Membership Leads Video Rotary’s membership leads program routes prospective members to districts, which in turn try to assign them to clubs that suit their needs. Each week, Rotary hears from about 800 to 1,000 people from all over the world who are expressing an interest in joining. But thousands of them are left unanswered by districts and clubs. Global Grant Monitoring and Evaluation Plan Supplement Global grant sponsors for humanitarian projects and vocational training teams must incorporate monitoring and evaluation measures within the area of focus section of the online grant application. This supplement contains

The Rotary Foundation (TRF) standard measures for each area of focus as well as the standard terminology, definitions, and measurement methods. These standards will help the Foundation to track Rotarian efforts and accomplishments worldwide, and publish the results using the definitions used by other nonprofit organizations. Financing a Global Grant While applying for a global grant, the funding or financing option is an important function, which needs to be appropriately planned for the successful implementation of the project. Attached is a global grant calculator, which would help you to pre-plan the proposed financing or funding part, even before you approach an International partner for sponsorship of a grant. Memorandum of Understanding (MOU) At the time of application, grant sponsors need to provide a memorandum of understanding (MOU) signed by both primary sponsors and the cooperating organization. The MOU should include the following: 1. Verification from both primary sponsors that the grant is initiated, controlled, and managed by Rotary clubs or districts 2. Endorsement from the primary sponsors affirming that the cooperating organization is reputable, responsible, and acting within all governing laws 3. Grant implementation plan clearly delineating the activities of each party 4. Agreement from the cooperating organization to participate in any financial review by the Foundation of activities connected with the grant Global Grant Payments Grant funds will not be released until sponsor contributions have been submitted to The Rotary Foundation, any payment contingencies have been met and the legal agreement (signatures in original by the club president) has been sent to South Asia Office. Grant funds will only be paid to the account provided along with the application and must remain in that account until used for the direct payment of project expenses to a project vendor or reimbursement to a cooperating or beneficiary organization. Grants will be paid out at the current RI exchange rate at the time of payment. If a grant project is canceled after the project sponsors receive payment, all remaining grant funds must be returned to the Foundation, where they will be credited to the World Fund. Grants for which the World Fund award is between $50,001 and $200,000 will be paid in installments according to a spending plan. Subsequent payments will be made after the grant sponsors submit an accepted progress report and an interim site visit has been conducted by the Cadre of Technical Advisors.

WASH-IN-SCHOOLS TARGET CHALLENGE

Rotary India Wins Recognition Committee at its first meeting held in New Delhi. Details of office bearers of the committee listed on page 7.

Rotary India WinS Recognition Committee has now been formed. They will be responsible for reviewing, evaluating and recognizing clubs for achieving Rotary One Star recognition and will encourage and promote participation in the Target Challenge.

Additionally, PDG Ramesh Aggarwal (D-3012) has been assigned Districts 3011, 3012 & 3053. The Wash in Schools Target Challenge has a Three-Star Recognition approach. While, the Rotary One & Two Stars recognition benchmark is for projects on water & sanitation facility upgrades, hygiene education and teacher training along with key behavior-change components, the Three Stars emphasizes incorporation into government initiatives & enhancement to the curriculum. Successful completion of a Rotary One Star project will earn clubs district-level recognition whereas completion of projects for Two and Three Star recognition will earn appreciation from Rotary International and UNICEF.

CORPORATE SOCIAL RESPONSIBILITY (CSR) CORNER Congratulations to RID 3212 for CSR funds solicitation from M/s Kurian Abraham Private limited in Water and Sanitation focus area. RFI has received 3 CSR contributions in RY 2017-18; 2 CSR contribution from RID 3131and 1 CSR contribution from RID 3212. All District CSR chairs are to engage themselves proactively with the potential corporates in their districts to achieve their individual CSR goals. Do share the prospective corporates in your districts and contact CSR team, RISAO for any assistance. Watch out for CSR webinar details scheduled in first week of February 2018.

JULY 2017 CLUB INVOICE We applaud the leadership of District 3011 & 3170 for having have joined the list of districts where all clubs have paid their July 2017 dues. Till last month, the list included Districts 2981, 2982, 3141, 3142 and 3160.

TERMINATED CLUBS

Clubs that are terminated due to non-payment of July 2017 dues can be re-instated within 150 days of date of termination by fulfilling following compliances:

Pay all outstanding financial obligations at the time of termination.

Pay all membership dues that continue to accrue thereafter.

Pay a $30 per member reinstatement fee plus Goods & Services tax @18%

Reinstatement application.

After 150 days from the termination date, clubs are permanently terminated and cannot be reinstated.

JANUARY 2018 CLUB INVOICE

Invoices will be sent to clubs by the end of January.

Clubs are billed for all active members as of 1 January and are required to pay the amount that appears on the invoice. It is essential to keep your club's member data current so you receive a correct invoice.

Please remember that change in membership reported on or before 31 December will be reflected in the

January invoice, while changes made on or after 01 January will be reflected in July invoice.

PAYMENT INSTRUCTIONS FOR RI DUES FOR CLUBS IN INDIA:

We would recommend sending club dues electronically by using ‘Bank/ Electronic Transfer’ details mentioned in July 2017 Club Invoice. ‘Bank/Electronic transfer’ details are club specific, therefore clubs must use details as mentioned in their respective ‘club invoice’ only. Also, these details are for the purpose of paying club dues only and not for any other type of dues/contributions. Kindly remember that information/details given in the previous invoice do not stand good now and would lead to non-payment and inconvenience at your end.

In the event a club is unable to pay club dues electronically, payment may be sent by Cheque/demand draft drawn in favor of ‘Rotary International South Asia Office’ payable at New Delhi, along with copy of invoice, to South Asia Office.

PAYMENT INSTRUCTIONS FOR TRF DONATIONS/CONTRIBUTIONS

a) Online Giving by Donors in India

Rupee-enabled online giving is available to Donors in India through both Rotary Foundation (India) [RF(I)] website www.rotaryfoundationindia.org and Rotary International website www.rotary.org . This will allow Rotarians/Non-Rotarians to contribute online and also avail the benefits under Section 80G of Income Tax Act.

Donors making online contributions through www.rotary.org website are facing certain issues. Once payment is made they are being redirected to Rotary website where they get an error message instead of acknowledgement of payment. However, please note that in most cases, such payments are successful. b) Donation/Contribution through Cheque/Demand Draft

Draw a cheque/demand draft in favor of ‘Rotary Foundation (India)’ payable at New Delhi. Please mention the donor’s name clearly (i.e. drawer of the cheque/remitter of bank draft), donor address and donor’s Permanent Account Number (PAN) in the contribution form/ letter.

A single receipt per cheque will be issued in favor of the drawer of the cheque.

A single receipt for each demand draft/pay order will be issued in favor of the remitter, if mentioned in demand draft/pay order

THE GOODS & SERVICE TAX (GST) The GST Laws that came into effect from July 1, 2017 may impact the working of the Rotary Clubs. Therefore it is advised that Rotary Clubs contact their Chartered Accountants/ Tax Advisors for further information/ update on this matter. Clubs that are required by law to have a GST registration number and have already got them registered or are in the process of getting registered are requested to send following details through their registered email ID to [email protected] Details required:

Club Name and Club Number Special Status (if applicable) along with supporting document issued by competent authorities (for e.g.:

SEZ exemptions) Copy of registration certificate, duly attested by account signatories

We are happy to share that, till date 19 Rotary Clubs have got themselves registered under GST. There is a critical provision in GST that mandates the “state” code of your GST registration and the “state” of your mailing address available with the SAO to be identical. In case they are different, we request you to update your mailing address of the club in RI records to comply with the above requirement.

Roy John participated in the District Foundation Seminar at Kolhapur in D3170 as Faculty, made a presentation on Grants Management process and visited project sites at Belgaum & Kolhapur from 14 to 17 December 2017. Jayashree Jayaraman, Manager CSR & WINs attended District Seminar in RID 3150 at Hyderabad on 17 December 2017. She took a session on CSR grants during the seminar.

Rotarians from RID 3131 who participated in car rally titled “My Rotary One Rotary” visited SAO on 18 December 2017. The aim of the car rally was to reach all major destinations in Rotary Districts in India, exchange information, visit their important service projects, meet prominent Rotarians from various districts and generate friendship & fellowship.
