TASK LIST Maintenance task list describes a sequence of individual maintenance activities which must be performed repeatedly within a company. Task lists are used to standardize these recurring work sequence and to plant them more effectively. Maintenance task list is a generice term for all task list that are used in Plant maintenance Maintenance activities for a technical object include for example:- o inspection o maintenance o repairs There are three types of maintenance task lists that can be distinguished from one another using indicators Equipment task list Functional location task list General maintenance task list Task list group Maintenance task list are grouped into task list groups. Task list group

Maintenance task list are grouped into task list groups. A task list group includdes all maintenance task list with similar maintenance flows. Task list within a task list group are identified by a group counter.If we create a maintenance task list for the first time, the system will automatically assign a new group and the counter 01 to our task list.

The task list group has more signficance for general task lists, as they are called up using the task list group number. Group Numbers for general task lists can be assigned either internally or externally.Group Numbers for equipment task lists and Functional locations can only be assigned internally.The SAP system treats all Maintenance task lists within a group as one unit. It is therefore recommended that we assign generally maintenance task lists to several small groups.

Number assignment for maintenance task lists

Numbers for Equipment and functional location task lists are assigned internally. This means that when wer create an equipment or functional location task list, the system issues a message with the number it has assigned to the task list. The first task list we create for a specified piece of equipment of functional location will be identified by a group number and a counter number. Further task lists for the same piece of equipment or functional location will simply be identified by a counter number within the group.

Number assignment for general task lists works on the same principle as for equipment task lists. However, we can assign internal and external numbers to general task lists. The group number is of more importance to general task lists as it is used to access the task list.

Creation of profile

Often certain fields in different maintenance task lists contain the same values or data. To reduce the entry time required, we can create a profile. A profile contains standard information which we require in the same or similar constellations when processing maintenance task lists.When we maintain the task list, we can enter the key for the profile containing the data we require in the initial screen. The system automatically enteres this data in the maintenance task lists.

If we want to create a profile from the task list, we can create it using Extrassettingsprofiles

General Maintenance task list

General Maintenance task lists are task lists that are used for general maintenance tasks. They do not refer to a specific technical object. Using general maintenance task lists, we can define and manage sequence of maintenance tasks centrally, and use them for work scheduling.

Operations

The individual maintenance tasks to be performed are described in the operations. An operation specifies the time, work center and other control information required for the maintenance task. We can describe how the task is to be performed in the operation text.

Using the control key, we can specify how the operation is to be performed. We can specify the following

Sub-operations

In the hierarchy, a sub-operation is below an operation. Several sub-operations can be allocated to one operation. This is useful, for example if

Several work centers are required in one operation Exployees with varying skills are working simultaneously on the same tasks

The sequence in which the sub-operations are to be performed is specified by their number. A control key can be allocated to each sub-operation. Capacity planning and costing are possible down to the sub-operation level; Scheduling is only possible at opeation level.

Internally processed operations

Operations that are performed in our own company are called internally processed operations. The detailed data that we can enter in internally processed operations can be divided into two basic groups

Internally processed dataFor example, work, activity type, duration

Wage dataWage group, wage type, qualifications.

Externally processed operations

Operations that are performed by a third party are called externally processed operationsFor example when we send out a machine construction to a company. The construction of the machine is therefore an externally processed operation. The system automatically creates a PR from the operation data entered. This PR contains the quantity and dates. The Purchasing department creates a PO based on this PR

The detailed data we can enter in externally processed operations can be divided into two basic groups

Externally processed data Procurement option data

Externally processed data contains information on net price and Lead time

Procurement option data contains information about vendor account and purchasing information, such as the purchasing info record, purchasing group and organization

CREATION OF MAINTENANCE TASK LIST

Purpose

Maintenance task lists describe a sequence of individual maintenance activities which must be performed repeatedly within a company. The functions for creating data in Equipment task lists, functional location task lists and general maintenance task lists are very similar

Process flow

1. We create a maintenance task lists with or without reference and enter the header data ( for example, short text, maintenance planner group, status)

2. We create operations and where necessary, sub-operations and enter detail data for internal or external processing

3. We can include user data in the operations and sub-operations as required4. We can enter dates for sub-operations if the start or end of the sub-operations

6. We can arrange the operations according to time by defining relationships7. We can perform a cost analysis

Creating Maintenance task lists : initial screen

If we want to create a maintenance task lists, first perform the following steps

And click on Task list overview In the task list overview screen we can create a new maintenance task list by using the following menu bar sequenceEdit-new lines.

When we have finished entering the heaer data in our task list, we can - Either save the data entered and exit the trasactions or- Create the operations to be performed.

To perform the operations click on the Operations overview

Operations are components within a maintenance task list that describes the individual maintenance tasks to be performed. Specify time, work center and other control information required for the maintenance task. The task list is linked with the maintenance order during order processing and the operations become operations in the order. These operations are used as the basis for performing the maintenance tasks.

We can enter the detail data for each operations for processing of operations likeInternally processing operations:- select the operation and click on the icon as showin the below figure

And enter the control key indicator

Externally processing operations:- Select the operation and click on the icon Externally processing indicator as shown above

And enter the control key indicator In the external processing we can enter the external services like Purchase group, purchase organization,vendor, purchase info record etc.,

We can also enter the user defined fields for a operation using user dataOperationsuser data

Deleting a maintenance task list:

We can only delete a maintenance task list or group counter, if the group is no longer used in a maintenance order or maintenance item. As soon as a group is in use, the system will not allow us to delete the group counters in it.

Deletion means that we can assign a deletion indicator to the group counter, and therefore logically delete it.

The materials required in the maintenance tasks are allocated to the operation. The materials required can be either items from a bill of material or selected stock items.We can allocate several materials to one operation and one material to several operations.

Prerequisites for allocating material componentsWe can allocate material components to all three types of maintenance task lists: general task lists, functional location task lists and equipment task lists.

However, there are different prerequisites for allocating material components for the different types of maintenance task lists

Maintenance PlanningMaintenance plan ensures maintenance and inspection activities to be carried out at maintenance object. Dates and scope of activiites are defined here. By doing this we can ensure that technical objects are maintained on time and thereby function optimally.Maintenance plan is integrated with following components and sub-components of the SAP system:

Plant maintenance application component: Maintenance task lists Maintenance orders Maintenance notifications

Customer service application components: Service orders Service notifications

Material management application component Service procurement Service entry sheets
