A2 : 420, A3 et A4 : 297). In the latter casethe normalised drawing code to be inserted in the block identifier "E" is 3 for both (A3 and A4).

*** Block identifier "F" : may be used for identification of steel bars lists, identical as fordrawing, excepted letter coding :

F= Z for 1st list, Y for 2nd list, etc…

Each time the drawing status is changed (even for a drawing without any modifications butpassing e.g. from state P to A), the revision index (F block identifier) shall be incremented.
