For 30 years, Scomis has successfully operated as a not-for-profit, wholly traded service, and is part of Devon County Council. As we don’t have shareholders, any small surpluses are reinvested in ongoing service improvement.
By September, more than 650 establishments will be utilising our services - from nurseries through to Multi-Academy Trusts, in a growing number of local authorities including Bath and North East Somerset, Bournemouth, Bracknell Forest, Bristol, Cambridge, Cornwall, Dorset, Devon, Kent, the London Boroughs of Barnet and Hounslow, Gloucestershire, North Somerset, Oxfordshire, Plymouth, Poole, Portsmouth, Somerset and Torbay.
We offer a breadth of services including MIS support and hosting, Academy conversion services, training, consultancy and more general ICT support services.
We are one of a small number of local authorities that is accredited by Capita to provide SIMS support, training and consultancy and achieved accreditation with the Customer Service Excellence programme in June 2012. This marked the beginning of our Customer Service Excellence journey and the start of a three year programme to ensure we continue to offer excellent service to all of our customers.
At the heart of our offering is a focus on service excellence. This is underpinned by a joined up approach to working with our customers to deliver effective and efficient use of ICT, best value and ultimately, school improvement.
Our Key Performance Indicators (KPIs) are agreed with our customers and we review our overall performance against our targets at termly User Groups and with individual customers at Key Account meetings.

QUALIFIED STAFFAll Scomis consultants and trainers have completed the QCA Level 3 Award in Education and Training Qualification.
TRAINING AND CONSULTANCY SERVICESScomis provide a variety of training and consultancy services to the professionals in supported schools. These services are delivered in the best way that suits the customer; by face to face on-site, by remote one to one, by joining a Webinar, by signing up for a formally delivered course in a venue near to the school or by attending one of our termly User Group meetings.
Scomis has been delivering the necessary training to professional staff in schools for over 30 years with a high level of satisfaction from customers. In the year 2014-2015 92.82% of attendees on courses (840 responses) and 97.95% of schools visited (144 responses) were satisfied overall with the service provided.
WEBINAR TRAINING – WEBTRAIN SERVICEScomis WebTrain is a webinar based training service for primary and secondary schools that provides a more flexible and convenient way of receiving updates and access to other training that has traditionally been delivered in the classroom.
WebTrain sits alongside our range of classroom based training programmes to offer a more cost-effective and timely solution for critical updates throughout the year. The service is designed to help your school with those important administrative procedures that it is critical to get
right but that can consume far too much time, cause a great deal of anxiety and, if errors occur, may even have implications for your funding.
REMOTE TRAININGScomis Remote Training is a one to one training session provided over the phone by the hour. Any school staff can book an hour with one of the team to have a bespoke training session on any of the supported applications.
USER GROUP UPDATES, REQUESTS AND DEMONSTRATIONSThese termly sessions organised by Scomis and attended by any members of your school staff have two main purposes. One is to provide our customers with information which is achieved via updates, demos and presentations. The other purpose is to inform customers about how Scomis is performing against KPIs set by the group.
BESPOKE ON-SITE TRAININGThese are training sessions delivered on-site for professional staff in schools on any supported applications with the content designed to satisfy the needs of the school.
EXAMINATION OFFICERS NETWORK MEETINGSThese sessions are provided at strategic points during the year to provide Exam Officers with information that will help them with the Examinations process.

HOW TO BOOKScomis are committed to providing quality training for individuals who may be new to school’s ICT as well as Continuing Professional Development for more experienced users. Training is vital for staff to keep pace with the changing nature of ICT.
We provide a wide range of courses relating to administrative and curriculum ICT. In many cases the courses are sequential – starting with introductory days and progressing to more advanced level courses.
All Scomis Training Courses are available at a number of venues, depending on demand, in the following regions:
Exeter, Plymouth, Cornwall, North Devon, North Somerset, Oxfordshire, Portsmouth, London Boroughs and onsite in your school as a day visit. For more details about our training venues please see page 70.
When booking your place please state your preferred venue and we will endeavour to provide the training near to you. Courses are designed to suit the varying needs of the school’s Senior Leadership Team, finance, teaching, administration and technical support staff.

Lesson Monitor is designed to enable schools, colleges and academies to monitor individual lesson attendance and tackle post registration truancy. The Special Educational Needs facility in SIMS.net is used to support schools in following the SEN Code of Practice. This course provides a detailed overview of the SIMS software for managing the SEN process in school and is designed for SENCOs, senior staff with responsibility for overseeing special needs provision and administrative staff who may be involved in maintaining SEN information.

This course is intended for SIMS users responsible for responding to requests for information. You should have attended a SIMS Office User course or have a good understanding of SIMS.

ATF AND ADMISSION TRANSFER PRESENTATION
Some schools receive an ATF file (Admission Transfer File) from their local authority, containing the details of pupils that have been assigned a place in the school in September 2016.
The first part of this presentation shows how to import the file and what data is contained within it. The second part covers the Applications (Pre-Admissions) area of SIMS and the processes available for dealing with new arrivals to the school.

ADVANCED REPORTING WITH EXCEL ANALYSIS
SIMS is capable of extracting a wide range of data using its reporting functionality, including student details, attendance, assessment and behaviour data. The export of data into Excel is the default option for many of the pre-defined reports in SIMS.
Excel is a powerful programme capable of assisting in analysis and display of data. Formulas process data in an accurate and repeatable way and pivot tables provide an interactive method of interrogating data.
Incorporating the Excel analysis directly within the SIMS report means that both the extraction of the data from SIMS and the analysis of the data in Excel can be achieved, automatically, in one step.

Learn about the setup and day-to-day running of Equipment Register with additional course content focusing on Asset Management and depreciation functionality.
Who is it for?
Staff responsible for recording equipment details (fixed assets) such as serial numbers; you do not need to have a basic understanding of FMS functionality.

EQUIPMENT REGISTER
Equipment Register can be found in FMS and provides the means for schools to maintain a comprehensive record of equipment in an electronic inventory. This includes records of equipment details, inspections, stock takes and disposals. It enables items to be allocated to rooms and staff. Insurance policy details can also be recorded.
Once the module is populated, equipment needed for stock taking and inspection purposes can easily be identified and located from the information recorded. Reports can be produced and printed or exported if necessary.

Financial Reporting Suite software works within FMS and allows a greater degree of interrogation and presentation of financial data than the standard FMS reporting tool. Custom reports and graphs can be generated by Cost Centre, Ledger Code or Fund quickly and efficiently. Schools can also create or download templates in order to extract and send information to their LA as required. All information can be saved as PDF or XLS for ease of transfer.

PERSONNEL CONTRACTS AND FMS LINKS
This course takes the delegates through the whole of the Personnel Setup areas to view, amend and/or create Service Terms, Pay Scales and Allowances. You will also see how these settings work when adding contracts in SIMS and how those fields are then dynamically linked within FMS. In FMS salary commitments by fund/cost centre/etc, can be apportioned so that the figures show in the correct financial areas and use the Salary Calculator function to test out the effect of different budget option.

Partnership Xchange facilitates the automated exchange of data between partnership establishments. Partnership Xchange is an extension of SIMS, but the protocols that are used to communicate between the databases are part of an open standard known as the Schools (or Systems) Interoperability Framework (SIF).
The system ensures that any establishments in a partnership can only edit the curriculum assignments and the personal details of their own on-roll students. For example, a school cannot edit the details of students enrolled at other schools (known as ‘guest students’ at this school).

This course steps through the report creation using Staff data, starting with simple reports and progressing to producing complex reports. All output options will be used, including Word, Excel, RTF Forms and Analysis.
Delegates will be given time to practice creating reports such as a detailed staff absence sheet, a staff salary letter and a Staff Data Collection sheet amongst others.
Staff Performance enables the school leadership team to record, manage and report on core areas of the appraisal process, such as individual objectives, lesson observations, employee reviews and staff development. All your staff performance data is held centrally, securely and integrated with the personnel record to enable you to analyse and report. This module supports central and individual input models.
This course does not provide training on defining school objectives or other performance management policy areas.

Schools sometimes appoint a new timetabler who has little or no experience of how to construct a timetable. This course is designed to inform delegates of the key aspects in providing the timetable for a school.
This course does not rely on the use of any particular Timetable package or method, but will draw from the NovaT suite and also from using spreadsheets.
Delegates will have the opportunity to discuss the strategies needed to prepare and produce a timetable, whether on a computer system or by using another method, or by a mixture of approaches. This course provides the ideal introduction for those new to timetabling prior to using SIMS Nova T6. Course participants are advised to book on the Nova T6 New Users Course available each Spring Term.

Many schools are new to Nova T6 in the last couple of years and will wish to ensure that the timetable is managed during the academic year as efficiently as possible.
This course is targeted not just at Timetablers but also at the many Administrators who seek to manage the timetable.
Nova T6 offers the user the ability to construct, analyse and schedule the timetable. The work is very visual and uses a ‘click and drag’ approach. The completed timetable can be returned directly to SIMS.net for the allocation of students and then printing.
These training days are deliberately organised in pairs spread over a period of time to allow the user to follow up their training on their own data prior to the next main session, so that any suitable questions can be addressed. If possible bring along a schematic diagram of the curriculum plan.

SCOMIS MANAGEMENT INFORMATION SYSTEMS SUPPORT SERVICEThis service provides Service Desk support for MIS queries which can be logged via telephone, fax, email, or a self-service portal. The Service Desk is available from 8.00am to 6.00pm Monday to Thursday (5.00pm on a Friday) during term time and 9.00am to 5.00pm during school holidays and from 7.30am on exams results days.
The Service Desk is staffed by experienced analysts who have a breadth and depth of knowledge across all aspects of SIMS and associated modules such as FMS, Discover, SIMS Learning Gateway and InTouch. Support is provided for a single fee per year regardless of how many of these modules you are using.
Our analysts can resolve ‘How do I ?’ queries from members of staff across a school from Administrators and your IT Technician through to Teaching Staff, School Business and Finance Managers and members of the Senior Leadership Team. There are no limits on the number of users or the volume of incidents or requests logged.

DIRECT ACCESS TO SIMS EXPERTS – HELP WHEN YOU NEED IT MOST
It is common practice within the IT service industry to resource service desks using a tiered escalation procedure. First line calls are taken by staff that log the call then pass it to the next level. Whilst this enables providers to claim that they respond to queries quickly, this does not normally result in a resolution or first time fix. At Scomis we do not have a tiered approach to service delivery. This means that the person that picks up the call is an expert.
We offer full application support to users including ‘How do I?’ support. Most other provider’s services are restricted to ‘it’s broken’ support only.

HASSLE FREE UPGRADES
We take care of the upgrades and patches for you.Capita release three upgrades per year and a number of patches throughout the year. These can be disruptive to deploy and distract your staff from making the best use of SIMS in their working day.
Scomis apply upgrades out of hours - usually after 5.00pm on a Friday and customers are given plenty of notice so there is minimum disruption to your users.
Scomis test all new releases to ensure any initial bugs are found and resolved. This means that once deployed you can be confident of a seamless transition for the school.
HARDWARE/SOFTWARE UPDATES
Reduce the burden by hosting with Scomis. Maintaining your own infrastructure can be a costly exercise. If you have locally hosted SIMS you will need to migrate to the latest versions of SOLUS and SQL on a regular basis - service providers are likely to charge to perform these migrations for you. You may also need to upgrade or replace your existing server and workstation hardware and devices.
We will become responsible for server related software licencing such as SQL.
You will reduce your server hardware requirement and extend the life of your workstation hardware utilising our hosted solution.
OFFSITE BACKUP
We take care of your data so you can concentrate on getting the most out of it. Scomis value and protect our customers’ data by having proven and reliable processes in place.
Every night we backup your SIMS database and regularly validate that this was successful.
We can restore daily data up to the last 30 days and rolled up monthly data for the previous 5 months allowing a full 6 month recovery.
