December 26, 2014 Sunny days and breezy evenings await you in Orlando, Florida, as you partake in the 62nd South Atlantic Regional Conference. It is indeed a pleasure to present to you the registration materials for the conference scheduled for April 15-19, 2015. Alpha Kappa Alpha Sorority, Incorporated and the Significant South Atlantic Region have a long standing legacy of excellence and this event promises to maintain that standard. The sorors of Cluster II under the leadership of Soror Tiffany Moore Russell, General Chairman, are working relentlessly to ensure that you have a magical pink and green experience. This year’s theme, “Cultivating Our Pearls through New Dimensions of Service”, will hopefully remind us of the vows we took to be steadfast and true to our beloved Alpha Kappa Alpha. May we rededicate ourselves to the promise we made to Alpha Kappa Alpha for a lifelong commitment of service. Attending the conference will provide the knowledge needed to proficiently and enthusiastically plan for implementation of the sorority's new program, “Launching New Dimensions of Service,” under the leadership of Soror Dorothy Buckhanan Wilson, Supreme Basileus of our beloved Alpha Kappa Alpha Sorority, Incorporated. The Rosen Shingle Creek Hotel will afford us the opportunity to meet, greet and share all of our conference experiences under one roof. It is the desire of the women of Alpha Kappa Alpha to use their grace and charm to paint the Magical City of Orlando, Pink and Green for five (5) days as we enhance our knowledge and awareness of the programs and policies, connect with our sisters and make room for fun and frolic. January 7, 2015 Dear Sorors, The dynamic Cluster II Sorors of the South Atlantic Region are honored to host the 62nd South Atlantic Regional Conference on April 15-19, 2015. We anxiously await your arrival to the “Magical” City of Orlando, Florida, and we have strategically planned with sisterly excitement. As our theme, “Cultivating Our Pearls through New Dimensions of Service” states, we promise to offer an awesome experience with workshops and activities designed to inform, inspire and propel Sorors to a “New Dimension of Service.” In keeping with the ideals of this great sisterhood's spiritual foundation, we are enthused to open the 62nd South Atlantic Regional Conference with the first Annual Prayer Breakfast under the leadership of our Regional Director, Soror Sharon Brown Harriott. The theme for the Inaugural Prayer Breakfast is “Launching New Dimensions of Service with the Power of Prayer,” which demonstrates awareness of the impact of prayer and its purpose as we render service. We are also excited to offer the Inaugural South Atlantic Regional Golf Tournament on the beautiful and lush, green course at the Rosen Shingle Creek Hotel. The Host Chapters of Cluster II welcome you to Orlando with sisterly love to a Pink and Green experience that promises to be uplifting and memorable. General Conference Information

Please take a moment to review instructions before completing forms in this packet. Please

duplicate conference information for all chapter sorors. Retain a copy of all forms submitted for

your records.

The deadline date for early registration is March 14, 2015. There is NO on-site registration.

1. Only financial sorors may participate in conference activities. Neither financial nor

non-financial sorors may be guests of financial sorors at the conference.

2. Registration materials received after March 14, 2015 will be considered late and assessed a late

fee of $50.00. Late fees apply to graduate and undergraduate members, as well as guests.

3. Registrations after March 28, 2015 will not be processed.

4. Please bring your photo identification to complete registration and check-in.

5. Registered sorors unable to attend the conference should make arrangements with the

registration chairman for materials to be picked up from the registration area.

No registration material or souvenirs will be mailed.

6. All chapter checks, cashier’s checks, and money orders are to be made payable to South

Atlantic Region AKA and mailed to:

7. You must have tickets to be admitted to all events. Lost tickets will not be replaced.

8. DIAMOND AND GOLDEN SORORS will have reserved seating for all functions.

9. Please contact the conference hotel directly for reservations and special room

accommodations.

Regional Conference Protocol Reminders: 1. Wear appropriate Alpha Kappa Alpha Business attire (not business casual) for all sessions.

2. Wear comfortable shoes to business meetings. Flip-flop type shoes and sneakers are unacceptable unless designated by a physician for medical reasons.

3. Make arrangements for child care and guests when attending business meetings as these meetings are for sorors only.

4. Sorors must wear their badge for all meetings and events. Voting delegates must wear delegate identification.

5. Only registered members with badges should be admitted to plenary sessions.

6. Stand for the procession of dais members and receive Former Supreme Basilei, Supreme Basileus and the Regional Director when they are introduced.

7. Stand when a Former Supreme Basilei and the Supreme Basileus enter the room. Stand for the Regional Director at any event.

8. Refrain from walking during dais introductions, the meditation and when the Regional Director or the Supreme Basileus is giving her address to the delegation.

9. Respect designated seating for delegates. Special seating will be available for Former Directorate Members, Former Executive Directors, Diamond/Golden Sorors, physically challenged sorors, musicians and Very Special Guests (VSGs) not seated on the dais and delegates.

10. Silence all electronic communication devices that will interrupt the meeting. Please step out of the meeting if you must use a cell phone.

11. Table hostesses are beneficial during meal functions to remind us to remain quiet during presentations and/or performances at the dais.

12. Please refrain from overloading your plate during receptions. One or two of each food item is appropriate.

13. Please be considerate of other conference attendees and take only ONE gift when they are distributed at functions. Remember all registered attendees pay a conference fee.

14. DO NOT remove centerpieces or decoration from events.

15. Demonstrate the high regard we have for each other as women and as Sorors.

16. Voting delegates must wear delegate identification and arrive early for proper seating.

17. Allow the Very Special Guests expedited access to meeting rooms, elevators, escalators, and

restrooms.

18. Ask our Very Special Guests’ permission for photo opportunities.

This workshop is for sorors who plan to serve as a Graduate Advisor and Graduate Advisory Committee member and sorors in leadership positions who have never been certified. Remember to complete and forward the designated Graduate Advisor‘s Certification forms inside of this packet as instructed. Registration Deadline is February 14, 2015. NO EXCEPTIONS!

PC–2 Graduate Advisor Re-certification – Level II (7:30 a.m.—3:00 p.m.)

This workshop is for sorors who plan to serve as a Graduate Advisor and Graduate Advisory Committee member. Sorors must have completed the Graduate Advisor Certification Level I and must be within the effective period of their certification.

PC-3 Financial Officers’ Certification (9:00 a.m. – 5:00 p.m.)

This training is for current and aspiring chapter financial officers. Registration for this training will be limited to 50 sorors and priority will be given to current chapter financial officers. This one-day, interactive, hands-on certification is designed to assist the graduate chapter’s Tamiouchos and Pecunious Grammateus with executing their operational responsibilities. Each participant will receive the Financial Officer Certification Manual, an updated copy of the Fiscal Fitness Guide to Chapter Financial Procedures and the course CD. Sorors will be trained in the proper implementation of financial procedures as outlined in the Fiscal Fitness Guide to Chapter Financial Procedures and referenced in several other sorority documents. PC-4 Reinstatement Workshop (8:30 a.m. – 5:00 p.m.)

To attend the Reinstatement Workshop you must write a letter to your Regional Director and copy the Alpha Kappa Alpha Corporate Office requesting permission to return to active status. Once the Regional Director confirms your eligibility to attend this course, you will then submit the reinstatement essay, data sheet, and registration fee to the Corporate Office. WK01 – Building Basics 101: Introduction to Commercial Property Ownership

As chapter foundations consider the purchase of properties to house chapter operations and/or to generate revenue, commercial property ownership comes with great responsibility. This workshop is designed to introduce some important issues as chapters consider property purchases. Topics to be discussed will include zoning, due diligence, and initial financial commitment/investment.

WK02 – “Ready, Set, Launch!”

Launching New Dimensions of Service: This workshop is designed for program chairmen and program committee members. Chapter implementation tactics regarding each program target, excluding the signature program, will be discussed including goals, objectives, chapter activities and partnerships. Sorors’ understanding of the five program targets will be assessed by participating in a facilitated discussion of best practices for program implementation.

WK03 – Game On! Who wants to be a Parliamentarian?

As we launch new dimensions of service, it is important that sorors learn the tenets of parliamentary procedure. All sorors should be knowledgeable of the basic tools for conducting effective and efficient chapter meetings. This interactive workshop will enable participation and collaboration. Sorors must bring their 2014 Constitution and Bylaws and Manual of Standard Procedure.

WK04 – “So You Want to Run for Office” The workshop will familiarize the sorors with the training requirements and the candidate certification process for the various positions.

WK05 – Exceeding Expectations of Excellence #E3

The perpetuity of Alpha Kappa Alpha Sorority, Incorporated® requires all chapters to grow and remain vibrant. In order to achieve this, the International Standards Committee is committed to create a positive chapter operations’ environment. This interactive workshop is designed to broaden the understanding of the standards process and expectations of every member for a stress-free chapter assessment and evaluation. WK06 – “It’s All About YOU!: Strengthening Alpha Kappa Alpha Through Meaningful Membership Intake Process” This workshop will focus on ways to enhance the sorority’s current intake process. A special focus will be on the simplification of the selection process on both the undergraduate and graduate levels. The ongoing MIP evaluation process, including membership survey preliminary results, will also be discussed and shared. WK07 – “Launching New Dimensions – Sorors take A.C.T.I.O.N.” This workshop is targeted to Chapters Connection Chairs and all sorors who are interested in serving on their chapters Connection Committee. The 2014-2018 Connection Program will be introduced. This interactive workshop will empower participants to develop local connection activities that answer the call to take A.C.T.I.O.N. (Advocate, Communicate, Train, Influence, Organize and Network). Participants will also be introduced to the Voter Registration & Education Campaign – “Be the Voice!”. AKA Day WK08 – “Just Like a Sista: Perception, Behavior, Self-Awareness” This workshop is designed to foster and support sisterly behavior at all levels of the organization. By engaging participants in interactive activities that focus on perception, behavior, and self-awareness, the design will illustrate how differing points of views can lead to conflict, but how an understanding of another's point of view can lead to gaining a better understanding of each other and build better relationships.

WK09 – Launching New Dimensions of Communications – 101 Sorors will learn the ‘Who, What, When, Where, Why and How’ in delivering and developing the message of Alpha Kappa Alpha to the media. This workshop will include tactics including: How to work with the media through various platforms, i.e., Print, Broadcast and Digital Engaging with the media and content development (local vs. regional or national) and why the

WK10 – Poised and Polish . . . Launching New Dimensions of Protocol I Every soror should be knowledgeable about our sorority protocol. This workshop provides an overview of general protocol guidelines, procedures and practices of Alpha Kappa Alpha Sorority, Incorporated®. The content will give sorors a thorough review of the Soror Code of Ethics, appropriate attire for Rituals/AKA events, chapter decorum, gifts and courtesies, correct titles, terminology, and an update on additions and revisions. All attendees should bring a copy of The Official Guide to Alpha Kappa Alpha Protocol 2014. WK11 – Launching Your Chapter’s Strategic Plan: Why? When? How? Create your chapter’s strategic planning roadmap with a chapter mission, vision and goals for successful programs and activities. Develop your action plan and keep asking the questions where are we now and where do we want to go? Participants in this workshop will review the Alpha Kappa Alpha Sorority 2010-2020 Strategic Plan and use the sorority’s goals, objectives and priorities as the foundation for the chapter’s strategic plan. Every chapter is encouraged to have a representative participate in this workshop.

WK12 – Financial Workshop 101: “Managing Chapter Financial Operations using Financial Fundamentals

This workshop is designed for all chapter financial officers; and it will review financial fundamentals required for effective chapter financial operations. This interactive workshop will cover the responsibilities of the financial officers and how to be efficient in the planning, handling, and reporting of chapter's finances. Workshop includes information on budget development, auditing, and recommended internal controls. WK13 – Building Basics 201: Facilities Management Now that the property has been purchased, how is it maintained? As with any property purchase, preventative maintenance is crucial to property sustainability. This workshop is designed for chapters that own property or whose foundations own property. Topics to be covered include professional property management, preventative maintenance, and capital improvement plans. WK14 – “Launching New Dimensions of Service – Keeping our Heritage Reel” Get up close and personal with History. This workshop will provide chapters with in-depth information on how to improve their Archive Collection, with tips for better retrieval and examination of our historical artifacts and digital archiving. Chapters will learn how to conduct oral history interviews, focusing on the rich legacy of Diamond/Golden Sorors and chapter charter members. A special highlight of the work shop, will feature a "live" or "taped" interview with your region's Diamond Gems. WK15 – Truth or Myth: For Undergraduates Only! The International Undergraduate Activities Committee presents an interactive and engaging workshop that facilitates the discussion of the gray areas of Soror conduct, hazing, and protocol. By the end of this workshop, undergraduate Soror should have a clear understanding of how to exhibit the Alpha Kappa Alpha Brand in a positive manner at all times.

WK16 – “Rituals: Let’s Do it Right – Do the Right Thing!”

Alpha Kappa Alpha Rituals ceremonies are the most revered, sacred, and solemn activities conducted by sorors in our illustrious Sorority. The ceremonies help us to create an awareness and connection to our Founders.. This workshop will provide an interactive presentation and review of the four most requested ceremonies allowing sorors in attendance to increase their knowledge of the ceremonies, ensure appropriateness of attire for each ceremony, understand the various roles of the ceremony participants, and complete the set-up of each ceremony confidently. WK17 – “ASCEND to a New Dimension” This workshop is designed for program chairmen, ASCEND Lead Coaches and ASCEND program committee members. During this workshop, sorors will receive in depth information regarding the Supreme Basileus’ signature program, ASCEND. Goals, objectives and ASCEND cycle timelines will be reviewed in detail. Sorors’ understanding of ASCEND will be assessed by participating in a facilitated discussion of best practices for program implementation.

WK18 – The Alpha Kappa Alpha Brand

A brand is a concept, an ideal that people hold in their minds and in their hearts when they think about a product, individual, or organization. For Alpha Kappa Alpha, at its core, the brand is a promise of what the sorority represents and what it means to those for whom we serve. This workshop will introduce sorors to the information in the newly developed Alpha Kappa Alpha Brand Guidelines. Educating sorors about what a brand is and how it is managed Through interactive discussion, sorors will learn how to appropriately use the key elements of the Alpha Kappa Alpha brand in internal and external communication (i.e. logos, colors, etc.) Audience: All Sorors

WK19 – Poised and Polished . . . Launching New Dimensions of Protocol II

The role of the protocol team in the pre-planning of chapter, cluster, joint chapter events and regional conferences will be reviewed during this workshop. The duties and tasks before and during the events will be explored so that sorors gain the knowledge of appropriate notification to VSGs, dais seating, introductions, and appropriate amenities. All attendees should bring a copy of The Official Guide to Alpha Kappa Alpha Protocol 2014. WK20 – “EAF Launching New Dimensions of Educational Excellence” This workshop will focus on providing an understanding of the structure of the EAF as a 501(c) (3) organization. EAF representatives will discuss ways in which donors and members can support the mission of EAF. EAF Ambassadors will learn best practices for representing EAF at the chapter, cluster and regional levels. Strategies introduced will cultivate knowledge and excitement for the EAF initiative, “leaving a lasting legacy” through the establishment of endowments and fellowships by chapters, organization s and individuals. EAF representatives will also provide detailed descriptions of EAF’s scholarships and community-assistance programs. Personal checks will not be accepted. • A $50 handling fee will be assessed for any chapter check returned from the bank, and chapter registration will be delayed until the matter is cleared. • Refund requests must be submitted in writing to Soror Sharon Brown Harriott and postmarked by March 28. Refunds postmarked by March 28 will be considered and processed after the conference bills have been paid. A processing fee of $50 will be assessed. Refund requests will not be honored if post marked after March 28th.

If you are picking up a packet for an absent soror, you will need a signed letter from the absent soror giving permission to release her packet. No registration materials or souvenirs will be mailed.

Regional Online Registration Process (Individual sorors)

STEP 1 – Beginning the Registration Process Go to your region’s home page and search for the link of the conference of your choice.

To find your region’s website, go to www.aka1908.com • About AKA • Select Regions to navigate to your region’s website.

Once you click the link for the conference of your choice, click the Login link located in the left navigation bar.

STEP 2 – Logging into the Regional Online System

At the bottom of the Login page, enter your email address and password, then click Go.

• IMPORTANT: Your email address MUST match the address on file at the Corporate Office for

a successful login.

If you are financially active for the current year and are successful with your login, an expanded menu will appear on the left. Select the Upcoming Events link from the left menu.

STEP 3 – Registering for the Conference of your choice

Choose the conference you wish to register for by clicking its link.

On the next screen, review the conference date and time to verify that you have selected the conference of your choice. Then click Register for this Event.

• Select the appropriate registration fee (Graduate or Undergraduate). Then click Next.

• Scroll down and complete the registration form:

Your First Name, Last Name, Badge Name, Badge City, Badge State, and Badge Country should be pre-populated.

If you want your Badge Name to be different, you can edit this field.

Complete all applicable demographic information.

• Once completed, click Next.

• Review your registration summary and verify your information, then click the Register Now.

STEP 4 – Paying for your Conference

• You are now at the Online Store page – confirm the correct conference and fees. Then click the Check Out link at the bottom of the page.

• The next page will be the Checkout page – verify that your billing address is correct. If not, choose the radio button titled Bill to Alternate Address and complete the necessary information. Then click Next.

Bill to address must match the credit card statement mailing address.

At the payment information screen, enter your credit card information to complete the transaction. Then click Next.

• The last screen contains your order details. Once you have reviewed the order details, Submit Order. You will receive an email confirmation of your registration to your login email address.

Please remember that your registration will be considered pending until your per capita payment for this year has been verified. Your registration will be canceled if your current year dues are not paid.

1. Proposals for changes to the Constitution and Bylaws must be submitted on the Proposed Constitution/Bylaws Amendment Form.

SPECIAL NOTE: Please return this form no later than March 14, 2015. Names of Sorors who become Ivies Beyond the Wall after March 14, 2015, will be accepted at the Conference in the Regional Office until Thursday, April 15, 2015, by 2:00 p.m.

Chapter Basileus or her designee should arrive at the ceremony location no later than 15 minutes prior to the beginning of the ceremony. Chapter Basileus or designee should sit on the front row to place an ivy leaf in the basket when the Ivy Beyond the Wall Soror’s name is called.
