    A report can be defined as acommunication in which writer givesinformation to individual ororganisation because it is his or herresponsibility to do so.

    PURPOSE OF A REPORT:

    It is primary source of information to themanagement or an individual to help in decisionmaking.

    To give information about companys activities,

    progress, plans and problems. To record events for future reference in

    decision making. To recommend specific action. It present facts to the management to help in

    decide the direction of the business shouldchoose.

    To justify & persuade readers about the needfor action in controversial situations.

    KINDS OF REPORT:

    Reports are of two kinds:1. Formal report2. Semi formal / informal reportReports are known by the names they get from their

    purpose and their form. Routine report : it made by filling in a printed form. Letter report : it is in form of letters. Memo report : it is in forms of memos. Progress report : on the progress and status of a

    project. Laboratory report Formal report Short informal report ( in form of letter and memos )

    WRITING ELEMENTS OF A LONGFORMAL REPORT

    THE TITLE PAGE- Name & status of author

    - Department & date of issue

    - The heading should be short, clear & unambiguous

    ACKNOWLEDGEMENTS

    - you should thank everyone associated with the assignment andpreparation of your report.

    COVER LETTER

    - it is usually written by top management as preface , reflectingthe managements policy & interpretation of the reports findings,conclusions and recommendations.

    - it can written as memo or a forwarding certificate.

    LETTER OF TRANSMITTAL- it is usually placed after the title page, it functions as a

    greeting to the reader.

    - the letter covers a summary of the findings, conclusions andrecommendations to give an idea of the report.

    1) begin directly by talking about the subject of the report.

    2) give a brief review of the contents of the report.

    3) acknowledge the contribution of others to your study, ifany.

    4) end the letter by thanking the authorising person or bodyand expressing hope for helping again.

    TABLE OF CONTENTS- long reports must have a table off contents placed after

    acknowledgements and before the summary.

    - it identifies the topics and their page numbers in thereports.
