“AUDIX” – The First Day & Beyond!! I. To Login to a New AUDIX Voice Mail Box for the First Time: (Pay Close Attention to Steps C & L.) A.) Press the MESSAGE key or dial the Audix ext. (7444). From outside: (423) 757-7444. B.) Key in your extension number and press #. (If you are calling from your extension, press #.) C.) Key in the default password of 147#. (Use This Password This Time Only!) D.) Press 1, then speak your Full Name. Press 1 to stop recording. E.) Press # to Approve or Press 1 to Re-record. F.) Enter a new password followed by #. Re-enter password and #. (Password must be between 4 and 15 digits). **Hang up and log back in to Audix You will Now Hear the AUDIX Activity Menu** Record and Activate Personal Greeting: G.) Press 3 to Administer Personal Greeting. H.) Press 1 to Create Personal Greeting. I.) Press 1 for Greeting Number. J.) Record greeting and Press 1 when finished. Press 2 then 3 to Play Back. ***You must announce to the caller that they can press 0 to transfer out of voicemail if they do wish to leave a message. See page 2 for examples of Personal Greetings. K.) Press # to Approve or *D to Delete, then 1 to Re-record. L.) Press 1 to Use Greeting for ALL Calls. M.) Press # to return to main activity menu. II. To Retrieve Messages That Others Have Left For You: A.) Login to Audix and Press 2 at the Activity Menu. B.) Listen to Header Information, i.e., from whom, date/time, type of call, etcC.) Press 0 to Listen to the Body of the Message. D.) After listening to the message, press 1 to forward or *D (*3) to delete message. Pressing # will place the message into your old message file. III. To Change Your Password: (Hidden Prompt) A.) Login to Audix and Press 5 at the Activity Menu. B.) Sub Menu 4 (Press 4) C.) Enter new password twice followed by the # sign each time. IV. To Re-record your Voiced-In Name: (Hidden Prompt) A.) Login to Audix and Press 5 at the Activity Menu. B.) Sub Menu 5 (press 5). C.) Speak your full Name and follow voice prompts to approve. Professional Suggestions for Voice Mail Personal Greetings Generic Greetings: 1. “Hello (Hi), you have reached (your name) with (your company and your department). I am either

on my other line or away from my desk, so please leave your name, telephone number and a detailed message after the tone and I’ll return your call as soon as possible. ***If you need immediate assistance, press zero now (optional). Thank you.”

2. “Hello (Hi), you have reached (your name) with (your company and your department). I’m sorry I

missed your call. Please leave your name, telephone number and a detailed message after the tone and I’ll return your call as soon as possible. ***If you need immediate assistance, press zero now. Thank you.”

3. “Hello (Hi), you have reached (your name) with (your company and your department). I am not

available to take your call at this time, but please leave a message at the tone and I will return your call as soon as possible. ***If you need to speak to someone immediately, press zero and an attendant will assist you. Thank you.”

Daily Greetings: 1. “Hello (Hi), you have reached (your name) with (your company and your department). Today is

Tuesday, September 6 and I am in the office. Please leave your name, telephone number and a detailed message after the tone and I’ll return your call as soon as possible. ***If you need immediate assistance, press zero now. Thank you.”

2. “Hello (Hi), you have reached (your name) with (your company and your department). Today is

Tuesday, September 6 and I will be in training classes all day today but will be checking for messages throughout the day. Please leave your name, telephone number and a detailed message after the tone and I’ll return your call as soon as possible. ***If you need immediate assistance, press zero now. Thank you.”

Vacation or Out of the Office Greeting: 1. “Please listen to the message. You have reached (your name) with (your company and your

department). I will be out of the office until (day/date) Wednesday, September 7. Please leave your name, telephone number and a detailed message after the tone and I’ll return your call as soon as possible. ***If you need immediate assistance, press zero now or call _____ at xxx-xxx-xxxx. He/She will be happy to assist you. Thank you.”

*** Optional statement notifies callers that they can press zero (0) to transfer back out of voicemail and go to the operator. Their call will be transferred to extension 4111.
