information will be sent after your reservation is made and prior to arrival. If you have any questions please call

Joe McGinnis, Maintenance Manager at 302-526-9336.

As a guest of a Girl Scout property, please be sure to follow the motto of “Leave a place better then you found

it.” We are expecting that of you and your group. If a site is not in good condition upon leaving we will be in

touch with you to either return to clean up or you may be charged an additional fee for cleaning if we have to

bring in someone to do it.

Upon departure fill out the Camping Report and Checklist and email to GSCB at [email protected]

Off-Site Emergency Contact: During the registration process, you will be asked to provide contact information

for an off-site emergency contact. This is required for Girl Scouts groups and recommended for non-Girl Scout

groups. The off-site emergency contact should have names and emergency contact information for all

participants on the camping trip, be aware of arrival and departure dates and times, and be available to make

phone calls in the event of an emergency. All adults in your group that are staying on-site should have the

offsite emergency contact’s name and contact information.

Specialized Activities: During specialized activities such as Archery, Canoe, Kayaking, Sailing, and Low

Ropes; you must reserve it in advance and make arrangements for the appropriate trained personnel.

Telephone: A phone is located in the Program Center Kitchen. The telephone is to be used for emergency

calls only. All long distance calls must be made collect or by personal calling card.

In an Emergency: Call 911 first. Then contact Joe McGinnis, Maintenance Manager at 302-526-9336. Your

emergency contact person should begin to make their contacts.

Health Care and Treatment: Please be sure to have the names and addresses of all participants in your party

as well as the emergency contact numbers, names and signed permission to treat or seek treatment of all

minors in your group. Be aware of any medical concerns such as allergies. Know your groups required

treatment, restrictions and other accommodations needed by your party. Place all First Aid and Medical supplies

in a safe and secure place. All prescription and nonprescription drugs should be kept in a locked area until

needed. All girl scout groups must have at least one adult currently trained in FA/CPR from a nationally

recognized provider (such as The American Red Cross, etc).

Insurance: Be sure that you have the necessary insurance coverage for your stay.

Leave No Trace: Please do not carve on trees, bunks or buildings, and no graffiti, please. If you would like to

paint or carve on things found in nature, please bring them with you from home and take them when you go.

Equipment: All equipment for troop use is stored in the respective unit house or kitchen shelter. (See Troop

Checklist for unit inventory.) Please be sure to return equipment to its proper place.

Trash Removal: All trash is to be placed in the large dumpster across from the rear of the Dining Hall or next

to the Program Center. Do not leave trash outside overnight as the raccoons will make a mess of it. Please

take your recyclables to a recycle center located near your home.

Keys: Keys will not be needed for Grove Point since GSCB will unlock the all doors for you.

Vehicles: Please help protect our camp roads. Each troop is allowed to drive only ONE vehicle to the unit.

All other vehicles must be backed into a space in the parking lot.

Sports Facilities: Camp Grove Point has a tennis, basketball and volleyball court located in Main Camp.

Troops are welcome to use these facilities. Various pieces of equipment is stored in a shed connected to the

shower house, next to the sports court. These areas are used on a first-come, first-served basis. Please be

considerate of other troops who may also want to use these facilities.

Water: The water at Camp Grove Point is of high quality and is tested yearly by the Public Health Department.

When the water is not used daily, it collects rust from the pipes. Let it run for 2 to 3 minutes, giving it time to

clear the pipes. In addition, if the water is not getting hot the same thing may be needed. It sometimes takes a

long time for the water to move from the heater to the faucet.

Floors: The wood or cement floors are to be swept using the push brooms. All floors should also be mopped

using water and a SMALL amount of cleaner.

Windows: Close and lock all windows and doors before leaving.

During Your Stay

Supervision: You are responsible for your group’s supervision and behavior while on property.

Troop Camping Report: ALL troops are responsible for turning in their report by emailing it to GSCB at

[email protected] or by forwarding them to Council. This information is VITAL; we need to

know if repairs are necessary as well as keeping track of equipment damage and needs. Please do your

part and turn your report in. This will enable Troops to have the best camping experience

possible.

Leave at Home: The following are NOT PERMITTED on Council campsites:

Pets Trailers Power Saws Gasoline Lanterns, Stoves or Heaters

Alcoholic Beverages Narcotics Firearms

Smoking: Smoking is prohibited in all of the Girl Scouts of the Chesapeake Bay Council buildings.

Smoking will be allowed in designated outdoor smoking areas only. Please refrain from smoking in the

presence of children. Smoke in fire circles only. DO NOT LEAVE CIGARETTE BUTTS IN FIRE CIRCLE.

Candles are NOT permitted on camp properties, except for during candle ceremonies.

Emergency Contact Person: Must have all appropriate names and phone numbers of those who are in

your party. All parties at home should have the Emergency Contact Person’s phone number to reach them

while they are away. The Emergency Contact Person will be responsible for contacting 911, all family

members of those involved in the emergency and Joe McGinnis, Maintenance Manager at 302-526-9336.

Conservation: Leave moss, wild flowers and other living things growing in their own areas. Do not sweep

the paths in and around units. Leaves and twigs serve as ground cover and protection from erosion. Do not

line the paths with rocks. Do not dig holes or trenches on any Council sites.

Equipment: All units have standard equipment provided (see “Troop Checklist” for unit inventory). Do not

move equipment from one site to another. If you move equipment WITHIN a site, such as mattresses, tables

and the like, be sure to put it back before you leave camp.

Fireplaces: Make sure your fireplace damper is open. Before you light your fire, roll up a sheet or two of

newspaper and light one end. Hold lighted newspaper in the flue to warm the chimney. The open damper

causes convection (hot air rising) and your fireplace won’t smoke. Do not use water to put out fires in

fireplaces. Water on hot stone or brick causes it to crack. Plan your last use of the fireplace to allow the

fire to die and completely cool before you clean out the ashes. Ashes should be put outside in the ash can.

The fire must be attended to AT ALL TIMES.

Fire Circles: A fire circle is available at most units. Do not build fires except in established fire circles.

Girls and adults should follow all fire circle safety procedures when a fire is being used. Sprinkle with

Page 4: Rental Forms 01-09-02019...may have provisions for parking that must be coordinated with the Site Manager. If you have individuals in your party that require special accommodations

water and stir with a stick to put the fire DEAD OUT. Leave unburned wood in fire circle and do not remove

ashes, unless dead cold. The next camping group or GSCB will decide if ashes need to be removed. Please

make a notation on your checkout form if the ash can needs to be emptied. GSCB may limit the building of

fires during very dry weather. The fire must be attended to AT ALL TIMES.

Disposal of Ashes: If your site’s ash can is full, please make a notation on your checkout form if the ash

can needs to be emptied. Do not spread the ashes.

Wood Supply: USE ONLY WHAT YOU NEED. Replenish enough tinder, kindling, and fuel for one fire for the

next group of campers.

Food and Equipment: Troops should bring their own kitchen equipment. Be sure that EVERYTHING brought

to camp is packed when you are preparing to leave. Clean out refrigerators.

Dishwashing: If you are a Girl Scout group, please remember to use the three-basin method of dishwashing.

Be sure plates are scraped clean before they are put in the dishwater. Start with hot soapy water, do a warm

rinse and cold sanitizer with (capful of bleach to 1-gallon cold water). Dump rinse water down the sinks

provided at the unit. Be sure to clean the sinks out before you leave.

Disinfecting Mattresses: This procedure is required by the State and County Health Departments.

Procedure to follow upon arrival: Wipe each plastic-covered mattress with Clorox wipes or other disinfecting

wipes. For situations involving a bed wetter: The mattress must be disinfected before leaving camp.

Mattresses are to be stored on their side in adirondack units and flat in the tent units.

Visitors: If you are expecting visitors, please let Joe McGinnis, Maintenance Manager at 302-526-9336

know in advance. Visitors must park their cars in the parking lot, not at the unit.

Bathrooms: Clean the bathrooms upon arrival at the campsite, each morning and just before leaving the site.

• A disinfectant is to be used daily to scrub lids, seats, and floors.

• Lids and doors should be kept closed at all times, except during drying period.

• An agent to promote the bacterial decomposition process will be added to latrines as needed by

GSCB.

• Only toilet paper and human waste is to be put in the latrine.

• Please provide paper bags for feminine hygiene products to be placed in garbage cans.

• Please do not put feminine hygiene products, of any nature, or the paper bags in the latrine.

• Toilet paper is to be provided by the group using the unit.

Care of the Tents: Do not use aerosol sprays (deodorant, insect repellent, hair, etc.) in or near tents. They

destroy the waterproofing.

• Do not use pins in canvas. Pinholes become leaks. DO NOT WRITE ON TENTS.

• Loosen guy lines when it rains to offset tent shrinkage.

• Do not remove ropes from tents.

• Roll platform tent flaps down at least once a day so mice will not nest or chew holes in the tent

• fabric.

• Platform tent door flaps should be tied with a half bow when you leave. Do not tie corners or flaps

to beds.

• Some platform tents have mats and/or beds. Be sure you leave them as you found them.

• All borrowed tents must be swept clean and COMPLETELY DRY before they are returned.

Setting metal tent spikes on the wet fabric causes rust and holes on the tent surface.

A Girl Scout is Courteous: Ask permission before walking through or visiting other units in camp and please

do not interrupt their program. This is someone else’s home for the weekend.

Parents Bringing Campers to Camp: Please make certain that the parents driving your girls to camp know

the name of the unit you will be staying in and your Troop number. GSCB is not responsible for towing

Page 5: Rental Forms 01-09-02019...may have provisions for parking that must be coordinated with the Site Manager. If you have individuals in your party that require special accommodations

emergencies should a car be stuck or need service. Please call a local towing service if you need

assistance.

Curfew: All units must be completely quiet by 11:00p.m. Remember, voices carry at night.

Girl Scouts of the Chesapeake Bay Terms and Conditions

Terms and Conditions for any Girl Scout or non-Girl Scout group utilizing a facility owned and operated by Girl

Scouts of the Chesapeake Bay.

Activities and Facilitation

There are a number of activities that groups can engage in at our four properties. Some activities are only

available at particular locations but options include canoeing, kayaking, paddle boarding, swimming, low

challenge course, zip lining, archery, geo-caching, Frisbee golf, and more.

Dining Services and Food at Camp

Some of our lodges contain residential size kitchens. Commercial kitchens are located in the Program Center

at Camp Grove Point, STEM Lodge at Camp Country Center, and the Program Center at Camp Todd. Groups

may rent a commercial kitchen but must provide a copy of valid Serv Safe certification for the individual

designated to handle their food operations. Certification can be obtained online at

https://www.servsafe.com/home.

When utilizing dishes and utensils, all items must be washed after use in water over 100 degrees Fahrenheit,

rinsed in an approved chemical sanitizer, air dried after use, and stored in a location safe from dust and

contamination.

Only utensils and equipment that have been cleaned and sanitized should be used during food preparation, all

food contact surfaces must be cleaned and sanitized after use, and it is recommended that potentially

hazardous foods are kept to minimum time in the food danger zone between 40 and 140 degrees Fahrenheit.

Internet and Cell Phone Signal

Most of our camp locations have unreliable cell phone signal coverage from all providers. Wireless Internet is

available in select locations on our properties and may be utilized upon special request of your assigned Camp

Director.

Linens

Bed linens and sleeping bags are not provided. It is recommended that anyone staying overnight on one of our

property bring twin-sized sheets, sleeping bag or blanket, pillow, and towel.

Meeting/Audio Visual Needs

GSCB properties are frequently used as meeting or conference center spaces, as such; we strive to provide

you with supplies to make your meeting successful. Some buildings have built-in technology. For additional

technology needs or concerns, contact your appropriate Camp Director.

Parking and Vehicles

Parking is limited at many of our sites so carpooling is encouraged. Upon arriving at camp, all vehicles must

have posted in the front driver side of the vehicle an index card with the name of the person responsible for the

vehicle during the stay, the group they are staying with, the building where they are staying, and a contact

phone number.

Vehicles are not permitted off of designated roadways lined with gravel with the exception of vehicles being

utilized by GSCB staff for specific property or program needs.

Vehicles may be driven to units for unloading but should be moved to a main parking area after that. The main

parking areas are: next to the maintenance barn at Camp Todd, Unicorn Meadow at Camp Grove Point,

outside of the STEM Lodge at Camp Country Center, and at the flag pole at Sandy Pines. Some camp sites

may have provisions for parking that must be coordinated with the Site Manager.

If you have individuals in your party that require special accommodations for accessibility, please contact your

appropriate Camp Director.

Emergency Transportation

Unless attending a Council-sponsored event, all groups are required to provide their own emergency

transportation. Please also be aware of the closest emergency room to the applicable camp.

Emergency Care Personnel

All Girl Scout rentals groups are required to have one adult with a valid First Aid/CPR certification appropriate

to the age level of the group. Non-Girl Scout rental groups are strongly encouraged to have an adult with a

not required to abide by this guideline with the acknowledgement that the group, and not Girl Scouts of the

Chesapeake Bay, assumes the risk inherent with not having emergency care personnel readily available.

Accidents and Illnesses on Camp Property

Camp properties come with inherent risks including insect bites, dehydration, exposure, sprained muscles, or

broken bones. In an effort to mitigate risk while at camp, all rental groups are encouraged to note the location

All Girl Scout groups are required to have health information for their participants including names, addresses,

emergency contacts names and phone numbers, and a listing of known allergies or health conditions requiring

treatment, restriction or other accommodations while on site.

Non Girl Scout groups are not required to have this health information for participants, but it is strongly

recommended.

Risk Management

All camp properties are assessed annually for new or heightened risk variables. Any group, Girl Scout or

nonGirl Scout, is encouraged to bring risk management concerns to the attention of the appropriate Camp

Director.

Vehicle Insurance

All private vehicles that are parked on GSCB camp property are required to have the state minimum

requirements for vehicle insurance. Proof of insurance may be requested by the Camp Director or Camp

Ranger and should be readily available in the vehicle when staying on site.

Prohibited Items

No illegal drugs are permitted on GSCB camp properties at any time. Alcohol is not permitted at any event

where Girl Scouts under the age of 18 are present. Alcohol may be permitted for adults only events with

special permission from the Director of Outdoor Programs. Smoking and e-cigarettes are not permitted at any

event where Girl Scouts under the age of 18 are present. Adults may smoke cigarettes or e-cigarettes around

fire circles when no girls are present. All cigarette butts must be disposed of properly and not left in a fire circle

or on the ground.

No personal sports equipment is permitted without special permission from the Director of Outdoor Programs.

Personal sports equipment includes, but is not limited to, archery equipment, bats, hockey sticks, boats,

climbing gear, or bicycles.

Pets or other animals are not permitted on GSCB property, unless they are functioning as a service animal.

Full-time GSCB staff living on site may have pets but are required to provide health and immunization records

for the animals.

Guns, knives, and other weapons are not permitted on GSCB property. Pocket knives are acceptable for

adults or Girl Scouts who have completed appropriate training.

Cancellations or Refunds

If a reservation is cancelled four weeks prior to the scheduled visit, the group will receive either a refund or a

transfer of payment to a future camp date. If the cancellation occurs less than four weeks prior to the camp

date, only a transfer of payment to another camp date will be given. There will be no refund given if cancelled

less than four weeks prior to camp date. Transfer of payment must be done within two weeks of the cancelled

date. If future date is not determined within two weeks, the window to transfer is lost.

Page 8: Rental Forms 01-09-02019...may have provisions for parking that must be coordinated with the Site Manager. If you have individuals in your party that require special accommodations

N:\Property\Camp Grove Point\Rental Forms 01-09-2019

Any transfer of payment must be used within one calendar year from the date of the original reservation.

Credits will not be carried over to future years.

Refunds are not available in the event that a group determines not to visit camp due to weather conditions or

predictions. The only time refunds are available due to weather conditions or predictions are when GSCB

closes properties and cancels reservations due to severe, life-threatening weather.

Services Provided by GSCB

Groups are responsible for transporting their own trash to dumpsters. Paper products such as toilet paper and

paper towels, hand and dish soap, and trash bags are provided.

No transportation to and from the property is provided, nor is it provided while in the campsites.

Program areas must be reserved in addition to the rental of buildings in order to partake in activities. Activities

that require the presence of a GSCB-approved facilitator include kayaking, canoeing, log-rolling, paddle

boarding, zip-lining, climbing wall, low challenge course, archery, and swimming.

Additional Fees

GSCB reserves the right to bill rental groups, including Girl Scout groups, in the event that campsites are

damaged or not properly cleaned after a rental. If the services of a private cleaning company are required, the

rental group will be billed for the cost of the services. If repairs are required, the rental group will be billed for

the cost of the repairs.

Swimming and Waterfront Activities

All rental groups are advised to provide a person who has a current certification as a lifeguard from a nationally

recognized certifying body for any activities taking place at a swimming pool, lake, or other open bodies of

water. For activities taking place in a lake or other open bodies of water, rental groups are advised to provide a

person who has a current certification as a lifeguard from a nationally recognized certifying body that includes a

waterfront component.

If you are providing your own aquatics personnel, not arranged through GSCB, a safety orientation is required

before any aquatic activities take place. All participants must be oriented to weather restrictions, pool rules,

watercraft regulations, navigation rules, diving restrictions, safety signals or commands, warning systems,

behavior rules, and nonswimmer restrictions.

If you are providing your own aquatics personnel, not arranged through GSCB, the personnel are required to

identify features and hazards of the aquatic area, location of emergency and rescue equipment, and the

location of the nearest phone.

If you are providing your own aquatics personnel, not arranged through GSCB, it is recommended that a safety

system be used, such as the buddy system, to account for swimmers and boaters.

If you are providing swim lessons, it is recommended that you provide a swim instructor with certification from a

nationally recognized certifying body. In addition, if the instructor is in the water with participants, you are

advised to have a lifeguard out of the water continuously watching over the activity.
