Good Working Practices

1Sam is a college student taking courses in ICT, Geography and History. He uses his computer for work in all his college subjects as well as for personal use. Sam shares his computer with other members of his family so he stores all his files in a folder called Sam. The contents of this folder are shown below.

The first 7 files contain college work.The files called letter, letter 3 and letter 4 are letters that Sam has written to friends and family. Letter 2 is a letter he wrote applying for a part-time job. The file called Sam is Sam’s Curriculum Vitae that he has prepared to send with any job applications.Sam2 is a list of cheats for one of his games Sam3 and Sam 4 are files of photographs. Spreadsheet and Spreadsheet2 are part of Sam’s ICT Assignment 1, where he had to create a spreadsheet and improve it. The file called Spreadsheet is his first attempt and Spreadsheet2 is his improved version.

Design a suitable folder structure that would help Sam organise his files more effectively.

Folder Structure

Plan a folder structure for your work area. Consider: 1 What files do you have already? 2 What files are you likely to be creating over the next year? 3 What main folders do you need? 4 What folders do you need in each main folder? 5 Do any of these last folders need splitting into further sub-folders?

Points to remember: Folders are used to keep files together, so they can be found easily Folders should have sensible names that remind you of what they contain Too many levels of sub-folders can add to the time it takes to open files.

Draw a diagram to show your folder structure. It may look a little like the one below, but you must decide how many folders and sub-folders you need.

Write a suitable name inside each folder.

3 Creating shortcutsShortcuts are usually most useful if they are on the desktop. If your centre does not allow shortcuts to be created, you can create them in your user area.

Choose one folder and one file that you might want to use frequently. It may be a folder where your teacher has put resources for you to use, or your own work folder where you are going to store all your ICT National work. The file may be these instructions or your tracking spreadsheet.

D 11. Delete your new shortcuts. Take a screenshot. (You can always recreate the shortcuts later if you want them). Add the screenshot, with explanation, to your word processor page, and print it out.

4 Password protecting a fileIt can be dangerous to password protect your files – if you forget your password you cannot retrieve your file. If you don’t need to password protect any of your files at the moment, then carry out this task on a new, blank file.

P 1. Start a new word processor document. Type in the title Password protecting a file.P 2. Save it into an appropriate folder and add a password to open. P 3. Take a screenshot of the dialogue box after you have typed in your password and

before you click on OK. P 4. Paste your screenshot into the page and add a sentence of explanation. P 5. Print out your page and save your file again.

5 Backing up your filesDecide how you are going to back up your files. It may be onto a memory stick or a rewriteable CD.

P 1. Create a backup of your main folder, which will contain all your ICT National work. P 2. Create a screenshot showing your main folder and your backup. P 3. Choose a file that is not very important. Check that it has been backed up correctly. M 4. Delete the file from your main computer system. Take a screenshot of your desktop,

showing the folder without the file. Make sure the time is showing on the screenshot. M 5. Restore the file from your backup. Take a screenshot to show the restored file in the

correct folder. Make sure the time is showing on the screenshot. P 6. Paste your screenshots onto a word processor page and label them. Print out your

work.

Remember to keep on backing up your work as you do it. There is no need to put any more evidence of backing up into your portfolio.

6 Searching for filesYou need to think of a file to search for. Your teacher might suggest one.

M Use the search facility of your operating system software to find the file you are looking for. Take a series of screenshots showing how you carried out this task.

M It doesn’t matter which options you take, so long as they are suitable for finding the particular file you want.

M Make sure all your screenshots are suitably labelled so that someone else could understand what you have done.

7 Saving filesYou also need to show that you have:

You need to remember this every time you save work during this unit. When you have completed the rest of the unit you will need to print out some screenshots of your folders, to show how well you have organised your files. Your teacher will probably want to look at your user area to determine which level you have achieved. The tracking spreadsheet will remind you to create these screenshots.
