others.

This software is often cloud based and no longer

installed on your local machine. And you’ll see that

there is no such thing as “one solution” that will

of solutions may be necessary, according to your

individual circumstances. We refer to this potpourri as

the “toolbox”, because it actually makes much more

sense than calling it a potpourri.

resolving your own specific issues – but let us help

The following list is highly curated and not at all

complete. It isn’t intended to be.

A note on “free”

Most of the tools we’re recommending have a free

plan or at least a trial version for checking them out

for free. However our general recommendation is not

to be cheap. Once you realize that they’re benefiting

you and your vision, switch to a pro plan so you can

help to sustain their development. Value yourself and

your services by working within the best framework

possible.

There is no real “free” anyway. No software developer

can build a sustainable product without paying for

the roof over his head. So if a project claims to be

100% free - ask yourself how they pay for that roof.

Understand how they make money, and you’ll be

happy to spend $10 here and there for the tools that

your business is based on. And if you believe in Karma,

give back and you will in turn receive.

The following recommendations will save you

precious hours every month, some can even save you

an entire employee. Outsourcing your capacities to

proper software is the first step in dedicating more

time towards your true gifts, rather then devoting

it to management and technology. This is not only

returning the investment on your motivation, but also

Let’s start with the fundamentals. Your online

headquarters. And, first of all, your website.

There’s a good chance that you already have one. If

so, see the following chapter as an opportunity to

review the decisions you made back then. Are you set

up properly for the long run? Or do you have to adjust

some screws?

Feel free to skip this section if you’re already super

know the nitty gritty of Content Management Systems

(CMS), hosting, domain and email handling. We get

more coaching specific and less technical later on.

If you don’t have a website yet, get one. See it as

the first step of committing more to your coaching

business and directing your energy there.

You hold the space on your personal site, the way you

do in a coaching session. People from around the world

can visit your space and can immediately pick up on

your vibes, and decide whether they like your approach

or not.

Don’t rely on other platforms for spreading your

message. “Own the racecourse” is a metaphor we like

in that context: have people come to and like your

headquarters – rather than rely on a service by a third

party that could be shut down any time. Resist the

impulse to share your insights exclusively on Facebook

and the like. Share and archive your insights on

something you own.

Without a doubt, the preferred way to go is to hire a

professional who will build you a website based on

WordPress. While some [insert emerging nation of

your choice here] dude will help you do so for a couple

of hundred bucks, prepare to spend a 4 digit amount

for a proper service that includes consultation. The

complexity of the design and amount of consultation

will shape the price. You probably invested thousands

of dollars in various schools, workshops and teacher

trainings to become the coach you are today. Don’t

scrimp on the website part, it’s crucial for your

business, becoming an authority in your field and

building your own following.

If that’s still too steep for your wallet right now, and

you are tech savvy enough, install a WordPress on your

server and get a theme that you like. Themeforest has

plenty of amazing ones.

If it’s a case of inadequate tech savviness and the lack

of a proper budget, the best thing is to prepare for

one day getting a professional to build you a website

based on WordPress. This means not using the typical

site builders like Wix, Weebly and Squarespace, but

starting out by building your site on WordPress.com.

Wait, so what’s the difference between WordPress and

WordPress.com? WordPress (or WordPress.org) is the

famous open source content management system and

blogging software. Free for everyone to set up on their

own server, and modify extensively at will.

WordPress.com is like a preinstalled WordPress.org,

which offers somewhat fewer customization features.

address in the free plan, so you have to pay for using

your own domain. It’s comparable to blogger.com or,

to a certain extent, to other site builders. However it

has many benefits compared to others:

q You’re learning to handle the most popular

and powerful platform out there. While being

a bit more complex than others, the learning

curve isn’t too steep, and there is very good

instructional documentation all over the

internet.

q Your site can be migrated to a self-hosted (full!)

WordPress site at any time.

q You can export your site in various formats, and

will always be able to do something with your

data. Simply because of WordPress’ open source

nature and wide adoption.

q WordPress is highly adaptable in case you want

to grow your coaching business in the future

with online courses, ebooks, etc.

WordPress.com offers a generous free plan. Paid plans

start at €80/year.

You can skip this section if you’re going for the

WordPress.com option, as this includes the hosting

aspect. Same if you go for one of the other site builders

that you shouldn’t use (in that case read this again in

6 months time, because you’ll see that you need it by

then).

If you are looking for a self-hosted WordPress, or

a website that you own, based on another content

management system, you do need a web hosting

package. That’s basically renting a part of a hard drive

from a computer which is attached to a fast connection

and is always online (also known as: server). You could

also rent the whole computer, but in most (of our)

cases that’s not necessary. Let’s have a look at some options that are suitable if

you’re not planning to build the next Facebook.

site5 – shAred hostinG for Your first stePs

In case you’re just about to start out, are on a smallish

budget and don’t expect thousands of visitors per day

on your site, a so-called “shared hosting plan” usually

suffices. There are many providers out there, and

finding a good one is really difficult. Also because most

reviews are heavily influenced by commission payouts.

We’ve had tremendously positive experiences with

Site5.

Their price is at the lower end of the scale and can

compete with some of the big players we don’t usually

recommend (Hostgator, Godaddy, Bluehost). The

difference is that Site5’s customer support is very

personal, fun, and helpful. Additional benefits: you can

choose the location of the server, and can therefore

have it close to your target audience, meaning faster

loading times.

Based on our experience, a WordPress installation on

Site 5 performs better than on competitors in their

price range.

If you’re a bit established and have a higher budget

available, it pays off to invest in faster loading times

(Why? Read our blog post about it!).

Flywheel offers managed WordPress hosting. So every

account comes with a preinstalled WordPress and

is optimized for exactly that software. Their whole

infrastructure is optimized for WordPress, which

makes a huge difference compared to shared hosts. It

also includes nice features like daily backups, staging

sites, and admin collaboration. They are totally playing

in the same league as WPEngine and Pagely, but are

cheaper and, in our opinion, easier to use.

Plans start at $15/month and add-ons like encrypted

transfer (SSL) and content delivery networks (CDN) are

really affordable too.

same time is (b) maintaining it and guaranteeing its

WordPress and its plugins up to date, and backup

regularly. Higher priced plans also include a certain

amount of our time each month for small fixes and

modifications, which we offer proactively.

Some of the above-mentioned hosting providers also

want to sell you domains. It’s however considered best

practice to have domains and web space from separate

providers, for a variety of reasons. Including:

• easier to change one or both of the providers

• harder to get hacked

• providers are usually good at providing one of the

two services, but it’s rare for them to be good at

both

For your email there are best practices similar to those

for your domain: ideally you have a provider who’s

focused on providing email, and is not just treating

it as an upsell. While almost all hosting packages

theoretically offer email, its quality is not as good as

with, let’s say Google Apps. Google Apps stands out

when it comes to things like: Certificates (so you’ll

rarely end up in spam folders), admin interface, spam

filtering, third party integrations, etc.

Of course if you’re planning to remain a solopreneur,

you can just have a Gmail account and have almost all

the advantages of a professional offer. However if you

want to tie your domain to your email, or want to build

a team, you need either Google Apps or one of their

competitors. While Google Apps costs €4/user/month,

its main competitor Zoho starts with a free plan,

but with less functionality and an inferior interface.

rely heavily on email and spend a lot of time in our

A note on A fAMous workAround:

Forwarding your emails from your webhoster or domain provider directly into a

Gmail account is not considered reliable anymore! We and many of our clients

had to learn this the hard way (emails got lost). The recent version of the hosting

provider’s documentation should mention that (but who ever reads that?). If you

want to go down a similar road, you’re better off setting up a POP3/IMAP account

in your hosting cpanel, and fetching mails from there with your Gmail. Get in

Wait, “digital products”? Yep, that’s what the

following section covers. It can be an ebook, an

online course or, with some interpretation, even a

consultation session. However this section focuses

on the selling process. If you’re all about selling

consultations, the booking tools might do a better job

for you. If you’re all about online courses - there’s a

section for that too. So the following tools are best for

either simply selling ebooks, or if you sell all sorts of

things (ebooks, coaching sessions, courses) and want

all of them to go through one channel.

GuMroAd – As siMPle As it Gets

We adore simplicity, that’s why we can’t miss an

opportunity to recommend Gumroad. It’s so easy to set

up that anyone can literally start selling stuff within

minutes. It handles all the credit card gateway magic

for you and simply puts the money you make into your

bank account. While this sounds a bit too self-evident:

it’s not always that easy.

The downside: it’s not cheap. They want 5% of what

you make, plus 25 cent per transaction. Which, if

you’re selling a high volume, can be a ridiculously high

bill per month. Advantage: you don’t have to pay if

you don’t sell anything, which is great for when you’re

starting out.

sendowl – for hiGher voluMes

SendOwl jumps in where Gumroad ends. Their pricing

model is monthly subscriptions, starting at

$9/month. That can be a huge money-saver compared

to Gumroad. We did the maths for you: If you expect to

sell products for $200 or more per month, SendOwl’s

entry plan is cheaper than using Gumroad.

Feature-wise it offers everything you could wish for:

real shopping cart checkout, subscriptions, affiliate

programs, PDF stamping, storage and streaming...

While being so advanced, SendOwl is still relatively

easy to implement, even for non-developers.

If what you’re selling is tied to an appointment, which

obviously is the case for many coaches – there’s

software for that. In fact, plenty.

Let’s start our comparison with the big player:

ScheduleOnce. Formerly known as meetme.so,

they’ve been around since 2006 and therefore have

the most solid product out there. It’s being used

by big companies and the features reflect that:

everything you could possibly think of for scheduling

appointments is possible. This includes: reminders

and follow-ups, conditional booking, reports, website

integration, pooled availability, and more. Also

integration to Customer Relationship Management

Systems (CRM) like Infusionsoft or other software like

GoToMeeting is possible.

But it has its price: there is no free plan, and the plans

below $19 have almost none of those possibilities.

one that shows nicely how it should be done, and

therefore has inspired many copycats.

In case you’re wondering: that’s the one we’re using.

We’re not hardcore users as we’re not selling phone

calls per se. Booking us is more part of our project

acquisition and something we need a couple of times

during an ongoing project. Not the major feature of our

services.

And for anyone with a similar approach,

youcanbook.me might be very interesting. They throw

almost every feature into the free tier. Even accepting

credit card payments. So much is possible that we

sometimes wonder how long they’ll be able to keep

it up like that. The only motivation for switching

to a premium tier, starting from $16, would be the

facility of collaboration with others (more users,

more calendars). Plus automatically sending out

appointment reminders, which is not possible in the

free version.

The free version also allows quite a few design options

and therefore can be better looking than some of the

more professional solutions. Only the options pages

in the backend are a bit confusing and not very well

thought out.

If you want to keep your costs low, don’t have to

manage more than 10 bookings per week, and

choice.

One of the typical requirements of coaches is having

the ability to create their own online course. And

it’s a great to have one: online courses usually work

very much like products – once they’re finished they

don’t take up your time anymore. Theoretically of

course, because you will be tweaking and improving

your course over time. But it doesn’t make that much

difference (compared to a coaching session) if 10

people purchase it or 1000. Given that you’re using the

right tools. That’s why we’re here.

One famous Udemy competitor is Kajabi. They follow

a different business model and don’t act as a platform

for browsing the way Udemy does. They offer a tool for

you, the creators, and also leave the marketing up to

you. No overview of available courses, no community

across everything.

And for that reason Kajabi feels a bit more advanced.

For people who already have an audience. However

your Udemy course will only skyrocket if you drive

your own audience there. But there’s another thing

that makes Kajabi “pro”: Its price. Starting at $99

udeMY

Udemy has grown to be a platform on its own during

the last few years, and you have probably stumbled

on it before. It’s huge and you can learn about (and

offer) almost everything. As with many of the new

platforms the main target audience seems to be tech

people (“Learn how to use Google Analytics properly”)

but lately Udemy seems to have made its way into

mainstream and therefore more general topics.

It’s simple to set up an online course there.

Technically speaking. And you can offer the course for

free or charge money for it. The nice thing about the

paid courses is that you can still make certain sections

free, which is great for teasing.

Their business model is that they keep a cut of 50%.

Which can be a lot.

For most coaches, email marketing is way more

efficient than social media. It’s more intimate and

usually cheaper too. Especially now that Facebook

and others want your money for reaching your

followers. E-mail marketing is great for reaching your

prospects/clients right inside their inbox, which is a

rather intimate spot. Empower them to reply to you

personally or ask them direct questions and see what

happens!

But of course you don’t collect your list in your Gmail

contacts and send out a mail to hundreds of people

via the BCC field. You don’t do that for many reasons,

unless you want to land in the spam filter for the rest

of your business life.

Mailchimp. It’s just so much easier (and fun!) to use

than their competitors! And it’s free for up to 2000

subscribers with its basic set of features.

However we recommend switching into a paid plan

(starting at around €5/month) as soon as possible, to

fully utilize the power of autoresponders (more about

that in our blog).

For slightly more advanced behavior-based email

marketing we use Active Campaign. Active Campaign

allows complex sets of rules for marketing automation,

e.g.: “If user clicks a link in an email, wait two days

then send follow-up, if he reads follow-up, tag him

as “followed-up”, if he doesn’t read it, send another

follow up.” Therefore it can be seen as a younger

brother of Infusionsoft and Ontraport, for a way

smaller price tag. However beware: those features

require a strategy. It’s easy to get lost in there.

Mailchimp suffices for sending out normal emails and

autoresponders.

Social media is such an extensive field, we could fill

a book on tools about it. However we realize that in-

depth analysis is not usually overly relevant for our

coach-clients. So we’ll focus exclusively on putting

your content out there.

Buffer is the king of posting to various networks at

once. Of course it’s not without competitors (Name

dropping: Hootsuite, SproutSocial), but it masters

simplicity and ease of use like no other. If you post to

social media you should use it.

Trello has served us incredibly well for years, and

would do it entirely for free (however we chose to pay

for it). You have boards, lists and cards. Typically cards

act as tasks, lists as task groups or stages, and boards

as projects. But you probably have to experience that

lingo for a while until you get it.

Trello is incredibly powerful if you figure out how to

adapt it to your workflow. It’s not too intuitive and can

do too many things for some. It took us a while, but

now we wouldn’t exchange it for something else.

Trello can be used for managing projects, scheduling

content production, standard operation procedures, as

well as customer relationship management.

bAseCAMP – foolProof ProjeCt MAnAGeMent

Basecamp jumps in where Trello ends: it’s foolproof to

use, and there is no discussion about how to use which

feature. There are tasks, collaborative documents,

discussions, files and a calendar. It’s being developed

very actively, however it feels a bit more old-fashioned

than Trello. With all the advantages and disadvantages

that term brings.

What Streak is really good at is CRM, especially the sales

pipeline aspect of CRM. Got an email from a prospect? Put

him into a Streak “box” and assign a state. From there

you can keep track of the conversation and how you move

closer to the sale.

Word is not the answer. Seriously - one major step for

growing our business without hiring anyone, was using

proper software for invoicing and keeping track of our

spent hours and payments. While tracking hours is

not a key feature for many coaches - keeping track of

invoices and payments is!

Harvest is our first choice because we frequently have

the typical send invoice -> receive payment scenario.

And it’s amazing at exactly that. Our clients can enter

their credit card details only one click away from the

mail they receive, and pay in an instant.

Harvest also allows detailed time tracking and project

budget monitoring, which is awesome for larger

projects.

Their free plan is quite generous, and if you don’t have

a lot of clients in parallel it’ll suffice. Paid plans start

at the typical $10/month range.

freshbooks

Freshbooks is totally worth mentioning in this context.

We don’t use it ourselves but many of our clients are

very happy with it. Their paid plans start a bit higher

($19/month), but taking into account the time those

programs save you, it’s still a no-brainer.

Invoicing requirements can be very individual,

therefore best check out both before you’re locked

into one tool which isn’t perfect for you. Of course

there are many others out there too. From hundreds of

pure invoicing tools, to others that cover more of the

accounting aspects (Less Accounting, Xero).
