2. The Warehouse

The company, in its Supply Chain hierarchy, does not have a concept of a carrying and forwarding (C & F)

agent. A central warehouse is located in South Delhi, from where the inventory is forwarded to different

distributors.

The company has two types of customers. First, there are retail cosmetics or chemist shops, which sell

the Aroma Magic products to individual customers. These products come under the category, Aroma

Normal. Other than these products, there is a different range of products, Aroma Pro, which caters to

beauty parlors. Appendix A consists of the list of products under Aroma Normal and Appendix B consists

the same Aroma Pro.

2.1. The Employees

The company employs 3 employees in the warehouse, who perform different tasks. Mr. Ashish

Vishat is the commerce officer. He looks after all the technical part, including data entry, looking

after all the databases, etc. Mr. Manoj Kumar is the supply officer. He is involved in all the processes

from the stock coming into the warehouse (from factory), to it going out (to the distributors). He,

along with Mr. Vinod Tiwari, the stock officer, handles where the job of packaging, supplying, and

receiving the inventory. Mr. Ashish generates the invoice, maintains the database of products

available and supervises Mr. Vinod and Manoj. This database is sent to the head office, Delhi, which

then decides which product to send when and in what quantity.

2.2. The transportation

The depot has 1 tempo, TATA 407, which caters to all the needs of the depot. The tempo can carry

around 60-70 cartons of Aroma Magic. Once in a while, when there is some urgent order, the order

is sent through autos.

Mr. Manoj and Vinod pack, load and supply the order into the tempo. On an average, there are 2

supplies per day, which are catered and depending upon the orders available, the location is

selected as to where to send the tempo, when. For ex, if there is an order from Shahadra distributor,

Pitampura and Punjabi Bagh each, then the supplies will be sent to Pitampura and Punjabi Bagh and

Shahadra will be served the next day.

2.3. The Distribution

The depot serves whole of the Delhi. In total, there are 10 distributors, which the depot serves to.

The company has no other depot in Delhi region. Following is the list of distributors:

2.4. The depot- structure

The depot consisted of 2 L-shaped rooms, which were separated by a ply wall. Thus, effectively,

there were 4 rooms. A small room served as the room for Mr. Ashish where he used to do all his

computer-oriented jobs. One small room which was right at the front of entry door was used as the

store-room. The other L-shaped room was a big room which served as the store. The products were

received coming from the factory and kept in the entry store room, for the time being. the order

was verified here and then moved forward to main store room. Similarly, the order to be taken out

was first brought to the front store room, counted, packed there, and then loaded into the truck. A

map of the depot is following, which contains the front view, as well as the aerial view of the depot.

2.5. The day at Depot

We reached the depot and discussed about some issues like the number of employees, names of

employees, turnover, etc. We then began our ground work of taking the dimensions of cartons. We

then went for lunch, came back to depot, continued with our work, and after the dimensions were

taken, we asked Mr. Ashish for the total inventory available of each product. The list of products,

along with the dimensions of their cartons, is mentioned in Appendix C & D for Aroma Normal and

Aroma Pro, respectively. Appendix E consists of the list of inventory available, as on 14/08/2010.

3. The Distributor

Next in hierarchy, come the distributors. The distributors receive products from the depot, and carry

them forward to their respective retail and wholesale outlets. The distributor that we were covering,

was located in R.K Puram. The name of the organization was “Shree Balaji Enterprises”. The distributor

carries the products from 7 makers. On the day we went to the distributor, following number of

products were available with him from different makers:

Mr. Manik Goel (the owner) has employed 11 employees. There are different jobs at the warehouse,

ranging from loading-unloading to supplying orders. Anyone is assigned any job, for ex, a person today

might go to supply orders, but tomorrow, he may be assigned a job of collecting payments. There are 9

vehicles available, of three different types, and are used according to the kind of orders. Following is the

division of which vehicle is used when:

The distribution is a typical and efficient process. Cycle serves the retailers in the nearby places. Scooters

cater to the retailers all over Delhi and small orders from wholesalers too. Vans are used only for big

orders from wholesalers. For ex, one day, when the order was from a wholesaler in Kapaserha, van was

used. Some of the employees go for supplying. Some go for receiving orders. When an employee

receives an order, at the end of the day, he would come back in the evening and list out all the orders

received. These orders are then taken from the store room and packed, so that no time is wasted in the

morning in these inefficient jobs. At around 1030 hrs, the office is opened. The car and scooter bound

order is sent immediately, within half an hour. Then, the remaining employees bring everything to

order, like any opened carton is repacked, office is cleaned, etc. Then, at around 1200 hrs, cyclists are

sent with their respective supplies.

Daily procedure at the Distributor Office

1. 4 pm billing starts (for the next day beat)

2. 5 30 pm products are kept in the boxes

3. By 7 pm the employees leave

4. Next day the employee take the receipts from the distributor, put the boxes in his cycle or

scooter and leave the office to give the products to retailers by 10 am

The payment is received by the supplier only. But, sometimes, some parties ask for margin period. In

that case, none of the supplier is allotted the task of receiving an old payment. For that, people go

specially. For ex, if some wholesalers in area of south Delhi are bound to pay today and a supplier has to

go to those places only, he won’t take the payments. He will only supply the products. For payment

receipt, a person will go separately.

The distributor’s place had 4 rooms. 1 big hall was used as the store room. The room right at the entry

was used as the waiting-cum-packing-unpacking room. The room next to this room was used as the

cabin by the owner. This was the room, where all the meetings took place, and discussions were made.

The room next to this room was a small room which was used rarely. Upon inspection, it was found that

this room served for the jobs like receiving payments from employees, paying the employees. It can also

be inferred that money was stored in this room.

Margin:- 2% on Blossom Kochhar products.

4. Day 1 at distributor’s place

We reached the office and talked with Mr. Manik for some time. At around 1400 hrs, we finish the

discussions with Mr. Manik. Appendix F consists of the list of inventory available at Shree Balaji traders,

of Blossom Kochhar, as on 16/08/2010.

We get to know that scooter beat leaves at around 1030 hrs and thus cannot follow the same. Similarly,

the cycle beat leaves at around 1230 hrs, so could not follow the same. We, thus, took the list of orders

that were sent that day through the cycle.

Keeping in mind that the scooter beat leaves around 1030 hrs, we reached the office before the beat

left. There, the order was loaded onto the scooter and we left with the beat. The beat details of shops
