WELCOME TO SHARD! We developed SHARD to provide a consistent and (mostly) idiot-proof system to catalog artifacts from mid-19th to early-20th-century archaeological sites and create data tables that facilitate intra- and inter-site comparisons. While the Anthropological Studies Center (ASC) has been excavating urban sites since the 1970s, the impetus to create SHARD and its predecessors came from a series of hugely productive archaeological projects in the 1990s and early 2000s sponsored by the California Department of Transportation. These massive San Francisco Bay Area undertakings required a whole new way of recording and tabulating the nearly 1,000,000 individual items recovered from these excavations.

Bootleg versions of ASC’s heretofore-unnamed cataloging system have been circulating on the archaeological underground for several years. It has taken quite some time and a whole lot of volunteer effort to get to the point of releasing this definitive edition of SHARD to the community. Everyone is free to use, reproduce, and adapt it as best suits their needs.

SHARD was created by archaeologists Erica Gibson and Mary Praetzellis; Bryan Much helped with database design in MS Access. This Manual was written by Erica Gibson.

THE DATABASE A single database file is included: SHARD.mdb. Included in this database is a small sample set to familiarize researchers with the ASC cataloging system. The ASC uses a general functional classification loosely based on Stanley South’s (1977) categories, which have been modified and expanded for use with mid-19th- to early-20th century sites in the western United States. Artifacts are separated into broad Group divisions, and then further split by Type, Category, and Description. Two additional Adobe PDF files are included: SHARD Coding System by Description and SHARD Coding System by Group. Both files contain examples of the functional classifications commonly used by the ASC. SHARD Coding System by Description lists artifacts from the most detailed description level and works its way through the classification system up to the group level while SHARD Coding System by Group works from the top Group classification level down to the Description level.

To open the database, double click the SHARD database file. The Main Screen titled “SONOMA HISTORIC ARTIFACT RESEARCH DATABASE” opens automatically (see Figure 1). This screen is also the primary interface to examine other related tables and forms. These forms may be used to view and examine data, to enter data, and to create a series of reports.

There are three buttons on the main screen: Browse records – for data entry; Create Reports – for creating a series of standard reports; and Exit – for closing and saving the database. To begin data entry, click on the first button.

DATA ENTRY Once the artifacts have been sorted, cross-mended, and cataloged, data entry can begin. Click on the Browse Records button to bring up the data entry screen (see Figure 2). The ASC catalogs artifacts by lot number. Enter as much information as possible for each field. Minimum information should include catalog and lot numbers, Artifact Group, Category, Type, and Description, Material, Count, Whole and Fragment Counts, MNI, and Remarks.

In order to standardize the coded information, the ASC enters the fields as follows:

Accession No. If the collection has been assigned an Accession Number by the curation facility, enter it here.

Site Trinomial Enter site trinomial number.

Catalog No. Enter the catalog number.

Lot No. Enter the lot number assigned during cataloging.

Sub-lot No. Used on an as-needed, site-by-site basis.

Project Enter project name.

Block If using, enter the city block number.

Feature Enter feature number.

Street Address If using, enter the street address.

Addt’l Prov Info Enter any additional provenience information.

Artifact Group Hierarchical classifications based on the functional categories discussed Artifact Type above. These are pull-down menus from which to choose. Artifact Category Artifact Description

Condition Condition of the item (e.g., complete, fragment, reconstructable). This is a pull-down menu.

Material What the artifact is made of (e.g., porcelain, aqua glass, ferrous, wood). This is a pull-down menu.

Mark Copy the mark exactly. No quotation marks. If letters are missing and cannot be extrapolated, enter two dots in their place (Access inserts an odd character if you use three dots) “...”; if they are missing but can be interpreted, include them in brackets “IRONST[ONE]”. A slash “/” indicated a new line, two slashes “//” indicates a new side, and three slashes “///” indicates the base. Symbols and mark placement and/or direction should be placed in parentheses “( )”. For ceramics, note whether the mark is printed or impressed.

If dating the artifact based on temporally diagnostic manufacturing techniques, decorative designs, or decoration techniques, place the information in parentheses “( )”.

Ceramic examples: Printed mark: IRONSTONE CHINA (upper arch)/ (standing Royal Coat of Arms)/ Thomas Hughes (lower arch); Impressed mark: HUG[HES].

Begin Date Earliest possible date used. Enter as specific a date as possible.

End Date Latest possible date used. Enter as specific a date as possible.

Marked or Datable? If the object is marked or otherwise datable, enter Ceramic, Glass or Other as appropriate.

MNI Enter the Minimum Number of Items (see discussion below)

Remarks This field is for a more thorough description of the item; do not include information already listed in earlier fields. Minimum relevant information includes fragment placement (e.g., base, rim, finish), shape (e.g., oval, rectangular with chamfered corners), decoration (e.g., molded – Fig Pattern, overglaze decal, gilded), size (e.g., diameter, height, volume), and cross-mending information.

% Complete Enter vessel completeness (e.g., <25%, 50–75%). This is a pull-down menu.

Date Entered This is automatically entered every time a new record is added to the database.

Once data entry is complete, click the Close Form button at the base of the screen to return to the main menu.

MINIMUM NUMBER OF ITEMS (MNI) By quantifying artifacts in a standard analytical manner, they can be used for intra-site and inter-site comparison and analysis. MNIs are the minimum number of individual items (not the minimum number of fragments) represented in an artifact collection (e.g., a bottle in 10 fragments is still only 1 item, MNI = 1).

After cross-mending has been completed, artifacts are cataloged and MNIs are determined. Each intact object (e.g., complete unbroken bottle) receives an MNI of 1. Items that cross-mend and are reconstructable, with no missing pieces, are also given an MNI of 1. The remaining artifacts are carefully studied to ascertain whether non-cross-mending items can be from the same object. For example, saucer rim fragments that do not physically mend but are of the same material, curvature, thickness, glaze, and decoration are considered associated and given an MNI of 1. Similarly, fragments representing unique decorative patterns or forms are each given an MNI of 1. When it is determined that items may be from the same object, an MNI of 1 is assigned to the group. All items with makers’ marks that cannot be associated with other items in the feature receive an MNI count. Unmarked/nondiagnostic fragments that could be associated with marked/diagnostic items do not receive an MNI. Artifact fragments that exhibit form, color, material or function unique to a feature are assigned on MNI of 1 (e.g., a single cobalt-blue glass bottle body fragment where there is no other cobalt-blue glass in the feature).

Artifacts that always would have been used together also receive an MNI of 1 (e.g., teapot and lid, soap dish drainer with lid and dish). Using this criterion, objects of different materials can be combined and given an MNI of 1 (e.g., a glass nursing bottle with its associated ceramic cap; a glass beer bottle with its associated lightning stopper). Items that are often considered a set but not always used or even purchased together, such as a cup and saucer or a slop bowl and pitcher, are each given a separate MNI. Shoes are given MNIs based on pairs (e.g., 3 identical shoes, 2 left and 1 right = MNI 2); shoe-related paraphernalia such as eyelets are not given an MNI when located in contexts with shoes. Since eyelets are also used with items other than

shoes, each is given an MNI when not found in a context with shoes. Similarly, individual buttons are given an MNI, as it is not feasible to assign button counts to separate items of clothing. Another artifact for which it is difficult to determine MNI counts is beads: for example, a single lamp whimsy may contain hundreds of beads of various styles and colors. When a function cannot be determined, each bead receives an MNI of 1.

CREATING TABLES AND REPORTS The SHARD database is pre-loaded with a series of standardized reports based on tables commonly generated by the ASC. From the Main Menu click the Create Reports button to bring up the Reports Menu Screen (see Figure 3). Reports included in the database are as follows:

Artifact Descriptive List – This is a descriptive list of all artifacts from an archaeological feature, organized hierarchically by Group, Category, Type, Material, and Description with their counts and MNIs (see Table 1).

Summary of Artifacts by Group – This is a table that lists artifact counts, MNIs, and percent of total of artifacts by artifact group (see Table 2).

Summary of Artifacts by Category Group – This is a table that lists artifact counts, MNIs, and percent of total of artifacts by artifact category (see Table 3).

Date Table – This is a table of all datable items, organized by the Marked or Datable Field and within that by catalog and lot number (see Table 4).

Artifact Catalog – This is a report that contains the Artifact Catalog, sorted by catalog and lot number (see Table 5).

Artifact Tags – This is a report that contains Artifact Tags suitable for final curation at most repositories (see Table 6).
