Submission Checklist Before Creating Your ProjectWe encourage you to contact our Graphic Design

Department before you start creating your print

project files. We can help assess your design concept

and provide helpful advice. Our goal is to ensure your

design files are submitted error free and worry free.

We are available to assist in preparing your files

properly so we can meet your time, quality and

budget demands.

Many answers to your questions to properly

prepare a file for commercial printing output are

available in the HELP section of your graphics design

program/application.

DIGITAL COPIES: Check the cut, fold and margins for at least

1/4” + “wiggle” room Check for “effects” such as drop shadows and

transparencies for overlap postscript errors Verify document colors are CMYK/process

instead of RGB/process, or SPOT/process.

OFFSET PRINTING: FOR SPOT COLOR:

Provide the file with correct PMS colors, and a printout of the color separations in black/white (not RGB or CMYK)

FOR FULL COLOR: Provide the file with correct CMYK colors,

Submitting Your OrderIt is easy to provide us your print-ready digital art files.

1. Provide Graphics / ElementsIf you are unable to provide us with a PDF file, we request that you supply us with all of the imported graphic links that were used to design the document along with the native file. For example, if you have two digital photos and a logo, these files need to be provided in addition to the page layout document. Graphics are a mathematically defined program on their own, that if not added to our system, the postscript printer cannot generate the print files properly.

2. Include Fonts / Embed or OutlineRemember to list the names of all fonts used in your documentation, and provide them along with the graphics. TrueType fonts may cause unexpected problems. Stick with Postscript fonts whenever possible, or convert fonts to outline. Do not use the “Styles” menu to bold or italic etc., use the font that is already named bold – such as “Century Bold.”

3. Avoid Website & Low Resolution ImagesWe require 300 dpi resolution at 100% of size for both offset & digital printing. The digital presses reproduce best with EPS and TIF graphics.

NOTE: The quality is not as acceptable when JPG or PNG are used. Graphics pulled off websites are usually small and will be blurry when printed.

4. What You See is Not What You GetDon’t rely on your monitor colors to accurately represent ink on paper. When defining colors, refer to a standard Pantone swatchbook (PMS) for accurate hues or call Print & Copy Factory for assistance. Printers and monitors are all different, may or may not be calibrated, and may not give an accurate representation of color. Proofs on the actual paper are best for ensuring the color results you are hoping for.

5. RGB vs CMYK vs Spot ColorsComputer screens view spot colors as RGB (Red, Green, and Blue). Our digital color presses print in CMYK (Cyan, Magenta, Yellow, and Black). If your file is not setup in the CMYK mode, the colors on the final print might not be what you expect them to be. If using a specific spot color, PMS colors should be specified in your file. For offset printing, provide spot separation printouts of your file.

NOTE: Microsoft Office applications cannot be color separated within the application. If the documents are to be printed on a printing press, we must use special software procedures and tools to separate these files and will require an additional charge. We will attempt to match the colors as close as possible.

WE REQUIRE that YOU APPROVE A PROOF before printing. This ensures that the digital file you provide has met our graphic and submission standards. We encourage an actual printout proof on the stock you are requesting. $10 minimum on proofs.

6. Trim Marks / Fold Lines (see A below)All provided files must include trim marks and fold marks. This allows us to see what you are expecting for a finished product. Use a “hairline” mark in “register color” so that if it is multiple colors, the cut lines will print on the separations, and assist in registration of colors to each other.

7. BleedsIf you desire to have your image go past the cut edge of the document, in other words, no white border, then we require the image to go past the trim line 1/8” and prefer 1/4.” We run it on a larger sheet and trim down.

8. Trapping / BandingIn offset printing, trapping allows a tighter registration of colors, avoiding “white spaces” between colors due to paper stretch. Check your software for trapping instructions.

Banding is the result of gradations that do not make a smooth transition. It is due to the result of a mathematical equation that includes the resolution of the file and resolution of the printer device. This may require extra setup charges to ensure it will print as intended.

Providing Vector ArtPreferred file format for promotional items!

What is a vector based graphic?Professionally designed logos are created in vector based programs, like Adobe Illustrator. Vector graphics are made up of points and paths that represent the image on the computer. Pixel based graphics (often called raster or bitmap) are made of individual bits, or pixels that represent the image on the computer.

The benefit of a vector based logo?Vector Based images can be increased or reduced by any amount without degrading the image. This is important since the logo will be used in a variety of formats and sizes. You want your logo to look

as crisp and clear on your trade show banner as it does on your business card.

Raster/Pixel Based images do not enlarge well. The quality is lost and you will have a blurry image. Everything on the web is low resolution (72dpi), so if you copy your logo off your website it will not be suitable for print.

Which is the vector file?A vector file will usually have the extension EPS or AI. Unless you have Adobe Illustrator, you won’t be able to open this file, however this is the file that your design professional or print vendor needs to ensure the best print quality for your projects.

Pixel-based images saved out of Illustrator will most likely be saved as a JPG, TIF, GIF, PNG or PSD file. You will not have good results if your logo is presented this way. Also, saving a Photoshop file as an EPS file does not produce a vector file. The logo has to be produce in a vector -based program to begin with.

A vector logo will be the most universally useful to you, your printers and other vendors. When working with a logo designer, be sure that your logo is being created in vector format (Adobe Illustrator instead of Adobe Photoshop) and make sure you request final vector files.Proofing Your Job

When Print & Copy Factory creates a logo for a client, we

logo files (JPG or PNG) in a variety of sizes that the client can use.

Vector based files can only be opened by special graphic software

digitally copy or offset print, each process has its own set

of “preflight requirements.” Please give us a call before you

get started, so that we can help you save time and money

from recreating or trying to get a file to print properly.

is a FREEdownload for Windows and Mac OS X. When installed, you can print files directly to our website from any application. Your file will be transformed into an industry standard PDF file and will be available for immediate proofing!

When Print & Copy Factory creates a logo for a client, we

provide the vector files (AI or EPS) as well as raster/pixel based

logo files (JPG or PNG) in a variety of sizes that the client can use.

Vector based files can only be opened by special graphic software

programs. Raster/pixel based files can be used on your website or

with other PC programs.

1/4” + “wiggle” room Check for “effects” such as drop shadows and
