RE:Event®

For Event Management

The day of your event, efficiently process registrants at the door. View and edit registration information, such

as participant status and level, on one easy-to-use screen.

The Expenses tab stores information such as costs associated with entertainment, catering, invitations,

personnel and supplies. Amounts paid to vendors, payment dates and notes for each expense are easily

documented and used in analytical reports. By tracking the associated expenses, you can measure the cost

effectiveness of your events.

Managing Event Details

RE:Event also coordinates the small details. Print name tags and place cards, and use visual seating

arrangements and assignments to give you a better picture of your event. You can enter descriptions of event

prizes, designate presenters and record prize recipients. Additionally, the Attributes tab gives you the flexibility

to store miscellaneous information for your events.

When RE:Event is used with RE:VolunteerTM, you can enter volunteer assignments for your events. These two

modules tightly integrate so data need only be entered once. For example, if you assign a volunteer to work

as the starter at the golf tournament, the assignment will automatically appear on the volunteer’s task list as

well as the job record for the golf tournament. For jobs that do not require volunteers, link an Action to the

event to create general to-do lists for your staff members.

Data entry in RE:Event is fast and efficient. For all golf tournament gifts, you can designate a specific

campaign and fund that will automatically appear in gift records. You establish how registration fees are

recorded — choose to automatically add a gift, optionally add a gift, or not add a gift when a constituent

registers. You can even link multiple gifts to a single event — registration fees, gift-in-kind donations and

sponsoring pledges.

Adding Participants

Easily add participants and their addresses in RE:Event — even if the participant is not a constituent in

The Raiser’s Edge. You can track various types of information, including participation level, donations,

assignments, and whether the participant actually attended the function. Each participant can be further

identified as a speaker, volunteer, instructor, event coordinator, and/or vendor. Also keep lodging and travel

information for each participant — room number, check-in date/time and travel arrangements.

Store information on all event participants. Registrants, guests of registrants and sponsors of registrants may

participate in events and be tracked in RE:Event.

Event Summaries

Evaluate the success of your events with Event Summaries. These summaries include information such

as first/latest/greatest donation or sponsoring pledge, event capacity, number invited, number registered

and number attended. Additionally, the system calculates financial data such as income goal versus actual

income, expense budget versus actual expenses, and whether you are over or under budget or goal.

Event Profiles

An Event Profile summarises the event. You can choose to include a variety of information, including income,

expenses, prices, participants and notes. You can print a profile, export it in the form of a data file to another

application or send it as e-mail to your staff and board members.

Event Calendar

The Event Calendar provides a snapshot view of events and their related actions. Click on a specific day, and

an activity list appears describing all activities and their status. Choose to view all events or a single event’s

calendar.

Event Management Reports

RE:Event reports are designed specifically to help you organise and analyse your special events. You can

print a variety of reports from seating and table assignments to income and expense reports. You can also

identify participants who still owe registration fees. Here are some examples of standard RE:Event reports:

•• The Event Summary Report provides key information on one or several events including event ID,

registration status, number attended, income and expenses. Use this report to determine the most

successful and cost-effective events.

•• The Dinner Preferences Report is a detailed look at participants, preferences, quantity and

comments. This report gives your caterer and others the information they need, such as the number of

chicken dinners, the number of prime rib dinners and the number of vegetarian dinners ordered.

•• The Event Expense Report lists the expenses incurred by one or more events. Easily find the most

expensive event you held or the least expensive element of a specific event.

•• The Event Income Report provides information on the amount paid by the participants for the event,

and includes summaries by sponsor. Determine how much the event raised and which constituents

donated.

•• The Registration Fees Due Report lists participants that have not paid or only partially paid their

registration fees. A summary by sponsor may also be printed. If a registrant has paid a portion of their

dues, the report includes a cheque number and date.

•• The Seating Arrangements Report provides a list of seating assignments for participants and

sponsors by section, row, table and seat. This report is extremely helpful in organising a dinner or gala,

placing name cards, etc.

•• The Sporting Event Roster is a detailed look at participants’ involvement in the sporting event. You

choose the additional information to include. This is helpful in organising golf tournaments and other

team sporting events.

•• The Lodging Report outlines lodging plans for event participants. This information may be useful in

picking guests up from the airport or organising shuttle service for appropriate hotels.

•• Combine RE:Event with RE:Member® to track attendance at events by scanning membership cards.

The Raiser’s Edge data is accessible from Windows and through the World Wide Web. Web access, available

via RE:Anywhere™, is ideal for remote offices and travelling staff members. Using a computer with an Internet

connection and Microsoft’s Internet Explorer, you can view, add, edit and delete records as well as run

reports and queries within The Raiser’s Edge. Both Windows and Web users work from the same database,

ensuring consistent data at all times. The Raiser’s Edge is also compatible with Citrix® Metaframe and

WIndows 2000 Terminal Server.

Internet Integration

Take your event management even further by harnessing the power of the Internet. RE:NetEvents lets you

offer the convenience of secure on-line event registration to your constituents without worrying about website

programming or additional security or server concerns. Once an event is set up in RE:Event, you can publish

a feature to your website that accepts on-line registrations and credit card payments. After a constituent

registers, a personalised acknowledgement appears on screen that the donor can print for record-keeping

purposes. The same acknowledgement is also emailed to the donor. The event registration is logged in

RE:Event so you can even send your standard acknowledgement with The Raiser’s Edge.

RE:NetEvents is a component of RE:NetSolutionsTM, a suite of web-based fundraising tools that integrate

with The Raiser’s Edge.
