Introduction to Product Center
Every product included in the inventory for the Service Provider’s organization must be entered in the Products Center record. The product is given a unique
identifier, classified according to organizational guidelines. The product record can represent:
Finished good - this type is usually a complete machine or piece of equipment
often sold by the Service Provider but most often serviced by the Service Provider. This type of product is almost always tracked by a serial number.
Service spare part - this is usually a component of the finished good. In many cases this component can be a part of the Bill of Materials (BOM) of the finished
good. This part may or may not be tracked by serial number depending upon whether they need to be tracked for warranty claims purposes or their value is
significant enough to require tracking by serial number.
Service Product - this type of product record represents services provided on
orders either by an employee or a vendor. These products are charged to
customers as a “service performed” on an order. This provides an easy way to charge for a service without having to post actual labor time to charge.
TIP: For Example: IT type services could performing backups, setting up email accounts, providing disaster recovery, install malware
software etc. In field service could upgrade services, PM or
certification services.
Consumable – consumable parts are either truly consumable in that when their life is used up they are disposed of or are parts that are not considered worth
maintaining in inventory after they are used.
Software – this part as the name belies is not a hardware product and often not
warehoused from the physical standpoint, but still may be sold by sales and serviced by consultants.
Non-inventory – this part is often maintained in the product record for
informational purposes. This could be because the part is manufactured by a competitor and is for identification purposes or it used by service agents outside
of tracking within the warehouse inventory. Sometimes items like “screws” and other inexpensive materials can be treated as non-inventory so that the cost of
maintaining them in inventory is eliminated but still can be charged for in orders.

Non-product – this is a product record defining a non-existent product. Typically this type is used to track a serial or non-serial identification situation. For
example, a service company who services point-of-sale systems (POS) may
create a “lane” product so that for contract purposes a customer’s “checkout lane” in a grocery store can be treated like product, possibly serialized, so the
lane itself can be covered by a contract and therefore any machine in the lane would be covered. The caller can just report the lane that is failing and later
when the service agent reports his repair details the exact machine can be identified. The basic nature of this type of product would be a “non-inventory”
product.
Unknown product – the very nature of this definition is that it is not maintained
in the product record (that is why it is unknown). However, even though it is not a product record it can still be defined individually in both sales and Service
Orders.
The product record is an integral part of the Service Provider’s database. Not only is it the foundation of the inventory tracking but it is also the base upon which
“item” records are also maintained. There are three types of item records. Inventory Item records which are products tracked in inventory by serial number,
Installed Item records which are products owned by customers which are tracked by serial or tag number and Removed Inventory Item records which are products
once tracked in inventory by serial number but have now be removed from inventory. (Please see the respective Item chapters for more information.)
A Product can be defined by as a Bill of Materials (BOM). A BOM is a piece of
equipment that is defined by its subcomponent parts. The BOM is a listing of these subcomponents. A BOM can be used just of identification purposes so that
service agents know the products within the equipment but this list can also be used to assemble equipment from the subcomponents or teardown the
equipment into its subcomponents (cannibalize).
Stock Levels can also be defined in the Product record. Stock levels values of
Minimum (MIN), Maximum (MAX), Reorder Point (ROP) and Reorder Quantity (ROQ) is defined either for the product in general or by Node or Warehouse Type
more specifically. Defining stock levels are the warehouse level is the most
specific of these stock level settings. Stock Level is used to determine when the product needs to be replenished. The Replenishment Order module uses these
stock level setting to not only determine when to order but also how much to order. (Please see the Replenishment Order Chapter for more information.)
Financially the product record also maintains the Unit Cost of the product and the List Price. Other types of pricing can also be defined for the product within the
Price Book. Vendor cross-references to the product provide the capability of recording the cost of the product from various vendors. Vendor cross-references
also allow maintaining the vendor’s product ID that corresponds to the Service
Provider’s Product ID so that Purchase Requisitions can include the vendor’s product number for easy ordering from the vendor. Lead times and service times
can be specified uniquely for each vendor and well as also specifying the manufacturer of the product. Units of Measure (UOM) are also tracked within the
product record for providing different units of measure for stocking purposes and purchasing purposes.

For reporting purposes there are table maintained codes used to define the product. These tables include: Product Type, Product Line, Product Class, Product
Category, Model of product and ABC code. Other tables that define product’s
functionality include: Customer, Vendor and Repair Warranties, PM Schedules, meters, AddOns, Supersession, Alternates and User Defined Fields (UDF).
Warranties are used to define coverage for the customer (customer warranty and repair warranty) or the Service Provider (vendor warranty) when failure of a
product occurs. PM Schedules are used to determine how often a piece of equipments have to be maintained on a regular basis. It also often includes
adding to a Service Order what materials are required and labor activities need to be performed on this product for this maintenance. Meters are used to track how
much a piece of equipment is used either for contract billing based upon the meter usage or for calculating PM schedule by the meter reading usage of the
equipment rather than basing PM calls on a time frequency.

More button to display additional search fields. Click the Less button to hide
additional search fields. When ready, click the button. To view the
desired record, click the blue colored Product ID.

New Product Wizard
Product ID
Enter a unique code for the Product ID. This Product ID identifies a particular
product used throughout the application. The Product identifier assigned here is used throughout the application in such modules as Service Order, Sales Order,
Repair Order, Customer Support Order, Price Book, Purchase Requisition and Replenishment. Whenever the Product ID field is shown, the lookup for that field
will include all identifiers assigned in this module.
Description
Enter the description or name of this product.
Search Key
Enter a common term or name used to search for product in Search windows. A
partial word or phrase can be entered for search purposes.

Click on the Drop-Down List Box to select either: Always or Never to specific whether the product will be tracked a serial number.
Model
Click on the Lookup icon to select a Model code for the Product.
Unit Cost (of Stock UOM)
Enter the standard cost of a single quantity of this product. This value cannot be
greater than the unit price.
Unit Price
Enter the Unit Price (List Price) of a single unit. This value is automatically added
to the Main Price Book as List Price.
Financial Code
Click on the Lookup icon to select a Financial code for the Product. This value
is used by the system when passing financial data to the financial system. This code is maintained in the Financial Code table.
Tax Category
Click on the Lookup icon to select a Tax Category code for the Product. The
product’s Tax Category, along with Tax Jurisdiction of the Customer determines the taxation rate used.

Inventory
Select this checkbox to indicate that the product can be received into inventory.
Consumable
Select this checkbox to indicate that the product is consumable and therefore not
returnable during material usage in Service or Repair Orders.
Returnable
Select this checkbox to indicate that the product is returnable. Products
designated as returnable enables the user return broken products to a warehouse during the material usage in Service or Repair Orders.
Sales Related
Select this checkbox to indicate that the product is a finished good sold by sales people and therefore can be downloaded to the databases on remote devises
used by sales representatives.
Service Product
Select this checkbox to indicate that the product is to be a “Service Product” that
will be used to identify non-inventory products to be associated with provided
services.
Metered
Select this checkbox to indicate that the product has a meter for tracking usage.
When this checkbox is checked then a meter definition can be defined for the product. This field is only displayed if the Product is a serialized product.
Taxable
Select this checkbox to indicate that the product is taxable.

Supported
Select this checkbox to indicate that the product is supported by the service organization.
Returnable to Vendor
Select this checkbox to indicate that the vendor has agreed to accept return of the product in the event that a problem occurs, which makes the return
necessary. This checkbox must be selected in order to create a Vendor Return
for the product from a Purchase Requisition or Warranty Claim.
Billable
Select this checkbox to indicate that the product will be included in invoice billing
for Sales and Service Order demands in which it appears.
Tool
Select this checkbox to indicate that the product is a tool. A tool’s usage can be
tracked in orders. Often a Tool is used during a repair process (i.e. a calibration tool) to test or calibrate a machine. It can be tracked for both usage information
and for billing for the tool usage. When this checkbox is checked then tool information can be entered in the product record. This field is only displayed if
the Product is a serialized product.
UOM Type
Click on the Lookup icon to select the Unit of Measure Type used to define
Purchase and Stock UOMs. The choices are: area, capacity, length, unit, or weight. The default is unit.
Purchase UOM
Click on the Lookup icon to select the unit of measure used in purchasing the
product, for example, cartons of 100. This value must be of the type of the Unit of Measure selected in the Dimensions field.

Stock UOM
Click on the Lookup icon to select the unit of measure used for stocking the
product in inventory, for example, packs of 10. This value must be of the type of the Unit of Measure selected in the Dimensions field. This is also the product
usage UOM as well.
Color
Click on the Lookup icon to select the color that best fits this product if
desired.
The following fields are all user-definable. These values are used to define and
categorize and create a hierarchy of products.
Product Class
Click on the Lookup icon to select the Product Class that best defines this
product.
Product Type
Click on the Lookup icon to select Product Type that best defines this product.
Product Line
Click on the Lookup icon to select Product Line that best defines this product.
Product Category
Click on the Lookup icon to select Product Category that best defines this
product. The selection made here may load the default Warranty Types defined in the Product Category table.

Warranties are created and maintained in the Warranty module.
Customer Warranty
Click on the Lookup icon to select the Customer Warranty to be specified for
this Product. A customer warranty is one that is offered to the customer by the
Service Provider at the time the product is sold to the customer. The Customer Warranty defined in the Product Category is entered as the load default;
however, you can select a different Customer Warranty from the drop-down list as required.
Vendor Warranty
Click on the Lookup icon to select the Vendor Warranty to be specified for this
Product. A vendor warranty is one that is given to the Service Provider by the vendor when a product is purchased. This is normally activated at receiving the
product from a Purchase Requisition.
Repair Warranty
Click on the Lookup icon to select the Repair Warranty Type associated with
the product. The Repair Warranty can be added to an installed item when a T&M
Service or Repair order has been completed and the Repair Code used suggests that a warranty can be applied. The warranty is offered only after the expiration
of the customer warranty and in the absence of a contract (other than a standard Time and Materials contract), upon completion of repairs to an installed item.
Refund Percent
Enter the percentage of the product’s original Sales Order price that would be refunded upon receiving the product back within a Customer Return order.
After all the mandatory and user-required fields have been populated click the desired Save button.
Click the Save and Continue button to the save the Product record and go
the Main Info page.
Click the Save and New button to save the Product record and open the New Product Center wizard page.

Product ID
A unique code assigned within the application that identifies a particular product. In this case, the Product identifier assigned here is used throughout the
application in such modules as Service Order, Sales Order, Customer Support Order, Price Book, Purchase Requisition and Replenishment. Whenever the
Product ID field is shown, the lookup for that field will include all identifiers
assigned in this module.
Description
This is a free text field used to name or more completely describe a particular
product.
Search Key
This text field is used to store a common term or name used to search for the
product in Lookups and Search windows. When using this field for searching, a partial word or phrase entered followed by a percent sign (known as a Wildcard)
can be used.
Serialization
Click on the Drop-Down List Box to select the desired choice. Options are
Always or Never serialized. This specifies whether the product is tracked by a serial number. When Always is selected, logistic transactions involving this
product will require specifying the serial number involved.
Software Version
This field is for maintaining the current Software Version of the product. This
field can be updated as needed.
Hardware Version
This field is for maintaining the current Hardware Version of the product. This
field can be updated as needed.
URL Address
This field is used to store a URL address for the product. Clicking the Globe icon will open this URL address in an Internet browser window.

ABC
This is an alternative value for searching for products, which is often based upon
a cost range. Click on the Drop-Down List Box to select the desired ABC code.
Product Class
This user-defined field is used as a means of classifying products for
organizational purposes. Click on the Lookup icon to select the desired
Product Class.

select the desired Product Category.
Product Line
This user-defined field is used as a means of classifying products for
organizational purposes. Click on the Lookup icon to select the desired Product Line.
Note
This field is used to enter any notes or description of the product that is useful for
users to know about this product. Click the Comments Viewer icon to enter
or view the description in a Comments Viewer Web Dialog page.
Unit Cost
This is the unit cost of a single quantity of this product. This value cannot be greater than the unit price. The system default currency ID is displayed to the
right of this field.
Unit Price
This is the Price of a single unit. This value is automatically added to the Main
Price Book as List Price. The system default currency ID is displayed to the right of this field.

This value is used by the system when passing financial data to the financial system. This user-defined code is maintained in the Financial Code table. Click on
the Drop-Down List Box to select the desired Financial Code.
Tax Category
The product’s tax category that is used along with the tax jurisdiction to define
the taxation rate for the product. Click on the Drop-Down List Box to select the desired Tax Category.
Billable
When this checkbox is selected, it indicates that the product will be included in
invoice billing for Orders in which it appears.
Obsolete
When selected, indicates the product is obsolete.
Software
When selected, indicates the product is s software product.

Quantity
The quantity of the product that is typically sold; generally, this field will display a quantity of one. In some cases, products may be sold in quantities greater
than one, such as a product that is routinely sold in pairs. The default quantity is “1” (one).
Price
Enter the price of the product. When information is entered in this field, markups
and discounts are not applied and the price is displayed a second time in the field, Actual Price. If a price is entered, entry cannot be made in the Amount of
Change, or Percent of Change, fields.
Amount Change
Enter in this field any markup or discount to be applied to the base price,
expressed in actual monetary value. A discount is indicated by a minus sign (-) before the value. A markup has no symbol preceding the value. If a value is
entered, entry cannot be made in the Price or Percent of Change fields.
Percent Change
Enter in this field any markup or discount to be applied to the base price,
expressed in a percentage (decimal figures permitted). A discount is indicated
by a minus sign before the value. A markup has no symbol preceding the value. If a percentage is entered, entry cannot be made in the Price or Amount of
Change fields.
NOTE: Amount Change or Percent Change discounts or markups cannot
be entered into the Main Price Book or any primary price book for
a particular currency.
Maint. Component
This field value is used for financial accounting and passed through the Alliance
Link for Financials. This field displays the portion of the contract price that will go to a maintenance financial account.
TIP: For Example: When a Sub Type is used in contract pricing, for example on leased equipment, some of the contract price might be
charged to a lease account in financials and another part of the
price might go for maintenance of the equipment.

Currency
This is the currency in which the cost information is provided. On this screen,
cost information can be added for any currency already defined in the application
in the Currencies table. Click on the Lookup icon to select the desired
currency.
Cost Domain
This is the Cost Domain associated to the cost. Click on the Lookup icon to
select the desired cost domain.
Standard Cost
This is the unit cost of the product in this currency. The application uses the value supplied in the field Unit Cost. Standard Cost is maintained in all
currencies listed on this page. The standard cost can be changed on this page.
Last Cost
This is the last recorded cost of the product, as supplied on the Lines page of the
Receive module and the Main page of the Miscellaneous Receive module. The Last Cost value will be maintained in all currencies listed on this screen.
Average Cost
This is the total cost of all units of the product that have been received divided by
the total number of units received. The Average Cost value will be maintained in all currencies listed on this screen.
Change Date
This is the date on which the change was made. This information is supplied automatically by the application when the user clicks the Add button. The field is
read-only and cannot be changed.
NOTE: Since Last Cost and Average Cost are calculated values, these
values cannot be changed on this page.

Service/Repair – Cost Manual Adjustment
The cost of a product is generally determined based on its Cost Type. There are
three costing methods currently employed by the application: Standard, Last and Average. Changes in the cost of a particular product are made in the Cost Manual
Adjustment module are reflected in the Product module on this page.
NOTE: In the Product module, Unit Cost always refers to the standard
cost, regardless of the selected Cost Type for the product. When a
change is made to the Unit Cost in the Product record, an entry
record is displayed in this table.
Cost Type
This column displays the Cost Type. There are three Cost Types currently used
by the application: Standard Cost, Last Cost and Average Cost.

This page is used to select the PM schedule that should be used when servicing
this product during a preventative maintenance Service Order. PM Schedules are created in the PM Schedule Maintenance module. (See the Checklist & PM
Schedule Maintenance chapter of the User’s Manual.)
Schedule ID
This field is used to identify the PM Schedule that should be associated to this
product. Click on the Lookup icon to select the desired choice. If the schedule is a schedule from the PM Maintenance table then “General Purpose” will be

Floating PM
Selecting this checkbox means that the PM schedule will float over time based upon the last PM performed not just a fixed schedule.
Cycle
This field is auto-populated by the system with a number assigned to the PM
routine, which determines the routine’s place within a PM Cycle. When Service
Orders are created, the order of the numbers is considered, starting at the lowest number and moving upward. The first Cycle Number uses one of four dates as
the starting point:
Installation Date of the

This can be found on the Main page of the Installed Items module (on the Maintenance
menu, point to Items and select Installed Items) see the field, Installed Date.
Contract Start
Date
For a full service contract, the application uses the
Contract Start Date, which can be found on the Contract page (on the Contracts menu, select
Customer Contracts) see the field, Start Date. When the Contract includes Objects of Service,
the start date is taken from the Objects of Service page.
Last Scheduled PM
Date
The last time that the PM schedule was run; the last date that a preventive maintenance routine
was scheduled for the line. This value can be
seen in PM Schedule Details.
Last Actual
PM Date
The last date that a PM Service Order was
created. As part of the completion process for a Service Order, if the Problem Code is related to a
PM and that Problem Code appears on the PM Schedule, the date is stored internally by the

one for each PM Schedule that was run. The latest of these dates is displayed on the Service
Information page of the Installed Items module.
This is the only location where the date is visible in the Astea Alliance application.
The latest of these four dates is used as the starting point for the scheduling process. From the starting point, the PM Batch Scheduler determines the next
date on the schedule and creates the Service Order. All other routines in the cycle are scheduled according to placement in the cycle as well as the specified
Interval. Once the initial cycle has been completed, the first Cycle Number uses the Last Scheduled Date of the last routine in the cycle as the starting point.
Only those PM routines with a Schedule code of either “In Cycle” or “Once” require a Cycle number to be entered.
Problem Code
Click on the Lookup icon to select the desired Problem code to be associated
to this line of the schedule. Every PM routine is defined in the Problem Codes module by using the Standard Service Guide functionality. Only those records
from the Problem Codes module, which have selected the check box indicating specific use for PM, are displayed in this field.
Interval
Enter a whole number used to indicate the interval between occurrences of PM
routines. This number is used in conjunction with the Unit of Measurement (UOM) field.

The Unit of Measure (UOM) provides a frame of reference in which the number shown in the Interval field can be understood. UOM is the type of measurement
used to describe that value, such as days or weeks. Click on the Drop-Down List Box to select the desired choice. Valid choices are days, weeks, months,
years, units, and dates. While days, weeks, months, and years are self-explanatory, two entries require some explanation.
Units

Select units when the PM routine is being performed for a
metered product. PMs are set up to repeat every so many units of usage on the meter.

Date –
This option is available only through the Installed Items module. When Date is selected, the Schedule Type is set to
"Once" and the field, Interval, is rendered inactive. User
specifies an exact date for a one-time occurrence of the PM routine.
Schedule
This display-only field shows the schedule code. The options are:
Alone Those routines that are cyclical in nature but are at the same time stand-alone. When selected, the
routine repeats automatically, at the interval specified, using the Installation Date (found in the
Installed Item record) as the starting point for the first cycle. Thereafter, the Last Scheduled Date of the
last PM in the cycle is used as the starting point for
the next one. Any other lines in the PM schedule are not related.
In Cycle Those routines that occur as part of a cycle and in relationship to other routines in the same cycle.
Thus, for example, there can be four preventive maintenance routines in a cycle, each of which follows
the other at a predetermined interval, such as every three months.
Once Those routines that occur only once in the lifetime of
the product at the number of days (interval) defined after the start of the contract line. Any other lines in
the schedule are not related.
Once in
Cycle
Those routines that occur only once in the lifetime of
the product but in relationship to other routines in the same cycle. For example: if the first line is set to In
Cycle after 30 days and the second line is Once in Cycle is set to 10 days, the Once in Cycle PM will
occur 10 days after the In Cycle PM. Or if the first line
is Once in Cycle set to 10 days, the second In Cycle line (30 days) starts 30 days after the Once in Cycle
PM.

Width
This field defines the Product width in the selected unit of measure above.
Height
This field defines the Product height in the selected unit of measure above.
Product Life
This field defines the typically life span of the product in months from the install date. This value can be used in reports or escalation rules to determine when the
product should be replaced.
TIP: For Example: if the product was a UPS battery this value represents the total usage time in months (24 months for
example) of the battery before it should be replaced.
Replace Warning
This field defines the time period (in months) before end of product life of a
product that a user should be notified of a expiration warning. This value should be the number of months from install.
TIP: For Example: if the part with a product life is a consumable and managers want to know when to sell more to replace the product
that is close to the end of its product life, an escalation rule can be written to scan usage history and to see if usage days is within the
replacement window. This calculation is (last usage date – today)
= usage days, and if usage days is greater than the number of
days in (product life – replace warning) then generate message.
UOM Type
The Unit of Measure Type is used to define Purchase and Stock UOMs. The
choices are: area, capacity, length, unit, or weight. The default is unit. Click
on the Lookup icon to select the desired UOM Type code.
Purchase UOM
This unit of measure used in purchasing the product, for example, cartons of
100. This value must be of the type of the Unit of Measure selected in the UOM
field. Click on the Lookup icon to select the desired UOM code.

Stock UOM
This unit of measure used in stocking the product in inventory and product usage, for example, each. This value must be of the type of the Unit of Measure
selected in the UOM field. Click on the Lookup icon to select the desired UOM
code.
Color
This field is used to describe the Color of the product if this is required. Click on
the Lookup icon to select the desired Color code.
Inventory
When checked this means that the product is an inventory product and therefore
can be received, moved and shipped from an inventory warehouse.
Consumable
When checked, indicates that the product is consumable and therefore not
returnable during material usage in a Service or Repair Order.
Returnable
When checked, indicates that the product is returnable. Products designated as returnable provide the user the ability to enter return warehouse information in
Material Demands of Service and Repair Orders.
Returnable to Vendor
When checked, indicates that the vendor has agreed to accept return of the
product in the event that a problem occurs which makes the return necessary. This field must be selected in order to create a Vendor Return for the product.
When selected, the Returnable checkbox is also selected, as this is the other half of the process. The Returnable checkbox indicates that the customer can return
the product to the service provider.

Reorder Frequency
This value is automatically calculated by the system when the ROP/ROQ calculation utility is run, but can be changed by the user if required. This value is
used in the ROP/ROQ replenishment formula for Gordon Graham Common Algorithm.
The values entered in this section define Stock Level values that are used by the
Replenishment Order to determine if stock needs to purchased or transferred to maintain inventory levels. The following four fields define the Stock Levels at the
Product level that is used if there is no further definition specified in the Stock Levels table below.
NOTE: This section is not displayed if the Exclude from Replenishment
checkbox is checked.
NOTE: If the Dynamic Reorder Quantity process is used, then the values
will be calculated for each warehouse and manually entering values in these fields will not be necessary. However, if the Service
Provider does not wish to use the Dynamic Reorder Quantity

Standard minimum quantity of the product required to be kept in stock. This
value is used by the Replenishment Order to determine when Replenishment is required.
Max. Qty.
The Maximum Quantity value is used in the Replenishment Order to determine
the amount that will be ordered when the stock level reaches the Minimum Quantity. The on-hand available quantity is subtracted from the Maximum
Quantity to determine the amount to order.
Reorder Qty.
The Reorder Quantity is a fixed amount of product that the Replenishment Order
will select when the on-hand available quantity reaches the Reorder Point.

Quantity of the product at or below which the Replenishment Order will reorder

Inventory Items are individual units of a particular product tracked by serial number. Each of these items held in inventory must have, included in the
individual record, a unique identifier. This identifier is usually the serial number assigned by the original manufacturer or it can be a serial number assigned by

Replacements – Supersession
Supersession refers to the relationship between products where different versions
of a product exist and each version has its own, unique product identifier. During
allocation, the application can check other products identified in the chain to determine whether sufficient quantities of an older or newer version of the same
product are available. The sales representative or call taker has the option of offering this information when the customer is unwilling or unable to wait for the
originally requested part to be ordered and shipped.
Supersession chains can be used in both service and sales. In a service, the
supersession chain rule is as follows: Go backward first, one link in the chain at a time. When it is not possible to go backward, either because there are no
more links, or the next product in the chain has been identified as not in use,
then go forward from the originally requested product, one link at a time. In sales, the opposite is true. The Sales rule is: Go forward, one link in the chain
at a time. When it is not possible to go forward, because there are no more links in the chain, go backward from the originally requested product, one link at a
time.

An Installed Item is a product with its own serial number, tag number or some
other unique designation. Each installed item must be uniquely defined. If the product is linked to a customer site, and is the only one of its kind at the specific

Contracts – Meter Info.
Some products, such as photocopiers, use meters, which are installed in the product, to record usage at a customer site. Products serviced may be defined as
metered, meaning that the customer is invoiced according to usage of the
product as recorded on a counter. This information is tracked by the application and used to produce an invoice on a customer’s contract. Since some machines
may have more than one meter, multiple meters can also be defined on this page.
TIP: For Example: typically copiers are a standard example of a metered machine. However, there are many other machines that
also have a track-able meter of usage. Although many of these machine’s meters are only tracked for PMs tracking some can also
be billed by usage as well. Especially for rented or loaner units.
Rather than using the word “copies”, in the following definitions
the phrase “units of usage” will be used.

Meter Type
This is the description or meter number used to identify the meter, for example
“Color copies”. Click on the Lookup icon to select the desired Meter Type.
Meter Types are defined in the Meter Type table of the Contract Setup module.
Average Monthly Usage
Enter the expected average monthly usage for the type of units of usage covered
by the meter. This value is used to issue a warning if the actual reading entered
lies beyond its tolerance limits. It can also be used for estimating usage where no reading is entered within the meter-reading window.
Number of Wheels
Enter the number of wheels for this meter. Term wheels refers to meters in which a physical wheel (with 0-9 numbers) turns and when it reaches “zero” advances
to the next unit of 10 (like the odometer of a car). Wheels today are often a digital tracked display of units on the meter (maximum is 9), which will indicate
the maximum number of units of usage, i.e. 7 wheels will enable recording of up to 9,999,999 units of usage.
Allowance
Enter a value that is the maximum number of units of usage that are allowed
free of charge to the customer. The customer will only be billed when the number of units of usage exceeds this value.
Every
This is the frequency of the allowance. For example the allowance could be used
only once a year or every month. Click on the Drop-Down List Box to select
the desired choice of: Days, Weeks, Months or Years.

PM Schedule
This field is used to define the PM schedule that should be used for the Meter
based PM schedule. Click the Lookup icon to select the PM schedule to be
associated to the meter installed item. Clicking the PM Schedule Zoom button
will display the PM Schedule.
Click the Add Pricing Tier button to add a Tier to the meter. Click
the Delete Pricing Tier button to delete a Tier from the meter.
The Pricing Tier is used to define the chargeable amount for meter usage based upon change of various thresholds. The same amount can be charged for all
meter usage for the amount charged can increase or decrease based upon the amount of usage.
Pricing Tier
This is the level for which the number of units of usage within the specified range is charged at the rate indicated. The pricing tiers are automatically arranged in
sequence according to the values entered in the Upper Limit of Range column,
lowest to highest number in order.
Upper Limit of Range
Enter the maximum number of units of usage that are charged at a particular
rate for each tier level. Values in different pricing tiers may not overlap. The upper limit will be defaulted based upon the highest pricing tier defaults

Advanced – Removed Items
This is page displays information on items that have been removed from
inventory of this product. There are a number of reasons why an item would be in the Removed Item record.
Returned – The item has been returned to the vendor for
some reason.
Shipped Out – The item has been shipped somewhere outside of
the system (Miscellaneous Issue) and will no
longer be tracked by the application.
Adjusted – The item has been adjusted out of inventory by
either the Manual Adjustment or Inventory Count module.
Subcomponent –
The serial subcomponent was identified as being installed inside another Inventory or Installed
Item record.
Torn Down – The item has been broken down to its component
parts. As such the parent item no longer exists
and is moved to Removed Items record.
NOTE: The component parts continue to exist and are carried as Products
or Inventory Items in the Inventory.

This is the serial number of the inventory item. Clicking on the blue colored serial number will open the Removed Item record for the selected serial number.

classifying products for organizational purposes.
Product Line
This is the Product Line of the removed item. Product Line is used as a means of

Model
This is the Model of the removed item. Model is used as a means of classifying

Inventory Type
This is the Inventory Type of this removed item. Inventory Type is a method for

Advanced – UDF
User-defined fields can be used to store data that is not already predefined in this record. The field labels can be changed to appropriate titles using Microsoft
Visual Studio. Studio can also be used to write custom functions and reports using the values in these fields. These fields can be placed on the customer
search QBE to search for the value placed in these fields. There are two fields of each of the following types.
UDF Date
This field stores a date including a full year, the month and the day (i.e. 2002,12,13).
UDF Float
This field stores a signed decimal number where the number of decimal places can vary (i.e. -1.1233445E+12).
UDF Key
This field stores a 50-character short string key value.
UDF String
This field stores up to 254 ASCII characters, which can contain letters, numbers or symbols. (i.e. Instructional or safety information).
UDF Time
This field stores a time value in hours, minutes and seconds (i.e. 12:34:33).

Advanced – Tool Details
During a service repair it is often required to use a tool to fix a broken unit. In some cases the unit might require calibration that requires using a calibration
setting tool. When a product is check marked as a Tool on the Logistics>Storage page then this page becomes available and Tool information can be entered.
Usage Price
This display-only field shows the tool usage price defined on the Pricing page of
the product record. This the default usage price used on an order unless there is a specific usage price defined for a related activity code used. This charge is a
flat rate charge for each usage of the tool itself.
Tool Instructions
Enter in this comment field any tool usage instructions required for this tool. This
would typically be either user usage instructions or instructions on when the tool should be ordered for use.
Safety Instructions
Enter in this comment field any tool usage safety instructions required for this tool. Some tools maybe so delicate that special handling instruction is required or
on the other hand the tool maybe dangerous for the user if not handled or used
properly and is a safety issue for the user.

The meter section is only available when the Meter checkbox has been selected
on the Main page of the product record. Click the Add Meter button to
edit the following fields.
Meter Type
This is the description or meter number used to identify the meter, for example
“Color copies”. Click on the Lookup icon to select the desired Meter Type.
Meter Types are defined in the Meter Type table of the Contract Setup module.
Number of Wheels
Enter the number of wheels for this meter. Term wheels refers to meters in which
a physical wheel (with 0-9 numbers) turns and when it reaches “zero” advances to the next unit of 10 (like the odometer of a car). Wheels today are often a
digital tracked display of units on the meter (maximum is 9), which will indicate the maximum number of units of usage, i.e. 7 wheels will enable recording of up
to 9,999,999 units of usage.

This is the Product ID of the product record currently displayed.
Description
This is the Product Name or description of the product record currently

Model
This code identifies the specific Model of the product. The Model of the product can be used in specifying Service Guide definitions.
Serialization
This specifies whether the product is tracked by a serial number. Options are Always or Never serialized. When Always is selected, logistic transactions
involving this product will require specifying the serial number involved
Search Key
This is text field term or name used to search for the product in Lookups and
Search windows.
Unit Cost
This is the Unit Cost (standard cost) of the product.
Unit Price
