Private events at Starlight Theatre are managed by its subsidiary EPIC Innovative Events, Inc. We’re an innovative events and entertainment agency that specializes in creating memorable events regionally, nationally and internationally. Our services are designed to help you achieve your goals, and are customized to meet your needs and exceed expectations. Born from a parent company rooted in performing arts, EPIC brings production, design, entertainment and emotion to special events.

About EPIC Innovative Events, Inc.

EPIC highly recommends private rental clients elect to use a pre-approved caterer (list provided during initial site visit). If clients elect to pursue an unapproved caterer, the selected caterer is required to complete a Vendor Agreement to provide services at Starlight and meet all associated requirements. Client is responsible for solicit-ing completion of all EPIC-required documents, including Vendor Catering Agreement, Certificates of Insurance, ensuring Caterer’s compliance with insurance, KCMO licensing, liquor and food handling liability, and other items outlined in Vendor Agreement.

All caterers and bartending services must provide a valid Liquor License one month before the event date in order to provide and/or serve alcohol at Starlight Theatre. Donated alcohol is permitted at Starlight Theatre.

Exclusive VendorsEPIC has arranged selected providers for their exclusive use at the Starlight Theatre. These vendors have ex-tensive knowledge of the venue, its operations, staffing, training and processes, which enables them to operate seamlessly during events. These providers are proven entities which will ensure the success of your event. EPIC will facilitate all orders from the vendors below.

All Seasons Event Rental is the exclusive provider for any and all rentals including, but not limited to, tables, linens, chairs and tent rentals.

Hats Off To You is the exclusive provider for concierge and coat check. Though volunteer-facilitated coat check is permitted, professional coat check services may be added to standard Venue Rental Package at an additional fee.

Premier Parking is the exclusive provider of parking services, including guided parking and valet parking. These services may be added to standard Venue Rental Package at an additional fee.

Vista Productions is the exclusive provider of any and all production elements including, but not limited to, video, audio, lighting, and rigging.

How many people can the Stage hold?Although the standard Venue Rental Package only includes tables and chairs to fit a standard event size of 300 guests, the space can hold a maximum of 650 seated at 60-inch round tables, or 1,500 in a reception style setup. Inventory to accommodate these capacities may be rented for an ad-ditional fee.

What is the rental duration time?You may access the venue for load-in beginning at 8:00 AM on event day. Your event time (during which guests are on-site) may run a maximum of 6 hours. Events must end no later than 11:59 PM.

Rental times may be extended beyond 6 hours or past 11:59 PM in full hour increments at the rate of $250 per hour with advance notice and related contracting (or $500 per hour if added on event day).

Load-out must be completed within 2 hours of guests’ departure/event conclusion unless otherwise approved. Client is responsible for arranging clearing of all tables (with caterer’s assistance) and removal of any items brought into the facility not detailed in the basic Venue Rental Package. A $500 clean-up fee will be assessed for any items left beyond 10:00 AM the next business day following the event day.

How much is the deposit?A non-refundable deposit of $5,000 is required upon signing the Facility Use Agreement to reserve the venue for your event date. No event date is considered reserved until the deposit is paid in full. Event dates are reserved upon a first deposit paid basis.

Client will pay the remaining balance of $5,000 of the license fee (plus any additional costs outlined in any Addendums) at least 2 weeks prior to the event date. Payments made by credit card or after the final due date are subject to an ad-ditional 3% processing and handling fee. Additional fees may be charged if collection is not made in full prior to event.

EPIC will assess sales taxes in accordance with Missouri State Laws for events at the VENUE at the current sales tax rates effective upon EVENT DATE.

Can I choose my own caterer?Yes. Your caterer must meet specific guidelines and insurance requirements set forth by Starlight Theatre. A full explanation of the catering policy may be found under Catering & Liquor.

Can I bring in my own alcohol?Yes. Bartenders and/or servers must have a liquor license permitting them to serve at Starlight. KCMO liquor laws determine the needs of each of event. Who can help me take my event to the next level?EPIC Innovative Events, Inc.! An EPIC event coordinator is included in the basic venue package for a nominal amount of service hours. We are happy to provide a custom quote for any scope of work beyond what is included in the standard Venue Rental Package.
