Committees are essential to the ongoing vitality of Penn’s engagement effort. Last year, 1,388 reunion alumni and 23 current Seniors for the Penn Fund, volunteered to promote giving back and reconnecting with Penn.

298 gift committee volunteers helped Penn raise over $27.5 million from 8,278 classmates last year through The Penn Fund that directly support the undergraduate experience.

536 outreach volunteers helped Penn reach record attendance during Alumni Weekend 2016.

Nearly 38 pre-reunion events were hosted across the country during last year’s reunion cycle. Face-to-face meetings, personal outreach, and regional phonathons also ensured that classmates were personally invited back to reunion.

Share the Come back & Give Back message with your classmates! Alumni Weekend is a success because of volunteer outreach! 2016 was the first year to have over 6,000 attendees (alumni and guests) at the undergraduate level. This was the strongest undergraduate reunion attendance in Penn’s history (up 10% over 2015). We set reunion attendance records for the 5th, 10th, 25th and 30th reunions. We expect that 2017 reunions will continue this trend.

• Penn’s commitment to a grant-based financial aid program and need-blind admission means that every domestic Penn student is accepted without regard to that student’s ability to pay the costs of attending. This is possible because of the generous support of alumni through Endowed Scholarships and the flexible dollars raised through The Penn Fund.

• The Penn Fund supports the undergraduate experience with immediate-use funds to ensure the highest priority initiatives are met – primarily financial aid. Other key areas include student and academic life, residential life, and special initiatives and technology. Think of The Penn Fund as the source for all experiences at Penn.

• The Penn Alumni Interview Program (PAIP) is dedicated to offering an interview to every undergraduate Penn applicant. Through this program, Penn alumni serve as ambassadors to help to make their Alma Mater more accessible to all prospective students, while providing Admissions Officers with information they typically wouldn’t see on an application. • Penn Alumni Regional Clubs is a network of over 120 alumni clubs around the world which provide year-round programming and alumni engagement opportunities. In FY15, over 70 alumni regional clubs host a Penn speaker, 25 clubs welcomed new alumni to their cities with First September social events, and 25 clubs celebrated Ben Franklin’s birthday. Class Award of Merit was established to honor an “outstanding class.” While the reunion is a major factor - other elements will be considered, including: Class events beyond reunions, participation in class giving over time, community service, and maintaining communications with classmates.

David N. Tyre Award for Class Communications was established to recognize outstanding communication with the class. Considerations include creativity, content, frequency of communications and keeping class information current.

Above awards are selected by the ACLC and presented at the Alumni Award of Merit Gala held Homecoming Weekend. For more information visit: www.alumni.upenn.edu/aclc.

Class of 1917 Award was established in 1967 to honor the class with the most successful reunion fundraising year. This award is presented at PRLC and proceeds from the endowment will be given to the Class Gift. The winner is selected by The Penn Fund each year after reunion weekend.

Class Elections are held in July for the 5th to 40th reunion classes. This is a perfect time to nominate classmates to leadership positions. Positions include President, Executive Vice President, or Administrative Vice President, leadership installed at Homecoming.

REUNION VOLUNTEER TOOLSUtilize the tools covered in this section to connect with classmates and Penn!

Along with the tools provided by the University, there are two Advisory Boards available to help classes.

The Alumni Class Leadership Council (ACLC) is the advisory board for alumni classes, comprised of volunteer alumni leaders representing classes spanning nine decades. The ACLC Board works closely with Alumni Relations to provide volunteers with tools and best practices to engage classmates. ACLC mentors are available as consultants throughout the reunion planning process (www.alumni.upenn.edu/aclc).

The Penn Fund Executive Board (PFEB) is the leadership volunteer board for The Penn Fund. This group helps to inform the marketing messages, champion Penn Fund solicitations, and identify new initiatives to ensure the ongoing success of The Penn Fund each year.

Penn Volunteer Toolkit: Search for the Penn Volunteer Toolkit in your App Store. The Penn Volunteer Toolkit is a smartphone app available via iTunes or Google Play that links you to everything you need to volunteer – including a calendar, links to resources including MVP and QuakerNet, your class webpage, and your Penn contacts. You can also access on your computer at www.alumni.upenn.edu/toolkit

Why use the Penn Volunteer Toolkit:• One stop shopping for all the tools.• Alphabetical listing of resources for easy searching.• Contains Penn Alumni calendar of events.• Easy access to staff contacts.• Find campus maps and parking information.• Best place to locate all PRLC information after the conference.

Mobile Volunteer Portal (MVP): MVP is the online tool used to search for classmate contact information, record outreach and solicitation efforts, and update classmate contact information.

To access the Mobile Volunteer Portal (MVP) you will first need to obtain a PennKey username and password. Once created, you can sign in to MVP at www.mvp.upenn.edu.

Some things you can do with MVP• Find classmates by demographics (like city) and major• Find classmates by affinity like sports team, greek affiliation, cultural and religious group, etc.• View and update contact information for your selected classmates• View and update your own information• Use template emails and customize as you’d like• Send an email to one person• Send the same email to 100 people• Keep track of your contacts• On the Gift portal, see the last time your classmate made a gift and their giving history, know when your solicitations turn into gifts

Reunion Volunteer Tools

www.myquakernet.com QuakerNet is a secure

database that is exclusive to Penn alumni. You will need a PennKey username and

password to access QuakerNet. It is the quickest and easiest way to update your contact

information. Utilize the search functionality to find classmates in your region, affinity group, or

profession.

access many of the University’s electronic services including AirPennNet (Penn’s wireless

internet), MVP, and QuakerNet. For more information visit

“The real key to a successful reunion is that outreach MUST begin before the previous Homecoming! MUST MUST MUST. Do not wait until the New Year to start outreach if you want high reunion attendance. I would recommend a pre-reunion party or happy hour in the fall before your reunion to get people motivated. Other than our 20th, my class has broken the attendance record every reunion since our 10th [which is usually then broken the following year by Class of ‘90]. We are one of the smallest modern classes [<2400 people] with 100 to 200 less classmates than everyone else, which makes it a true feat to continually break records.”

All volunteers are encouraged to attend Alumni Weekend, connect with classmates, support your class with a gift to The Penn Fund, and encourage fellow classmates to do the same.

Which reunion committee is right for you? Outreach/Planning or Gift Committee?

Most successful reunions involve two committees (Outreach & Planning Committee and Gift Committee) working collaboratively, but focused on their distinct goals. A key characteristic of volunteers on both committees is a love for Penn!

Gift Committee RoleGift Committee Volunteer Role:• Goal is to encourage classmates to give back to Penn with an unrestricted gift and/or scholarship support (help your classmates demonstrate Penn and Class pride through your class gift).• Help plan or host pre-reunion events with a focus on Penn’s impact.• Lead the way – make a personally meaningful gift through the Class Reunion Fund. We expect that all volunteers will make a gift through the Class Reunion Fund, and that you will consider making a multi-year commitment at a leadership level that is right for you.• Articulate your passion for why giving back to The Penn Fund matters to you, and encourage classmates to support current and future generations of Penn students.• Work on your own schedule to connect with classmates and share results using our online volunteer tool, the Mobile Volunteer Portal (MVP).

The Gift Chair(s) serve as the champion for their class giving committee. In partnership with their Class Giving Director, the

chair recruits volunteers, solicits classmates for leadership gifts, initiates classmate solicitation

strategies, mobilizes pre-reunion event hosts, and chairs meetings.

ChairServes as the champion for

leadership annual giving solicitations and multi-year

commitments. The BFS Chair will facilitate the solicitations of a few

classmates at the Benjamin Franklin Society level and above.

Identifies and solicits a few classmates to create or enhance gifts of Endowed Scholarships.

_______________________Member

Most committee members will serve in this role, sharing the message

of “coming back and giving back” with their classmates at whatever

level is most comfortable. Members will attend committee meetings and

conference calls, attend and possibly host pre-reunion gatherings, be a

champion for the class gift during this reunion year.

_______________________Participation Chair

Leads the initiative of class participation gifts. This Chair will

facilitate the solicitations at all levels of many classmates utilizing tools such as the Mobile Volunteer Portal, social media, phone calls or

mass emails.

These work sessions are an opportunity for your committee to gather and have fun while getting important volunteer work accomplished.

Venues can include a volunteer’s home or business, Sweeten Alumni House on Penn’s campus, or anywhere that works for your group.

Here are some of the benefits and activities that can come from a Face-to-Face Meeting:

• Team building• Class list reviews• Committee assignments (people to contact, work to get done)• Creation of mass emails

• Phone calls, emails, texts, social media postings• Photos of the team working together to post on social media• Fun and food!

• Your Class liaison (Gift or Outreach) will share conference call-in numbers for you to use for each call.• We recommend a monthly check-in to ensure progress is being made. Pick a date/time and add to the calendar so calls become routine.• Reunion chair or staff should share agenda in advance. • Use conference call etiquette – stating name each time you speak.• Keep the call to one hour (or time announced).• Chair shares meeting notes after the meeting to all committee members. • Invite Class President and Reunion Chair to sit on gift committee calls and Class President/Gift Chair to sit on outreach calls if they are not already on both committees.

Work Session Tips:• Work sessions should be class-specific and in-person (it is not recommended to have others join in via conference call)

• Keep work sessions to two hours and make sure the timing works for the group

• Make sure everyone is welcomed and knows who else is in the room. Have social time that includes food and drinks

• Ideally, the committee chair or volunteer leads the session, and your Penn liaison is there for support if needed (you do not need Penn staff to be there)

Email Best PracticesAlumni Relations provides you with the option to send two monthly email blasts to your class. Content is due to your Classes and Reunions liaison two weeks prior to the send date. You will receive one preview and have the chance to make any necessary edits. Refer to the calendar in the back of this workbook for content due dates and email send dates.

Send your liaison content in one document, not piece mail. Be sure to include:• Sender Name • Subject Line • Pre-Header (Preview Text)• Reply to Email • Body text with relevant images and hyperlinks

Subject Lines:

• The best subject lines are pretty straightforward. Your subject line should describe the subject of your email.

• Avoid using spammy keywords and phrases. Avoid using ALL CAPS or lots of exclamations points!!!

• The Subject line of your email is an important part of determining how your email communication will be handled by various email service providers

Email Body:

• Avoid text in red letters

• 60/40 text to image ratio

• Use a link to a video vs. embedding a video

• Limit how many links per email - if many are needed use a splash page

Constantly mention the date of Alumni Weekend, and remind classmates to book their hotel room, plan their trip, and register for the weekend.

Follow us: @PennAlumni | #PennAlumniIf they don’t already, create social media accounts for your class. Social media is a great way to share information and keep in touch with your classmates.

Facebook: Create a group for your class, start conversations, and share important reunion information on your group page. Facebook is a great place to share updates, post when hotel blocks are available, promote pre-reunion events, and push Alumni Weekend registration.

Instagram: Share nostalgic photos, get classmates excited for reunion! Share photos from pre-reunion events and post photos throughout Alumni Weekend. Create a hashtag for your class.

Twitter: Twitter is a great platform to quickly spread the word and get quick answers.

PRE-REUNION

EVENTS

PRE-REUNION EVENTS

Use pre-reunion events to get your classmates excited about their reunion and give them a chance to reconnect throughout the reunion year. Pre-reunion gatherings also give classmates a chance to discover who lives nearby. Classmates have the chance to celebrate reunion whether or not they can travel back to campus. Successful events happen because volunteer organizers personally invite guests. You should not expect that an email invitation or Facebook post alone will bring good attendance!

Outreach Focused Pre-Reunion Events Outreach focused pre-reunion events are committee driven and supported by your Classes and Reunions staff liaison.

• Decide what types of events you want to hold during this reunion cycle.

• As soon as date is decided add the event to your class reunion website (www.alumni.upenn.edu/class) and Facebook page as soon as you have dates and details.

• Promote the event through peer-to-peer outreach, social media, and a class email (refer to calendar).

• Two weeks before event: Hosts give approximate attendance to their Classes and Reunions staff liaison. If requested their liaison will send a Penn “Party in a Box” including Penn signage, crack and peel nametags, and Penn Alumni giveaways for the event.

• After the event forward a list of attendees, event photos, and a brief write up for the next class email and your website to Penn staff.

Penn Fund focused Pre-Reunion Events Gift focused pre-reunion events are supported by your Class Giving liaison.

• Customize invitation list. Personal invitation follow-up by the committee is vital to ensuring a well attended event.

• Gatherings will include a fundraising message given by either the host or gift committee. Volunteer follow-up by committee members after the event is important to reinforce the message.

• Consider including a guest speaker from Penn leadership or a classmate, or a Penn student.

• Your Penn Fund liaison will work with the organizer to create and send email invitations and, if appropriate, mailed invitations. Please allow eight weeks of lead time to ensure your event is properly planned.

Planning Committee Tips:• Use the Alumni Weekend signature events to enhance your programming! Utilize Friday’s All-Alumni Franklin Fest and Sunday’s All-Alumni memorial Service and Breakfast as a class activity.

· On Friday, May 12, all reunion volunteers are invited to The President’s volunteer Leadership Reception in honor of your volunteer service.

• Cost of reunion party and package will be dependent on committee decisions. Cost has not proven to be a huge factor in people not attending their reunion.

• The Alumni Weekend Pass costs $40 per person for pre –registrants and includes Friday Franklin Fest; Saturday Alumni Day Picnic; and Taste of Penn Spectrum. Each adult registrant will receive a Penn Alumni Canvas Tote bag. This is the DEAL of a century!! However, if a classmate has a financial hardship notify your class liaison.

EXPLAINEDThe Penn Fund is the University’s undergraduate unrestricted annual giving program. Gifts to The Penn Fund are immediately directed to the areas of the University that need support the most. These areas most often include student financial aid, residential experience, student life & academic support, and special University initiatives. All undergraduate alumni are encouraged to give to The Penn Fund annually in support of current Penn students. Together, Penn alumni have the opportunity to truly make a difference for those who follow in their footsteps.

Class GiftYour class gift counts all of the commitments made in support of undergraduate education from your class during your reunion year including gifts through the reunion fund and endowed scholarships.

Reunion Fund: Commitments of any size to The Penn Fund support the highest priorities of undergraduate students at the discretion of the University President and Provost. Currently, Penn Fund dollars are used to help fill the gap for financial aid, and enhance the student experience through residential life and special initiatives, technology enhancements and student life and academic support. During a reunion year, we count all commitments (pledged over a 5 year period) to The Penn Fund and call this your Class Reunion Fund. For example, if you make a commitment of $2,500 per year for 5 years, you are recognized for your commitment to your Class Reunion Fund at the $12,500 level. For classes celebrating their 25th through 50th reunions, you may direct a portion of your Class Reunion Fund to a class project (like a class scholarship, a bricks and mortar project, or an internship).

Endowed Scholarships: No single factor will impact the future of undergraduate education at Penn more than scholarship endowment. These dollars help Penn remain a world-class institution through their commitment to need-blind admissions in North America. If you choose to endow a scholarship, you may build in preferences for the type of student you wish to support. There is a generous pool of matching funds to help you create an endowed scholarship. Please see www.unsp.upenn.edu and look for the tab titled “Donate” for details. You may create your own endowed scholarship, or add to an existing one.

To replace the money raised through The Penn Fund in FY16, Penn’s endowment would have to grow by roughly $600 million. The Penn Fund is a living endowment! Your gift to The Penn Fund is your vote of confidence in Penn’s robust present and bright future. To that end, rates of giving to The Penn Fund contribute to our rankings by various news organizations as a measure of alumni satisfaction. Gifts of all sizes make an incredible impact on The Penn Fund’s success.

Giving to The Penn Fund year-after-year underscores your gratitude for your Penn experience and strengthens the university by providing a reliable base of support. Below are some of the many ways Alumni can be recognized for their support:

ISS: The Ivy Stone Society recognizes alumni who make gifts of any amount to The Penn Fund for three consecutive years or more. Last year the Ivy Stone Society recognized 16,201 members, over 2/3 of all donors to The Penn Fund.

UNIVERSITY GIVING VS. THE PENN FUND

Reunion Fundraising supports Undergraduate Education through The Penn Fund and Undergraduate Financial Aid. Gifts outside these areas to any other School or Center are counted toward the class University-Wide Giving Totals.

We hope that all classmates will give generously through the Reunion fundraising campaign in addition other areas of the University.

For example: Your classmate makes a $25,000 commitment to The Class Reunion Fund, a $150,000 commitment to a named Endowed Scholarship, and $50,000 to support the library. Your classmate’s Reunion Giving total is $175,000. University-wide giving is $225,000

Leadership Level Giving

Easy options for loyal giving include multi-year pledges and recurring payments. Both opportunities allow you to multiply the impact of your gift and help Penn better forecast its budget. Each year you will be thanked of your gift and reminded of your pledge payment instead of solicited.

Multi-year pledges:• Pledge a certain amount to be paid over 5 years. In your reunion year you and your class will be recognized for the full amount of your pledge.• Example: Make a 5-year BFS pledge of $12,500 and support The Penn Fund with $2,500/year for the next 5 year.

Recurring Gifts:• Your gift is made over a time defined by you to meet your preferences (monthly, quarterly, annually).

• Recognition as am Always Donor.

• You provide payment information to Penn and your gift is automatically processed on the schedule outlined.

• During your reunion year, arrange for your 5-year pledge to be fulfilled through a recurring gift to maximize convenience.

Determine the best schedule for your gift committee work based on your specific role, and your availability. You can use MVP all year to send out email solicitation messages at your leisure. Below are suggestions for your personal outreach.

September – November is the ideal time to focus your efforts on those classmates who you hope will increase their support compared to their past giving. If you are soliciting BFS level gifts and multi-year commitments, now is the time to send out a welcome message and introduce yourself to your prospects, and let them know you will be asking for their support based on the schedule that works for you. For classmates who might be candidates for creating a new scholarship, it’s important to start the conversation now so there is plenty of time to make it a reality.

October – November is the perfect time for Pre-Reunion gatherings. Consider hosting events in cities where you have classmates. Your Penn Fund staff liaison can help tailor your guest list and help you create an event that motivates classmates to make Penn a philanthropic priority. Consider including a guest speaker like a current student, or a member of Penn’s development staff.

December is the time to ask for gifts from classmates who gave in the 2016 calendar year. Because Penn works on a fiscal year (July 1-June 30), we don’t want to miss these classmates. Every gift matters and we count on the continued support of all classmates to keep Penn at the top of national rankings.

January is the perfect time to thank your classmates who have already supported Penn.

February – April is a great time for Pre-Reunion events. Also, use this time to solicit classmates who haven’t been on your radar up to this point. The Penn Fund creates a “Draft Honor Roll” in April, and now is the perfect time to encourage your friends to get on the list of donors.

May – Take a look at classmates who have registered for Alumni Weekend but haven’t yet made a gift and ask them to join you in making a gift. Also, May is the ideal time to review those classmates who made a one-time gift this year and ask them to turn it into a multi-year commitment. During the weekend, you will present your Class Gift to Penn. We want to make sure as many classmates as are willing are included in the “big check” totals at Alumni Weekend.

June – The fiscal year ends on June 30, and this is a last chance to encourage classmates to make a gift in honor of your reunion year. Look at your progress to goals and see what your class needs to reach goal.

July – Please remember to thank your classmates for their support, and encourage them to stay connected to Penn through giving every year. Give yourself a pat on the back for a job well done.

In 1995, the University of Pennsylvania founded the Charles Custis Harrison Society as a way to provide ongoing thanks and to acknowledge the generosity of all who have named Penn as a beneficiary of a will, living trust, retirement plan, or life insurance policy, or have set up a life income gift that benefits Penn in the future.

• Benefits of membership in the Harrison Society include annual luncheons, invitations to special events and seminars, and a subscription to the University’s gift planning newsletter.
