Publishable Executive Summary The Communication and Dissemination Plan, defines the overall SHAREBOX communication and dissemination strategy. The document focuses on supporting the objectives of the project and its technical and economic impact. It sets out a series of objectives to be worked towards during the project lifetime and shows how dissemination and communication activities will contribute to achieving overall project goals. To achieve this, SHAREBOX will use a focused campaign aimed at communicating the relevant information to the appropriate communities. The SHAREBOX website will be one of the central cornerstones of the SHAREBOX communication activities. Join forces. To facilitate an efficient knowledge and technology transfer SHAREBOX will inform and involve as many European stakeholders of process industries as possible. SHAREBOX project partners will contact the stakeholders and potential cooperation partners and convince them to partner with the SHAREBOX-project. Additionally, in order to maximise the European Knowledge Area, the SHAREBOX-project will consider the results of relevant European / national past and on-going projects. The coordinators of relevant SPIRE projects and other European projects will be contacted to initiate a cross-project communication in order to improve the technology and knowledge transfer. Joint dissemination and promotion activities, their involvement in the SHAREBOX e-academy, webinars, online working groups and the SHAREBOX online partnering event are planned. Together with the SHAREBOX cooperation partners joint newsletters (2 per year), flyers, posters and roll-ups will be published. In summary, the Communication and Dissemination Plan will create effective branding, pay-offs and takeaways for the target communities. It offers completely new and innovative activities to involve the European process industry community.

Branding: Graphical templates and branding elements A set of graphical templates and other branding elements have to be designed in order to ensure a professional level of quality in terms of design and presentation in all the project documents and communications. 2. Communication and Dissemination Targets This section lists important multipliers and stakeholders of the European process industries. To facilitate an efficient knowledge and technology transfer it is absolutely necessary to inform and involve as many stakeholders as possible. A fundamental communication activity will be to contact as many potential cooperation partners as possible and to convince them to partner with the SHAREBOX-project. Together with our cooperation partners we will publish joint newsletters (2 per year), flyers, posters and roll-ups. Furthermore cooperation partners will be listed on the SHAREBOX website, information about the SHAREBOX project will be published on the cooperation partner`s websites. The list of multipliers/stakeholders will be continuously up-dated during the project. The organisations listed below in table 1, 2 and 4 have been selected from the SPIRE member list and the partner lists of other relevant SPIRE and Horizon2020 projects. The project partners will list all relevant multipliers and stakeholders they are aware of in an Excel sheet that was provided by DECHEMA. This excel sheet will be accessible in the partner area of the SHAREBOX website. The structure of the sheet is shown in Annex B. The contacting of multipliers is coordinated by DECHEMA. Each contact to a multiplier will be reported to DECHEMA to prevent double contacts.

2.1 Policy makers and funding agencies (European & national)

This category consists of individuals and groups who influence the level of the support for continuation of the investment in order to drive enhanced innovation value and improve innovation skills capacity across the value chain of the EU Process Industries. It includes those politicians, funding bodies, government departments and government agencies, whose continuing support is necessary in order to develop not only the capacity, but also the policies and standards, for sustainable and operational solutions for Process Industries. SHAREBOX needs to engage people at a very senior level rather than expecting results from raising grass root interest. This category includes both policy makers who are directly involved in the project and those with an indirect interest. Engagement will take place mainly on a face-to-face basis as an effective means to focus discussions around key topics of mutual interest and ensure clear understanding of the measures defined. Interaction will take place at policy-

related events, including but not limited to EU workshops and annual conferences. SHAREBOX partners will contribute by using their stakeholders’ contact list to approach high level people.

2.2 Science and Research Communities

Like the best viral marketing campaigns, we see that a cascade model of dissemination will be particularly effective – each step not just bringing us closer to one target group, but broadening our base into others. Industry associations play a crucial role for the dissemination of the SHAREBOX project results. 2.4 The general public

The general public will be informed about the SHAREBOX project via various journals, magazines, external newsletters, online portals and the participation of SHAREBOX partners at selected European events. An Excel sheet will be used to collect the information needed to approach these types of multipliers. All project partners will use these excel sheets to list multipliers they know. The structure of the excel sheets “SHAREBOX External Events” and “SHAREBOX External Media” are shown in Annex B.

2.5 Standardization bodies

SHAREBOX will engage with standardization bodies (e.g. ISO, IEC and CEN) and initiatives to work on Industrial Symbiosis and waste exchange issues. The communication plan will support these activities and highlight outcomes this also implies the support of event participation at standards events (e.g. TC meetings). The first contacts to the standardization bodies will be established. For example:

The feedback from these first contacts will show if the ideas and results of SHAREBOX are welcomed by the standardization body and if there are competitive approaches currently discussed. This feedback will be a valuable criterion for the final decision about the standardization body (or bodies), which should be addressed. In addition, the path to an open standard will be examined in more detail in the second project year.

Additional initiatives are intended: 1. Cooperation with European Standardization Organizations

Enhancing strategic and operational cooperation with ESOs will bring a number of benefits. A new oversight arrangement is envisaged that will review with all stakeholders the SHAREBOX standards programme and its market relevance, and will ensure that key topics of industry interest and innovation development are identified.

2. Better coordination of and between SHAREBOX partners with the ESOs, including at early stages in policy development, is envisioned for standardization to deliver the greatest benefits for the economy, society and public policy.

3. Promotion of the benefits of standards Beyond the application of standards in an SHAREBOX context, the benefits of standards will be promoted to the wider community and through the education system, the place of standards in the economy and their role in meeting the needs of process industry.

Elaboration of CEN Workshop Agreement (CWA) SHAREBOX intends to elaborate a wide range of know how (e.g. best practice experiences), that needs communication, dissemination and exploitation beyond traditional tools. The CWA is a consensus document providing best practice specifications, guidance material, and information. It reflects a consensus agreement, usable in the entire market, on specific solutions. Its elaboration is open to the direct participation of anyone with a proven interest in a specific topic. Thus related industry sectors beyond chemistry can directly contribute. The CEN workshop procedure will consist out of a kick off meeting after the business plan is set up, an interim meeting and a final consensus meeting. This means that the workshop will mainly work on a remote level and thus in a very time and cost efficient way. The finalized CWA remains after the end of the project and will be widely distributed via CEN to all EU member states.

contact to DECHEMA. Please inform DECHEMA about the contact persons you have contacted already. It is important to prevent contacting multipliers twice.

3. Communication and Dissemination tools

3.1 Website and Social Networks

The SHAREBOX website (http://sharebox-project.eu), which is considered to be one of the main communication tools for the project and its outcomes, has been designed and structured to inform target communities on key developments related to the project, with particular emphasis on the three use cases, and to the cloud computing landscape. The following rationale is a guideline for the website content:

Provision and upload of news, videos, documents by all partners;

Back-links to the project website from all the partners websites;

Building and managing of the social networks and the online communities to reach a broader audience in a cost effective way.

Figure 1 SHAREBOX Homepage The SHAREBOX web site has been developed with an open source content management system, multiple access and different user levels according to the SHAREBOX requirements. Logging into the reserved area of the website each partner has the access to a parts of the simple CMS interface in which each partner can upload a news items (i.e. news, events, a relevant press item, highlights) or reports. The website content is produced by members of the Consortium or sourced externally to ensure communities are kept up to speed with the latest Helix Nebula and cloud computing developments. Partners are directly involved and responsible for content upload and for the provision of regular feedback and suggestions on how to evolve the website layout and content focus both during project conference calls and through email exchanges via the mailing list. Official website reviews will take place in advance of each General Meeting and will be coordinated by IRIS.

All the content uploaded on the website will be publicly visible. RSS subscription feeds will be available for those users requesting regular updates on the new content. TASK: SHAREBOX partner will link their own websites with the SHAREBOX project and partnering websites

3.2 Scientific dissemination

The publications in scientific journals represent another prestigious and important instrument of presenting project results. The progress on the project will be presented in journals as shown below. The reports based on the findings and conclusions produced during the project lifecycle will be produced by project experts and be published in relevant peer reviewed journals, conference papers, lectures and posters at international conferences granting open access whenever possible. The interdisciplinary nature of the project will ensure that the project results will be published in the relevant journals from different fields to fully disseminate project advances to both technical, research and academic audiences.

3.3 Social media

LinkedIn and Twitter have proven to be valuable distribution and discussion channels for EU projects in the past. To a lesser extent, Google+ and XING (for the DACH area) may also be used. News may be posted on a regular basis to LinkedIn groups. The list of relevant online groups will be updated continuously during the project.

Additionally it is planned to establish an SHAREBOX Linkedin group and an SHAREBOX Twitter account. Both activities will be administrated by IRIS and DECHEMA. Twitter and LinkedIn activities will start as soon as publishable project results are available. The project partners will provide information about the results they want to be published to IRIS and DECHEMA. All partners will join the SHAREBOX LinkedIn group and invite members of their networks to join the SHAREBOX LinkedIn group. All SHAREBOX partners will follow the SHAREBOX twitter channel and invite members of their networks to follow SHAREBOX tweets.

3.4 Online working groups

To maximize the impact of the project, the research and development work must be in line with the requirements of industry. The SHAREBOX project therefore intends to set up Cross-Sectorial online working groups (OWG). It is planned to establish three online working groups by the end of 2016. The envisioned composition and tasks of the online working groups are described below.

The external members of the online working groups will be involved as “active observers” in the project activities. They will especially assess the transferability of concepts, methods and technologies of integrated process control into their branches.

Online working groups: 3 online working groups will be established by the end of 2016. At least two SHAREBOX partners will join an online working group. SHAREBOX partners will invite their networks to join the online working group and to actively contribute to the work of an online working group.

3.5 e-Academy (Online academy)

The SHAREBOX project partners will define scientifically and commercially relevant topics that are of interest to the European process industries in terms of potential cooperation. Specific online seminars (webinars) addressing these topics will then be offered. The aim of the first online seminars is to give an overview on the SHAREBOX project. The SHAREBOX goals, tasks, results and partners will be presented in live online lectures. Discussions will be held in advance to clarify the topics that are of interest to the European process industries. It is planned to organize two webinars per semester. The first webinar will be in September 2016. From February 2016 to end of July 2016 DECHEMA will organize telephone conferences with all partners to define the right topics and experts for the webinars. The program of the SHAREBOX-Webinars for the year 2016 will be finalized by the end of July, published and promoted by all SHAREBOX partners and the SHAREBOX cooperation partners (multipliers). Application-oriented seminars with highly focused topics will bring together experts from companies and research institutions from across Europe. These seminars represent an ideal opportunity to present products, services, research results and offers for R&D cooperations. The bias of the online seminars towards highly specialized scientific topics will increase the probability that they will attract potential cooperation partners. All presentations shown in online seminars will be recorded and made available to other potential partners via the internet. For educational reasons, the project partners will generate a list of institutes at European universities and research organizations. These institutes will be invited to join the online working groups, attend the webinars and use the recorded webinars as educational material in their curricula. Commercially relevant topics for webinars will be

IPR, contract design, joint ventures, out-sourcing, open innovation, logistics & infrastructure, R&D cooperation, technology transfer, education, etc.

Structure of online seminars To increase the appeal of online seminars for the audience, thematically similar lectures will be combined in seminars of 90 to 120 minutes. The lecture language is English. All seminars will begin at set times on specified weekdays. This procedure will enable listeners to adapt quickly to online seminars and will attract a larger number of participants. 10-minute lectures will be the rule. Only overview lectures will be allocated 20-30 minutes. Questions on the lectures will be raised after the short lectures or at the end of the seminar. Interaction amongst participants is by telephone, VoIP and chat. The discussions and questions raised in the chat sessions as well as the online surveys will be recorded and, if required, documented. To guarantee the standard of online lectures and, as far as possible, to eliminate technical hitches, lectures can be pre-recorded in words and pictures. The recordings will then be played

in the seminar in the presence of the lecturer. Alternatively, the lectures of cause can give live presentations. The advantages of recordings are:

Optimum lecture quality;

Marketing for the lecturer: the recording can be offered for download on the lecturer’s web-site;

The recorded lectures, keyworded by the lecturers, will be stored in a lecture database and can be viewed there at any time or downloaded from the Internet;

Suitable advertising for the lecture database will substantially raise the awareness level for the lecture in the European process industry community and other interested industrial sectors;

Lectures held in English will be advertised internationally, thus giving the lecturer worldwide publicity;

Seminars are easier to schedule. The structure of online seminars could be as follows:

Online working groups will be entrusted with selecting lectures to ensure a high commercial and scientific standard. This should preempt the risk of excessively promotional lectures whether from industry or research institutions. For quality assurance purposes, brief feedback surveys with up to ten questions will be conducted after each seminar. The form and content of seminars will then be adjusted to the needs of the audience. DECHEMA will provide access to the webinar technology needed to organize and record the webinars. Set-up of the lecture database All lectures held at the webinars will be pre-recorded or recorded during the online seminar. To permit tailored selection of lectures, lecturers will keyword their contributions using a keyword index compiled by the SHAREBOX partners. Besides an abstract of the lecture, lecturers will additionally define their own search terms for their lectures. Lectures stored in the lecture database will be freely available to those interested. To access the downloadable lectures (videos, pdfs, ppt-presentations), it is necessary to register once with the postal and e-mail address. This will generate a pool of interested persons who can be targeted for future seminars, as lecturers or as potential cooperation partners. The lecture database will be accessible via the SHAREBOX website in a dedicated on-line training section. The number of downloads will be reported in the final communication report. All webinars and the lectures given there will build the SHAREBOX e-academy. Post project activities The SHAREBOX online working groups and the SHAREBOX e-academy are promising and innovative activities that are able to raise awareness even beyond the end of the project. Therefore it is discussed to offer the SHAREBOX e-academy even after the project end, provided that the SHAREBOX partners and project partners of other SPIRE projects are willing to support this.

Webinars: Project partners will suggest topics and lecturers for at least 3 webinars per year. A webinar will last between 60 and 90 min. A moderator and 2-4 speakers per webinar have to be suggested by the members of an online working group. Alternatively the members of an online working group can give the presentations themselves. All webinars will be coordinated by DECHEMA. TASK: SHAREBOX partners will promote the event, will identify potential speaker and provide contact details or give presentations themselves

3.6 Online partnering: Effective promotion of SHAREBOX results and initiation of

cooperation

Never before it has been so important to identify, contact and meet customers, potential cooperation and business partners quickly and efficiently. This, however, turns out to be more and more complicated and time-consuming. Therefore today’s challenges to be considered are:

Domestic markets, resources and know-how are limited

Economy is getting more and more global and complex

International cooperation is essential both for successful research and for economic activities

Time-to-market has to be reduced

Time and money are scarce in all organizations SHAREBOX will help companies and research institutions to establish fair, integer, mutually beneficial and sustainable cooperation and partnerships by organizing the first online partnering conference for the European process industry. Eco-friendly: reduces travelling and CO2 production This online event will reduce time-to-market for new products and services without requiring a lot of time and money. The online event offers perfect ground for image presentations of interested SHAREBOX partners, partners of other SPIRE and HORIZON2020 projects and at the end of the day to all European companies and research institutions being active in this field. The establishment of this online partnering event will be a ground-breaking step for the European process industries. The first online partnering event is planned for September 2017, followed by two more online partnering events in September 2018 and 2019. The events will take place if the additional costs per event arising from this activity (10.000 Euros) can be covered by sponsors. In this case there will be no extra costs that have to be covered by the SHAREBOX budget. DECHEMA will organize the online partnering conferences. This activity will be one of the project´s major dissemination and promotion activities. How does online partnering work? European companies, research institutions and organizations interested in cooperation will be able to register to the event using internationally used classifications, project-specific

classifications and their own keywords. Special online forms will be used to present not only cooperation and technology transfer offers and requests, but also products, services, scientific and technological needs. Those seeking cooperation will search on the level of companies and research institutions or make a targeted search for experts and offers. The SHAREBOX online partnering conference is an opportunity to present cooperation sought or offered in live online presentations. In advance to the conference and even during the online partnering conference, online meetings with conference participants will be arranged with little effort. The integration of a web conferencing platform in a partnering database will facilitate bilateral partnering discussions independent of time and place in private, SSL-protected online meeting rooms. A cross project online partnering conference guarantees a close linkage between various projects and industry communities. The critical mass of partnering participants can be achieved more easily. This helps to identify and contact potential cooperation partners more efficiently. Post-project activities It is planned to organize online partnering conferences for the European process industries annually after the end of the project. TASK: The SHAREBOX online-partnering conference will take place in September 2017. Partners will extensively promote the online partnering activities and join the partnering activities themselves

3.7 Internal Events

SHAREBOX results will be presented on four onsite events being organized by SHAREBOX partners and on up to 20 different European events via oral presentations given by the SHAREBOX partners and, if possible in specific SHAREBOX sessions.

3.7.1 SHAREBOX onsite events

Three SHAREBOX onsite events (dedicated SHAREBOX events) plus the final project conference will be organized. In order to attract as many participants as possible SHAREBOX events will be organized in parallel to the European conferences and trade fairs.

3.7.2 SHAREBOX Roadshow

An important way to make the project known is to ensure that SHAREBOX results are presented at events where possible target audiences attend. The project shall actively be presented by the partners at major events and conferences. The list of target events will be defined by end of April 2016 and will be regularly updated. The project partners, coordinated by DECHEMA, will contact the most relevant European events (see event list) and persuade the event organizers to offer presentation slots or even whole sessions for the presentation of SHAREBOX results. The goal is to get presentation slots at 20 European conferences during the next three years. For this kind of support SHAREBOX will promote the supporting events on the SHAREBOX website, during SHAREBOX webinars and in the SHAREBOX newsletter. It will be necessary to continuously monitor and identity dissemination opportunities, to set the criteria for participation in these events and to decide which events should be supported and which communication/dissemination tools should be used. SHAREBOX partners will make sure to distribute publicity material at those events and, where possible, to make presentations. All partners will keep track of the events they attend, and a complete list will be reported in the periodic and final awareness-raising and dissemination report. It is important to notice that the list is neither exhaustive nor mandatory. The following events have been recommended by the SHAREBOX project partners. This list will be up-dated continuously. All the partners will contribute to the list of upcoming European and national they know and where they plan to participate with relation to SHAREBOX dissemination and report it to DECHEMA and IRIS. In addition, all participation in an event needs to be reported by the project partners. The structure of the Excel sheet “SHAREBOX External Events” which will be used to gather information about events is shown in Annex A.

TASK: Partners inform DECHEMA which events in 2016 they plan to attend. DECHEMA will contact the event organizer and try to arrange barter deals. All partners will receive a set of SHAREBOX information material that they can distribute at the events they attend. SHAREBOX roll-ups will be sent directly to those events. SHAREBOX partners are responsible for positioning the roll-ups at the best and most visible place possible

3.8 Promotional Material

Actions and activities discussed below create awareness and promote information about the project, its aims, its funding source, its outputs and impacts, as well as the wider societal implications of the proposed SHAREBOX project, results and impacts. These activities ensure that the entire target audience for the SHAREBOX project will be informed. Flyer Flyers will be produced and sent to all project partners by the end of M6. Partners will inform their networks about SHAREBOX at least twice a year, or if possible even more often, using the provided flyers. In addition to the SHAREBOX flyer it is planned to produce a second flyer. This flyer will present all cooperation partners, other projects, networks, universities and associations with a short meaningful description. The partner´s mailing activities will be reported to DECHEMA so that it will be possible to get an overview on how many stakeholders have been contacted already. Additionally, printed flyers will be sent to events and included in the conference bags and/or presented on the publication tables offered by the event organizers. This of cause will be only the case if it is possible to convince an event organizer to be an SHAREBOX supporter. SHAREBOX will offer supporting event organizers the opportunity to promote their events on the SHAREBOX website, the SHAREBOX webinars and newsletters. Cooperation with other SPIRE projects Join forces. DECHEMA will contact other SPIRE projects (e.g. ProPAT, IbD, Symbioptima, Maestri, …) and suggest the development of a joint projects flyer. This flyer will inform about the different projects and will be distributed by the project partner of all cooperating projects. This will have a very positive effect on the outreach and coverage of the project results.

Commercial posters, banners, roll-ups and conference posters To be able to present the SHAREBOX results at even more European events we will develop Commercial posters, banners, roll-ups and conference posters that will be sent to cooperating event organizers. They will display the SHAREBOX information clearly visible at their events. SHAREBOX partners attending these events will make sure that the SHAREBOX posters/banners/ roll-ups are displayed efficiently. After the events the event organizer or the SHAREBOX partners will send back the SHAREBOX promotion material to DECHEMA. The set of laminated conference posters will be updated as soon as new project results are obtainable. The lamination of the posters ensures that the posters can be used a couple times. Newsletters A newsletter is a tool to inform relevant target audiences about the evolution of a project. The newsletter is planned as a joint activity of different SPIRE projects (ProPAT and IbD). Two newsletters per year (April / September) will be produced and distributed. News items will be issued regularly in order to report about SHAREBOX deliverables, webinars, online working groups and events where SHAREBOX will or has presented important findings, etc. The project newsletter will:

provide a flexible structure with short key messages in the first 1-2 pages, with interactive links to the more detailed information;

use a pdf format which allows to place it on the project website as downloadable pdf files and also for direct mailing;

ensure a professional level of quality in terms of design;

make sure the project partners shall be involved in the content development. Exciting project results will be provided by all project partners one week before the newsletter is going to be send at the latest.

Newsletter development stages are as follows: 1. The content for the newsletter is provided by the project partners. A first draft of the

newsletter with the proposed topics and ideas is sent to all project partners for their comments and suggestions.

2. A final version of the newsletter is prepared after proofreading and editing and placed for partner’s approval.

Newsletters will be published twice a year (Responsible IRIS and DECHEMA). The next newsletter will be sent in April 2016. Up-coming publication dates of newsletters will be April 2016, September 2016, April 2017, September 2017, April 2018 and September 2018. Finally, when relevant, the SHAREBOX project will contribute to the SPIRE monthly newsletters by providing inputs on the project results or progress or any other relevant project information. The address list (title, first name, name and e-mail) of potential SHAREBOX newsletter recipients has still to be compiled. At the moment there is no official SHAREBOX mailing list available. Three ways are possible to solve this problem.

The final newsletter text is sent to all SHAREBOX partners. The partners guarantee that the provided information is sent to their networks in due time.

All partners generate a list of potential SHAREBOX newsletter recipients. These lists will include title, first name, name and e-mail address. All lists will be sent to DECHEMA. The lists will be merged, checked and doublets will be eliminated. This list will be used for SHAREBOX e-mailing activities only. DECHEMA will not use this list for its own purposes

nor will DECHEMA provide this information to third parties or any other project partner. After the end of the project DECHEMA will delete this list.

SHAREBOX partners will send the SHAREBOX newsletter to the members of their networks. Additionally, DECHEMA will compile a list of recipients that have registered for the SHAREBOX newsletter, the onsite events, webinars and online partnerings. This list will be used for the newsletter e-mailing campaigns.

One of the central goals of SHAREBOX is to link to other SPIRE projects to be able to promote project results in other project networks as well. DECHEMA is in discussion with other projects like ProPAT and IbD. The idea is to establish a newsletter that could be used by several projects, provided that the commercial and scientific groups the projects want to approach are quite similar. This will lead to a more fruitful interaction between different project networks and prevents spamming. It is better to get one good newsletter than to receive three and more less meaningful ones. A single newsletter for several projects would be a good step to a closer cooperation and knowledge exchange between different projects. Another activity will be to contact multipliers like associations, scientific societies, networks and online media. Multipliers normally have their own newsletters. To outreach to their networks it would be extremely helpful to provide SHAREBOX information that is published in different multiplier newsletters. A list of “external newsletter providers” will be generated by end of May 2016, relevant multipliers be contacted by end of June 2016. Goal is to convince at least 20 multipliers to promote SHAREBOX results in their newsletters. All SHAREBOX partners will promote the SHAREBOX project in their newsletters. Additionally they will send the dedicated SHAREBOX newsletter twice a year to their networks. The partners newsletter mailing activities have to be documented in an excel sheet that will be freely accessible in partner area of the SHAREBOX website. DECHEMA will receive all newsletters that have been send by the SHAREBOX partners in cc.

3.9 Press and media

To ensure visibility within the target stakeholder communities, a pool of relevant media channels and journals has been sourced as potential channels for dissemination aligned with the target groups and the expected project outcomes. This pool spans from policy-focused channels, research and technology channels, as well as business and industry channels. WP7 will also make sure that all the partners will exploit at their best their own press offices and media channels in order to create the right visibility for the project outcomes. Moreover WP7 leader will be responsible of establishing contacts and media partnerships with media channels and specifically with journalists and individuals. Dissemination of the project results will occur via events, professional journals and social media. DECHEMA disposes of an up-to-date distribution list of scientific, trade and professional journals as well as popular media in Germany and Europe. Press releases will be published as soon as exciting new project results are available or important milestones are achieved. Project partners will provide press releases describing their latest results and send their press releases to DECHEMA. Furthermore DECHEMA will contact representatives of these media and try to convince them to support and promote the SHAREBOX activities. The goal is to convince at least 10 media multipliers to support SHAREBOX. The following DECHEMA list shows media that focus on process analytics and automation. The media listed below and others, still to be provided by the project partners, will build the basis for the acquisition of media cooperation partners. SHAREBOX partners will provide information about the print and online media they are aware of by the end of April 2016.

4. Impact This section describes the different levels of visibility in relation to SHAREBOX and how they will be monitored and measured according to the mechanisms put in place, including monitoring the business models defined and promoted by individual partners.

4.1 Strategic Innovation

SHAREBOX breaks new ground in terms of new business models. It is therefore important to ensure effective communication. Impact reporting will draw not only on the strategic importance of these breakthroughs at project visibility level but also in terms of synergies that will help to bring the advantages to bear. Such synergies are expected to include reports and events that focus on cost savings and innovative work. Impact will be measured through close liaison with the relevant stakeholders. For internal stakeholders, particular attention will be given to the related milestones and outputs. To the external ones, SHAREBOX will source pertinent projects and reports that can be used as back-up evidence to its claims, particularly where important breakthroughs have been made. Interviews will be used in both cases to draw out the value-add and to help convey effectively to EC policy makers.

4.2 Annual and Bi-annual performance measures

Impact is measured through quantifiable indicators, often referred to as Key Performance Indicators (KPIs). Defined indicators are valuable in measuring impact of the communication and dissemination activities and should be revisited at important ‘check points’ in close

collaboration with the project management to reflect outcomes as SHAREBOX evolves. Coordination of activities is important to achieve this measurement. The tables below provide the set of indicators chosen for SHAREBOX, suitable also for reporting on project progress. Visual evidence includes screenshots (e.g. press clippings) and graphs (e.g. web stats). The indicators, which are divided into three key categories, have been defined at month 3 and monitored during the project lifetime. To efficiently adjust the communication activities of the project, the following metrics will be used by the project:

The purpose of the related indicators is twofold: ensure the website and social networks are dynamic through regular updates; develop and monitor the SHAREBOX community. Website impact will be measured with Google Analytics. The impact of the website will be monitored on a quarterly (monthly and then aggregated) basis in order to verify visibility achieved and define corrective actions where necessary. This quarterly analysis will take into account general trends rather than provide a detailed account. The two annual analyses will take into account all the web statistics that help to measure the success of SHAREBOX. These results will be included in the project newsletter.

4.3 Media impact assessment

In addition to the quantitative success indicators listed above, qualitative analysis of the dissemination plan actions will be produced.

Articles and references of SHAREBOX on the web.

Invitations to events: visibility of the project as a result of the dissemination strategy will be assessed. Receiving invitation to participate in big events is considered a successful outcome; this will occur after the first semester of the project following the first finding which will be published.

Invitations to interviews: as above, invitations to key participants for interviews on the progress of the project and achievements signify greater visibility and acceptance of the project by the wider scientific community.
