Solo and Ensemble Adjudicated Events
Guidelines I. Directors A. You must be a member of OMEA in order for your students to participate. All details regarding membership are available on the OMEA website. You must show your current and updated membership card to register for any adjudicated event.
B. Pay fees on time! You will not receive your schedule of events until you have paid all fees and returned all paperwork.
C. Director must be present at the event if students are performing.
D. Take care of special requests as far in advance as possible. Time requests should be included with registration info.
E. Listen to all students prior to contest day.
F. Double-check numbering of scores. Piano scores are not acceptable as ensemble scores.
G. Check the current listing for proper cuts and movements. If the work is still too long, make appropriate cuts without changing the difficulty of the piece.
H. Develop an “educational plan” for the students. Possibilities may be a listening checklist for the day or an evaluation form that covers things like performance room events, i.e. tempo, key changes, styles (instead of an evaluation which takes the place of adjudicator comments). Be creative, and then share with your fellow teachers!
I. Be aware of fees for each event, especially in consideration of the changing fee structure for the upcoming years. II. Preparation
A. Review all OMEA rules and policies with all students prior to contest day, reminding them that OMEA can deny the right to perform for those schools and/or students which do not follow policies.
B. Review all scale requirements (including number of octaves) with all performers.
C. Address/explain proper behavior and expectations with ALL students prior to contest day.
D. Try a “sample run-through” with performers, including things like entering performance area, set-up, leaving a performance area, and audience behavior.
III. The Performance Day A. Homerooms
1. There must be a parent chaperone in the homeroom at all times during the day. If not, that school will lose homeroom use.
2. Do not touch or disturb any room items or equipment, including the chalkboard!
3. Return room furniture back to original position before leaving.
4. Bring stands for rehearsal use.
5. Keep door shut when students are singing or playing.
6. Monitor windows so that no students are hanging out or that nothing is thrown out.
7. Remind students to stay inside building. 8. You should arrive at the school venue approximately 1 hour before your first performance event. If you are at
8 – 8:30 am, you do not need to arrive until 45 minutes before your performance time. 9. Directors are the only ones permitted to pick up rating sheets. The rating sheets will be placed in a folder in
the Homeroom for you to pick up. If it’s not in the folder, your director doesn’t have it.
10. Be sure that you have the adjudicator’s score numbered consecutively.
B. Performance Rooms
1. Be quiet while adjudicator is writing during breaks between events.
2. Never enter a closed door! Only enter and exit when door is open.
3. Set-up quietly.
4. Do not play or sing prior to performance, except for soft tuning.
5. Do not use the performance room to rehearse!
6. Teach proper posture and playing/singing positions, as well as set-up placement for ensembles.
7. When possible, a director should be present inside room for the performance.
8. Assign an ensemble spokesperson to communicate with judge and collect judge’s copy after performance.
9. Be courteous to other groups. For example, if waiting for an accompanist, allow the next group to perform. C. Cafeteria/Commons
1. Keep all food in cafeteria. No food or drink should be in any other part of the building, except for water.
2. Leave tables clean.
3. Dispose of all trash correctly. 4. Ratings are generally posted somewhere around the cafeteria/commons area.
D. Hallways 1. Be quiet and courteous! Do not play or sing in hallways for any reason!
2. Do not enter room unless door is open.
3. Walk to your rooms. E. Apparel
1. Reinforce to your students that this is a performance day, and they must be dressed in proper attire for the complete day, not just for their performance time! Students should not be changing into things like pajamas, sweats, or things inappropriate for typical school dress codes.
2. Shoes must be worn at all times. Remind students to wear comfortable shoes. Students should not be barefoot at any time.
F. Electronics 1. OMEA rules strictly prohibit the use of any cameras or recording devices at all events, including cell phones,
picture phones, and other electronic devices.
2. Cell phones must be turned OFF. G. General 1. It is against OMEA Rules and Regulations to discuss ratings with an adjudicator. If you would like to discuss
a rating, please contact your director.
2. Medals will be available for purchase from your director. Make checks payable to HIMA in the amount of $4 per medal.
Make the solo and ensemble experience one to remember for everyone! The better prepared you and your students are, the better the performance day will be!
ADDITIONAL EVENT INFORMATION - 2018
MAIN ENTRANCE ❖ The main entrance to GlenOak High School is Door #17 which is the Cafeteria Entrance on the 2nd floor – All
homerooms are located on the 2nd floor which is accessible through the main entrance (at the cafeteria). The contest
office is located in room C201. C201 is located on the second floor along the main hallway.
❖ If parking in the student lot, it would be best to enter in the second floor doors (Entrance #17) which brings you
in at the Commons (cafeteria).
PARKING ❖ Bus/Equipment Truck Parking – Faculty Parking Lot
❖ Public Parking – Student Parking Lot
EQUIPMENT UNLOADING ❖ Percussion equipment may be unloaded at Door #7 near the library off Schneider Street. All percussion events
are located in this area of the building. Percussion should be stored in the percussion warm up room, the Black Box
Theater- P122 .
❖ Once equipment is unloaded, all buses/trucks must be parked in the faculty lot which is accessible by exiting left
onto Schneider and immediately turning left back onto GlenOak property.
CONTEST OFFICE ❖ The contest office is located in Room C201. All directors need to check in upon arrival .
HOMEROOMS ❖ All schools are provided a homeroom on the 2nd floor which must have a chaperone present at all times. Please
remind your students that rooms must be kept clean and any equipment in the room should be left alone. Food and
drinks are prohibited in the homerooms, hallways, and performance areas (with the exception of bottled
water).
❖ Please turn in a list of your chaperones to the contest office in C201 upon arrival . A template is included.
❖ Homerooms will be checked throughout the day. Should your homeroom found to be unsupervised, you will lose
your homeroom privileges for the remainder of the day. This is only because of the increasing problems occurring
year after year at OMEA events with items being stolen, broken, or general abuse of the host school facilities.
PERCUSSION/PIANO WARM-UP ❖ The percussion storage/warm up room located in P122- the Black Box Theater. Percussion students
ONLY will be permitted to use this space as a warm up, and no one is permitted to play any percussion instruments
outside of this space unless in a performance room. Please plan to check on any students you may have using this
room regularly we will have a room monitor throughout the day but it is ultimately your responsibility to make sure
your students are following the rules and respecting the equipment.
❖ The piano warm-up rooms are P129 and P130.
COMMENT SHEETS ❖ Directors may pick-up comment sheets/certificates in Room C212/213 (across the hall from the event office).
Students are not permitted in this room. Comment sheets will be placed in your school folder when they have been
processed.
MEDAL SALES ❖ Medal sales will occur outside the Commons (cafeteria) on the second floor. Students no longer need to bring
their certificate in order to purchase. You may also order medals through the OMEA vendor with the order form
provided in your school folder.
RATINGS ❖ Ratings will be posted in the commons (cafeteria).
FOOD/DRINKS ❖ Food and drinks will be sold throughout the day in the Commons (cafeteria) on the second floor by our boosters.
Prior to lunch, donuts, juice, and coffee may be purchased at the concession stand in the commons. After lunch,
snacks will be available for purchase in the concession stand. Concession sales will end when most events have
concluded, around 5:00PM.
SAFETY/SECURITY & CLOSED AREAS ❖ Be aware that GlenOak houses a branch of the Stark County Library which is accessible to the public next to the
Theater. We plan to have an event staff member posted at the library doors so the library is not overcome by
students wishing to “hang out.”
❖ The main and auxiliary gyms are closed and off limits.
❖ The Stark County Sheriff’s Department will be on hand monitoring the building all day.

Dear Fellow Music Educator, Plans are progressing well for the District 8 Solo and Ensemble Adjudicated Event to be held Saturday, January 20th 2018 at GlenOak High School. I’m looking forward to having you and your students join us for what will hopefully be an educational and enjoyable day of fine musicianship. With this email, please find several items to assist you as you prepare for your day. They are as follows:
1. A map of GlenOak High School indicating parking facilities, building entrances and homerooms/performance rooms.
2. A list of percussion equipment provided by GlenOak HS. 3. An important information sheet with further details about our facilities, warm up spaces,
homeroom expectations, concessions, parking, etc. 4. Cancellation sheets
Building doors will open at 7:30am. Please note the acceptable parking areas designated on the attached maps. Equipment trucks are permitted to temporarily park in our lower lot by Door #7 to unload and reload percussion equipment, but all other traffic needs to park up by Door #17, the main entrance. It is essential that you follow these guidelines and share this information with your students. Directors are to check-in at the Event Office (noted on map) upon arrival. You do not need to show your OMEA/NAfME membership card. Any cancellations from your school should be reported when you check-in so that adjudicators can be made aware. Please make sure you have the performer ID number. This year’s event has 779 entries. With the large number of participants, scheduling conflicts are bound to occur. These should be worked out with the adjudicators of the rooms involved when you arrive. One easy solution is to switch times if you have another student performing in the same room at a time that avoids the conflict. Taking a cancellation spot is another easy solution. Judges are very understanding about resolving these conflicts and will often squeeze students in. I realize that large ensembles (especially chamber groups) always have conflicts! Ninety percent of these conflicts can be resolved on the day of the event. Please don’t contact the site chair unless there is a situation that you feel absolutely can’t be resolved on the day of the event. Every attempt was made to honor special time requests, but it is important to understand that it is logistically impossible to honor them all. Comment sheets may be picked up by directors only in room C212/213 (noted on the map near the event office). Ratings will be posted in the hallway outside the concession area on the second floor. The map also shows where medals can be purchased and food will be sold. Please encourage your students and families to support the host school by eating at our site. Rules and Student Expectations Every student and teacher has spent countless hours preparing for their performance. It is only logical that we attempt to provide them with a quiet and organized environment in which to achieve their best. Therefore, the following rules will be in effect: Attendees must maintain order and quiet in the performance and concession areas. Please inform your students that any rowdy or disruptive behavior will result in the removal of those
individuals from the building. It could also result in the disqualification of the entire school. Please review the OMEA rules & regulations regarding conduct at competitive events. Also remember that audio recording or photography of any kind is not permitted in the performance areas. Soloists and ensembles must provide the adjudicator a complete, original score with all parts notated. A single part for an ensemble is not acceptable. All measures must be numbered consecutively. A penalty of one rating will be levied for failure to comply. The use of photographed or otherwise reproduced copies of the published music, without permission of the publisher, is in violation of copyright laws. In cases where scores are out of print the director may secure permission from the publisher to reproduce the scores. The director should present a letter of permission from the publisher or music dealer to the adjudicator. Event Duration and Scale Requirements Total scheduled time for instrumental events is 10 minutes and vocal events is 8 minutes. Directors should make appropriate musical cuts as necessary. Performers must perform scales from memory. Scales are to be played evenly and smoothly, ascending and descending one octave, except soprano clarinet and piano. These instruments will play each scale two octaves. A comprehensive list of scale and rudiment requirements can be found in the Adjudiciated Events portion of the OMEA Member Portal.
