1 Executive summary

This dissemination, communication and community building plan describes how the 5G-MEDIA project will establish and follow highly effective dissemination, communication and community building activities to support project outreach and allow partners to more effectively engage with the various stakeholders in the 5G PPP context.

This document is written primarily as a guide for 5G-MEDIA project partners and as an illustration to the key stakeholders of our intended activities. It contains:

The 5G-MEDIA dissemination, communication and community building goals,

How the project will disseminate and promote project activities and work, i.e., 5G-MEDIA strategy,

A plan of the specific communication activities that will evolve in line with the development of the overall project work and activities, in close collaboration with both technical and business-driven work packages,

A plan for identifying, maintaining and growing the 5G-MEDIA community,

A plan of the specific activities related to the collaboration with the 5G PPP working groups and projects,

An initial plan related to the collaboration with open source communities and standardisation bodies.

The first stage of the plan consists of community building activities. The strategy requires to understand which stakeholders 5G-MEDIA shall engage with and for what purpose.

The methodology includes the following actions:

Identify an initial list of stakeholders to be engaged at 5G-MEDIA level;

Implement a target stakeholder diagram to summarise the categories. Once the stakeholders have been properly identified, the strategy considers for stage 2 the actual development of a community around the initiative. Proper activities for establishing, maintaining and growing an ecosystem of members that will be associated, in one way or another, to 5G-MEDIA are reported in this deliverable.

This initial strategy for community building activities has been put into practice by the partners in previous similar research and innovation activities, and proved its effectiveness at international level. In fact, it was originally defined in the context of the Future Internet PPP, being implemented in projects like INFINITY and XIFI. Later, it was further developed in the 5G PPP programme, for instance in the Phase 1 and Phase 2 Coordination and Support Actions Euro-5G and To-Euro-5G respectively.

The 5G-MEDIA dissemination & communication strategies are focused on maximising the impact of the project and raising its awareness at a global scale. This entails two activities: synergic coordination with 5G-MEDIA partners to funnel projects’ activities and achievements; and close collaboration with the 5G PPP “family”. The overall dissemination & communication strategies will actively contribute to engage 5G-MEDIA community’s

stakeholders.

In terms of coordination with the 5G PPP working groups and other projects, the involvement of 5G-MEDIA individuals into the 5G PPP level Working Groups was coordinated and finalised in the early stages of project execution. 5G-MEDIA is involved in eight 5G PPP Working Groups, as well as in the 5G PPP Steering and Technical Boards. Collaboration with other 5G PPP projects has started to be defined as soon as information about the other projects, and especially Phase 2 projects, started to be public or shared via the 5G PPP Steering Board and Technical Board.

Regarding the cooperation with open source communities and standardisation bodies, a preliminary plan is available in this deliverable, underlying the potential interaction with the following:

2 Introduction

The ambition of 5G-MEDIA Work Package 7 “Impact, Dissemination and Exploitation” is to: (1) identify, maintain and grow a 5G-MEDIA community; (2) coordinate all communication and dissemination activities, including in relation with the related activities performed at 5G PPP level, (3) identify and strengthen 5G-MEDIA business models and (4) coordinate activities related to cooperation with the open source and standardisation communities.

This document describes the initial version of the 5G-MEDIA Community Building, Dissemination and Communications strategies, and it also introduces the plan to coordinate efforts throughout the project to identify and interact with standardization bodies and open source communities.

Section 3 describes the dissemination, communication and community building plans that will be followed during the course of the project and it also reports the activities carried since the beginning of 5-MEDIA. Section 4 focuses on the collaboration with 5G PPP Working Groups and Projects, underlying the work already performed and the plan for the next period, while Section 5 describes the activities related to the collaboration with open source and standardization communities”.

The activities related to the definition of sustainable business models will be reported in deliverable D7.3 “5G-MEDIA Impact and Exploitation Plan”, planned for release on February 2018.

The Dissemination, Communication and Community Building plan describes how the project will establish and pursue highly effective dissemination, communication and community building activities to promote the project, the adoption of its outcomes also beyond project’s lifetime and to engage its stakeholders.

The 5G-MEDIA dissemination, communication and community building plan covers the following aspects:

Objectives and goals of the envisioned activities – the what;

Preliminary identification of the target stakeholders to be “targeted” and/or “engaged”- the whom;

The methodology to be implemented to effectively engage and/or target these stakeholders – the why, i.e. 5G-MEDIA strategy;

A plan of the specific activities that will evolve in line with the development of the overall project work and activities, in close collaboration with the technical work packages – the how.

The overall dissemination, communication and community building strategy aims at creating synergies, contribute to partnerships development and knowledge sharing among the community’s stakeholders, while optimizing the resources and reducing the time between the news production and its delivery to the 5G-MEDIA and 5G PPP wide audience, towards the following objectives:

To identify and engage the most relevant stakeholders;

To establish, maintain and grow the 5G-MEDIA community;

To create visibility and promote the 5G-MEDIA work and results for selected target stakeholders by creating promotional material and information campaigns;

To disseminate project activities and outcomes to the broad audience, with specific focus on potential adopters of the 5G-MEDIA outcomes.

3.1 Dissemination Strategy and Phases

An efficient impact of 5G-MEDIA must be supported by the development and implementation of a Dissemination strategy.

The 5G-MEDIA dissemination strategy is twofold:

On the one hand, it will establish and pursue highly effective activities to promote the project and the adoption of its outcomes also beyond project’s lifetime by identifying in advance for each activity the following aspects:

o Part I: Definition of the target audience - To whom o Part II: Development of the message we want to promote – The what o Part III: Selection of the right types of dissemination means – The how.

In parallel, it will establish a synergic coordination with the 5G PPP Initiative.

The dissemination activities related to the first aspect of the dissemination strategy will be carried out using three main phases following the different phases of the project.

Each of these has specific objectives and target audiences and will therefore perform specific actions using specific channels during the different phases.

Figure 1 shows how 5G-MEDIA intends to maximise its dissemination impact through the following key phases:

Phase I (M1-12): Awareness and stakeholders’ identification. As a first step, as described below in section 3.3, the consortium will identify the right stakeholders. Then, the objective will be to create awareness or ensure that as many 5G (internal and external) stakeholders know about the project, in order to create awareness about the project’s objectives and expected results.

To this purpose, by M6 (November 2017), a first set of communication material has been prepared and delivered.

Phase II (M12-M24): Increase impact. During the second twelve months, the main objective will be to increase the awareness created about the project during the first phase and to expose mainly the technical achievements. This will help increasing the potential impact of the project’s results. Participation in workshops, organisations of ad hoc event will boost the dissemination process. At this stage, the stakeholders identified in Phase I will be engaged, whenever relevant in cooperation with other 5G PPP projects, taking also into account dissemination activities at 5G PPP level. Specific PR material will be also produced.

Phase III (M24-M30): Adoption. During the next months, the main objective will be to leverage the general awareness raised regarding the project, consider the use of the platform by the new external partners and highlight the commercial offerings and results, in order to attract more potential users and customers of 5G-MEDIA project’s results.

Beyond continuing use of events, participation in workshops and conferences, we will also

begin to publish in targeted trade sector specific media (on-line) and printed trade and research journals, that will have been identified thanks to the community building and stakeholders’ engagement activities from the previous phases.

5G-MEDIA, as part of the 5G PPP family, is also establishing a synergic coordination with this initiative. In order to inform the 5G PPP Phase I and II projects about its news and achievements, 5G-MEDIA is sharing its news through the COMMS Group (via the mailing list [email protected]), coordinated and supported by the To-Euro-5G CSA. In addition to this, each blog post, tweet, LinkedIn discussion is also posted and retweeted on the 5G PPP website, LinkedIn Group and Twitter account, allowing 5G-MEDIA to reach a broader audience.

This synergic coordination started at the very beginning of the project and will be further implemented during the project’s lifetime.

3.2 5G-MEDIA Dissemination and Communication Guidelines

As part of the dissemination and communication strategies, 5G-MEDIA released a three-page “Dissemination and communication guidelines” at the very beginning of the project. These guidelines are intended to encourage, guide and support the 5G-MEDIA partners in their dissemination and communication activities during the project’s lifetime.

The guidelines are composed of six sections:

1. Internal Communication, where it is explained how to interact within WP7; 2. Social media, where it is explained how to deal with Twitter and LinkedIn; 3. Participation in events, where the procedures to be followed before/during and after

an event are underlined; 4. Project website, where it is indicated how to contribute to populate the project

website; 5. PR Material, where it is indicated how to find the PR material, logos and templates; 6. Technical Dissemination, where all partners can have access and contribute to the

Technical Dissemination plan.

The dissemination and communication guidelines are intended as “living document”, meaning that it could be updated during the course of the project, taking into consideration the evolution of the dissemination and communication plans.

These guidelines are available in Annex I “Dissemination and Communication Guidelines” at the end of this document.

3.3 Plan for Community Building and Stakeholders’ Identification

5G-MEDIA envisions a thriving European economy, revolutionizing rich media applications and services over easily managed next-generation 5G networks. Our mission is to:

Deliver efficient creation, orchestration and management of media services exploiting the capabilities of the 5G underlying infrastructure.

Demonstrate a forward-thinking value proposition in media service implementation, deployment and validation, using carrier-grade networks and leveraging real experience of developers.

With all these challenges in mind, there is no doubt that one of the core objectives aimed is the widespread awareness, adoption and impact creation of the outcomes achieved throughout the project. In order to become successful in such task, a specific plan is required to interact with key stakeholders, establishing, maintaining and growing a committed community around 5G-MEDIA. This section outlines the cornerstones of such strategy, underlying those activities already achieved by the project since its kick-off meeting.

3.3.1 Stakeholder Map

The first stage of the strategy requires to understand which stakeholders 5G-MEDIA will engage with and for what purpose. Specific profiles -either related to the 5G domain or the media industry- that need to be identified so as to be “involved” or “targeted”. The objective is to facilitate a standard taxonomy of roles to be taken into consideration while assessing use case scenarios and new business models.

The methodology includes the following actions:

Implement a target stakeholder map, a diagram that identifies profiles that are expected to have an impact or influence on 5G-MEDIA activities;

Create a reference glossary of the target stakeholders. A common ground about terminology that shall extend to all the activities in the project. This effort has been coordinated with the outcomes of Work Package 2 – “Architecture, Analysis and Tools”.

Figure 2 contains a preliminary version of the 5G-MEDIA Stakeholder Map, that graphically summarises all the identified stakeholders at this stage. Such diagram has been defined by taking into consideration the different target stakeholders’ groups identified by the 5G PPP itself, refining some of the categories according to the context of 5G-MEDIA.

5G Industry 5G Industry contains any general business activity or commercial enterprise that is using or related to the fifth generation (5G) technology.

The 5G Industry in the scope of 5G-MEDIA includes those organisations providing 5G capabilities and related services:

Application/Service/Function Developers: companies of various sizes that develop innovative 5G-related services (or functions that can be combined to create a service), leveraging on Service Virtualisation Platform (SVP) offerings and Network Function Virtualisation Infrastructures (NFVIs). In particular: 1) media services that may include functions related to media streaming servers, processing of A/V signals, audio encoding, packet analysis, and 2) networking services including functions related to caching, switching, firewalling, traffic classification, routing policies.

Infrastructure Owners: this role mostly includes large companies (especially telecom operators) providing (network, computing, storage) resources in large-scale, cloud-based environments for the deployment of services. In 5G-MEDIA, infrastructure owners provide/lease the Network Function Virtualisation Infrastructures (NFVIs) that might be based on several technologies. These infrastructures are integrated with the Service Virtualisation Platform (SVP) and managed by Virtual Infrastructure Managers (VIMs), administered by the Service Platform Provider. Another possible option for the Infrastructure Provider is to provide a cloud-based environment for the deployment and configuration of the Service Virtualisation Platform itself.

Service Virtualisation Platform Operators: responsible for operating and maintaining a secure, scalable, and efficient Service Virtualisation Platform (SVP) for the instantiation of 5G media-related services. The responsibilities of the SVP Operator entail oversight of the provisioning and maintenance practices, security practices, disaster recovery planning and execution, as well as general oversight of daily operations. The Operator is also in charge of analysing and optimising the resource allocation and ensure charging according to signed SLAs.

Stakeholder Category

Details

Users User is an entity that has authority to use an application, equipment, facility, process, or system, or one who consumes or employs a good or service to obtain a benefit or to solve a problem, and who may or may not be the actual purchaser of the item.

In the context of 5G-MEDIA, this category includes those stakeholders acting as consumers of 5G services.

End-users: a service can be considered as: 1) the participation (as an active player or a simple spectator) in an online tele-immersive (TI) gaming experience, 2) the viewing of a live broadcasting event with enriched User Experience (UX) functionality that includes, for example, different camera views, Ultra High Definition (UHD) or 4K analysis or consumption via different devices (smart TV, smartphone, tablet, etc.), 3) the consumption of different services, such as Video on Demand (VoD) “on-the-go” provided by smart platforms. In specific cases, the end-user can be considered as the producer of content (i.e. audio and/or video files processed real-time or uploaded on a cloud-hosted server).

Application Service/ Media & Entertainment Providers: role that can be assigned to many types of companies, covering a wealth of services in vertical domains that may potentially be benefited from the 5G concept. These service providers are companies that offer services to end-users or other companies, considered as the consumers of a service. For example, a company offering tele-immersive games to players around the world, or a company that maintains the server for uploading and processing of video files and charging end-users for viewing or using (for other purposes) such stored content. Also, a broadcaster, taking advantage of the 5G infrastructure for remote production and streaming distribution is considered as a Service Provider in this document.

Academia/ Research Organisations: another role of consumer of services, with a non-profit approach. Interested in the advancement of technology and scientific publications.

Policy Makers A Policy Maker is a member of a government department, legislature, or other organization who is responsible for making new rules, laws, etc. Included in this group: European Commission (EC), Regulators, Local governments.

A Standardization organization (or standards body, Standards Developing Organization (SDO), or Standards Setting Organization (SSO)) is an organization whose primary activities are developing, coordinating, promulgating, revising, amending, reissuing, interpreting, or otherwise producing technical standards that are intended to address the needs of some relatively wide base of affected adopters. Included in this group: 3GPP, ETSI, ITU, IETF/IRTF, IEEE

5G PPP The 5G Infrastructure Public Private Partnership (5G PPP) is a joint initiative between the European Commission and the European ICT industry (ICT manufacturers, telecommunications operators, service providers, SMEs and researcher Institutions). The 5G Infrastructure Association (5G IA) represents the private side and the European Commission the public side. 5G-MEDIA is part of this initiative and will actively contribute in its activities.

Phase 1 involves 19 projects while 21 projects were selected in Phase 2. In addition, there are 9 cross-project Work Groups where the work of multiple projects can be converged into identifying the shared issues and developing supported program level position on technical and strategic items.

NetWorld2020 is the European Technology Platform for communications networks and services.

Global 5G Organisations

The 5G-related Organisations and Forums in Europe and on international scope include 5G Forum (Korea), IMT2020 (China), NGMN, 5GMF (Japan), 5G(4G) Americas (Americas), FSAN, AIOTI, BDVA, Photonics21, BBF

Others Others represent all the potential stakeholders that are not included in the previous categories. For instance, Open Source projects and Investors (VC) can be considered in this broader category

This framework has been put into practice previously, demonstrating its effectiveness in other European projects. It was originally defined in the context of the Future Internet PPP1,

being implemented in projects like INFINITY2 and XIFI3. Later, it has been further developed in the 5G PPP programme. For instance, Phase 1 and Phase 2 Coordination and Support Actions, i.e. Euro-5G4 and To-Euro-5G5 respectively, are following the same approach.

3.3.2 5G-MEDIA Community Building

Once the stakeholders have been properly identified, the strategy considers for stage 2 the actual development of a community around the initiative. Proper activities for establishing, maintaining and growing an ecosystem of members that will be associated, in one way or another, to 5G-MEDIA.

In order to reach the stakeholders identified above, the following activities were planned since the very beginning of the project. It is worth noting that most of them have been already initiated, ensuring impact since quite early phases:

Participation in significant events relevant to 5G-MEDIA;

Organisation of specific 5G-MEDIA events;

Contribution to conference papers, peer-reviewed articles, whitepapers, videos and demonstrations and/or talks (e.g. panels) at relevant international conferences, workshops, technical events, and industrial forums;

Implementation of a focused dissemination and communication plan.

3.3.2.1 Participation in selected events

The objectives and challenges of the 5G-MEDIA project will bring the consortium to select events related to the following target sectors, communities or interest:

5G and 5G PPP at European level;

Media and Entertainment, Broadcasters;

Communication Network, Software Defined Networks (SDN), Network Function Virtualisation (NFV);

3.3.2.2 Specific 5G-MEDIA events

In order to boost impact, get feedback on platform usability/adoption and actively engage the 5G-MEDIA community, two main specific 5G-MEDIA events are going to be planned:

An Internal Coding week with participants mostly from consortium partners (students and young researchers), but also from other 5G PPP projects. The purpose of this event is to spread the technical results of the 5G-MEDIA platform making them available to students and young researchers to let them quickly build new media

related prototypes and small scenarios, so to validate one of the performance 5G-PPP KPI about the “…reduction of service creation time from 90 hours to 90 minutes…”. It will most probably happen in the second half of the project and it would be appropriate to be organised by a 5G-MEDIA consortium partner like a university or a research centre.

A Technology transfer workshop event will be organised in Brussels to discuss on project advancement and strategy, inviting people from European Commission units and partners from other 5G PPP projects. The aim of this event is to present the technical achievements of the 5G-MEDIA project to a wider audience; it will most probably happen towards the end of the project lifetime.

3.3.2.3 Technical Dissemination

The purpose of this activity is to ensure that technical achievements and experimental findings of the project will be known and exploited by the larger research community and related scientific domains.

Table 4 shows a preliminary set of technical conferences/journals where 5G-MEDIA outcomes can be presented according to the achievements and willingness of the involved 5G-MEDIA technical partners. It is worth to mention that this list is constantly evolving and it is maintained by the WP7 partners.

“Communication means taking strategic and targeted measures for promoting the action itself and its results to a multitude of audiences, including the media and the public, and possibly engaging in a two-way exchange” 6

The communication plan that 5G-MEDIA is implementing has a dual aim:

3.4.1.3 5G-MEDIA Social media channels

5G-MEDIA is present in the following social media:

Twitter (@5GPPP5GMEDIA): Twitter is used as one of the main communication channels of the project. It allows 5G-MEDIA to inform its community about its achievements, participation in events, publications etc. Any tweet related to any 5G-MEDIA activity is also referring to the 5G PPP Twitter account (@5GPPP).

Thanks to this, the 5G-MEDIA tweets are also retweeted by the 5G PPP account and they can reach a broader audience (the 5G PPP twitter account counts more than 3000 followers).

Specific attention will be paid to the choice of the most appropriate hashtags on a case-by-case basis, since they can be a very useful tool for acquiring new followers, but they need to be carefully chosen.

LinkedIn (5G-MEDIA Discussion Group): A LinkedIn Discussion Group has been created at M5. At M6, 36 members are part of this group, while the 5G-MEDIA Project LinkedIn profile (https://www.linkedin.com/in/5g-media-project-a19696151/) has 78 contacts. The purpose of this Group is to incentivize discussions around the project, but also to disseminate the 5G-MEDIA news in the context of LinkedIn. Each brief article published on the 5G-MEDIA LinkedIn Discussion Group is also posted on the 5G PPP LinkedIn Group (https://www.linkedin.com/groups/12011028). Thanks to this, 5G-MEDIA can reach a broader audience also on LinkedIn (the 5G PPP LinkedIn Group counts more than 300 members).

3.4.1.4 Logo and Templates

The 5G-MEDIA logo was already designed at the proposal’s stage preparation. During the KoM in Rome, it was decided not to revise it. At M02, the .ppt and deliverable templates were made available to the project’s partners.

3.4.1.5 Promotional campaigns

In line with 5G-MEDIA Dissemination and Communication guidelines, T7.2 prepared a promotional campaign to be followed in order to echo its participation in a given event. The 5G-MEDIA promotional campaign is composed of three main parts:

Part I: Promotional activities to be performed before the event

This comprises - as a first step:

Definition of the target audience

Development of a clear messages hierarchy

Then – 5G-MEDIA performed the following concrete actions:

Tweets to announce 5G-MEDIA participation in the event (n. of tweets/content have been chosen on a case-by-case basis)

Announcement email to be sent to the COMMS group;

Publication of the announcement as a “news” on the 5G PPP website;

Post the news on the 5G-MEDIA and 5G PPP LinkedIn Groups

Part II: Promotional activities during the event This comprises:

In addition to the promotional campaigns related to 5G-MEDIA participation in events, T7.2 also prepared a brief “communication campaign guideline” to be followed when it comes to promote the project’s news, achievements, documents produced, etc.

This brief guideline is composed of:

Part I: Definition of the target audience - To whom?

Part II: Development of the message we want to promote – The what?

Part III: Selection of the right types of media for the campaign – The means.

The means are - at least:

3.4.2 5G-MEDIA planned communication activities

In order to inform and engage the 5G-MEDIA community, the following communication activities are planned:

Promotional material

Layout and printing of flyers, posters, other materials as needed with 3 sets (iterations) of the material. The first set of material will primarily look at explaining the objectives of the project in a consistent manner and it will be released at M6; the second set will show the intermediary results of the project and it will be released at M18 and the third set will explain the final results of the project. If needed, these sets of materials will be released with two or three different contents, tailored to each stakeholder categories the project aims to reach. Most of the PR material will be available as e-documents, printing will occur as required (e.g. for events, workshops, etc.).

As indicated in section 2.4.1, and in line with what planned in the DoA, T7.2 delivered the first set of PR material at M6.

5G-MEDIA is planning to produce:

Video Material

With the same idea in mind, a video will be released at M20 to advertise the main technical requirements/achievements of the project. There will likely be a mix of interviews, technical explanations, and animations

5G-MEDIA is planning to:

Produce a “flash video” to be included as banner in the website: it will be a 10-15 second video. Some elements of this video will be reused for the generic project video and the video interviews

Video interviews: a set of interviews will be performed at M9. The scope of these interviews is to produce at least 3 short videos explaining the use cases and to produce a generic video with the best extracts of each interview.

Project generic video: as planned in the DoA, a video will be released at M20 to advertise the main technical requirements/achievements of the project. There will likely be a mix of interviews, technical explanations, and animations

Newsletters

Two electronic newsletters per year will be released by the 5G-MEDIA project, presenting the main issues and discussions, summary of main achievements in the period as well as planned activities for the upcoming periods and will be distributed via relevant mailing lists that will have been identified at the beginning of the project. If relevant, specific newsletters could also be printed to be disseminated at relevant events.

5G-MEDIA is planning to release the first newsletter at the beginning of M7. This newsletter will be distributed via relevant mailing list, such as (the list is not exhaustive):

5G PPP Comms mailing list;

Phase II projects mailing list;

5G-MEDIA partners’ contacts.

In addition, 5G-MEDIA is also building its own mailing list

Starting from 2018, at least three electronic newsletters per year will be released.

In addition to the activities listed above, 5G-MEDIA will continuously work on implementing its presence on social media and its synergic cooperation with the 5G PPP initiative and it will also continue to feed the website with news, achievements, PR material, etc.

4 Collaboration with 5G PPP Working Groups and Projects

4.1 Participation in 5G PPP

The following activities were performed since the beginning of the 5G-MEDIA project:

5G-MEDIA representatives into the 5G PPP level Working Groups were specified, leading to the involvement of 5G-MEDIA in 8 Working Groups of the 5G PPP, as well as in the related PPP Steering and Technical Boards. Details concerning Working Groups are shown in section 4.2, and below for the Boards.

The monitoring of cooperation opportunities with other 5G PPP projects. Details are shown in section 4.3.

Besides the formal 5G PPP related Working Groups, 5G-MEDIA also participated in the “COMMS Group” dedicated to promotion and communication activities at 5G PPP level. This group is coordinated and supported by the To-Euro-5G CSA. Giulia Pastor (IINV) is 5G-MEDIA’s representative in the COMMS Group.

In addition, information on latest progress and news from the 5G Infrastructure Association and the 5G PPP has been regularly forwarded whenever relevant to the 5G-MEDIA partners, thanks to the 5G IA Board members involved in the project (i.e. Nicola Ciulli from NXW and Jacques Magen from IINV).

Contributions to the next versions of the WG's white papers. 4.3 Collaboration with other 5G PPP projects

Collaboration with other 5G PPP projects has started to be defined as soon as information about the other projects, and especially Phase 2 projects, started to be public or shared via the 5G PPP Steering Board and Technical Board. Such a cooperation is also facilitated when some 5G-MEDIA partners are also partners in other 5G PPP projects.

As already highlighted, cooperation with the To-Euro-5G CSA, in charge of the overall coordination of the 5G PPP in support to the 5G IA and the EC, has been happening since the beginning of the project, especially through the COMMS group and via the Steering Board and Technical Board. In addition, the table below summarizes some of the potential interactions with other projects that are being considered at the time being:

4.4 Collaboration with other initiatives

The main initiatives with which 5G-MEDIA has initiated cooperation are as follow:

The NEM (New European Media) European Technology Platform. A 5G-MEDIA paper was submitted to the NEM Summit 2017 organising committee and was eventually accepted. Pasquale Andriani, 5G-MEDIA coordinator, will therefore give a presentation entitled “Media industry meets 5G: the 5G-MEDIA project in 5G-PPP phase 29,on 29 November 2017 during the Opening Plenary Session, thus reaching the full NEM audience10.

The NetWorld2020 European Technology Platform, via a 5G-MEDIA contribution to the first white paper of the joint NetWorld2020-NEM Media Working Group. 5G-MEDIA contribution was coordinated by David Griffin from UCL with contribution from many partners. A first version of this paper is scheduled to be released and presented at the NEM Summit on 29 November 2017 in Madrid by Pierre-Yves Danet, NEM Vice-Chair, in a session entitled “NEM Strategy / High-level roadmap 2025 for media and creative industry”.

4.5 Next steps

5G-MEDIA has plans on the one hand to progressively strengthen its contributions to the various Working Groups, in line with the priorities defined and the progress and the achievements of the project, and on the other hand to continue its constant monitoring of what could be relevant to the project at 5G PPP level, especially in terms of engaging the media community as a priority vertical sector into the upcoming phases of the 5G PPP and prepare the grounds for media-oriented large-scale trials.

Cooperation of 5G-MEDIA with relevant initiatives will also be done by participating with demos and booths in upcoming conferences and events organised by those initiatives or in close relation with them. This will be managed as soon as 5G-MEDIA use case demos could be efficiently showcased, which is planned by mid-2018 at the earliest. The following events are considered as potential targets for such participation:

EuCNC 2018 (Ljubljana, June 18-21, 2018)11. EuCNC is the main conference where 5G PPP projects are provided with the opportunity to present their achievements and showcase their demos. Although it is organised independently, it receives support from the 5G PPP (via the To-Euro-5G CSA) and welcomes the 5G PPP and the NetWorld2020 communities.

NEM Summit 2018 (date and location TBC). 5G-MEDIA had considered a booth for the NEM Summit 2017, but it was finally considered as premature. The 2018 and 2019 editions of the NEM Summit are more likely to be relevant targets for 5G-MEDIA in terms of demo showcasing, reaching an audience specialised in content and media in all its forms.

MWC 2019 (Barcelona, March 2019 TBC). MWC 2018 has also been considered as premature for showing a meaningful demo; still, 5G-MEDIA brochures will be distributed at the 5G IA booth12.

NetWorld2020 has recently kicked off a new activity to work on a renewed Strategic and Research & Innovation Agenda. It has also decided to engage into defining priorities for the telecommunications domain considering the upcoming FP9 of the EU. Contribution to those activities will be made either via the NetWorld2020 Steering Board, in which several 5G-MEDIA partners belong to, and via the NetWorld2020 Experts Group. 5G-MEDIA will promote the participation of its partners in this Experts Group. If such a contribution is confirmed, then participation with a booth and demos at the upcoming annual events organised by NetWorld2020 will make sense.

There is little doubt that NEM will follow shortly a similar path; this will be monitored as well and contribution from 5G-MEDIA will be coordinated as see fit.

ONF:

OpenCord: The M-CORD (Mobile version of the CORD architecture - https://wiki.opencord.org/display/CORD/Mobile+CORD) is currently under development, thus it is the right moment to present 5G-MEDIA use cases and VNF requirements and provide inputs to steer the development. 6 Conclusions

This document presented the 5G-MEDIA dissemination, communication and community building plans, as well as its envisaged strategies to be followed in terms of cooperation with the 5G PPP WG and projects and the Open source communities and Standardisation bodies.

Even though the project started six months ago, the 5G-MEDIA partners have been already active in several ways and have started with early activities in several ways, including:

Identification of the 5G-MEDIA stakeholders;

Establishment of the 5G-MEDIA project web site;

Establishment of various social networking channels, such as Twitter and LinkedIn;

Publication of the first set of promotional material;

Publication of the Dissemination Guidelines;

Creation of 5G-MEDIA .ppt and World templates;

Participation in various events;

Starting of technical dissemination activities;

Initiation of the synergic cooperation with the 5G PPP “family” in terms of promotion and community building activities.

The work of WP7 will continue to be intense in the following months, to ensure promotion of the project work and objectives towards the identified stakeholders groups in a way that will coordinate efforts also with related 5G PPP activities.

the 5G Media industry

Dissemination and Communication Guidelines v2.0

Dissemination and communication efforts are essential for the success of 5G-MEDIA, by promoting the project’s objectives, activities and achievements. Given its relevance, every single partner in the consortium has a dedicated effort in this task (T7.2).

These guidelines will support such contribution.

7.1 Internal Communication

The channel for internal communication is the WP7 Mailing list: [email protected]

All information related to dissemination & communication activities will be shared in this mailing list.

At least one person per organisation should be registered and must attend the WP7 conference calls.

7.2 Social media

7.2.1 Twitter

Tweets related to any 5G-MEDIA activity (e.g. meetings, events, news) must refer to @5GPPP5GMEDIA and @5GPPP.

The hashtags #5G, #5GIA, #H2020 should also be used.

It is important to talk about the project in a concise, informal and positive way. Talk engagingly, and use hashtags where possible in:

Clear and simple language

Innovative and different

Speak personally

And don’t be afraid to use humour to be entertaining.

7.2.2 LinkedIn Discussion Group

All partners are kindly invited to subscribe to the 5G-MEDIA LinkedIn Discussion Group, to post on this group and to comment the posts published. All partners are also invited to subscribe to the 5G PPP LinkedIn Group (https://www.linkedin.com/groups/12011028)

7.3 Participation in events

A partner participating in an event with impact on 5G-MEDIA should inform the WP7 partners in advance (at least two weeks prior the event, if possible) via the WP7 mailing list, in order to prepare a proper dissemination and communication campaign.

During the event, the representative shall take pictures and refer to 5G-MEDIA Twitter account while twitting. The campaign will be decided prior the event in agreement with T7.2 leaders.

The participation in events will be reported in the Table of Events, available in the Project repository

After the event, the partner will be asked to fill in the table and to send a brief report – via the WP7 mailing list– on his/her participation. If possible, this report should contain a few pictures taken during the event.

7.4 Project website

5G-MEDIA Project Website: www.5gmedia.eu

Each partner should actively contribute to populate the project website by sending periodic contributions to the WP7 mailing list. Content can include:

● Participation in events, conferences, technical publications, awards, etc.

● Brief recap of main technical achievements of the project

7.5 PR Material

5G-MEDIA PR Material, Logos and Templates are available in the Project Repository

The PR material will be available as e-documents, printing will occur as required (e.g. for events, workshops, etc.). InterInnov is in charge of this activity.

All PR material whether in electronic or paper form (as well as videos) will use the specific project logo along with the existing 5G PPP logo.
