School Year Promotion•Is the process by which a new school year database is created.•Can only occur after the current school year is completed.•Allows term type to change (i.e., from quarters to trimesters).•Retains all teacher accounts with their assigned classes and subjects•Promotes selected 8th graders to the alumni database•Promotes selected K-7 students to a single homeroom at the next higher grade level

•Important: The accounts of students/faculty who are not returning to the school should be deleted AFTER the promotion process completes.

(The deleted student’s records will remain intact within the school year(s) in which they were active.)

Information needed for the promotion :•Term type (i.e., trimester vs. quarter)•Term dates•Listing of students, by grade level, of students who are not being promoted to the next higher grade level

• NOTE: Treat students not returning to the school as being promoted

After clicking, a processing message will appear at the bottom of your screen.

Once processing is complete, you will automatically logged out. Enter your credentials to log back in.

Once logged back in, you will brought directly back to the Promotion Process.

Proceed through each grade level, being sure to de-select only those students who are repeating that grade level.

Once you have promoted the Kindergarteners to first grade, AscendSMS will display the following message.

Congratulations, a new school year database has been created.

The following “before and after” graphic below demonstrates how students from one grade level were promoted into a single homeroom the next higher grade level.

Now that your new school year database is built, you may now:•Delete the student accounts of those not returning to the school•Delete the faculty accounts of those not returning to the school

• (Note: Delete the account of a teacher who is not returning. Their assigned subjects will be released and will be available for reassignment.)

•Update school year information (Home: School Year: edit icon)•Remember:

• Use Shift Student to shift students from one homeroom to another.

• Use Assign Subject to assign subjects to students who are in leveled (aka non-homeroom) classes.
