SAP PPM OverviewSAP PPM is a part of the SAP PLM (Product Lifecycle Management) suite from SAP. SAP PPM is the combination of SAP Resource and Portfolio Management (SAP RPM) solution and the Collaboration projects (cProjects) solution.Organizations can use three key SAP applications to manage projects With Project System (PS) component of SAP, one can efficiently monitor projects, which includes management of project costs and revenues. This covers the controlling and logistics part of project management and is generally popular in the manufacturing industry. With SAP cProjects, one can efficiently manage phase based development projects. This enables project management throughout the entire product development process, supporting development, consultancy and IT projects. This provides improved structure, scheduling and visualization, operative planning and execution. It helps to collaborate with various groups, both internal and external including procurement and thus improves on resource efficiency. With SAP RPM, one can manage strategic aspects of portfolio management, monitor project status which includes resource information and manage entire project portfolio. One can align resources, budgets and activities which enables regular and timely monitoring of portfolio performance, improved decision making, avoiding bottlenecks and easier resource forecasting. These solutions seamlessly integrate with one another to give optimal management tools. The effective project and portfolio management function allows one to obtain information from different project management, HR, finance and time recording systems. Hence one can monitor and coordinate all projects in the enterprise by optimal use of valuable resources.SAP PPM has strong interfacing with other modules. Some of the modules SAP PPM interfaces with are SAP HR, SAP CO, SAP BI and SAP PS. Some of the main functionalities of SAP PPM include portfolio management, project management, capacity planning, financial planning, staffing, reporting and generating metrics.SAP PS is very strong in the area of logistics where it is used as a comprehensive, integrated solution in project management, with many varied functions for controlling and monitoring projects. However in other industries, SAP PS is only used for cost controlling. The management of project execution is performed with other frequently unintegrated solutions. This can lead to problems as redundant data is stored because project stakeholders work in different applications. Integration gaps lead to time wastage and cause information losses making it difficult to get a clear overview of current status of individual project and overall project portfolio. As a result of the above SAP has come up with the SAP PPM solution. There is also a close linkage also to the SAP DMS (Document Management System)

SAP Collaboration Projects (cProjects)Collaboration Projects(cProjects) is a cross-industry tool you use to plan and monitor development and consultant projects. Using the appropriate method for implementing innovative ideas plays an important role indevelopment projects. For this purpose there are different approaches in various industries, such as APQP (Advanced Product Quality Planning) in the automotive industry. Such approaches have also been accepted by internationally recognized standards such as QS 9000. However, other industries have also developed suitable methodologies to simplify internal processes, close the quality loop, and reduce nonconformity costs.Collaboration Projects(cProjects) supports the product development process for these methodologies from planning through product and process approval to external communication with partners or customers. With cProjects you can: Increase customer satisfaction Deliver quality products on time with the lowest possible costs Reduce nonconformity costs by recognizing necessary changes early on Improve communication and decision making processes Increase the transparency of projects

Project resource planning plays an important role inconsulting projects. The project leader can define required qualifications for project roles and assign tasks to the various project roles. The system helps the resource manager staff project roles by searching for persons according to qualification, organizational assignment, project experience, and availability. With cProjects you can: Plan, structure, and monitor projects efficiently Optimally staff resources for the individual project phases Achieve greater customer satisfaction Increase transparency between internal and external project members Optimize communication channels by supporting cooperation between project team members and partners using the WebYou can use the project planning function even before you have signed a contract with the customer. Once the contract has been signed, the project leader can assign documents and checklists for status monitoring to the project.Along with the planning, monitoring, and documentation of the development and consulting project you require a qualified storage and administration environment for all data belonging to the project. cProjects encapsulates all of the objects used and offers you a central access point for displaying, managing, and monitoring all project-relevant objects.

cProjects IntegrationcProjects is based on an SAP Web Application Server (SAP Basis System 6.20) and is a stand-alone application you can implement for development projects, independent of other SAP or non-SAP components. You can also install cProjects on an SAP CRM 4.0 system, without making any modifications. This is what SAP recommends if you want to use cProjects for consulting projects. Application users require a Web browser for the user interface and access the system using an intranet or the Internet. In order to administer and customize the system you must log on with an SAP GUI (SAP GUI for Windows,SAP GUI for HTML, orSAP GUI for Java). The component offers close integration with cFolders. For more information, see the cFolders documentation. You can access it directly in the application. In addition, the application offers interfaces for linking to business objects in non-SAP systems or in other SAP systems, for example, SAP R/3 objects. This component offers: Creation of project templates for methodology-based approval of development processes Flexible project structures for adapting to various requirements Consolidation or assignment of cross-department project teams, whereby project members can have different roles and different access authorizations Object-specific authorizations Flexible resource planning according to qualification, organizational assignment, and availability Definition of phases and stipulation of phase results in the form of checklists Planning of approvals (quality gates) to guarantee project progress Tasks with characteristics such as duration, person responsible, and relationships Workflow Assignment of person responsible for each project element, for example, phases, tasks, or checklist items Graphical maintenance of dates and relationships Manual or system-supported scheduling of phases and tasks Integrated document management system Accounting Integration Connection to Microsoft Project Planning and assignment of required business objects cFolders as an integrated, Web-based platform for cooperation in work groups distributed around the globe Control plan Risk analysis based on risk priority numbers Evaluations based on key figures with alert functions and connection to the SAP Business Information Warehouse (SAP BW)

SAP PPM & SAP PS

SAP PSSAP Project System (PS) is the module within SAP that handles the full cycle of planning and execution of Projects. It integrates between all other modules enabling projects to be executed efficiently, with appropriate timing and within established budget. The SAP PS optimizes the business processes from project planning through to carrying out the project and enables a project progress analysis. You can plan, carry out and control projects in a target-orientated and a business fashion. You structure your project per the following points of view: By structures, using awork breakdown structure(WBS) By process, usingindividual activities(work packages)SAP PPMPortfolio Management integrates information from existing project management, human resources, and financial systems to provide an overview of project portfolio with easy drilldown to details for portfolio managers, project managers, and resource managers. This enables innovative and collaborative, cross-functional business processes. - Project Management covers the entire range of project management activities in development and consultancy projects, from planning to implementation to project completion (including engineers projects). Supports organizations to grow their project management excellence by providing solid standalone project management core support, offering a wide range of integration options, new product development and introduction, consulting projects and IT projects. You can structure your project & portfolio per the following point of view:

Project Management --> Helps you managephase-baseddevelopment projects. Portfolio Management --> You can address the strategic aspects of portfolio management, monitor project status - including information about project resources - and manage your entire project portfolio. Seamlessly integrate with one another to give you optimal management tools.Difference between SAP PPM & SAP PS

Technically talking in SAP PS you have: Project Definitions, WBSs (Work Breakdown Structure's) with Network's and Operations, in SAP PPM you have Initiatives, Items, Decision Points, Projects, Phases, Tasks, Checklist and Checklist Items. The true difference are the usage of all of the object's to represent an Idea and follow an object with an Stage-Gate methodology. Can I use SAP PS to represent the Initiative or Idea of a future project? - Yes, but could be very restricted and limited in functionality. It's not the goal. From standard way--> PS doesnt support draft (before the project). You can efficiently monitor projects, including management of project costs and revenue. This component covers the controlling and logistics aspect of project management and is used often for project management in the manufacturing industry. Can I use SAP PPM to replace SAP PS? - No, you would need use SAP PS if you want to integrate Revenue and Costs to SAP PPM. You can replace SAP PS with SAP CO to integrate Revenue and Costs (without any WBS structure) using Internal Orders.

Don't forget that SAP PPM was created to cover from the beginning at the end of all Portfolio and Project Managers activities. Don't forget that SAP PS is usually used for key users (project leaders), administrators users or controllers
