Student Accommodation Services would like to welcome you to your new home atBrackenhurst. We’re here to ensure that you have an enjoyable and safe experience livingin Nottingham Trent University-owned accommodation.

This booklet contains essential information about your new home which will make yourstay more pleasant. In conjunction with your Licence Agreement and Student Code ofBehaviour, it provides you with all the information that we think you might need on yourarrival and during your stay. Guide to youraccommodationAll enquiries such as maintenance, cleaningrequirements and general health and safetyissues can be dealt with by the residencemanager during normal office hours (generally8.30 am until 5 pm). Outside of these hoursrequests should be directed to the duty security officer.

All residences are offered on a self-cateringbasis. Catering services are available in theDining Room from 8.30 am until 2.30 pm duringterm-time.

Room contents

Each study bedroom is provided with:

• bed • mattress• bedside unit• bedside lamp• workstation (en suite accommodation only)• desk• chair• bookshelf• wardrobe• wardrobe mirror (en suite accommodationonly)

• pin board• electrical sockets• internet connection socket• TV socket• blinds or curtains• carpet• waste bin• main room light• wash hand basin plus mirror (sharedaccommodation only)

• en suite shower pod with shower, toilet andwashbasin

You will need to bring items such as bed linen,towels, crockery and cutlery with you, as theseare not provided.

Should you require bed linen, please speak withthe residence manager.

Payment of fees

Your accommodation fees are payable on thedue dates as stipulated in your ResidenceLicence Agreement. Any queries relating to feesshould be directed to Fin Finance Income &Debt Management on+44(0)115 848 6500 or by email atFinFinanceIncome&[email protected]

If you wish to change room

Please contact the residence team in the firstinstance for details of availability. Please notethat we cannot guarantee that we will be able toaccommodate your request. A charge of £30per person will be payable if a move is granted.Room changes are not normally permittedduring the first four weeks of the academic year.

Inventory

On arrival, you will be provided with an inventorydetailing the items provided for use in yourroom. You should check the inventory on arrivaland report any damage or defects to theresidence manager or main reception within 24hours. If you don’t do this we will assume thateverything is in good order and that thecontents are complete and undamaged. It isimportant to check the inventory fully as a finalinspection will be carried out when or after youmove out and the inventory will be used tocheck for any lost or damaged items.

Losses, breakages and damages

Costs relating to any losses, breakages,accidental damage or extra cleaning requiredwithin flats, rooms or blocks considered by theresidence management to be beyond normalwear and tear will be charged to your deposit.

If the damage exceeds 50% of your deposit,

we will write to you asking you to make thepayment in full. Details of charges are provided atthe end of this booklet.

When moving out of the residence, you will becharged the full cost for repairing or cleaning anyfixtures and fittings damaged or left dirty withinyour room during your residency. Withincommunal areas, any damage to fixtures andfittings, or missing items will be charged to alloccupants of the flat. Where damage cannot beapportioned to a particular individual or group, allresidents of the hall will be charged.

Please take care not to lose your keys.Replacements are available from the StudentAccommodation Office but you will be expected topay an additional charge of £40 if you are issuedwith a replacement (see page 16).

In some cases of lost keys, it may be necessary tochange your lock. These orders can only be placedduring office hours. Please ensure that you keepyour keys with you at all times. If you are lockedout of your room, please contact the securityteam.

Utilities

Utility costs (heating, electricity and water) areincluded within your accommodation fees. It isimportant to report any problems to the Residenceteam as soon as possible or out of hours tosecurity. As a general rule the heating is turned offfrom 12 midnight until 6 am.

Cleaning and hygiene

It is in everyone’s interest to maintain a safe and hygienic environment. It is the responsibilityof all residents to ensure the cleanliness of theirbedrooms and to keep them in an acceptablestate at all times. Any additional cleaningrequired could result in charges being made.Room inspections will be carried out during the Christmas and Easter vacation periods.Notification will be posted on kitchennoticeboards. Room inspection failures may result in disciplinary action under theresidence contract.

Kitchen and communal area cleaning

A limited cleaning service is provided byUniversity staff on a weekly basis. Cleaning staffneed access to clean, so please ensure that sinksare clear of dishes and that the lounge carpet isclear of personal belongings. Flat cleaning daysare posted on kitchen noticeboards. Spare binbags can be found in each kitchen.

Residence staff make regular inspections. Failureto keep your kitchen in an acceptable conditionmay result in the flat residents being given awarning.

Failure to adhere to this warning notificationcould result in you being charged up to £60 forthe University team to clean the kitchen /common area. Dirty dishes left lying aroundcould be removed.

Laundry

The Brackenhurst Campus has two newlyrenovated laundry rooms. The card operatedmachines will feature services such as onlineavailability checking and remote card top-up.These facilities are maintained by one of thelargest providers of student laundry rooms inthe UK. The cost for a regular wash is £2.20 anda 50 minute tumble dry cycle is £1.00. Faultscan be reported directly to Wash Station, fulldetails are provided on notices located in thelaundry rooms. Each laundry room comesequipped with an iron, ironing board, mop,bucket and sweeping brush. Residents are notpermitted to dry their laundry in any of thecommunal areas of their residence.

Recycling / waste disposal

At NTU we try to recycle as much as we can.Most working days the cleaning team willremove both your recycling and general wastefrom the kitchen – it is the role of residentstudents to do this task at weekends and public holidays.

You are also responsible for removing rubbishfrom your own room and again recycling asmuch as you can.

Details of what you can and cannot recyclecan be found on kitchen notice boards.

It is the students’ responsibility to take the glass(bottles, jars etc.) to the recycling bins.

Broken glass should be wrapped well and thentaken to the glass recycling bin. A glass bin isprovided in your kitchen.

Condoms should be wrapped in several sheets oftissue paper and placed in the bin. Please donot flush condoms down the toilet, as theycause problems with the plumbing.

Razor blades should be returned to their safetypackaging wherever possible before beingplaced in the bin. If this cannot be done, please wrap them in several layers of tissue orother paper.

Sanitary towels and tampons should not be flushed down the toilet.

Litter bins

There are ample litter bins around campusincluding accommodation, please do not litterthe lawns / grounds – use bins provided.

Television licences

If you are bringing your own personal TV, youmust ensure that it is licensed. Licences can bepurchased online at www.tvlicensing.co.uk

Council Tax

Full-time students are exempt from payingCouncil Tax. Forms are available on the Current Students websitewww.ntu.ac.uk/currentstudents

Drugs

The possession of illegal substances is strictlyforbidden within the halls of residence. Anyprescription drugs should be stored securely andout of the reach of other residents.

Noise

Please remember that you share your residencewith others and that other people live nearby.We ask you to be considerate towards otherresidents and the local community at all times.

Wherever possible, please keep the volume onaudio-visual equipment at an acceptable leveland close doors quietly. When returning to yourhall, please keep noise to a minimum. If you aredisturbed on a regular basis and cannot resolvethe situation yourself, please report the issue inthe first instance to the residence manager, orthe duty security officer outside office hours.

Noticeboards

There are noticeboards in all flat kitchens andlaundry rooms. Notices or posteradvertisements should be authorised beforebeing displayed in these areas. Each bedroomhas a noticeboard for your personal use. It isnot advisable to use Blu-Tack on thenoticeboards as it leaves marks and you couldget charged. Please use pins when required.

Boot washing

Outdoor taps for boot washing are sited outsideeach laundry room.

Pets

No pets of any kind are permitted within halls ofresidence (except for guide dogs). This includesfish, terrapins, hamsters, etc.

Barbecues

Student Accommodation Services provide anofficial barbecue site. This is the only place inwhich barbecues are permitted on the campus.Please check with the duty security officerbefore using the barbecue site.

Ball games

You are advised not to play any form of ballgame near to the accommodation. Please donot use the cricket pitch during the playingseason (April – October).

Fireworks

Fireworks are not permitted anytime, anywhereon campus. Please remember that we haveanimals on the campus.

Parking

You must obtain a parking permit from theresidence manager. Residents should park theircars in the Glasshouse Complex car park.Residence parking is not allowed in the MainHall area, Bramley car park, Brackenhurst Lane or Hicking Lane. Access to accommodation byroad will only be granted for packing andunpacking vehicles. Your vehicle must then be taken to the permitted car park. Cars parkedon University property are parked at the owner’srisk. Your visitor may park in the Bramley carpark after 5 pm. Overnight guests may park inthe Glasshouse Complex car park.

Light bulbs

The University’s maintenance team replaces alllight bulbs. If the light bulb in your room orcommunal area needs replacing, pleasecomplete a Maintenance Request form on theAccommodation website atwww.ntu.ac.uk/accommodation

Shower heads

Shower heads are cleaned on a regular basis by an external contractor – generally duringvacation times. Notification of their visit isposted on all kitchen noticeboards. This work is necessary to comply with health and safety legislation.

Maintenance

If you have a maintenance problem with eitheryour room or communal areas, please completea maintenance request form on theAccommodation website atwww.ntu.ac.uk/accommodation

A member of the maintenance team will thenvisit your flat or room to carry out the repair. Ifa contractor is required you will be informed,generally by email.

If you have an emergency maintenance situation, thenplease contact a member of staff immediately. Theneed for repairs usually results from normal wear andtear but any other deliberate, careless or accidentaldamage will be charged to those responsible (or to allresidents if it is not possible to identify those who areresponsible). Please ask for ID before allowing anytrades people to enter the premises.

Be aware repair forms are not responded to out of officehours. Emergencies should be reported to security+44(0)115 848 5262 or +44(0)7786 112 005.

Room access

Access to another resident’s room will not be grantedunder any circumstances.

Welfare and safetyWe take your welfare and security while stayingin University accommodation seriously, and thefollowing information should help to ensure thatyour time with us is safe and enjoyable.

Please do not attach posters or other material tothe ceiling, light fittings, smoke alarms or windows.

Weapons / firearms of any description (includingreplicas) are not allowed on University property.

Personal contents insurance

As part of your accommodation agreement, youhave a basic content insurance package,provided by Endsleigh:

Security

Brackenhurst campus has 24-7 security, basedin Pippin Cottage. Outside office hours pleasecontact the duty security officer on+44(0)7786 112 005. Please ensure yourbedroom window and door are closed andsecured when leaving the room or flat.

Emergency services – ambulance

On occasions you may need to call 999 for theambulance service. Once you have made thiscall – could you please alert security. Securitycan not only assist the ambulance to the correctflat but may also be in a position to furnish theparamedic with useful info.

Wardens Service and residents assistants

If you live in university accommodation, wehave residence assistants who are on-hand tohelp.

Residence assistants are slighter older students,who are in hall to offer friendly advice andsupport, or to give you information about otherservices the University can provide. They will work closely with the ResidenceManagement Team, and the Warden Service, to ensure your accommodation experience is apositive and enjoyable time. The campus alsohas a Wardens Service Team who, in addition totheir main duties with the University, undertakethe role of wardens in respect of residentstudents. The warden role has two mainelements – pastoral care (focusing on studentwelfare) and enforcement of the student codeof behaviour. The wardens provide basicsupport and advice for students who areencountering personal difficulties and can act as a referral point for more specialist supportservices within the University. Should you need to speak with a member of the WardenService Team, please contact security and ask forthe duty warden.

No-smoking policy

Smoking is not permitted within any area of theresidence. Should you wish to smoke, you maydo so outside of the residence, near to theashtrays. You must extinguish your cigarette inthe bins provided. Ashtrays should not bemoved, as they are placed to ensure smoke doesnot travel into student rooms. Please do notthrow cigarette ends on the floor.

Fire safety

Ensure that you know:

• the details of the fire orders (posted in eachstudy bedroom);

• the location of fire alarm call points;• the location of fire extinguishers; and• the location of the fire assembly point.

Fire orders

If you discover a fire:

• smash glass in nearest fire alarm;• notify the Fire Department (dial 999);• go to the fire assembly point – identified onthe fire orders in your room; and

• contact security.

On hearing fire alarm sirens:

• get out of the building immediately;• assemble at the assembly point;• do not re-enter the building;• do not disperse; and• keeps roads and entrances clear foremergency vehicles.

Discovering a fire

Alarms are linked to the Brackenhurst security.Officers will investigate, and call 999. Theemergency services will need a precise location,and will need to be met by NTU security officers.

Assembly

Always assemble at the designated point anddo not disperse. The fire assembly point for theen suite residences is the wall by the WalledGarden (the Walled Garden cul-de-sac). Forshared accommodation, please assemble on thelawn in front of the Main Hall. The FireDepartment, on their arrival, will want to know ifall persons are accounted for. You areresponsible for any of your guests that are onthe premises.

Silencing the alarm is not the signal for ageneral re-entry into the building. Re-entry mayonly be authorised by the Fire Officer or a seniormember of staff present.

Fire alarm system

Each residence has a fire alarm system installed.This is activated by heat or smoke detectors orby breaking the glass at a manual call point.The fire alarm will sound throughout thebuilding. Please note: the fire alarm system isextremely sensitive.

Fire alarms are tested weekly on the same dayat approximately the same time to avoidconfusion (generally Wednesday afternoonsaround 2 pm).

For the weekly tests, the alarms are sounded forless than ten seconds. Evacuation shouldcommence if the alarm continues to ring.

Fire doors

The buildings are protected by fire doors andsmoke doors. They are installed to reduce thespread of fire and smoke. They must not bewedged or propped open. They should never beblocked or obstructed, but kept clear at all times,and never locked while the building is occupied.

Any fire door found propped open or with thedoor closure removed will result in a chargebeing raised against either an individual or theentire flat. Fire exit doors should not be used asa convenient exit door.

Fire-fighting equipment

Suitable fire-fighting equipment is locatedthroughout the halls of residence.

If any fire-fighting equipment is used, theresidence manager or the duty security officermust be informed as soon as possible so thatthe appliance can be replaced immediately. Donot put used or partly used extinguishers backon the wall.

Fire extinguishers are checked on a regular basis.If an extinguisher is found empty throughmisuse, all residents in the flat will be chargedfor the replacement. The current charge for areplacement extinguisher is approx £75.

Tampering with fire-fightingequipment

Tampering with the fire-fighting equipment orthe alarm system is potentially a criminaloffence and the University will deal with it assuch. These actions could jeopardise the life ofyourself or your friends. Students will becharged for any damage they cause and may be expelled from residence.

Fire prevention

Materials, including coats, must not be stored orleft in corridors, outside rooms, under staircasesor anywhere where they might impede themeans of escape.

Bicycles must not be brought into the halls of residence.

There will be a fire evacuation practice duringyour year in halls. You must take it seriously – it is for your own safety.

Candles

Any type of candle, joss stick or incandescentburner is strictly forbidden, as they pose aserious hazard. Any such item found inresidences will be removed. Any fire alarmactivation caused by the use of candles istreated extremely seriously.

What not to bring

In the interests of health and safety, you are not permitted to bring any of the followingitems into a hall of residence:

• any type of heating appliance;• any heavy-duty electrical appliance;• fridges, freezers or any other domestic appliances;

• deep-fat fryers;• offensive weapons (including dummyweapons or weapons used in re-enactments);

• barbecues and gas stoves;• gas appliances;• dartboards;• sofas and armchairs; and• other items described in this booklet.

The above list is not meant to be exhaustive and the residence manager can reject the use ofany item which is deemed not to be in theinterests of the welfare of other residents in your hall.

Please note that all gas appliances are strictly forbidden.

Doctor

We strongly recommend that you register with Southwell Medical Centre as a temporarypatient while you are studying here atBrackenhurst. Contact details are provided at the back of this booklet. Medical Centredetails are issued to all freshers within theirwelcome packs.

First aid

Basic first aid treatment is available and can beobtained from the duty security officer.Reception hold a full list of first aid trained staff.

Police

Information about your local police station orcommunity officer can be obtained from theSecurity Office.

Window restrictors

In the interests of health and safety, windowrestrictors within each residence must not beadjusted or tampered with. Any tampering willresult in a repair charge being levied and thematter being referred to the warden service.

With downstairs windows, in case of emergencyonly, the restrictors will detach if the window ispushed fiercely.

En suite accommodation has an air vent at thetop of the window which can be adjusted.

Window restrictors found removed will be subjectto £24 charge.

Absences

If you plan to be away overnight or for longerperiods of time, whether on University field tripsor for personal reasons, you must sign out. [email protected] andput sign out in the subject header. Your email willalso automatically be forwarded to security.

Not only is this important for fire regulations,but if there is a problem while you are away, youwill not be held responsible for any damagewhich may occur if you have signed out.

Personal safety

If you’re going out, the message is:

Have a good night but get home safe.

• Arrange transport home in advance. Use onlySU preferred companies.

• Avoid going to a pub, club or party alone.• Don’t become isolated from your friends.• Never leave your drink unattended.• Never accept a drink from someone you don’tknow or trust.

• If you begin to feel drunk, dizzy ordisorientated seek help from a trusted friendor a member of the pub / club staff.

• Never walk home alone.• Carry a personal attack alarm – informationon purchasing this item is available from yourlocal Crime Prevention Officer.

• If someone threatens you, shout and screamfor help.

• If you are attacked, report it to the policeimmediately. Specialist units are available todeal with sexual offences in a sensitive andconfidential manner.

Safety in self-catering areas

Brackenhurst halls offer self-catering facilities –care must be taken to prevent personal injury orfire. The following advice should be observed:

• Never leave cooking unattended – you maybe away longer than you thought.

• Always switch the cooker off after use.

• Never store combustible materials such asboxes on or near the cooker.

• Keep the area clean and tidy. Clean up all spillages immediately, including those on cookers.

Electrical safety

Students are held personally responsible forensuring that their electrical equipment iscorrectly installed, fused and subsequentlymaintained in a safe condition. It is advisedthat they are PAT tested by your local electrician.No electric blankets or electric duvets arepermitted without a current safety testcertificate.

Residents should register their personal electricalitems by completing and returning yourElectrical form within the first week of term.

The following further advice is given:

• If any University equipment fails to operate,report it immediately to the residencemanager. On no account attempt to repair ityourself.

• For personal equipment, the wiring and fusingof plugs must be undertaken with great care.If in doubt, ask! Ensure that the correct fuse isused.

• Replacing a fuse without remedying the faultthat caused it to blow in the first place cancause personal injury or fire.

• Check that appliances are appropriatelyearthed, as indicated by the manufacturer,and inspect flexible cables and theirconnections frequently to ensure that thewires are not loose, broken or damaged.

• Sockets must not be overloaded. Only fusedmulti-outlet adapters are acceptable. Do notplug an adapter into an adapter.

Irrespective of the above, the Residence Team oruniversity electrician can prohibit the use of anypiece of electrical equipment which is deemedto be unsafe or not in the interests of thewelfare of other residents in your hall.

CorrespondenceMail

All Brackenhurst mail, including mail for residentstudents, is delivered to the main receptiongenerally around lunchtime. You can collect itfrom reception between 9 am and 4.30 pm –you will need your student ID card. We cannotaccept responsibility for mail or parcels whichyou do not receive.

If you are arranging delivery of electricalequipment, mobile phones or food items youneed to arrange a suitable date and time withthe couriers to ensure that you are in the flat atthe time of the delivery.

Please note that Brackenhurst campus does not receive mail on weekends, bank holidays or University closure days.

Change of contact details

If your home address and / or emergencycontact details change, please go online atwww.ntu.ac.uk/currentstudents to amendyour personal details and inform the ResidenceManager in writing immediately so that theycan update your file.

Confidentiality

No information will be provided about residentsto outside parties – with the exception ofNottingham Trent University, the police,immigration or other legitimate authorities –without your consent.

Guest policy

Overnight stays

Overnight guests are permitted, but only on theterms specified in the formal guest policy(issued to residents on arrival). Guests stayingovernight must be registered with Security.Casual visitors, who are not properly authorisedto stay overnight, must have left the residenceby midnight.

The University has the right to refuse anyvisitors who it deems to be unacceptable.

Students are responsible for their guests’behaviour on campus.

Parties

In the interests of fellow residents, no parties formore than ten people are to be held in theaccommodation without prior consultation andagreement with the residence manager andyour neighbours. Residents wishing to hold aparty/event, must speak to the residencemanager and wardens.

Under 18s

Resident students aged 18 (usually on F.E.courses) are subject to specific safety andwelfare policies. Details are available directlyfrom the residence manager.

Moving outThe period of occupancy ends on the datespecified on your Licence Agreement and allresidents must vacate their accommodation by10 am on this day. Each room must be cleanedand left as it was found on the day you arrived.

All en suite shower rooms must be thoroughlycleaned on departure.

Any keys must be placed in an envelope clearlymarked with your name and room number andhanded in personally to the residence managerduring office hours or the duty security officeroutside these hours.

To receive your deposit refund with theminimum of delay please complete the depositreturn form and ensure that your room meetsthe following standards:

• all personal belongings removed;

• all waste from bedrooms and kitchensremoved and placed directly in the bin store area;

• desks, drawers and wardrobes emptied and allpersonal belongings removed;

• bedroom carpet vacuum-cleaned;

• posters, pins, white-Tack, etc. removed fromwalls without damaging paintwork, andnoticeboards cleared of all paper and pins;and

• all furniture, window ledges, sink units andfixtures cleaned.

You will be charged the full cost for repairing orcleaning any fixtures and fittings damaged orleft dirty within your room during your residency.Within communal areas, any damage to fixturesand fittings, or missing items will be charged toall occupants of the flat. Where damage cannotbe apportioned to a particular individual orgroup, all residents of the hall will be charged.

If you should wish to extend your period of staybeyond the end of your Licence Agreementplease enquire with the Residence Manager.

If you would like to stay in halls for the followingacademic year, look out for details by email in November.

Terminating your Licence Agreement

Should you decide to leave residences before theend of the contractual period – you must speakwith the residence manager whom will issue aletter of termination. Unless a current universitynon-resident wishes to take over your contract –you may find that you are liable for yourresidence fees until the end of the contractualperiod.

Deposit return

All students should have their deposits returnedto them by bank transfer after the ResidenceAgreement period end date once their roomcheck has been satisfactorily completed androom keys have been returned.

Give it don’t bin it

Each summer, NTU works in partnership with theBritish Heart Foundation to help you do somegood when you move out. You can donateunwanted items of clothing, shoes, books, CDs,and much more in BHF donation banks locatedin most Halls. Donation bags will be availablefrom Halls receptions and the SU from May.Over the past few years NTU students havehelped to raise over £100,000 for the BritishHeart Foundation by giving away unwanteditems. Complaints procedureAll of our standards are designed to meet theexpectations of our customers. If you aredissatisfied with any part of our service, it isimportant that you let us know. By workingthrough any problems we can make sure that wegive you the best service possible.

What to do if you have a complaint

Contact the residence manager via mainreception. You will be asked to put yourcomplaint in writing, because it can help us tobetter understand your concerns. If we areunable to resolve your complaint straight away,we will look into it in more detail.

In any event, Student Accommodation Serviceswill respond to you within five working days. We will try to provide a full reply, but if this is not possible, an acknowledgement will be sentto you.

Within ten working days, the residence managerwill have investigated your complaint and sent awritten response. Hopefully, we will haveresolved the situation but, if you are stillunhappy at this stage, you can contact theHead of Student Accommodation at StudentAccommodation Services. You can find theircontact details at the back of this booklet.

NTU and theEnvironmentAt NTU we are committed to reducing ourimpact on the environment. The EnvironmentTeam are working hard to reduce NTU’s carbonfootprint and minimise our waste. However wecan’t do this without you!

Here are some bright ideas that really will makea difference, helping to keep NTU in the top fivemost environmentally friendly Universities in thecountry as well as helping you to save money.

• Ensure electrical items such as phone andlaptop chargers are switched off at the socketwhen not in use. They all use energy, even ifthey’re not connected to the item charging.

• Avoid putting hot food back into the fridge.Wait for it to cool down first.

• Switch to Fairtrade items such as tea, coffeeand chocolate. These are available in all ofNTU’s cafés as well as supermarkets and local shops.

• Donate unwated clothing, shoes, books andelectrical items in our British Heart Foundationbanks at the end of the year.

• Use Nottingham’s fantastic public transportnetwork including buses and trams to getaround rather than jumping in your car.Alternatively why not walk or cycle toUniversity? You can save money whilst keepingfit and healthy, it’s a win-win situation! Ucycle,NTU’s bike hire scheme, lets you hire a bike forup to a year. For more information seewww.ntu.ac.uk/ucycle
