    2. Project Closure Report Purpose

    This project report closure report is final document make for the project supervisor by

    Project Leader on behalf of The Visionaries team. This report will help the project

    team and the supervisor to assess the success of project identify best practices forfuture project resolve all open issues and formally close the project.

    This project report is prepared to accomplished the following goals

    Review and validate the milestones and success of the project

    Confirm outstanding issues, risks, and recommendation

    Outline tasks and activities required to close the project

    Identify project highlights and best practices for future projects

    4. Project Closure Report Summary

    4.1. Project Background Overview

    Thanks to Visionaries Team for the successful arrangements and funding of the events

    for project Feel the power of clean environment? Its about finding a better way. Our

    focus was to increase the awareness among the university students about the vitality

    of clean environment and taken some steps to made it possible and convenient for

    them to follow.

    4.2.Project Highlights and Best Practices

    Project Highlights:

    Registered 50 volunteers to educate the university students

    Two walks for the promotion of the cause of Anti-Littering campaign were

    arranged

    Anti-Littering Campaign in QAU

    Tree Plantation Activity in QAU

    Awareness campaign in QAU to make our surroundings clean

    The Competition on Ideas of Pollution Reduction was arranged

    A seminar on the Corporate Social Responsibility titled: Feel the power of the

    clean environment! Its About Finding a Better Way was conducted

    Best Practices:

    Gain support from the administration as well as volunteer students for the cause of

    Anti-littering and promotion of Cleanliness in university

    Worked closely with the administrative staff and help the estate office in the

    process of cleanliness by conducted meetings and addressed issues of university

    with CDA authorities

    Through seminar students were provided opportunity to gain practical knowledge

    from an experienced person, National Coordinator of United Nations Industrial

    Development Organization

    All participants got Completion Certificates Awards

    Cash prizes were awarded for 1st and 2nd positions in Ideas Competition to

    encourage the young talent

    4.3. Project closure synopsis

    The project has reached its planned conclusion on scheduled as planned. Due to the

    success of the project, the Vice Chancellor and the Incharge Quaid-i-Azam School of

    Management Sciences appreciated the efforts of The Visionaries team.

    4.4. Goals and objectives performance

    Total in 35 trees were decided to plant at different locations of QAU. In the original

    100 trees were planted which indicates the performance of 285% more than

    planned

    A Walk to Margallah Hills was arranged in which target was to gather two faculty

    members and 25 students, in the original 2 faculty members and 30 volunteer

    students participated. This activity also resulted 120% above the planned target

    Successfully launch Anti-Littering Campaign in QAU with the help of estate office

    of university and volunteer students

    A Walk of Anti-Littering Campaign in Quaid-i-Azam University was arranged in

    which 4 faculty member and 50 students participated exceeded the forecasted

    performance by 200%

    Awareness campaign in QAU to make our surroundings clean and about 300-400

    students were being taught by The Visionaries team and Volunteers against

    the forecasted target of 150 students to be taught. The performance achievement

    was more than 200%

    The Competition on Ideas of Pollution Reduction was arranged in which 10

    Bachelors and Master students took participation with innovative and solid ideas.

    Two students were awarded cash prizes.

    A seminar on the Corporate Social Responsibility titled: Feel the power of the

    clean environment! Its About Finding a Better Way was successfully arranged on

    June 15, 2011 to raised public awareness about Environmental Issues

    4.5. Success criteria performance

    We wanted to aware the students about the importance of Clean

    Environment

    The Visionaries aimed to keep students aware the importance of Cleanliness and was

    very successful to promote the ideas and gain moral support to implement the ideas.

    Anti-littering campaign was launched to obtain clean, fresh and healthier environment

    Promoted the idea of Corporate Social Responsibility

    Made the university environment clean and fresh by practicing the proper disposal of

    garbage and the use of trash cans. Discouraged the use of non-disposable material

    and encouraged students to use recyclable material. Through this making it

    convenient to preserve environment

    Tree plantation activity

    The inauguration of tree plantation was successfully held by the Incharge School of

    Management Sciences Dr. Basit B. Tayyab in the lawn of QASMS. The 100 trees

    received from PTC and successfully planted in the botanical garden of QAU.

    4.6. Milestones & deliverable performance

    Registered about 50 volunteers to educate the university students

    The actual registration exceeded to 50 volunteers than the forecasted target of 15

    volunteers to be registered.

    Achieve a participation rate of 50 active students in seminar

    The participation of students exceeded by 80 active participants which also shows the

    huge success of the event.

    By the tree plantation activity The visionaries contributed to control

    the global warming

    Tree plantation activity was also achieved about 3 times more than forecast and 100

    trees were planted at university.

    Through Walk a general public awareness about Cleanliness and Anti-

    littering was built among the Students of QAU

    The walk in university as also successful event in which 4 faculty members and 50

    students were participated indicates the more than forecasted target and success rate

    was about 200%.

    Arranged a Seminar on Corporate Social Responsibility (CSR)

    The National Coordinator of United Nations Industrial Development Organization

    addressed the current issues and the different possible solutions how we contribute to

    our environment and the possibilities to handle the waste. The Vice Chancellor also

    motivates the students to continue the healthy practices and the ways to preserve the

    environment.

    Achieve the maximum participation of students in ideas competition

    activity

    The event was designed to appeal young students. The participation of students

    showed their interests and ideas to improve the environment. Students were awarded

    prizes for their concrete and implement able ideas.

    4.7. Budget performance

    The budget for the project was funded by The Visionaries team. The estimated

    expenditures for the Anti-littering Campaign were Rs. 5000 and in total actual

    expenditures for the event were Rs. 4975 which indicates the efficient usage of

    monetary resources.

    The total budgeted expenditures for the Seminar. The actual expenditures were totalin amount of Rs. 13708. This activity was decided to fund by the selling of tickets but

    due to 80 students rather than 50, our refreshment costs were higher and other

    expenditures lead to the excess in costs.

    The Overall expenditures for the project are total Rs. 18683. The revenue generation

    in total was Rs. 11550 and the budget deficit was Rs 7133. This amount was charged

    to the team members of Visionaries.

    5. Project Closure Tasks

    5.1. Resource Management

    Thanks to the support of the Project Supervisor, Incharge QASMS, Incharge

    Horticulture Cell, Estate Office and all those colleagues who made it possible to

    successful completion of the project of The Visionaries team. Horticulture Cell helps

    in tree plantation activities. Estate Office of University helps in Anti-Littering

    Campaign. The main resource was our exceptional volunteer team who performed

    their tasks with constant passion throughout. We were also considerably supported by

    the QASMS administration.

    5.2. Issue management

    The main issue we face while delivering the project was lack of funds due to

    unavailability of sponsorships. The Visionaries team was unable to seek the

    sponsorship because of closing dates of budgets in the organizations. The issue was

    resolved by doing a revenue generation through seminar ticket selling and also by

    personal investment.

    5.3. Risk management

    The whole project site and the key things involved were visited pre launch of project

    and a risk assessment was carried out. The risk of unavailability of sponsorships was

    actually faced by our team and this risk was mitigated by the contribution of funds

    from each individual member of team and revenue generation through project, as was

    planned in the project proposal.

    5.4. Asset management

    The Visionaries team did not require any assets during this project as this was not the

    part of the project plan.

    5.5. Lessons learned

    The procedure, activities, students participation and support from the QASMS,

    state office, and horticulture department and most importantly of our worthy Vice-chancellor, in making this project possible is appreciated and reflects for the dire

    need and necessitate of this type of projects.

    Students enthusiastically participated in the competition on idea of pollution

    reduction, that shows the eagerness inside the youth to make this world a clean

    place to live. This shows that the youth is motivated to do something but is facing a

    problem of lack of guidance and proper direction.

    The visionaries team will consider this exceptional response to this type of events

    in planning future activities.

    5.6. Post project tasks

    Visionaries team held a meeting with volunteers, who were from different

    departments. The meeting agenda included to give a detailed visual report of the

    project from initiation stage to completion stage, thanking their participation and to

    ask their future cooperation with us.

    5.7.Project Closure Recommendations

    Our main recommendation is to hold such awareness creating activities on social

    concerns in other institutes also specially to teenagers. To teach teenagers is

    recommended because they are highly passionate and in a stage in which they want

    to implement what they have learnt and still learning. They would get motivated and

    motivate others for any cause that gives recognition to them.
