Table of Contents and APA Heading Levels

Description:

This article describes how to use the Change Format function in conjunction with the Table of Contentsfunction, to properly format a table of contents that will meet the APA formatting standards.

Resolution:When adding a table of contents to a PERRLA paper, it is important to understand how the table ofcontents is added and what is included.

PERRLA utilizes Microsoft Word’s table of contents functions but with custom settings. In order forcontent to appear in the table of contents the “Outline Level” has to be set for the heading.

The APA defines 5 levels of heading. PERRLA includes the Change Format function to set the headinglevel to meet the APA requirements, and set the outline level for inclusion in the table of contents. At theend of this article is a chart showing examples of the heading levels defined by the APA manual.

Adding headings to your paper is quite straightforward; however there are some formattingconsiderations when using headings with the table of contents. For level 1 and level 2 headings the steps are as follows:

Type the text that you wish to use for the heading on a line by itselfHighlight it with your mouse.Access the PERRLA Change Format function from the PERRLA menu or addins tab.Select either APA Heading 1 or APA Heading 2

PERRLA will automatically set the indent, alignment, and the font setting (bold or italics). PERRLA alsosets the outline level that will be used in the table of contents. For heading levels 3 5 the steps are similar, except the heading is in line with the paragraph and youwill have to select the entire paragraph when setting the heading level.

Because we set the heading level for the entire paragraph, we will need to make adjustments to the textand to the table of contents so that they are correct.

When you first set the heading level, the entire paragraph will be in bold.

We will need to manually adjust the text so that it is correctly formatted.

Highlight the text after the first sentence of the paragraph

In the Font section of the Home tab, click the B icon to turn off bold

With heading level 4, you will need to turn off both boldfaced and italics, and with heading level 5 youwill only have to turn off the italics.

The final step is to adjust the actual table of contents.

As you can see from the screenshot below, the entire paragraph has been included in the table ofcontents.

To correct this, as a last step in editing your paper, highlight the sentences that are not needed, and pressthe delete key on your keyboard.

This will not alter the body of your paper.

This is what the table of contents will looks like after you have deleted the extra sentences.

PERRLA automatically updates the table of contents each time you set an APA heading level. Werecommend that you wait to update the table of contents as a last step before submitting your paper. Here are examples of each of the five levels of APA heading.
