The Recruiting for Hiring Leaders guide is a reference tool for Hiring Leaders when managing recruiting-
related activities in MySuccess. Use this guide to support your system training.
Note: Always confirm with your manager or Human Resources team for policies/procedures that may
have changed.

Overview of Recruiting
mySuccess Recruiting empowers Hiring Leaders to have an active role in the recruiting process by
providing them with the tools to locate and hire the right talent. From the start, Hiring Leaders are involved
in defining the requirements for a position, finding top candidates, interviewing, assessing, and eventually
hiring associates. With the assistance of HR and your Recruiting Team, the process is made simple via
an intuitive, user-friendly interface.

Recruiting Process Overview
Below is a high-level illustration of the recruiting process at Harland Clarke Holdings. With support from
HR and the Recruiting Team, Hiring Leaders are responsible for moving candidates through each of
these steps.

Recruiting Features on the mySuccess Home Page
The My Team tile lists your team members. If open job requisitions exist for positions on your team,
the job titles for the requisitions appear as a link. Click the link to view the status of the requisition or
take action.
If you have open requisitions, a link appears in the To Do tile. Click the link to view the requisition list.
Click on a requisition to open it.

Navigate the Recruiting Page
Use the Recruiting page to access the recruiting features in mySuccess.
To access the Recruiting page, choose Recruiting from the navigation menu.
When you access the Recruiting page, the Job Requisitions page displays. This page lists all
requisitions in progress.
Interviewers use Interview Central to record feedback from candidate interviews.
Navigate the Job Requisitions Page
A job requisition contains the detailed information for an open position, including the role description and
requirements. The Job Requisitions sub-tab allows you to view and manage job requisitions.
From the drop-down list, choose to display all, open, closed, or pending job requisitions.
Click Display or Filter Options to manager what information is visible.

Click a job title to open the requisition. Or, hover over a job title to access additional actions you can
take on the job requisition.
Click the link in the Candidates column to open the pipeline. The pipeline allows you to view
candidates that have applied for the position and their applications.
Click a progress meter in the Progress column to view an overview of the pipeline for the requisition.
The Job Postings column displays whether the position is Not Posted, posted internally (I), or
posted externally (E).
To find a job requisition, type the job title in the search field and press Enter. Alternately, use the
page options to page through the list.
View Where the Position is Posted
You can view where the recruiter has posted a position (for example, Internal site, CareerBuilder, etc.). If
additional sites should be added, contact your recruiter.
Steps: View Where a Position is Posted
1. (Not shown) Choose Recruiting from the navigation menu.
2. On the Job Requisitions page, hover over the open job requisition.
3. From the pop up menu, click Job Postings.
4. View the Job Postings page, and let your Recruiter know if any changes should be made.
Review New Candidates
As you begin to receive new candidates via job posts, you are notified on the Job Requisitions page with
an indicator next to the number of candidates:

Click the number of candidates to open the pipeline. The pipeline identifies where the candidates are in
the job application process. New candidates appear in the New Application step in the pipeline. As a
Hiring Leader you are able to view candidate information on any candidate that the recruiter as moved
past the New Application stage.
To view all candidates in the pipeline, click View all candidates.
Click a pipeline section to view candidates in that step (new candidates appear in the New
Application step). The number of candidates in that step is listed below the step name.
Use the arrow buttons to move the display further along the pipeline.
To move a candidate to the next step in the recruiting process, click next to the candidate’s name
and drag him/her to the new step in the pipeline above. Alternately, you can move a candidate by
selecting him/her, then using the Action menu.

View Candidate Profile and Resume
To view a candidate’s application or resume, click on the candidate’s name link in any step of the
pipeline. Use this page to learn more about the candidate, access contact information, and add
comments.
Click a candidate’s name to view the candidate’s application.
Use the Resume and Application buttons to toggle between the candidate’s application and resume.
Use the links at the top of the application to access the candidate’s Cover Letter and Resume, or
click View Profile to view the candidate’s profile. If the candidate is internal, information on the
Employee Profile is shown on the profile.
Use the Candidate Status field to move the candidate to a different step in the pipeline. This field
can be used as an alternative to dragging candidates to the pipeline or using the Action menu.
Send Qualified Candidates to Present Candidate
When a candidate is ready for Hiring Leader review, the recruiter moves the candidate to the Present
Candidate step. This sends the Hiring Leader an email notification message. The Hiring Leader also
receives a notification on the mySuccess Home page.
Steps: Move Candidate to Present Candidate
1. Choose Recruiting from the Home menu.
2. On the Job Requisitions page, change the filters to display Open Job Requisitions.
3. Click the number of candidates in the Candidates column for the requisition.
4. Click the Recruiter Screen step to locate the candidate ready to send to the Hiring Leader.
5. Click for the candidate to send to the Hiring Leader, then drag the candidate to the Present
Candidate step to reveal a drop-down list. Note: If you are moving multiple candidates, select the
candidates, then choose Move Candidate from the Action menu.
6. (Not shown) Add comments if desired, then click Save.

Hiring Leader Screens Candidates
When the recruiter submits a candidate to the Hiring Leader for review, the Hiring Leader will receive a
notification on the My Team tile on the mySuccess Home page. (The Hiring Leader also receives an
email notification.) Hiring Leaders can click the red number icon for the job requisition, then click either
the Present Candidate link (to view new candidates the recruiter has submitted) or the Total Candidates
link (to view all candidates he/she has access to in the Talent Pipeline).

The Hiring Leader reviews the candidate and decides to either disposition or interview the candidate.
Hiring Leader should provide the reason for disposition. If disposition is selected, the recruiter will
disposition the candidate appropriately. If interview is selected, the recruiter or coordinator will schedule
the interview..
Candidate Interviews
Next, the recruiter has a discussion with the employees and managers who will be interviewing the
candidate and agrees on an interview schedule. Then the recruiter or coordinator sets up the interviews in
the system and sends the meeting requests using Outlook.
After the recruiter or coordinator has set up the information in Outlook, he/she uses the following steps to
add the interviewers and interview schedule into mySuccess. At the end of the procedure, the recruiter
sends an email notification message to the interviewers. This acts as a confirmation of the interview
schedule and includes the interview schedule and candidate’s resume. Interviewers will then be able to
access the interview assessment in Interview Central.
Note: Don’t forget to also add yourself as an interviewer if you will be interviewing the candidate. Adding
yourself adds you to the interview schedule and also provides a mechanism to provide and record
feedback.
Interview Candidates
Prepare for the Interview
When you are ready to interview a candidate, you can use the Print and Go! feature to print the details of
the position to bring with you to the interview. Access this feature by clicking Recruiting from the
navigation menu, then clicking the Interview Central sub-tab. Click Print and Go! for the candidate.
Provide Interview Feedback
After you have interviewed a candidate, give your assessment of the candidate in Interview Central.
To access the interview assessment, do either of the following:

Click the job title link in your To Do tile on the mySuccess Home page, or
Click Recruiting from the navigation menu, then click the Interview Central sub-tab. Click Rate now
for the candidate.
Steps: Provide Interview Feedback 1. Rate the candidates on each competency by clicking on a number in the rating scale.
2. Optionally add comments related to a specific competency by clicking next to the competency’s
rating scale.
3. Click the arrow icon to upload interview notes.
4. Give the candidate an overall rating of thumbs up or thumbs down by clicking an icon. This overall
rating must be complete for the Recruiter & Hiring Leader to compare candidates for review later in
the process.
5. Optionally add overall comments by clicking next to the thumb icons.
6. Click I’m Done.
View Interview Results
Hiring Leaders can view interview results in the candidate list by hovering over the current rating in the
Interview Result column.

Offer Process
Once you’ve selected the candidate you wish to hire the recruiter will make a verbal offer to the
candidate. The recruiter will negotiate on your behalf and will create an offer that you, and others in the
organization, will need to approve.
Approvers Complete Offer Approvals
Approvers receive an email notification message when an offer is ready for their approval. A To Do item
is also added to the approvers’ Home page in mySuccess.
Steps: Approve Offer
1. On the mySuccess Home page, click the Pending Offer Approvals link in the To Do list.
2. Review the offer, then optionally add comments.
3. Click Approve to approve the offer. To request changes from the recruiter, click Decline to send the
offer back to the recruiter. Note: If you decline the offer, please include the decline reason in the
Comment field.
The approval is then sent to the next approver in the workflow. After all approvers have approved the
offer, an email notification is sent to the recruiter. The recruiter then sends the offer to the candidate.
Candidate Accepts or Declines Offer
The recruiter will contact you once the candidate accepts or declines the offer.

Mobile Devices
The Recruiting Module for mySuccess allows you to access your profile and to do’s via mobile device.
Below are the instructions on how to activate your mobile device in 5 easy steps.
Steps: Set Up Mobile Devices
1. Click on your Name at the top of the screen.
2. Select Options.
3. Select Mobile.
4. Download the SuccessFactors App, on your mobile device, from either the Google Play Store or the
Apple App Store.
5. Click Activate via Camera to generate a QRG code to scan using your mobile device.
6. OR – click the clicking here hyperlink to manually enter the 8-digit activation code.
7. Accept the terms on your mobile device (now shown).
