Welcome to Smartanalysis Digital 1

Downloader

This document helps familiarise you with how to use the features of Digital Downloader and tells you about the new features in version 4.0 The Downloader is the application that allows data from driver cards and VU devices to be read and sent to Smartanalysis for analysis and reporting. It is designed to be very easy to use, and minimal computer knowledge is needed to use it. Authorised users within each location will log into the Downloader application when first started and will then be able to read driver cards and/or VU data. The only other time logging-in will be necessary will be to access the Downloader settings. Once the application is up and running, company personnel (drivers, depot managers, etc.) will simply need to insert their driver card into the card reader or VU downloader device into the PC and wait for the data to be read. It is extremely simple to use.

Using This Document This document is split into four chapters, making it easy to access the information you require.

Chapter 1, “Welcome to Smartanalysis Digital Downloader”: Provides an overview on the software and a description of the major new features.

Chapter 2, “Using Smartanalysis Digital Downloader for the first time”: Shows you how to log in and download data.

What’s New in Digital Downloader

Improved Interface: The downloader has been given a new look, making it even easier to download the information the way you want to.

Improved ‘Select Shifts’ Downloads: Shifts are now automatically organised so you simply need to tick a box to select a shift..

Tabbed Views: Driver card and VU downloads are now separated with the use of tabs making it clearer on what information you are downloading.

Access Settings Easier: You can now access the settings from the Downloader window rather than the icon on the taskbar.

Pre-Shift Checks: A new feature, which allows you to view drivers’ availability and infringement information before they start work. This includes – Remaining daily drive time, remaining weekly drive time, reduced daily rests and more!

Helpful Tool Tips: Mouse-over any of the buttons and you will see a description of what that feature does and what will be affected by turning them on or off.

Using Digital Downloader for the 2

First Time

NB. Before using the Downloader software, ensure that you have a compatible smartcard reader plugged into your PC.

To start the application, either double-click the icon on your desktop, or select ‘All Programs | Exentra | Digital Downloader | Digital Downloader’ from the Windows/Start button in the bottom left of the screen.

Logging In and Selecting a Download Location Once the application starts, the login screen in Fig 1 will appear. You will need your Smartanalysis account credentials to log in. When the login is complete, the downloader can be left running. Drivers and other personnel will not need to login again to download information.

Once details have been entered and you’ve clicked ‘Login’ , there will be a short pause while the details are authenticated. If the login is not successful, please skip through to our troubleshooting section. Logging in for the first time or if you chose to change the location, you will see the ‘Choose Location’ box shown in Fig 2. Simply select the depot you wish to upload data to and click ‘OK’. Please be aware that if you select the wrong location it may lead to information being sent to the wrong place.

Downloading a Driver Card The Downloader software uses a series of prompts to make it as simple as possible to read any type of information. You must ensure that if you are using a USB card reader, it was connected to the PC before you ran the software. You will be ready to read driver cards when the following prompt is shown:

To read a driver card:

1. Insert the driver card into the card reader, ensuring the card is inserted the correct way. You should be able to feel a ‘click’ when the card is fully inserted into the card reader. If the card has been inserted correctly, the read process will begin immediately. If the card is inserted incorrectly, you will see the following message: If this occurs, re-insert the card correctly.

2. When the card reading process has started, a progress bar will appear at the bottom of the screen along with the following status: The Downloader reads several files from the card and will update the screen showing:

- The driver’s full name as on the card - A summary of the current weeks activity from the card

Fig 4 below shows the main Downloader screen during the card read process. It shows that there is card activity for three days of the week and the information regarding those shifts. Fig 4. Downloader showing card read process

When the card read is complete, check the bottom of the screen to where the ‘Downloads in queue’ is displayed. This should change from 0 to 1 and then after a few seconds change back to 0 again. This simply indicates that the download has been sent to Smartanalysis successfully. If the queue changes to 1 but doesn’t count down, there could be an issue with the connection so restarting the software may be required. You then have the option to look at the data currently held on the card. You can use the calendar drop-down box to select a particular day you wish to view. Days that are highlighted in bold indicate there is activity present, whereas days in grey do not. The Downloader allows you to look at a 1 week, 2 week, 4 week and 1 months’ worth of activity. Selecting an option from the ‘Show records for period’ drop-down will change how many days are shown in the overview box. You also have the option to change the format of the digital records depending on your preference. There are three options to choose from:

Daily Records: The default view.

Agency Downloads & Selecting Shifts The Downloader software allows operators who use agency drivers to download specific shifts from their driver card to prevent any unwanted data being added to Smartanalysis. Once logged in, simply click on ‘Select Shifts’, which will put a green tick in the box to show its enabled. You will then need to read the card as normal but once it has finished reading, another screen will appear, allowing you to pick the shifts you wish to add to the system by ticking the box. Once this has been done just click the ‘Download’ button to send the data as shown in Fig 5.

Pre-Shift Checks Downloader V4 can now provide users with the facility to check a driver’s card before they start work. This will help users see how much work drivers have done and can do, as well as highlighting any messages and infringements. To enable this feature simply click the ‘Pre-Shift Checks’ button on the main screen.

You will need to read the card as normal. Once it has finished reading the data another screen will appear, showing you Drivers Availability Information, Driver Activity and Messages and Infringements, highlighted in Fig 6. Once you have checked the information you can either download the information to Smartanalysis, print or cancel depending on the nature of the check. To print simply click the “Print Pre-Shift Check” button (Fig 6), this will display a preview of information to be printed or exported. See fig 7. Fig 6. Downloading Vehicle Units The downloader does not read information directly from the Vehicle Unit itself but from VU Download devices such as Siemens VDO Download Key, Digidown & Digidown Plus, digivu and Optac. To Read a VU Download device: 1. Connect the VU download device to a USB Port on your PC. 2. There may be a slight pause before anything happens.

*Please be aware that Windows 2000 PC’s may not automatically detect some download devices. If you find that, after connecting the device to your USB port, nothing happens after 10-20 seconds, remove and re-insert the device.

If nothing happens further still, it may be that the PC is installing hardware drivers for your device. Once this has completed, follow the steps as above. If you experience further problems with the device then please contact your IT dept and/or your analysis bureau. When the device is being read, the following prompt will appear:

5. When the VU device read is complete, check the bottom of the screen to where the ‘Downloads in queue’ is displayed. This should change from 0 to (Number of files read) and then after a few seconds change back to 0 again. This simply indicates that the download has been sent to Smartanalysis successfully. If the queue changes to 1 but doesn’t count down, there could be an issue with the connection so restarting the software may be required.

Downloader Messages

The downloader has a new message feature. Messages will appear in the message section, if there are any important must see messages these will appear in a new window on top of the Downloader. There are four types of messages:

Alert, important announcements.

Software update, information about new updates to Downloader.

Information, general information and announcements.

Marketing, information about new products/services and promotions.

The Digital Downloader is designed to be very easy to use and you may find that you never need to access the settings. However there are certain functions available to users that can be enabled/disabled within the settings that you may not be aware of. In order to access the settings, simply click on the settings button within the main Downloader window and you will then be prompted to log in again.

Changing Download Location If you are responsible for multiple depots, you may find that you need to upload data to more than one depot. By default, the Downloader will remember the depot that was selected the last time you logged in so this may need to be changed. Once the settings screen has opened, select the ‘Location Info’ tab and then click the ‘Select Location…’ button to select a different depot.

Agency Driver Settings If the use of agency drivers is common practice at your depot, you may require to pick shifts from the drivers card on most or every download you do. Within the settings you have the option to enable/disable whether this feature can be and if you want to select shifts on every card download as the default.

Manual Download Settings There may be occasions where you have driver card or VU files sent to you and you have no way to upload them using an external device. Within the settings there is the option to enable you to browse to your PC to select files to upload instead. Simply click the ‘Allow downloader to open DTCO files’ tick box and this will then add a button to the main Downloader window. This button can then be used to select single or multiple files to upload from your PC and if you are uploading a driver card file(s) in this way, it will also allow you to select shifts if you have this feature turned on.

The button will appear on the main Downloader page. By clicking the down-arrow, this will provide the option of uploading single or multiple files in one go.

Digivu Configuration If you use a digivu device for your VU downloads, there is the facility to configure the download settings for the device within the Downloader Settings. With the digivu connected to the PC, run the Downloader software and go into the Settings and select the ‘Devices’ tab. If the digivu is connected successfully, you will be able to change the download settings.

Troubleshooting 4

The following problems can occur when running the Digital Downloader:

“Login failed – the Smartanalysis Downloader may be experiencing problems. Please contact a system administrator.”

This message can be caused by a number of things and before looking further, please check that the following statements are true for your PC:

- You are running Windows 2000, Windows XP, Windows Vista, Windows 7 or Windows 8. - Windows is fully up to date with all service packs and updates (run “Windows Update”) - The .NET Framework 4.0 is installed. -

If these are true, then the problem is likely to be caused by a connectivity issue between the Downloader software and the Smartanalysis servers. It’s possible that your PC accesses the internet via a corporate firewall and/or proxy server, and to communicate with Smartanalysis the Downloader must negotiate a path through these systems. There are a number of steps to take to find out what the exact problem is. Please run through the following steps until you achieve a successful login:

1. Check the date and time on the PC where the Downloader is running. You can check this by double-clicking on the Windows clock, which is shown in the bottom right-hand corner of your screen. This will show the ‘Date and Time Properties’ window. Here you will be able to check that the date and time is correct and make changes if necessary. If you do not have permission to make these changes then you will need to contact your IT dept.

2. Check to see whether your PC accesses the internet via a proxy server. Many corporate networks

incorporate a proxy server to act as a gateway between the secure corporate network and the internet. In some cases, it is necessary to amend the configuration file for the Downloader to cater for the proxy server. To find out if your PC is using a proxy server then try the following:

- Open Internet Explorer, and select ‘Tools |Internet Options…’ - In the ‘Internet Options window that will appear, select ‘Connections’ tab and then the

‘LAN Settings…’ button - If the ‘User a proxy server for you LAN…’ is ticked then a proxy server is used and you may

need to make configuration changes. - If the ‘Use automatic configuration script’ option is ticked, then you will need to contact

your IT dept to obtain the IP address and port number for the proxy server. Once these details have been obtained, you can then configure the Downloader to use the proxy server.
