Orientation

Welcome to the world of RPL. Perhaps you have gone through this process before, so you are

familiar with what RPL entails. If this is new to you, then you must make sure that you read this

guide thoroughly.

The purpose of this guide is to assist you in the application of credits for recognition of prior

learning (RPL in short). RPL is a process of assessment whereby recognition is given to previously

acquired knowledge and skills as a result of formal training, life experiences and work experiences,

regardless of where the learning occurred, and acceptance for purposes of qualification of

whatever meets the requirements.

The guide is organized under three distinct sections:

SECTION A covers brief background details on RPL, and how you can benefit.

SECTION B covers specific particulars on the process, procedures and requirements

related to RPL

SECTION C contains all relevant documents and forms to be completed.

SECTION A

What is RPL about?

Recognition of prior learning (in short RPL) is a term that refers to the formal identification, assessment and acknowledgement of knowledge and skills that a person has acquired in the past. In short: it is about giving receiving recognition for previous learning throughout your life, in any situation, for instance at work, through involvement in community work, and short courses.

This means that through RPL, you could receive recognition for any learning (acquiring specific knowledge and skills) that has taken place outside formal education and training such as at a college or university, regardless of where or when it was obtained. Ultimately RPL will help you to obtain or work towards a qualification acknowledged by the authorities as well as educational institutions.

The learning that you claim to have acquired will be measured against specified learning outcome and subject syllabi and you may gain credit for this knowledge.

In practical terms you may benefit in the following specific ways:

gaining entrance to studies at Prestige Academy

obtaining subject credit, which you don’t have to repeat if you have been found “competent” (showing that you indeed have the claimed knowledge and skills)

advanced placement at a higher level in a certificate, diploma or degree programme, and thereby complete a qualification over a shorter study period

completing a qualification at a reduced cost.

All of this shows that RPL has many benefits, which you should not ignore, and explore right now!

This institution distinguishes between RPL credits and credit exemption (transfer); therefore we accept learning credits awarded by another accredited and registered higher education institution for advanced placing, or exemption from certain programme modules in any of our current programs.

Transfer credits will be granted for particular modules (not part thereof) in a given programme that was successfully completed at another institution, where appropriate. This means that a candidate must have successfully completed an accredited program/module at an accredited institution to qualify to apply for credit exemption.

The application process is similar to application for RPL (see Annexure C).

Applications for credit transfers should be submitted at least three months prior to enrolment into a program at this institution (by the end of September). So-called “late” applications will only be considered in case of modules running until the end of the year prior to enrolling for further studies at this institution.

Candidates who wish to apply for credit exemption (transfer) must apply for this separately; they should not include application for credit transfer with any RPL application. RPL has a unique purpose. Candidates should apply for RPL in case of learning gained:

in the workplace

through on-the-job training,

industry-based training e.g. by way of workplace skills development, or

in the normal run of life, or community work relevant to the specific learning field.

Who can apply?

Adults of 23 and older, with at least 3 years of relevant working experience gained through formal study, workplace training/learning, company/industry based-training, working with experts, involvement in community projects or activities, or simply relevant life experience may apply for RPL aimed at entry into any of our full-time programs (courses).

Your claimed learning must be relevant to a particular qualification offered by Prestige Academy. This means that it must fit clearly into a specific qualification. The example below illustrates this principle.

When could you hand in your application? You are free to hand in your application at any time. If your are interested in registration for any of our full-time programs, you should allow yourself at least three months before the classes commence at the beginning of the next academic year. This will enable you to submit the necessary evidence of your prior learning and allow us enough time to assess your evidence and provide feedback. Take into account that there may be a delay in case of submitting the required evidence close to or during any exam cycle.

What will happen?

Your knowledge, skills and competencies will be assessed by a panel, which will include a subject expert such as a lecturer in the relevant field where you wish to claim credits. This assessment is not like a normal written exam. Usually this takes the form of a work-related project or a portfolio of completed work which contains records of your experience, knowledge and skills.

If you we require of you to submit a portfolio of evidence (PoE), you will receive clear guidelines on how this needs to be done.

We may require an interview, or invite you to a discussion with a panel of experts. This will occur in the language of your choice where this can be reasonably accommodated. Usually it is in either English or Afrikaans, in line with our Language Policy. During this interview, we will clarify and get conformation of the evidence you have submitted in your portfolio, e.g.

your experience in the workplace or other relevant areas

training courses completed, etc.

If you are found competent, you will be notified in plenty of time for registration and you may go ahead with the registration process.

If you are found not yet competent in a certain learning outcome, we may advise you on further evidence to be submitted, or further learning opportunities to be assessed at a later date.

SECTION B

Conditions

RPL is subject to specific conditions, in line with the institutional RLP Policy. Please take note of the following:

You should comply with the admission criteria of the programme for which you wish to apply for RPL credit (certificate, diploma, degree, etc).

No more than 10 percent of the total number of candidates enrolling into a particular programme will be granted entry through RPL.

At least 50% of the credits for a certain qualification must be obtained through formal contact study at this institution. This means that a maximum of 50% credits will be granted towards a required qualification through RPL.

The minimum criteria that will be applied for RPL assessment are:

Authenticity (is there any evidence of prior learning?)

Validity (can the knowledge and skills be demonstrated as valuable for a specific occupation or field or work)?

Currency (are the demonstrated skills and knowledge up to date?)

Standard (are the skills and knowledge at the minimum required level of competence?)

Transferability (are the knowledge and skills relevant to another industry or field of professional practice?)

Other conditions are:

Making the necessary RPL payment(s) does not mean that you automatically qualify for the credits. A candidate cannot “buy” any credits in the same way as you cannot “buy” a qualification from this institution. This institution also does not issue “blank” certification.

For further details on RPL conditions, refer to the information in table 1 and 2.

The RPL Process We conduct RPL in a structured step by step manner. In this way we make sure that all necessary

aspects are covered and that we follow procedures according to the RPL Policy of this institution.

This Policy indicates certain responsibilities on the part of the candidate, complemented by certain

responsibilities of those members of staff involved with RPL (the assessor/subject expert, the

Academic Manager, the Rector, the Finance Office, etc).

The particular responsibilities of the candidate are indicated in the table below.

The onus rests with the candidate to apply for RPL.

2 Identify the qualification and relevant modules for possible RPL credits

You can only apply for RPL with an institution which offers the qualification that you wish to claim credits for. This means that Prestige Academy can

only consider a RPL application if it is for any of our current qualifications. Contact the Marketing Department, or refer to our Prospectus.

3 Contact the Academic Manager to apply for RPL.

This is the starting point. The sooner you make an appointment the better. Allow yourself at least three months for RPL before commencing with formal studies at this institution. The application must be in writing.

4 Pay the RPL registration fee We will not proceed with the RPL process unless the registration fee is paid.

5 Complete the documents and forms We will not process your application in case of handing in blank documents and forms. Make sure that you complete all sections. Write N/A if a particular section is not applicable to you.

6 Compile a portfolio of evidence. Complete the checklist to ensure that you have all necessary documents.

Follow the guidelines on what is regarded as valid evidence of your prior learning. The more evidence you produce the better.

7 Submit the portfolio and pay the assessment fee

Make sure that the portfolio is organized properly. The Academic Manager will give you guidelines on how to organize and present a portfolio for assessment. Call the office if you need support and further guidance.

8 Wait for feedback on the outcome Usually it takes 2-3 weeks per single credit claim. This means that if you wish to claim credits for 3 modules, for example, the time to give feedback could be 6-9 weeks. Allow extra time of you have submitted your documents during exam cycles.

9 Prepare and sit for a top-up assessment, if necessary. Pay the top-up assessment fee.

Should the evidence in your portfolio be not sufficient, we will contact you to prepare for a top-up assessment. In most cases it could be a simulated practical work assignment of several hours. Please act swiftly.

10 Wait for feedback on the outcome You could expect feedback in this case within 1-2 weeks.

11 You may appeal if not satisfied with the decision.

You may appeal against any RPL assessment decision within one month of receiving the results of the RPL assessment decision. The appeals procedures will be made available and discussed with you during the initial interview.

12 Keep own records In all your dealings with Prestige Academy, please keep copies of all documents submitted, e.g. the RPL questionnaire and credit claim forms.

At team of qualified and experienced staff members will evaluate your application and perform assessment of your documents and the portfolio submitted for credit claims. Management will brief all team members in terms of their respective roles and the procedures involved. If training is required, we will training the persons concerned.

5 We receive the portfolio. We send the portfolio and related documents to the assessor(s) identified for the RPL.

6 We assess the evidence submitted. Assessment for RPL is subject to the same principles like any other assessment. Refer to the conditions stated previously.

7 We inform you about the outcome. You do not have to call us; the Academic Manager will inform you in writing. We will file a copy of this notification.

8 If necessary we make arrangements with you to sit for a top-up assessment.

This is an additional (further) assessment, and will only be done if necessary; e.g. in case we need confirmation of your competence.

9 We inform you about the outcome. You do not have to call us; the Academic Manager will inform you in writing. We will file a copy of this notification.

10 We record the results We keep records of all RPL decisions for future reference.

11 We issue a certificate for credits granted for all modules concerned.

This is applicable only to candidates who do not wish to enroll for a qualification at this institution.

qualification. Make an appointment with the Rector. The costs are not included in RPL fees. It is calculated according to client needs.

Portfolio Guidelines

You must compile and submit a portfolio to prove your competence in the identified area of learning. The portfolio of evidence (PoE) is an organized document that represents the skills, knowledge and competencies that you have developed as a result of temporary or full-time employment, learning while participating in life activities, or previously completed education and training at a particular higher education institution.

The portfolio should fulfill the following requirements:

1. Clearly indicate the programme outcomes (benchmarks) for which you will provide proof of learning achievement. The Academic Support Manager will provide these outcomes. It is important that you ensure that you receive these outcomes before compiling the portfolio.

2. It is a valid, reliable and comprehensive document based on your own unique strengths and life circumstances.

3. Provide sufficient supporting information and documentation, which can be used as the basis for evaluation. The following are acceptable:

Direct evidence:

Reports compiled

Photographs taken

Articles, plays, poems or stories written

Audio or audio visual tapes of speeches, talks, training or performances given

Blueprints designed

Musical scores arranged

Computer programs designed

Manuals or brochures written or designed

Patents obtained

Curriculum plans prepared

Paintings, sculptures, designs, artefacts or drawings created

Indirect evidence:

Letters from employers, co-workers, business partners, consultants, teachers, clergy, community-, government officials or professional association members.

Commendations received (awards, medals, official recommendations)

Results of official staff/performance appraisals.

Transcripts of test results or courses passed or completed.

Programme notes from performances given or exhibits of work

Magazine or newspaper articles about accomplishments

The following evidence is NOT acceptable:

Letters from family members, peer students, clients, employees, friends

Travel brochures of places visited

Newspaper clippings about events in which the person claims participation but which do not mention the person by name

Job evaluations that are not specific about what the person actually did or what skills were exhibited

An evaluation that merely states the person was a good employee, or student.

4. Identify and briefly describe the specific areas of prior (previous/past) learning for which credit is requested, including a list of skills achieved.

5. Explain how and where the indicated prior learning experience was gained, how it relates to your employment/career path, and fits into your the overall study plans.

6. It is recommended that your portfolio be structured in the following way:

Cover (containing your name, the course you are applying for, the date).

Accurate and comprehensive Curriculum Vitae, including your employment history, the tasks related to each position fulfilled, formal education and training with specific learning acquired, and any relevant informal learning gained e.g. participation in community development projects or voluntary community service.

SECTION C

Documents and Forms

To assist you in the application, we have prepared a number of forms which you have to complete

and enclose in your portfolio of evidence. If you need any guidance are assistance, please call the

Academic Manager.

Regarding the motivation for a credit claim:

Write a brief paragraph for all the modules/subjects where you wish to claim credits (each module

on a separate form). This motivation should:

1. Clearly prove that you have the claimed knowledge and understanding as well as the skills

(ability to apply what you know) on the given topic.

2. Link with the relevant syllabus and learning outcomes. The assessment criteria indicate clearly

what you should be able to do – ask the Academic Manager to give you a copy of the relevant

module particulars.

Take note that, in case of an application for credit exemption (transfer) based on studies

completed over the past 2-3 years, the same forms are used as for RPL application. In that case,

you ONLY have to submit the following:

1. The completed application form.

2. Certified copy of your ID or passport.

3. Certified copy of all your post-school qualifications.

4. Certified copy of the transcripts (final marks or grades) for all successfully completed modules

or subjects and/or qualifications.

5. Copies of the syllabi (content topics), learning outcomes and assessment criteria for all

relevant modules or subjects in which you wish to claim credits. The name of the institution

(training provider) and program/course must be clearly indicated in these documents.
