Slot Booking Help

How to Register?

Open URL http://www.cen.iitb.ac.in/slotbooking/ Click on Register. Fill registration form.

(Note: * Marked fields are mandatory)

Click on Submit. Your request for registration will be sent to the Administrator. Once Administrator approves your request, you become a

registered user of the slot booking module at CEN. You may then logon to the system. You will get a mail of approval from the administrator after approval of your registration.

How to Login?

Enter email address as username Enter password Click on Login.

If you are not already registered, then click on Register.

How to become authorized user for a particular tool in the CEN lab?

Contact system owner of that tool and request him to grant you authorization.

System Owner will make you authorized user for that system. Once you are an authorized user, you can book slot for that Tool.

How to book a slot?

After login, Click on My Bookings

On top of page you can see a list of names of the tools. Select a tool which you wish to book.

On top of the page you will find these arrows: You can use these arrows to select a date in previous or Next week. You can also click on Jump to Date to select a particular date.

Select the column corresponding to the date you wish to book your slot on. Left click with your mouse on the box corresponding to your time for slot booking.

It will open the Reservation window. Select start and End time of booking of slot.

(Note: End time should be more than the start time of the slot)(Multiple days’ reservation not allowed)

Select “Self Reservation” option (Radio Button) Select your supervisors name Select project Write the summary and click on submit. Your book slot will show

up on the module.

How to view Bookings?

In left panel you can see Bookings My bookings

All Bookings

My Bookings:

Click on My Bookings. Select your resource name from drop down. You can see only the slots booked by you for that particular tool.

You can use arrow for previous and next week. or use jump to date.

Click on All Bookings. Select your resource name from drop down. You can see all slots booked by all users for that tool.

You can use arrow for previous and next week. or jump to a date.

What is Invited User?

Authorized user of the equipment can invite other user who is registered for slot booking.

Authorized user while booking slot for that equipment can select name of registered user to whom he / she want to invite.

That invited user can activate slot booked by authorized user, who has invited him for that respected slot.

How to invite User?

In Left Menu Click on My Bookings

Select Resource Click on Day and Time when you want to book a slot It will open new window.

Select Start time and End time Select “Invited User” option (Radio Button) Select User name

Select his supervisor name Select Project Enter Summary. Click on submit.

How to see Error Reports?

Click on Errors under Report Menu.

You will see details regarding errors reported by users. You can get filter your search by selecting proper search options

given on top of that page. You can download these errors in csv format.

How to edit profile?

Click on Edit Profile under Profile Menu.

Edit your information. Click on Submit.

How to change password?

Click on change password under Profile Menu.

First you need to enter your old password. Enter new password and retype password. Click on Submit. A mail will be sent to you confirming change of password.

How to activate slot?

Activating slots means removing lock on a tool/machine.

(Note: You can activate your slots from the CEN lab only.)

Right Click on a slot booked by you for a particular tool.

Click on Activate. The slot will be successfully activated if the activation is done within the activation time window.

What is activation time window?For example your slot is booked for 3.00 pm to 5 pm. And activation time for that particular tool is 15 minutes.Then you can activate your slot between 2.45pm to 3.15pm only.If slot is activated within this activation period, your tool will be unlocked and you can use your slot.

If the activation is not done within that time window, then your slot will be cancelled automatically.

How to deactivate a Slot?

Deactivating a slot means putting the lock back on a tool/machine.

(Note: You can deactivate your slots from CEN lab only.)

When you finish working on your tool in your slot, please deactivate your slot before leaving the lab. This will lock the machine again which can be activated by the next user.

Right click on your respective slot in My Bookings. Click on Deactivate.

How to give feedback on your slot?

Right click on your respective slot in My Bookings. Click on Feedback. It will open a new window. Enter your feedback in the given textbox. Click on Submit.

How to report error in your Slot?

Right click on your respective slot in My Bookings. Click on Report Error. It will open new window. Enter your error in given textbox. Click on Submit.

(Note: You can see Errors but not Feedbacks submitted by users.)

What is inactivity period?

Every tool has an inactivity period, marked in number of days. For example, suppose the inactivity period for the tool Olympus

Microscope is 15 days. Which means if you have not used the tool for 15 days or more, it is assumed that you need to take permission from system owner again to use the tool and your authorization for the tool is automatically canceled.

Can I start if there is no slot before my booked slot?

Yes, you can shift your slot. For example, your slot is booked from 3.00pm to 5.00pm and

there is no slot booked between 12.00pm to 3.00pm then you can come to lab and you can activate your slot early and use it.
