Santa’s Emails

Forwarding an email• I forwarded the email by pressing the forward button

Group email

• To add more than one person to an email you can add the other people to a group and send it or you can add their names to the recipient bar on the email.

• Include a screen shot of the email you wrote.

Compressing Files• Compressing files makes the file size smaller and you

can attach a lot of files together sop that you can send multiple files in quickly.

Muddled Emails

• Santa is new to using his email.

• He has emails from elves, from children and from suppliers.

• How can he keep these in order so they aren’t muddled up?

• You can use folders to sort out emails making it easier to find emails from certain groups.

Address Book• Adding regular people you email to your address book

means you can find regular people faster

Away from Email

• Santa is new to using his email.

• He is going to be very busy over Christmas and would like your advice about setting up auto messages.

• Automatic replies are used to send a message when you are away.

Email Safety• Santa is new to using his email.

• Give him a list of tips and advice for staying safe on his email.

• Explain why each tip is important to do.

• 1) Don’t post any personal information online – like your address, email address or mobile number so you don’t get randomly called, emailed etc.

• 2) Think carefully before posting pictures or videos of yourself. Once you’ve put a picture of yourself online most people can see it and may be able to download it, it’s not just yours anymore.

• 3) Keep your privacy settings as high as possible so that nobody can hack into your account.

• 4) Never give out your passwords so that people don’t get into your personal info.

• 5) Don’t befriend people you don’t know because you don’t know who they might be.

Email Netiquette

• Give him a list of tips and advice and describe their importance.

Rule 1: Make the attachments normal Size – If the attachments are too large then the person you are sending it to will not be able to download it.Rule 2: Look good online – While you are communicating online with others you will be judged on the quality of your writing rather than what you look like in personRule 3: Share NET expertise through email – There are lots of intelligent people online tat are willing to give good knowledge you can also share your knowledge and ask questions through email. Rule 4: Do not type in all caps – Typing in all caps is considered shouting. Even though you are not trying to shout the people you are writing might think you are Rule 5: Do not give out personal information – This is a safety precaution. You could end up getting hurt

• What might the problem be?

• Check his internet

• Check he has added a recipient

• Check his security is up to date

• Check his internet is up to date

• Check his security settings allow incoming messages

Full Email • Santa is new to using his email.

• He is concerned about the number of emails he has received and he is running out of space.

• Explain what archiving is and how to do it.

• Spam emails can be deleted: NEVER reply

• If the messages are unnecessary then you can delete them

• To archive messages right click the message and press archive, by archiving you save the email somewhere else instead of on the email. By saving the message somewhere else you save space on your email and it makes sure that your email isn’t lost. It keeps emails safe and out of the way for when its needed. You export to a usb stick and/or hard drive and open it up somewhere else so that it is safe and saved so you cant accidentally delete the email. If you need to you can compress the folder which you cant do on the email without archiving it. some files e.g. confidential files can be moved to keep them in your internal/external hard drive. The email will stay the same if you archive it and you can import it back into email exactly how it was.
