T H I N K E C O N O M Y An unmanaged approach to printing in schools can mean spiralling ink, paper and energy costs. To stay on top of budgets, monitoring colour printing, paper and energy consumption can become a necessary burden. The good news is this can be made easier with the right printing solution. C O N S I D E R T H E E N V I R O N M E N T As part of government plans to make education more sustainable by 2020, a school’s printing must be as environmentally-friendly as possible. Printing with a lower carbon footprint is a step in the right direction. Using the energy of one single light bulb, Ricoh’s GELJET Printers offer lower power consumption, at least 1/10th of the energy consumption of a laser printer. This also Translates into CO2 emissions, where typical laser printers can produce over 10 times that of GELJETS. Warm up time can also be a problem for printers, especially laser printers, which need heat to fuse the ink on the paper. GELJET printers use a cold process to spray ink onto the paper. The GELJET hardware is partially made from plant based plastic so it is also eco-friendly.

Choosing printers that can be used throughout the school mean you can be more flexible (see infographic on page 10). With the right tools, creativity in the classroom can go to infinity and beyond. Colour has been proven to affect pupil behaviour and learning. According to studies, using brighter colours can improve attention spans, while green can have a calming capacity and blue can increase concentration. (For more on colours and learning, see the related blog post on doritsasson.suite101.com).

With this in mind, colourful print-outs are more likely to grab the attention of students than those printed in mono, thus aiding learning and boosting attainment. However, traditionally, printing in colour was an expense many schools could rarely afford.

With the latest range of GELJET printers, printing in colour costs nearly the same as printing in black and white, so pupils can produce beautifully creative projects in colour for little extra cost. The printers are safe to use in the classroom and feature settings to print posters, banners and colour documents with ease. Furthermore, classrooms kitted out with printers can use them to print projects directly from an interactive whiteboard.

ART PROJECT? THINK INK

For the inkjet market, GELJET included, there are a lot of creative craft media for schools to play with – from metallic and glossy papers to transparencies. Anh Du, one of Ricoh Europe’s printer product managers, believes printing in colour on different media could be very attractive to pupils: “It stimulates the children to see colour and appreciate differences in the papers.”

There are lots of opportunities for craft projects with GELJET printers. For example, using inkjet materials, a GELJET can be used to make flags for model airplanes by printing onto a transparency that sticks to the model using water. Jamie Pelos from Crafty Computer Paper, a specialist in digital papers, says embossed, print-on-fabric and decal papers as proving popular among craft-focused schools. “There’s more of a choice for inkjet papers,” he explains (see box out for craft tips for the Olympics).

Using a bypass tray, schools can also use long sheets of paper to produce banners – up to around 1.2 metres in length. “So you don’t have to make up a poster by sticking together A4 sheets,” says Ricoh’s UK product manager Robert Brown, “you can make it all in one go.” This is not only useful for art rooms, but also for advertising an event in the reception area or at a school fete.

With the Olympics coming up, schools all over the country are getting ready to hold sports days and fetes in its honour. Using the right printers, schools can produce much of the material they need on the cheap. Jamie Pelos of Crafty Computer Paper has noticed schools making their own t-shirts, cushion covers and even flags around the Jubilee and Olympic Games. Just using cotton paper, a GELJET printer provides an easy and affordable way to make as much bunting as you like. “Using decal paper, you can make plates and any sort of signs or flags on any surface,” Pelos adds. When you have the right printer, it just comes down to choosing the right materials.

Technology remains an important enabler in schools, both in the classroom and in their administrative offices and IT suites, which explains why, despite reduced technology budgets since the Harnessing Technology Grant was cut from £201m to £101m last year, schools continue to invest in ICT.

According to a study by Probrand, schools are taking a more entrepreneurial view to procurement and regularly turning to technologies that drive down long-term operational costs and offer a better service to users. Using lower energy devices is one approach that schools are taking to reduce operational costs, another is having better control over associated costs, like printing.

Printing on a budget

WHAT SHOULD SCHOOLS KEEP IN MIND WHEN PURCHASING PRINT SOLUTIONS?

Economy is obviously paramount, but you can’t compromise on the quality of what you’re producing. The fourth generation of GEL printers offers strong environmental benefits, which is absolutely required in education. It also provides the opportunity to take control of running costs so they can be reduced as much as possible. The third point is you don’t have to compromise the quality of what you’re producing; you don’t have to sacrifice how your work looks on the basis that you’ve got to save money wherever you can.

You absolutely can.

WHAT’S THE CATCH?

Thinking of different products with which I’ve been involved, there’s always a really strong, positive message that you can put out, but there’s always a ‘but’ – with this one, I’m genuinely struggling to find it. If you want to go on the environment, it uses a tenth of the energy of your average laser printer. If you’re looking at the size, it’s a small lightweight machine that will fit anywhere. It’s a wireless device. You need quality colour? It does that. You need to be able to print economically? It does that too. There isn’t any reason for people not to use the product.

AFFORDABLE COLOUR

Schools love to print in colour, and, until now, it was a luxury many could not afford. In ECOnomy colour mode, Ricoh’s GELJET printers print colour documents using less gel ink; text is printed at normal density, while images/graphics are printed at a much lower density as ‘quality’ mode. The result is colour at virtually the same cost as mono.

MANAGE YOUR USERS

A great way to keep on top of your printer costs is by managing user access depending on need. For example, an art teacher could have access to full colour printing, while a music teacher could be limited to economy colour and unsupervised students to black and white. This is great way to know where you stand when it comes to budgeting for print (Future Feature).

LOWER COST OF OWNERSHIP

Higher capacity cartridges that run out less contribute to a lower total cost of ownership for Ricoh’s GELJET printers: “The yield is certainly much higher than you would normally expect from printers of that size, because they are quite small,” says product manager Robert Brown. “They are workgroup quality devices with a consumable yield to match.”
