We can't wait to bring our community together again. In this document we set out the actions we're taking to ensure

Runway East continues to be a safe space for our members. Importantly, this is just the start. As we keenly observe,

measure and listen, so we will adjust.

BUILD, MEASURE, LEARN

We are making changes to reduce congestion, increase sanitation and limit capacity to facilitate

social distancing. This will include perspex screens at reception, clear hygiene and distancing

signage throughout and limitations on breakout and meeting room furniture.

We are removing high-touch items where possible. Guest sign-in, post retrieval, etc will be

operated by your community team and cleaning wipes will be provided throughout communal

spaces like meeting rooms, phone booths, printers and bike stores.

We are installing clear signage and posters to build awareness and provide reminders to

maintain personal hygiene standards. We are installing sanitiser stations, enhancing cleaning

for busy areas, providing more waste facilities and setting guidance for toilets and showers to

ensure social distancing is achieved as much as possible.

The government recommends staggered arrival and

departure times to reduce crowding into and out of

the workplace. We will facilitate and monitor

occupation in tour spaces to enable co-ordination

between our members.

We will help members to review layouts and

processes within their space as part of their own risk

assessments. Use of a work from home day rota is an

option to aid social distancing and ease congestion.

We are signposting handwashing facilities and hand

sanitiser at entry/exit points.

We will help people walk, run or cycle to work where

possible, working with building management and

members to increase facilities such as bike racks and

lockers.

We will prohibit non-work related deliveries, such

as Amazon, to minimise exposure from external

parties. We are also staggering post collection

times to reduce collection congestion.

COMMUTING & CAPACITY

We are introducing one-way flow through our spaces,

installing new directional signage and floor markings

and reducing the maximum capacity for lifts.

Stairwells will indicate a preferred direction of travel

and passing point markers are being installed.

Where possible, we will advise on reducing access to

different areas and buildings.

In line with government advice, we need to minimise

physical meetings for now. Members will be required

to register external guests in advance and provide

details to enable contact tracing. We are adding

webcams to some meeting rooms to enable virtual

meetings.

Where visitors are essential, Community Assistants

will facilitate contactless sign-in and people numbers

will be monitored in reception.

We have new policies, including requiring contractors

to wear PPE, work out of hours where possible and

ensure areas are sanitised before leaving.

CLEANING & AIRFLOW

Prior to re-occupancy our cleaners are undertaking a deep disinfection of all our spaces. Heating,

ventilation and air conditioning (HVAC) engineers are servicing and adjusting airflow systems to

ensure optimism filters and fresh air circulation.

We will give extra focus on door handles, push plates, handrails, lift buttons, bathrooms,

kitchens and reception, handrails, etc. There will be deeper disinfection and night and more

regular cleans generally.

In common areas, we will provide antibacterial soap, cleaning materials (antibac supplies,

alcohol gel, etc) and bins will be emptied more frequently. Everyone will need to play a part in

keeping the sites disinfected.

MEMBER RESPONSIBILITIES

Providing cleaning materials, ensuring work stations are wiped daily alongside regular weekly deep cleaning are

measures most members will need to take.

All employees have a duty to reduce workplace risk to the lowest reasonably practical level by taking

preventative measures. Our members are required to complete their own risk assessment for working safely

during COVID-19

We will work with our members to help them implement government guidance in their private offices. This may

include installing signage, adjusting layouts, screens or implementing rotas.

INCREASE SANITATION

CONTACT TRACINGEncouraging everyone to download the NHS contact tracing app will help keep ou community safe and aid the

national effort. Logging essential visitor's details will help in the event of a confirmed COVID-19 patient.

The evidence suggests that wearing a face-covering does not protect you, but it may protect others

if you are infected and have not developed symptoms.

Wearing a face covering is optional and is not required, including in the workplace. If you choose to

wear one, it is important to use face-coverings properly and wash your hands before putting them

on and taking them off.

Monitor the measures implemented, listen to feedback.

Anyone developing symptoms, or in a household of someone with symptoms, will be required to

self-isolate following the government's latest advice.

We require members to inform the community of suspected and confirmed cases of COVID-19. We

will ensure our cleaners disinfect private and communal areas where appropriate.

We encourage and will promote the use of the NHS contact tracing app with a hopeful 100%

community adoption.

Alongside this we will take contact details of any visitors and contractors.

We will inform all members and visitors if anyone is confirmed as having COVID-19 and who has

visited our spaces.

FURTHER RESOURCES

We need to coordinate our efforts to plan, manage and mitigate the risks of COVID-19. We will continue to make

our action plans, risk assessments and further communications public.

As we have tried to do to date, we will help our members in any way we can so we can all return to work in a

safe environment.
