Overview SureClose Advantage 2.9 includes additional Admin features, product enhancements, and defect corrections for the migration of select SureClose Professional users. This document provides a brief explanation of what has been fixed and an introduction to new features implemented with this release.

For more information about any of the new features, refer to SureClose Advantage Online Help and search for the specific topic.

Deployment Date: December 10, 2010

Post-Installation Considerations After the new version has been deployed and prior to your logging in, it is recommended that you complete the following post-installation tasks: • Delete Temporary Internet Files • Delete Cookies

Deleting Temporary Internet Files (MS Article ID: 260897)

The Temporary Internet Files (or cache) folder contains web page content that is stored on your hard disk for quick viewing. This cache permits Internet or MSN® Explorer to download only the content that has changed since you last viewed a web page instead of downloading all the content for the page every time it is displayed.

Administrators can customize Temporary Internet File settings to prevent modifications. Contact your System Administrator if you cannot access the Internet Options dialog box or the General tab.

Steps 1. Close Internet Explorer® and any instances of Windows® Explorer. 2. From the Start menu, point to Control Panel and then select Internet Options. The Internet

Options dialog box displays. 3. On the General tab, locate Temporary Internet Files and then click Delete Files. The Delete

Files dialog box displays. 4. If available, select the Delete All Offline Content check box and then click OK. A confirmation

message displays asking if you are sure you want to complete the delete process. 5. To confirm, click OK.

Note

Be patient when performing this task, if the Temporary Internet Files folder contains a significant amount of web page content, then this process may take several minutes to complete.

Deleting Cookie Files (MS Article ID: 278835)

Files starting with the word Cookie may remain in the Temporary Internet Files folder even after opting to delete them. You can delete these files; however, it is recommended that you make a backup copy of cookies prior to deleting them because these files may contain information for a customized web page or login information for a website that you do not want to lose. If needed, contact your System Administrator for assistance or refer to MS Article ID: 221523.

Steps 1. Close Internet Explorer and any instances of Windows Explorer. 2. From the Start menu, point to Control Panel and then select Internet Options. The Internet

Options dialog box displays. 3. On the General tab, locate Temporary Internet Files and then click Delete Cookies. The Delete

Cookies dialog box displays. A confirmation message displays asking if you are sure you want to complete the delete process.

4. To confirm, click OK.

Features and Functionality This section introduces new features and functionality added to SureClose Advantage 2.9.

New in This Release SureClose Advantage 2.9 • Various improvements have been made to the Calendar tab; including appearance, additional search

criteria and the ability to create and save a custom view. • The first phase of reporting has been added to the Admin menu. You can now generate a Broker

Report titled, File Inventory Report. • For easier identification, both the property file number and address now display in various places

throughout the system where search results display. • Improvements have been made to the party detail section of the File Summary page. Now, if a party

has more than one telephone number or email address, the first two unique items display in party details.

• If preferred, the system can now be set to automatically generate file numbers for files manually created in SureClose Advantage or created using the Convert File option.

• Improvements have been made to support quicker load times when viewing PDF documents. • A new Annotate option has been added to the menu on the Documents page. • Documents being submitted for eRecording now maintain their order during the submission process. • Default settings have been implemented to ensure adding a company as a party to a file includes a

file security profile of No Access. • Enhancements to Web Service functions have been implemented to improve integrations between

AIM+® and SureClose Advantage. • Several defects were also corrected in this release. For more information, refer to Defects.

SureClose Advantage Release 2.9

Using Calendar Views In this release, several improvements have been made to the Calendar. First, you will notice the appearance of the Calendar tab has changed. Selecting the Calendar tab from the navigation pane, now displays a Manage Views link and View selection list.

Clicking the Manage View link displays additional options, including new search criteria used to locate a task by name or role. When specifying a task name, only those tasks that contain the same sequence of characters, along with any other selected criteria, will be selected.

Creating Custom Views

Search results can be previewed or saved to create a custom view. Click View to preview search results, or Save to save search results as a Custom View.

A new View, selection list has also been added. To create a custom view, click the drop-down to display the <Add New View> option. Use this option to select the filter criteria you want to use, then name and save your custom view.

For more information about creating custom views, refer to the topic, Creating Custom Views in SureClose Advantage Help.

Once saved, it is added to the View selection list and persists as the default setting to display Calendar information the next time you log in or return to the Calendar tab. If needed, you can make changes to your saved custom views by clicking the Manage Views link discussed earlier in this section.

Generating Admin Reports The first phase of reporting has been added. Additional reports are planned for a future release. You can access the new reporting feature from the Admin menu. Selecting the Admin tab now displays a Reports sub-tab and Broker Reports category. The first report added is the File Inventory Report.

Clicking the File Inventory Report link displays the report.

If needed, you can also export the report data in a variety of formats using the Export feature.

Viewing Search Results Search results now include both the property file number and address for easier identification. This applies to search results displayed as a result of performing one of the following functions:

• Splitting or Transferring from the Documents Page • Splitting or Transferring from the Messages Tab

Selecting the file, displays the file in the File Search header. Notice the header has also been updated to include both the property file number and address.

Displaying Multiple Phone Numbers/Email Addresses Improvements have been made to the party detail section of the File Summary page. Now, if a party has more than one telephone number or email address, the first two unique items display in party details.

Phone Numbers If a party has more than two unique phone numbers, the display includes the first two numbers it locates based on Office, Home or Cell.

Email Addresses If a party has more than two unique email addresses, the display includes the first two addresses it locates based on Email, Email 2 or mysureclose.com.

Navigating Linked Documents Improvements have been added to support viewing linked documents. Some documents may contain links to other associated documents. In this case, two new buttons, Back and Close have been added to the linked document to make it easier to return to the original document. For more information about using these buttons, refer to the topic, Viewing PDF Documents in SureClose Advantage Help.

For example, with the document open, click the linked document.

The linked document displays in a separate window.

You have two options:

• Click Back to return to the original document • Click Close to return to the Documents page

Auto-Generating File Numbers A new, Auto Generate File Numbers option has been added to the Admin menu to select whether you want the system to automatically generate file numbers. File numbers can be automatically generated for files created manually in SureClose Advantage or by using the Convert File option. Additionally, you can customize the file number by adding a prefix or suffix to the file number. For more information about auto-generating file numbers, refer to the topic, Auto-Generating File Numbers in SureClose Advantage Help.

Note

This option does not apply to files imported using Web Services or any other file integrator, such as AIM+, files created using the SureClose Print Driver or SureClose Professional.

Viewing PDF Documents Improvements have been made to support quicker load times when viewing PDF documents. Prior to this release, all PDF documents were displayed using a Java Viewer, regardless if any annotations existed. In this release, PDF documents without annotations, display using an Adobe Viewer that requires less time to load.

Annotating and Viewing Documents A new Annotate option has been added to the menu on the Documents page. Select this option to annotate a PDF or TIFF document. Selecting a different document type disables the option in the menu.

Once annotations are saved, a new Annotations icon displays next to the placeholder on the Documents page to indicate annotations exist on the attached document. Click the icon to display the annotated document.

The annotated document displays. Use the tools within the document viewer to work with the document.

Submitting Documents for eRecording When submitting documents for eRecording, the system now maintains the order of documents in the Available Documents window. You can now single-click a document to move it to the Selected Documents window and still maintain the document order when submitted.

If the multi-select feature is used to select a group of documents, then the documents will be submitted in the order in which they appear in the list.

Defaulting a Company’s File Security Profile to No Access Modifications have been made so that when adding a company as a party to a file, the company’s file security profile now defaults to No Access. If the user changes their file security profile to any other level of access, then a warning displays alerting them that any contact associated with the company will now have access to the files.

 

Web Services In a continual effort to improve integrations between AIM+ and SureClose Advantage, the following modifications have been made to the SureClose Web Services.

• If AIM+ parties are linked to SureClose contacts, those parties are automatically added to the file.

• If AIM+ sends a file to SureClose with parties that are not linked to SureClose contacts, then those parties display in the Parties to Import section of that file when the file is sent.

• Parties will not be duplicated on the file or in the Parties to Import section of the file.

• Corporate notification settings and defaults will be overridden by the contact settings.

• Companies will not be sent to SureClose. Rather, companies must be manually added as a party on a file.

• Companies added as a party on a file are, by default, granted No Access permissions.

Defects The following defects were corrected in SureClose Advantage 2.9.

• A system error occurred when Document Distribute was written to the History Log (Activity Log) and the message included invalid characters. This has been corrected.

• The right side of File Summary page was being cut off and the Show/Hide links could not be seen when a party had a long phone number and/or email address. This has been corrected.

• The Property Address field was not restricting the number of characters allowed; therefore, when the field length was exceeded, the display was pushed off of the page. This has been corrected.

• When sending the Transaction Summary Report to multiple recipients, the Sender’s photo was not always displaying. This has been corrected.

• When popping up a document, the pop-up was automatically closing when the main document was closed instead of remaining open. This has been corrected.

• A system error was occurring when copying a task with a subject greater than 75 characters during the re-template process. This only occurred when an identical task and folder already existed on the file. This has been corrected.
