• Phase one– Pilot small group of IS users– Transition centrally-managed users– Refine processes in readiness for phase 2

awareness and readiness for deployment• Carefully scheduled communications leading
to cutover• Solicit feedback to adjust deployment and

Second phase approach• Starts with key contacts information forum
– Project overview– Service delivery, billing, transition, phone selection, etc.– Promote active involvement and understanding the rollout
process• Kick-offs with management and IT contact
– Foster collaborative approach– Review rollout process– Build commitment toward site participation
• Provide sequenced, site-specific coms– About the project, what changes, why, when, who will do
what, what users need to do etc. – Newsletter inserts, staff memos and email releases

Second phase approach continued• LITE populate user info spreadsheet• Project and LITE set deployment schedule• Deployment staff (including Optus staff) see
one user at a time– deploy to Optus and provide user support
• Formal Project closure approximately one week after the last user is cutover
• LITEs will be enabled to cutover remaining/new users

Rollout principles• Re-apply the ‘eXchange approach’• Deployment techs on site for one week only• Local preparation will achieve fast/smooth cutover
– Inadequate preparation will result in fewer/more problematic deployments
– Remaining deployments will be for LITEs to complete
• High emphasis on coordination by the Project office – – Kick offs, communications and deployments tightly
scheduled
