These training programs are conducted at different stages of employment. A major part of the training programs have regulatory requirement and directly related with the operation efficiency and product quality. All the training records are currently managed with manual procedure, so we are proposing to implement Training and Event Management module of SAP. Justification for implementing Training and Development software- a. To meet the requirement as advised by GMP auditors. b. To generate training schedule and assessment of Training needs. c. Keep tracking of all mandatory training requirements. d. Assess employee wise number of hours training provided. e. This module will work as the base for implementing competency management system. Key features of Training and Development software- a. Yearly training calendar. b. Maintain all regularity documents (GMP doc, SOPs, master procedures) and keep the tracking of changes. c. New joiners training plan and monitoring the progress. d. Triggering of retraining in case of absence and poor performance in training. e. Maintain training based on trainee type and training topic. f. Booking participants against any specific training. g. Training evaluation h. Training library i. Training reports. Proposal for implementing Training and Development software

Throughout Square, we are currently conducting various types of training program. These training programs are conducted at different stages of employment. A major part of the training programs have regulatory requirement and directly related with the operation efficiency and product quality. Requirement of Training module1. Process flow- New Joiners:

TEM-New-01 & TEM-New-02a. System will automatically generate predefined training programs as per level.

TEM-New-03, TEM-New-04 & TEM-New-05b. General following level wise training programs-i. Level-I (Orientation program)ii. Level-II (Organizational Training SOP/EOP/ECP)iii. On the job trainingc. Besides system will keep option to incorporate any additional training other than predefined schedule.

2. Training in case of long absence:

TEM-Abs-01 & TEM-Abs-02

a. In case of long absence of employee of ninety days, system will generate automatic training program of all GMPs.b. System will provide option to change absence days as required.

TEM-New-04c. System will generate training program of Level-II (Organizational Training SOP/EOP/ECP) which is relevant to his/her job.

3. Maintain GMP doc, SOPs, Master Procedures etc. and Training program:

TEM-Prd-01a. Option to update hard copy of any new GMP doc, SOPs, Master Procedures etc.b. Change of SOPs and keep tracking of all change of GMP doc, SOPs, Master Procedures etc. with version number.c. It should be possible to set a reason for cancelling of business event/training.

TEM-Prd-02-ad. Triggering training need with the change of GMP docs, SOPs and automatically identity the group of employee as participants.TEM-Prd-02-be. Other than GMP and SOPs there are other patterns of training which are preplanned and conduct throughout the year. System will automatically generate those training schedules also.

4. Planning training as and when required:

TEM-Req-01-aa. Prepare training program as and when required basis. Training administrator will design the participants, training institute/faculty and venue.

TEM-Req-01-bb. Setting minimum qualification for attending any training. Grade wise Basic and Advance training will be defined for non-management employee. This will work as a guiding tool for conducting any training program.

c. Maintain training catalogue where it will be possible to put mandatory training requirement to get next level of training.TEM-Req-02TEM-Req-03d. These types training program will match with the training catalogue. System will generate report with whom catalogue meeting and not meeting with the proposed training.

5. Preparation of training preparation:

TEM-PRP-01a. Option to maintain trainer profile. This will include the basic details of trainer, Training conducted, trainers training institute. It will be possible to see the list of trainer against a training program.b. Maintaining External Training company profile. It should provide option to search trainer wise training topic.TEM-PRP-02c. Logistics for training will be maintained in the system. This will include training room, projectors etc.System will show availability and non-availability of logistics while preparation of any program.

TEM-PRP-03TEM-PRP-03d. It will be possible to maintain Training wise a set of questions for evaluate participants. As per requirement system generated random questions will be generated.

6. Training administration:

TEM-Adm-01TEM-Adm-02a. Based on automatic generated training program time admin will be able to modify the schedule.b. If participants were present then training evaluation will be completed.c. If participants were absent, system will show them as absent. This list of absent participants will be triggered for retraining. For any subsequent program system will include them into that new program.d. Generate automatic notification for the employee and training admin who was absent for a long duration.e. Assign Faculty against a specific training.f. Alerts and notifications to supervisor and employee about the upcoming training that may be required

7. Training evaluation:

a. Online evaluation and scope to update bulk data through excel.

TEM-Evl-01b. If Participants are present, they will be evaluated with set of questions. If they fail, they will be triggered for retraining. TEM-Evl-02c. Faculty/Trainer will be evaluated against predetermined criteria. TEM-Evl-03d. Training evaluation will be done against predetermined criteria. TEM-Evl-04e. Post Training evaluation will be done against predetermined criteria.

8. Training Outcome:TEM-Out-01TEM-Out-02a. Filter business events via following filter criteria:i. Business typeii. Periodb. Generating faculty performance/evaluation and Faculty profilec. Employee Training historyd. Training records like training hour, training participants, trainer, training topic, date.e. List of employees required to proceed through retraining.f. It should be possible to search for participants by their employee ID, department and name.g. List of training conducted by trainer/external training company.h. Maintain training library of all training materials.
