Introduction This document has been produced as part of the project BIT Møbel VIM. The document makes recommendations for uniform identification and labelling of furniture using the GS1 system in Norway. The purpose of this concept is to provide the basis for the efficient movement of goods and information in the value chain for furniture. This simplifies identification of products in the information flow, labelling by the producer/supplier, despatch by transporter/haulier, goods reception at the wholesaler/shop and ordering/sale in shops.

The labelling concept described in this document being implemented in the furniture sector is dependent on procedures for exchanging all the necessary basic data between the players in the value chain being in place.

All types of furniture and interiors are identified by a GTIN (Global Trade Item Number). It is required that all products in the furniture sector are assigned their own GTIN and if possible labelled with a bar code with a GTIN. This document describes the GTIN in more detail, how it is put together and the rules for changing the GTIN.

This document distinguishes between three types of product: standard furniture, interiors and variants (customer specific products, i.e. non-standard goods).

Guidelines are given for the numbering and labelling of standard furniture. There is also a description for composite products that consist of several components (packs).

For interiors, a distinction is made between the packaging levels for the products, i.e. consumer units (F-packs), trading units (D-packs) and transport pallets (T-packs). The F-pack is the unit that the consumer purchases in the furniture store. D-packs and T-packs are covered by the definition “outer packaging” and are the logistical units that are used for consignments in the value chain.

For variants (customer specific products), no detailed description is given of the composition and structure of the GTIN. We refer here to GS1 General Specifications.

This document also gives a recommendation for labelling transport information.

1 Identification and barcode labelling - general

1.1 Identification of products In the furniture industry, products shall be identified with a GTIN (Global Trade Item Number). GTIN is a global numbering system that ensures the unique identification of products. A GTIN can have up to 14 characters.

• GTIN 8 has 8 characters and is used on small products. • GTIN 12 has 12 characters and is used in the USA and Canada. • GTIN 13 is the most common on products and has 13 characters. • GTIN 14 has 14 characters and is used for labelling outer packaging.

When a GTIN is turned into a barcode, the number can be quickly read with the aid of scanners. The most visible advantages of using GTIN and barcodes are that handling at the till is faster and the customer receives a till receipt that says exactly what has been bought and at what price. But there are many more advantages than those we see in the shops. All product handling throughout the value chain is made more efficient by the use of GTIN.

Here are some examples of how GTIN can be expressed in a barcode:

Chains and shops receive and sell products from a number of suppliers, both national and international, and must therefore be able to handle all types of GTIN.

For suppliers who are to number and label their products, we recommend the use of GTIN 13. For more information about the composition and structure of GTINs and labelling, refer to “GS1 Guide to numbering and labelling with GTIN”, which can be obtained from GS1 Norway or electronically downloaded from GS1 Norway’s website www.gs1.no

Rules for changing products If changes are made to existing products, the question arises of whether to give the product a new GTIN or whether the existing GTIN can be kept.

As a general rule, if a property (such as colour) of a product is changed, it should be given a new GTIN. In the case of a price change, the existing GTIN is retained.

You can find detailed rules for whether a product shall have a new GTIN or the existing one can be kept on GS1 Norway’s website under “GTIN rules”.

Barcode labelling of products Generally speaking, the GS1 system offers the following three barcode symbols for barcode labelling of GTIN:

• The EAN/UPC symbol (EAN 13). • The ITF-14 symbol. • The GS1-128 symbol.

For barcode labelling of products, we recommend the use of GTIN-13 and the associated barcode symbol EAN-13. More information about how to create a barcode will be found on gs1.no “10 steps to a barcode”.

In some cases it may be appropriate to use the ITF-14 symbol or the GS1-128 symbol. Here is a short description of the three barcode symbols.

1.3.1 The EAN/UPC symbol The EAN/UPC symbol consists of the symbols EAN-8, UPC-A (USA and Canada) and EAN-13. For suppliers who shall barcode the GTIN-13-number, the EAN-13 symbol is used. In general we recommend that the EAN-13 symbol is used for all types of furniture. Very small products can be numbered with GTIN-8 and barcode labelled with the EAN-8 symbol.

1.3.2 The ITF-14 symbol The ITF symbol can be used on outer packaging that does not pass through the POS (point of sale – the shop till). Normally the ITF symbol is used in those cases where the EAN/UPC symbol cannot be satisfactorily read. This may be the case if the surface is uneven (corrugated cardboard for example). Note that the ITF symbol contains 14 characters. For a GTIN-13, we must therefore add a 0 to the start of the number when it is to be labelled with an ITF-14 symbol.

1.3.3 The GS1-128 symbol The GS1-128 symbol gives the opportunity to barcode more information in the same barcode.

In the furniture industry, the GS1-128 symbol must be used for labelling components of composite products (see section 2) and for transport information (see section 5).

GS1-128 can also be used for labelling furniture if there is a needed to label with more information than the GTIN, such as order number, production date, batch/lot number etc. Note that in the GS1-128 symbol, 14 characters have been allocated for the GTIN. For a GTIN-13, we must therefore add a 0 to the start of the number when it is to be labelled with a GS1-128 symbol.

1.4 Quality of the barcode symbols There is a requirement that the quality of barcode symbols that are used in the furniture industry (EAN/UPC) shall as a minimum comply with “Grade C” print quality in accordance with the standard ISO/IEC 15416. It is a requirement that the barcode symbol shall be readable at all stages of the value chain and throughout the product’s lifetime, i.e. for as long as it remains on sale.

1.5 Identification of transport units (packs) In the furniture industry, transport units (packs) are identified with SSCC codes (Serial Shipping Container Code). SSCC is a global numbering system that ensures the unique identification of transport units. The SSCC has a fixed length of 18 characters. SSCC codes are barcoded with GS1-128. GS1-128 gives the opportunity to barcode more information in the same code.

Every single transport unit shall have a unique SSCC code. The SSCC code is used by shippers in Norway for the unique identification of goods.

2 Standard furniture

Standard furniture means preconfigured products that the supplier offers to customers. When the customer orders the product, there is no need to specify the content of the product. This is predefined by the supplier.

The product is identified with a GTIN number. We recommended that standard furniture is identified with GTIN-13. It is the supplier’s responsibility to allocate the product a unique article number and to barcode label the product.

2.1 Labelling of standard furniture When labelling standard furniture, the following information shall be used:

• GTIN - Global Trade Item Number. The product must be numbered with a GTIN. This

applies to all products, even if it is not possible in practice to barcode label the product.

• Product text The product’s product text must appear in plain text on the product label. The product text shall be based on the product text that has been communicated to the chain through product catalogues/data files etc. The product text labelled on the product shall correspond to the product texts on order confirmation, packing note and invoice.

• Brand owner. The name of the brand owner must appear in plain text either on the label or on the packaging.

• The supplier’s article number must be labelled in plain text.

2.2 Practical guidelines for labelling of standard furniture Size, design and location of the label The product information can either be printed on a label that is fixed to the packaging or printed directly onto the packaging.

Since the form and size of products varies greatly, the size and design of the label may also vary.

The location of the label must be seen in context with the location of the barcode symbol. See “GS1 Guide to numbering and labelling with GTIN”.

Size and location of the barcode symbol For barcode labelling of standard furniture, we recommend the use of the EAN-13 symbol. If the product is to pass through the shop till (POS), the EAN-13 symbol must be used.

If the product labelling is used only for logistical purposes, the alternative barcode symbols ITF-14 and GS1-128 may be used.

A composite product consisting of several components If a product consists of several components (packs) that are packaged separately, each component must be labelled so that it is easy for the recipient to group them together. This is done by using the GS1-128 barcode symbol. The individual components are identified with the same GTIN number, but each component has additional information about the total number of components in the composite product and what sequence number each component has.

The identification number consists of:

• AI 8006 (4 characters), which is the application identifier for identifying components in a composite product.

• Ordinary GTIN number (14 characters). GTIN-13 is recommended.

• Field for relative number (2 characters) shows the number sequence for the component in the

composite product.

• Field for total number of components (2 characters) shows the total number of components in the composite product.

• The size factor of the barcode is from 25% to 94% of nominal size.

• Minimum height of the barcode is 13mm.

• Minimum height of plain text under the barcode symbol is 5mm.

3 Interiors Interiors means finished products that do not require any form of fitting or assembly (such as a cup or vase).

The product is identified with a GTIN number. We recommended that interiors are identified with GTIN-13. It is the supplier’s responsibility to allocate the product a unique article number and to barcode label the product.

3.1 Packaging levels for interior products Interior products are divided into the following packaging levels:

• Consumer unit (F-pack). The unit that is bought by the consumer and scanned at the shop till

(POS). The F-pack is also often described as the smallest saleable unit. F-packs may also come as individual or multi packs.

• Trading unit (D-pack). The unit (carton) that is ordered from the wholesaler or supplier by

the shop and that contains several F-packs. • Transport unit (T-pack). The unit (such as a pallet) that is transported between the links of

the value chain. T-packs normally contain several D-packs, but in some cases may contain only F-packs.

3.2 Labelling of interiors It is always the supplier who shall number and label the products. This applies to F-pack, D-pack and T-pack

3.2.1 Labelling F-packs When labelling F-packs, the following information shall be used:

• GTIN - Global Trade Item Number. The F-pack must be numbered with a GTIN.

This applies to all products, even if it is not possible in practice to barcode label the product.

• Product text. The product’s product text must appear in plain text on the F-pack’s product

label. The product text shall be based on the product text that has been communicated to the chain through product catalogues/data files etc. If the F-pack is a product that can be ordered, the product text marked on the F-pack shall correspond to the product texts on order confirmation, packing note and invoice.

• Brand owner. The name of the brand owner must appear in plain text either on the label or on the packaging.

3.2.1.1 Practical guidelines for labelling of F-packs The product information can either be printed on a label that is fixed to the packaging or printed directly onto the packaging.

When barcode labelling F-packs, the EAN-13 symbol shall be used. Products that are so small that it is impossible to use an EAN-13 symbol are an exception. For these, a GTIN-8 number and EAN-8 barcode symbol must be used.

3.2.2 Labelling D-packs When labelling D-packs, the following information shall be used:

label. The product text shall be based on the product text that has been communicated to the chain through product catalogues/data files etc. The product text on the D-pack shall correspond to the product texts on order confirmation, packing note and invoice. The product text should also include a packing description: e.g. Cups x 12.

• Brand owner. The name of the brand owner must appear in plain text either on the label or on the packaging.

Further product information - optional • The supplier’s article number can be labelled in plain text.

• Batch or lot No. This is a number that is generated by the manufacturer and is used to

achieve full traceability in the value chain in relation to production and packing of the product. The batch or lot number can be marked both in plain text and with a GS1-128 barcode symbol.

• Date. If desired, the production date, packing date and best before date can be marked both in

plain text and with a GS1-128 barcode symbol. 3.2.2.1 Practical guidelines for labelling of D-packs The product information can either be printed on a label that is fixed to the packaging or printed directly onto the packaging.

1 product label on a D-pack is sufficient. It is recommended that the label is located on one of the D-pack’s vertical sides and that all D-pack labels face towards the same side as the T-pack labels are located (consistent orientation).

• the ITF-14 symbol – for uneven surfaces such as corrugated cardboard.

• The GS1-128 symbol – if more information than just the GTIN is included in the barcode symbol.

If it is only the GTIN that is to be labelled in barcode form on the packaging, the EAN- 13 symbol is recommended, the ITF-14 symbol is used for uneven surfaces such as corrugated cardboard. If more information than just the GTIN, such as batch or lot number and/or best before date, is to be labelled with barcode, the GS1-128 symbol must be used. Regarding the size and location of these barcode symbols, refer to “GS1 Outer packaging guide”.

3.2.3 Labelling T-packs In this specification, we distinguish between two different types of T-pack depending on the contents of the unit.

Standard T-pack. T-pack containing all the same product (same GTIN) with a fixed number of D-packs and where labelling of unambiguous product information on the T-pack is possible.

T-pack with different products. This is a unit that contains different products and where labelling of unambiguous product information on the T-pack is not possible. For this type of T-pack, it is only possible to label with transport information (see section 5).

In this example the T-pack is a pallet When labelling standard T-packs, the following information shall be used:

• GTIN - Global Trade Item Number. The T-pack must be numbered with a GTIN. We recommend using

GTIN-13, but GTIN-14 may be used if desired. • Product text. The product’s product text must appear in plain text on the T-pack’s product

label. The product text shall be based on the product text that has been communicated to the chain through product catalogues/data files etc. The product text on the T-pack shall correspond to the product texts on order confirmation, packing note and invoice. The product text should also include a packing description: e.g. Cups 24 x 12.

• Brand owner. The name of the brand owner must appear in plain text either on the label or on the packaging.

Further product information - optional • The supplier’s article number can be labelled in plain text.

• Batch or lot No. This is a number that is generated by the manufacturer and is used to

achieve full traceability in the value chain in relation to production and packing of the product. Batch or lot number can be marked both in plain text and with a GS1-128 barcode symbol.

• Total number of packs and pack number can be marked in plain text on each pack, for each individual product.

The total number of packs in a transport shipment, for example, or in a collection of different products shall not be marked.

• Date. If desired, the production date, packing date and best before date can be marked both in

plain text and with a GS1-128 barcode symbol. • Gross weight (in whole kg) can be marked on each individual T-pack, in plain text only. Gross

weight means the combined weight of the products, packaging and load carrier (pallet). • Max stacking weight (in whole kg) can be marked in plain text.

• Temperature requirements must be marked, but only in plain text, if the product has a temperature requirement.

3.2.3.1 Practical guidelines for labelling of T-packs Label on the T-pack – size, design

and location The product information is printed onto a label that is fixed to the packaging.

• A5 (148 x 210 mm)

• A6 (105 x 148 mm)

The location of the label must be seen in context with the location of the barcode symbol. See “GS1 Outer packaging guide”.

The barcode symbol on the T-pack - size, location and quality

T-packs must be labelled with one of the following barcode symbols:

• the EAN-13symbol – recommended.

• the ITF-14 symbol – for uneven surfaces such as corrugated cardboard.

• The GS1-128 symbol – if more information than just the GTIN is included in the barcode symbol.

If it is only the GTIN that is to be labelled in barcode form on the packaging, the EAN-13 symbol is recommended. This assumes the use of a GTIN-13 number. If the T-pack is numbered with GTIN-14, either the ITF symbol or GS1.128 must be used. The ITF-14 symbol is used for uneven surfaces such as corrugated cardboard. If more information than just the GTIN, such as SSCC code, batch or lot number and/or best before date, is to be labelled with barcode, the GS1-128 symbol must be used. 4 Product labelling of variants Variants means non-preconfigured products that the supplier offers to customers. The supplier tells the customer what choices are available for the product. On this basis, the customer chooses (configures) the finished product that he wants. Variants are never produced for storage. The production of variants is thus always based on orders. The principle is that the supplier defines all the options for the variant by stating product model and associated components, attributes and parameters.

Until the industry has formulated a final standard for how variants are to be handled, the use of the customer’s order number for identification is a potential solution.

The customer’s order number should be labelled on the finished product in plain text and in barcode form using GS1-128. In addition, each individual transport unit shall be labelled with a normal transport label. The simplest way to do this is to label each individual transport unit (pack) with a transport label that also includes the customer’s order number. For more details about labels and barcodes, see the next section “Labelling of transport information”.

5 Labelling of transport information

This section covers labelling of transport information for furniture and interiors.

5.1 Transport units in the furniture industry A transport unit means a physical unit (pack) that is transported between sender and recipient and that shall be labelled with its own transport label.

5.2 Labelling transport units The general labelling concept for goods that is used by shippers in Norway is used for labelling transport units in the furniture industry. See “GS1 Transport guide”, which can be obtained from GS1 Norway or downloaded from GS1 Norway’s website www.gs1.no

Transport units shall be labelled with the following information:

• SSCC code. The SSCC code is an 18 character GS1 number that gives a unique identification of

every single pack. The SSCC code (pack number) is barcoded with GS1-128 (AI 00) and normally appears on the transport label on the pack. But if desired the SSCC code can be applied to the product label on the pack. The SSCC code must be on every single pack in plain text and barcode. For more information about the SSCC code, see “GS1 Outer packaging guide” and “GS1 Transport guide”.

Note that if both product and transport labels are used, the SSCC code can appear on both labels, provided that precisely the same number is used.

• Name, address etc. of sender The transport unit must be labelled in plain text with the

sender’s name, street address, postcode and postal town. • Recipient’s name, address etc. The transport unit must be labelled in plain text

with the recipient’s name, street address, postcode and postal town (the delivery address).

• With shipment via coloading terminal Name, address etc. of coloading terminal.

The transport unit must be labelled in plain text with the coloading terminal’s name, street address, postcode and postal town. This information shall appear in the “via” field.

• Buyer’s reference. The transport unit can be labelled with the buyer’s reference number. Note

that if the buyer’s order number is stated, this can be barcoded with GS1-128 by using AI400. • Gross weight (in whole kg) must be labelled in plain text on every single transport unit.

Gross weight means the combined weight of the products, packaging and load carrier (pallet). If the T-pack is labelled with a product label, it is sufficient for gross weight to appear on one of the labels.

Example of a GS1 transport label via terminal/reloading 5.3 The transport label – design, size and quality As regards the design of the label, all the above information must be printed on the label. Refer to “GS1 Transport guide” regarding where to place the information, type size etc.

The following recommendation applies to the size of the transport label:

• The width of the label shall be 105mm or 148mm.

• The height of the label may vary. Usable formats are:

o A5 (148 mm x 210 mm) o A6 (105 mm x 148 mm) o 105 mm x 192 mm

5.4 Placing labels on transport units All transport units shall be labelled with at least one transport label.

If the transport unit is a standard F-pack, D-pack or T-pack, it shall also be labelled with a product label.

For pallets, the general minimum requirement is that the pallet shall be labelled on two sides with both label types, on a short side and on the long side on the right (when facing the short side).

The product and transport labels shall be on the same sides. When more than one label is used on the same side of the pallet, they shall be placed one above another. The label bearing the SSCC code is placed lowest. If the label includes several barcodes, the barcode with the SSCC code is on the lowest line of barcode. We recommend having the SSCC code alone on the line.

The label shall be placed so that the lowest part of the lowest barcode shall be minimum 400mm above the floor and the highest part of the highest barcode shall be maximum 800mm above the floor. The label shall also be placed at least 50mm from the vertical edge. For pallets lower than 400mm, the labels shall be placed as high as possible.

If all the information is known at the time the unit is labelled and there is room on the label, all information (i.e. both product and transport label) can be included on one label.

5.5 Different information The same information (AI) shall only appear once on the product and transport label. In practice this means that the same information cannot be repeated on the same label or on other labels on the same unit (pallet). The exception is the SSCC code, which may appear on both labels, provided precisely the same number is used.

6 Appendix – barcode labelling 6.1 Barcode labelling with the GS1-128 symbol

All types of GTINs can be barcoded with the GS1-128 symbol. Note that a fixed length of 14 characters is allocated for the GTIN on the GS1-128 symbol. For a GTIN-13, we must therefore add a 0 to the start of the number when it is to be labelled with a GS1-128 symbol. GTIN-13 is placed in the GS1-128 barcode symbol in the following way.

6.1.1 Labelling D-packs with the GS1-128 symbol

The table below shows some examples of various information and the use of AIs for labelling product information on a D-pack with the GS1-128 symbol:

When the GS1-128 symbol is used, the following applies:

• The same information (AI) shall only appear once per label.

• The size factor of the barcode is from 25% to 94% of nominal size.

• Minimum height of the barcode is 13mm.

• Minimum height of plain text under the barcode symbol is 5mm.

It is a requirement that the barcode symbol shall be readable at all stages of the value chain and throughout the product’s lifetime, i.e. for as long as it remains on sale.

6.1.2 Labelling T-packs with the GS1-128 symbol

Be particularly aware of the following:

• The size factor is from 50% to 94% of nominal size.

• Minimum height of the barcode is 32 mm.

• 14 characters shall always be used when labelling GTIN (AI 01 and AI 02. When the GTIN

has 13 characters, a 0 must be added in front (e.g. 07038010000065). • When barcoding in GS1-128, a punctuation mark called Function Code 1 (FNC1) is used

between the individual pieces of information. This applies except for the AIs, which have a fixed and predefined length. The following AIs in this document have predefined length AI 00, AI 01, AI 02, AI 15. We recommend having the AIs that will be followed by FNC1 at the end of the barcode line, because then the FNC1 code can be omitted.

• It is important to follow the requirements for margins. With a size factor of 50%, the right and

left margins are 5mm and with a size factor of 94% the margins are 9.4mm. 6.1.3 Labelling transport units with the GS1-128 symbol

6.2 Barcode labelling of interiors Generally speaking, the GS1 system offers the following three barcode symbols for barcode labelling of GTIN on F-pack, D-pack and T-pack:

• The EAN/UPC symbol

• The ITF-14 symbol

• The GS1-128 symbol

For suppliers who are to barcode the GTIN on their products, the following is recommended:
