ICSP IC Setup Product Maintenance Overview Use this window to set up and maintain product master records. Access this window through the IC Setup Product (ICSP) Browse window.

There are 5 screens (tabs):

1. Required Information 2. Pricing Information 3. eComm Information 4. Cores 5. Configurator 6. RF Cut 7. Custom

Not all products will use all 7 screens. Any that will not be in use should be removed from operator security, to minimize screen clutter or potential errors.

This screen is where you create a new product master, maintain/view or delete an existing product master. Operator security determines which of the buttons are available to the user. Note the delete button is grayed out, which means this operator does not have the security to delete the product record (SASO function security for ICSP = level 4). Throughout the system, you can access product masters by the product number, lookup name, product category, status (active or all), kittype, or via keyword information.

Setup Product Required Information Overview

Prerequisites for IC Setup Product Required Information Tab You must complete the following setups before entering product information:

• SA Setup Company • SA Setup Operator • SA Setup Table Values (Units) • SA Setup Table Values (Category)

You should complete the following setup before entering product information:

IC Setup Product Required Information Tab

Use this window to enter required information for a new product. The only required field on this screen is the Product Category unless you are licensed for and using Warehouse Logistics, in which case the Length, Width and Height will be required. It is however highly recommended that you enter a Product Description and Lookup Name and validate the Stocking Unit, which should normally be the smallest package the product is available in. Information in this window requires little or no maintenance.

You will set up each product in your inventory through this function. The product record contains the information relevant to the product, regardless of which warehouse sells the product.

This information applies to each IC Setup Warehouse Products (ICSW) record set up for this product.

You can also set up these records based on information found in IC Setup Catalog. If the product exists in your catalog file, a window appears that allows you to confirm the catalog item. The information in IC Setup Catalog defaults into IC Setup Product.

When are done creating records in IC Setup Product, print the products through the IC Product Master List Report to confirm the information.

Field Lookup

For additional information on any field, while in ‘modify’ you can press F1 while in that field for online help. Following is an example for the field of Lookup Name :

Set up all prices and discounts available for this product for the customer and vendor through PD Setup Pricing. Orders entered for this product, through Order Entry and Purchase Order, obtain the proper prices and discounts from Price/Discounting.

IC Setup Product eComm Overview

Use the eCommerce view to set up Electronic Data Interchange (EDI) information and web links.

EDI If you communicate with your customers via fax or by Electronic Data Interchange (EDI), enter the two digit product or service qualifier in the EDI code field.

Web Pages Use the Web Pages section to specify internal and external Web page addresses for the product. When you are in IC Product Inquiry, you can access the Web window to view the web pages entered here.

IC Setup Product Cores Overview

This window contains fields relevant to the Core Return Tracking function and will only be available if you have purchased the CORES module. You can select from four different types of products, identify related implied core charge and dirty core products, and define grace periods.

The values for the implied core charge and dirty core are validated, and you must correct the errors to update the database. Appropriate messages direct you to the problem.

• The remanufactured core product, implied core charge, and dirty core product must have valid IC Setup Product records and IC Setup Warehouse Products records for the warehouse in which they are stocked.

• The implied core charge is validated to see if the record has a product type of implied.

• The dirty core product is validated to see if it has a product type of dirty core.

• If you are interfacing to Service Warranty, you cannot enter a product identified as a remanufactured, dirty, or implied core charge in IC Setup Product as a repair part in SW Entry SRO Transactions.

• If you need to change the product number in IC Administrative Change Product, the implied core charge and dirty core product numbers are changed on the Cores view.

IC Setup Product Configurator Tab

The IC Setup Product Configurator Tab is for future use with the TDCI Configurator integration. It is in SX.e, but the integration has not been certified for general availability.

This tab will be used to set up build-on-demand kits that will be configured/built via TDCI Configurator. The settings are provided by TDCI. It will only be available if the TDCI Configurator 3rd party license has been purchased. That license is not available as of this writing.

IC Setup Product RF Cut Overview

IC Setup Product (ICSP) - RF Cut enables you to define how dimensions are entered from the RF unit; that is, these definitions dynamically build the Cut Length section of the IBC RF Cut Allocation Entry screen. The RF Cut view is flexible and can accommodate international and local units of measure. For each cut product, you can set up a single-dimensional cut (length). The cut can have a 1 Part or 2 Part entry. This allows you to a) define a single UOM (such as inches) or a multiple (such as inches and feet), and b) define whether the cutting measurement is expressed as an integer or a decimal. These units work (and calculate) in conjunction with the product's stocking unit, set in IC Setup Product-Required.

IC Setup Product Custom Overview

The fields on this screen will be specific to your company’s installation of Sx.enterprise. Your system administrator sets up the fields on the Custom view for reporting purposes and will represent information that your company collects or reports on that is not available in the standard fields in the product master.

• Add, copy, or delete records.

• Maintain (change) a record.

• If you do not know the product line, perform a search using different criteria or keywords; you can also use the lookup button.

A vendor may impose purchasing restraints that require you to order an assortment of a product line simultaneously to qualify for an economic incentive (discount, free freight, or a required minimum order).

Line buying encourages you to purchase a greater quantity than you really need, just to obtain the incentive or to place the order. This may reduce your incoming costs, help you sell products competitively, and meet the customers’ demands, but it is not the most efficient way to stock your shelves. Randomly ordering products to get a discount causes expensive purchasing decisions and excess inventory.

Defining Product Lines in ICSL

The line buying parameters define targets, review dates, and default information for each product line. Product lines are target-driven. If you define the target, you will have defined the product line. If the target is $1,000 of a vendor’s goods, then your product line would consist of all products that are purchased from the vendor. If the target is a quantity of a certain product, that product would be the product line. The only time a product line would not be target-driven is when a vendor does not allow you to mix products on one purchase order. Those items that must appear on their own purchase order would become a separate product line.

Setting Purchasing Parameters in ICSL

Entering values in the purchasing parameters section of IC Setup Product Lines give IC Administrator Month End Processing and the RRAR replenishment processes an alternative to the order quantity calculation for a specific product line, rather than at the IC Setup Warehouse Descriptions level where carrying cost ((K cost) and the cost to replenish the product line (R cost) are typically applied. When purchasing parameters are defined on both records, the IC Setup Product Lines record overrides the record set on IC Setup Warehouse Descriptions.

Usage/Ord Qty Override reasons are set up in SA Setup Table Values and are limited to Human, Minimum Weeks Supply, and Maximum Weeks Supply. When IC Administrator Month End Processing is generated and the product line’s purchasing parameter record exists for the IC Setup Product Line record, the Override Reason field is automatically changed to Human and the Order Qty field is not changed.

If you enter a vendor ARP on IC Setup Warehouse Products Required, you must enter an ARP vendor number and product line. This combines the line buying parameters with your warehouse product records that contain ordering controls that are calculated by IC Administrator Month End Processing.

IC Setup Product Lines Order Defaults Overview

Use the Order view to set up ordering information that will automatically appear in the proper fields when you set up IC Setup Warehouse Products records. Establish these defaults to save time and to keep your product records consistent.

By entering product line defaults on this window, you can use an operator’s security to prevent them from entering the IC Entry Maintain Balances window. An operator will also be unable to enter information on the Ordering and Taxes views in IC Setup Warehouse Products.

If you are using catalog products, a product line is assigned when each product is set up. If you convert the catalog product into a stock product, this default information is carried along and updated to the newly created IC Setup Warehouse Products record.

Use the Tax view to set up tax information that will automatically appear in the proper fields when setting up IC Setup Warehouse Products records. Establish these defaults to save time and to keep your product records consistent.

If you are a Canadian company, set up tax defaults that relate to a product line. This information defaults to new products you set up in IC Setup Warehouse Products. This feature can save you time when you add new products from the same vendor product line.

If you are using catalog products, a product line is assigned when each product is set up. If you convert the catalog product into a stock product, this default information is carried along and updated to the newly created IC Setup Warehouse Products record.

ICSW IC Setup Warehouse Products Browse Overview Use this window to complete the following tasks that relate to warehouse products:

§ Add, copy, or delete records.

§ Maintain (change) a record.

§ If you do not know the record, perform a search using different criteria or keywords; you can also use the lookup button.

• If you enter a cross-referenced product on this browse and a suitable record exists, the Interchange, Barcode, or Trade Service product appears in the Product field after you move past the Product field.

When you copy an existing record to another warehouse, the product line is validated in the warehouse you are copying the record to. The Message list of already existing records and errors field on the Add Record window must be selected to receive messages.

To delete a warehouse product, all balance information must be zero. If a product is in a cycle/physical count run, the product cannot be deleted. The following message appears and the deletion is not allowed.

The Required view contains vital replenishment information that is needed for the PO Entry Recommended Replenishment Action Report and WT Recommended Replenishment Action Report. Without this information, warehouse products cannot be replenished properly.

IC Setup Warehouse Products Ordering Information Overview

Prerequisites for the ICSW Ordering View

You should set up the following before entering warehouse product ordering information: • SA Setup Table Values (Units) • SA Setup Table Values (Override) • SA Setup Table Values (Frozen) • IC Setup Product Lines

Description of ICSW Ordering View

Use the Ordering view to establish ordering controls that determine when additional quantities must be ordered. This information directly relates to the PO Entry Recommended Replenishment Action Report or WT Recommended Replenishment Action Report. Each time you run IC Administrator Month End Processing, it recalculates the ordering controls information contained

in the middle of the window if you select Yes to the Recalculate Ordering Controls option for that function.

Ordering controls are very important. They help your system monitor inventory levels so you can maintain a stock level to meet your customer satisfaction goals. If you face stock out situations, consider the following:

• Lost sales • Customer dissatisfaction that may lead to future lost sales • Bad reputation for not meeting customer demand

Conversely, how many you order from the supplier impacts inventory size. Inventory control is exercised each time an item is ordered. If that activity is poorly done, everything done later falls in the category of inventory correction. Therefore, the ordering controls must be set up before Purchase Order and Warehouse Transfer can effectively replenish your inventory.

• If you enter a unit of measure in the Transfer field, it becomes the default unit of measure for WT Entry Recommended Replenishment Action Report, WT Entry Transactions, and WT Entry RRAR except when you add line items to a warehouse transfer. The standard unit of measure validation with the IC Setup Extended Unit Conversion and SA Setup Table Values records occurs.

IC Setup Warehouse Products Seasonality Information Overview

This window contains the parameters that define this product’s seasonality, including the beginning and ending dates of the season, and review days frequency.

You can also define your trending demand parameters on this window. Season trending demand is calculated when the Use Seasonal Trending option in IC Setup Replenishment Usage is Yes, and the Usage Method in IC Setup Warehouse Products Ordering is Trend%. A seasonal trending percentage is applied during IC Administrator Month End Processing based on these options and the parameters set up on IC Setup Warehouse Products Seasonality. The seasonal trending calculation determines the usage for the past number of usage months one year prior and compares to the immediate past number of usage months to derive a percentage. That percentage is considered the trend.

If no maximum seasonal percentage is set up at the product level in IC Setup Warehouse Products Seasonality, the system uses the parameters in IC Setup Replenishment Usage.

Description of the ICSW Seasonality Tab

Use the Taxing view to enter specific tax information for each of the warehouse products you stock. This function provides additional flexibility, especially when warehouses are located in several tax localities.

The information that appears is based on SA Setup Company Country. If your company is set up as a Canadian company (Country is Canada), the Taxing view will look somewhat different. In general, the Provincial Sales Tax (PST) and Goods and Services Tax (GST) apply to most products. The information on the Taxing view of AR Setup Customer or AR Setup Customer Ship To determines if tax on a product is actually charged to and collected from a customer.

IC Setup Warehouse Products Frozen Information Overview

Use the Frozen view to display a product’s frozen and stock-out information. Access the usage data by clicking on the Usage button. The information on this window is updated by IC Administrator Month End Processing.

IC Setup Warehouse Products Frozen Usage Overview

Use the Usage Information window (accessed from IC Setup Warehouse Products Frozen) to view the historical usage figures for the selected product for the last 25 months. Usage is defined as the rate of anticipated demand (including sales and transfers out) for a stocked item in the period just ahead, expressed as so many units per month. Usage rates form the basis for replenishment control calculations, which in turn, generate the service and inventory results.

Set up this information during the initial warehouse product setup if the historical usage for this product is known. Otherwise, usage history is developed from recorded history and is built each month when IC Administrator Month End Processing is performed.

Usage appears as normal and transfer usage. Normal is reflected in the Usage column as demand for the product regardless of its sourcing (replenished by a vendor or transferred from another warehouse). Transfer usage reflects only those quantities that were transferred from a branch location via a WT transaction.

To view all rows and columns of history, use the scroll bars at the bottom and right of the scrolling area. To override usage, place your cursor in the Override Usg column and change the value. You can also update the override reason, stockout days, number of times and average inventory value. Click Update after you have made changes to these values to update the record.

Line hits are tracked based on the number of times a product occurs on an order. Line hits are used to measure the volume of sales for products and are used to rank products or monitor slow moving or frozen products.

Use this window to view information that is updated automatically from several different sources as you build historical data from everyday operations.

• Do not manually change this information. If you make manual changes, the system creates a balance record in SA Setup Change Balances. You can print all balance changes through IC Activity Reports or SA Balance Maintenance Report.

You cannot change the Average, Last, Replacement, or Standard costs if the Allow Changing GL/SM Cost option in SA Setup Operators is cleared. This also applies to the addon cost if addons are included in the SM/GL cost.

The balance information applies to Inventory Control, Order Entry, Purchase Order, Warehouse Transfer, and Kit Production: options in AO Products Costs determine which costs to use in Sales Manager, General Ledger, Price/Discounting, Order Entry, and Warehouse Transfer. Options in AO Documents Purchase Orders Entry Defaults determine which cost to use in Purchase Order. The costs can differ between the modules.

All costs are contained on this record. Select the Allow Users To View Costs On All Screens option in SA Setup Operators to see the costs. In addition, the Allow User To Change Master Balances option in SA Setup Operators determines if the balance fields are enterable or not.

• You can access the costs fields if the item is not a labor item and has no quantity and no open transactions, so you can enter a GL/SM cost when setting up a new product.

IC Setup Warehouse Products WL (Warehouse Logistics) Setup

If you are implementing Total Warehouse Logistics (TWL) and your warehouse is live, this window is available. It contains fields for additional product attributes that TWL uses to facilitate the material handling process. The information on this window will pass through the interface to populate mapped fields on the TWL Item Master record automatically.

IC Setup Warehouse Products Custom Setup

The fields on this screen will be specific to your company’s installation of Sx.enterprise. Your system administrator sets up the fields on the Custom view for reporting purposes and will represent information that your company collects or reports on that is not available in the standard fields in the product warehouse master.

The IC Setup Warehouse Product Storeroom Setup Tab is for use with the Storeroom Module. It will only be available if the Storeroom 3rd party license has been purchased.

ICSR – IC Setup Replenishment Use this window to set parameters to use the Advanced Inventory Management automated replenishment options. These replenishment methodologies are optional; if they are selected, they impact the following:

• Order control calculations in IC Administrator Month End Processing

• Ranking options in IC Administrator Classification

• Safety and lead time requirements in PO Entry Receipt of Inventory

Options can be selected for four levels: company, warehouse, vendor, and product line. A hierarchy will be applied during processing to apply the settings for the product line first, then vendor, then warehouse, then company. Each product line record must be associated with a warehouse. Some settings also exist at the product level in IC Setup Warehouse Products. Those settings are checked first. At a minimum, the company record should be set up.
