Welcome Message
Dear Colleagues,
On behalf of the Organizing Committee, it is indeed a great honour and privilege to welcome you to “The 13th Jakarta Digestive Week (JDW)” which to be held from 1st – 3rd November 2018 in Harris Hotel, North Jakarta. The theme for this year JDW is ”Digestive Oncology Update” which reflects the ongoing trends in Hepatopancreatobiliary.
The symposium is organized by Division of Digestive Surgery, Department of Surgery, Faculty of Medicine, Universitas Indonesia/Dr. Cipto Mangunkusumo National General Hospital
JDW is organized once in every year, and has allows us in harvesting the practical knowledge that is necessary to know and practice. The update also allows us to keep our mind open for the new development in Hepatopancreatobiliary surgery. Please mark your calendar on 1st – 3rd November 2018, and kindly prepare the abstract of your research to be presented in this important meeting. Our highest appreciaton for the international and local faculty who contributed to the scientific program. Appreciation also goes to all sponsors who support us for bringing the success of this key event in Hepatopanceratobiliary surgery in Jakarta.

1. For Sponsor that will display the product / product logo or company logo at the time of the event to be sponsored, shall submit the materials to the Committee 5 (five) days before the event. For companies that sponsor the symposium bag/proceedings book, the company's logo must be received by the Committee no later than 2 (two) weeks prior the event.

4. Exhibition booths are already in the foyer convention. Sponsor are allowed to change the form of exhibition booths as far as not to disturb other Sponsor booths and can be directly related to the contractor. The cost of changing stand is outside the responsibility of the Committee.
5. The Sponsor are required to bring as many participants.
6. 50% of the total amount should be paid by 1st July 2018 after the letter of confirmation signed by the Committee. The balance should be paid by 30th September 2018 the latest before the event. Payment can be made to :

7. Only staff/officers who wear badges exhibition are allowed to enter the exhibition area during the event.
8. Sponsor are required to dress neatly and politely.
9. Exhibition booth is not allowed to make a game that will disturb the event. No company reception or any other events are allowed during any session, if proven so, there will be a penalty of Rp. 50.000.000 (fifty million rupiahs)
10. The Sponsor are not allowed to put up banners, and can be replaced with a standing banner/screen for display of products.
11. Sponsor who sponsored the registration participants must fill out the registration form and submit the form to the Committee.
12. Location will be given on the “first come first served” basis.
13. If there are more than one potential sponsor interested in the same exhibition, the Committee will give priority to potential Sponsor who offer higher value of Sponsorship.
14. If no agreement can be made, than lottery system will be applied whereby the winning party is not allowed to withdraw.
Rules of Sponsor
15. The cancellation after the signing of this cooperation agreement is subject to the following conditions: 1. If the Sponsor unilaterally cancel this cooperation agreement less than 2 months prior the event, the sponsor shall be fined 50% of the price stated in the Sponsorship proposal. 2. If the Sponsor unilaterally cancel this cooperation agreement less than 2 weeks prior the event, the sponsor shall be fined 100% in a way or without any reason whatsoever.
16. In the event of a delays / cancellation of a symposium due to force majeure, the Committee at the request of the sponsor may consider the possibility of a change the date of symposium. The meaning of things outside the power (force majeure) in this agreement are: a. Natural disasters b. Government policy on finance / monetary c. Security ofregion or country that does not allow the implementation of symposium d. Things outside the power / ability of the Committee as the organizer of the symposium.

18. Applications for exhibition should be in writing by filling the Exhibition Form. Confirmation form sent prior to the date no later than 1st June 2018.

4. Registration will be confirmed after receiving full payment. Those who do not receive a confirmation notice before the congress are requested to contact the registration secretariat by email : [email protected]. Even if the registration form is received before the early bird or pre conference deadline, it will not be considered as early or pre conference registration if the payment has not been received before the deadlines. 6. 7. Deadline for hotel reservations is 8th September 2018. For reservation requests after the deadline date, Committee may not be able to guarantee any available rooms with the above-mentioned room rates.
8. Rooms will be reserved only after receiving one night deposit by credit card or bank transfer, and will be confirmed after receiving full payment. Payments should be completed before or on 8th September 2018. If the payment is not completed until that date, only one night reservation will be kept and the remaining unpaid nights will automatically cancelled.
9. For reservation requests on or after 8th September 2018, full payment by credit card or bank transfer will be required for confirmation. This is valid for individual bookings.
10. Hotel check-in time is 14:00 and check-out time is 12:00. Late checkout prior 6 pm will be charged 50% from room rate. Late checkout after 6 pm onward, a one night full charge will be applied.

Cancellation Policy – Accommodation:
- Cancellations or changes should be received in writing by The 13th Jakarta Digestive Week Accomodation Secretariat via e-mail to [email protected]. Please do not contact the hotels directly.
- Cancellations received before or on 8th September 2018– eligible for full refund, less one night deposit
- Cancellations received on or after 8th September 2018– NO REFUND.
- Please note that accommodation & tour refunds will be processed within 30 days after the end of The 13rd Jakarta Digestive Week (JDW) 2018, bank charges will be deducted from the refund.
- In the event of non-arrival, the hotel will automatically release the reservation and full payment will be non-refundable.
- Late arrival/Early Departure Fee : If you arrive later or leave earlier than on the dates of your confirmed booking, the total cost of accommodation will be charged and no refunds will be issued.
Cancellation Policy
All cancellations must be made to the Symposium Secretariat by written notice. For cancellations prior to 8th September 2018, a refund will be given after deduction of one night’s accommodation. After this date, there is no guarantee that any refund can be made.
