Sample Product Reports Workbook How To

How to use this workbook

This workbook contains several examples of PivotTable reports, including the source data from which the reports were made. You can followthe steps in the article 25 Easy PivotTable Reportsto create these reports, and try out the commands on the PivotTabletoolbar and menuto learn about the ways you can customize a PivotTable report.

This workbook is set to print on most printers. Click Printon the Filemenu, click Entire Workbookunder Print what, and then click OK.

Example reports in this workbook

The PivotTable reports in this workbook were all based on the first report, Category Sales!PivotTable1. When you create several reports fromthe same source data in the same workbook, basing them all on one report minimizes the size of the workbook and the amount of memoryused when you open it. The reports all behave independently, however: you can refresh, format, and change the layout of each reportseparately.

The example reports in this workbook are formatted using the Report 5format. Use the Format Reportcommand on the PivotTabletoolbar to apply this format to your own reports.

When you click a report in this workbook, the PivotTabletoolbar and the PivotTable Field Listwindow should appear. If not, right-clickany toolbar and then click PivotTableto display the toolbar, and then click the Show Field Listbutton at the right end of the toolbar todisplay the field list.

Source datacontains the original source records that provide the data values for the reports.

Category Saleslists the total sales for each product category.

Product Salesadds more detail: the total sales for each product, organized by category.

Top 3 Productsidentifies the three best-selling products within each category.

All Quartersbreaks out the sales for each product and category by quarter.

Q1 & Q2compares the sales for the first and second quarter.

Multiple Subtotalscalculates additional summaries: the average, largest, and smallest sales for each category.

Average Salesprovides the average sales amount for each product.

Chartcontains a PivotChart report that represents the quarterly sales for each product category graphically. The instructions for creating itare provided on a separate worksheet, the Chart Instructionssheet.

Source data for PivotTable reports

The data to the left was used to create the reports in thisworkbook. If you scan through this source data, you'll notice thatit's difficult to see the trends and results, even if you sort or filterthe data. There are just too many records to analyze at a glance.

Compared with the large databases your company may haveavailable, or you may have found on the Internet, this 287-row listis fairly short and simple. Excel can retrieve much larger amounts ofdata than this, and PivotTable reports are one of the best Exceltools for extracting the significance from a large, detailed data set.

The data is organized in list format, similar to how a query returnsdatabase records: each column contains similar data, the columnshave headings in the first row, and the list isn't interrupted by anyblank rows or columns (although blank cells within the data areOK).

To see how PivotTable reports can summarize this data in a flash,view the sheets in this workbook in sequence from left to right.

A simple report: total sales for each category

In a few steps, you can summarize the total sales by product category.Click a cell in the source data, click PivotTable and PivotChart Reporton the Datamenu, and click Finish. Drag the Category field from thePivotTable Field Listwindow that appears to the row area (if you're notsure how to do that, just click Row Areain the field list's dropdown andthen clickAdd To). Drag the Sales field to the data area, and you're done.

If you want to compare sales by quarters instead of by category, drag theCategory field out of the report and drag the Quarter field to the row areainstead.

In this report and others in this workbook, the cents are rounded up towhole dollars. To do that for a field that includes cents, double-click thefield, click Number, click Currency, and enter zero in the Decimalplacesfield. The report also has the Report 5format: click the FormatReportbutton on the PivotTabletoolbar to apply this format.

Adding detail: sales by product and category

In this report, the Product field was added as a second row field.Category is now an outer row field; Product is an inner row field.

You can now see at a glance which products are in whichcategories and how much of each product was sold.

It's easy to focus the report on areas of interest. For example, ifyou're analyzing the results for some categories and productsbut not others, you can eliminate those figures from the report.Click the arrow in the Category field, and clear the check boxesfor some of the categories. Do the same for the Product field.

You'll notice that the amounts for any categories you uncheckare no longer included in the grand total, and the amounts forany products you hide aren't included in the category subtotals.

The Product field is blue because the field has beenfiltered to show only the three best-sellers in eachcategory. To see how this was done, click the

Product field and then click the Sort and Top 10command on the PivotTablemenu (PivotTabletoolbar).

You could also sort the three products in eachcategory so that the top seller is first: under

AutoSort options, click Descending, and thenclick Salesfor Using field.

PivotChart Report on the Chart Sheet

The chart on the Chart sheet is a PivotChart report that provides a graphical representation of the summarized data used in the PivotTablereports in this workbook. A PivotChart report has many features similar to a PivotTable report: you can change the layout, sort, filter, andgroup the data.

To create a PivotChart report, run the PivotTable and PivotChart Report wizard, in step 1 select PivotChart (with PivotTable), and thencomplete the steps of the wizard as you would for a PivotTable report. Or, if you already have a PivotTable report that you want to chart,click the report and then click the Chart Wizardbutton on the PivotTabletoolbar.

A PivotChart report always has a dependency on a PivotTable report that provides the data to be charted, called the associated PivotTablereport. When you make changes to a PivotChart report, its associated PivotTable report reflects the changes. To allow you to make changesto the example PivotChart report without affecting any of the example PivotTable reports, the PivotChart report was created independentlyfrom the source data. The associated PivotTable report for the example is hidden. If you want to see it, point to Sheeton the Formatmenu, click Unhide, and then click Data for Chart.

A new PivotChart report always appears on a separate chart sheet, because PivotChart reports tend to include lots of data and thereforeusually need plenty of space. You can easily move a PivotChart report onto a worksheet, for example to put it on the same worksheet as itsassociated PivotTable report. Just click the chart and click Locationon the Chartmenu.

You can use most of the chart type, formatting, and options available for regular charts to customize a PivotChart report. For moreinformation, ask the Excel Answer Wizard about PivotChart reports.
