FROM THE DIRECTORWe are so thrilled to have you as a part of the Fall 2019 Probe College Tour, and we are excited to announce new things that are going to make this tour the best yet.

We are constantly looking to make the registration process as easy as possible. We will be placing an emphasis on online reg-istration by credit card, a system we implemented last year with great success.

Last fall, more than two-thirds of colleges registered using credit cards, which reflects the purchasing preferences of many colleges today. We will also still offer alternative payment by check, if necessary. Remember, you can change your method of payment up to a week before your scheduled event. This year we will no longer be using barcode scanners.

Despite changes and improvements, the traditions of Probe remain the same. We stay true to our mission: disseminating information and stimulating interest in post-secondary education for students in Georgia. Giving students the opportunity to browse their college choices, speak face-to-face with college reps like you, and go home with materials from schools is a valuable experience that Probe is proud to offer Georgia.

Lastly, we want to truly express the importance of our Probe Partners Program. Over the last six years, colleges and universities have pooled their recruitment lists to help us reach Georgia high school students. On average, we are able to directly contact over 90,000 high school students by email. If you have not already done so, please sign up your college today. Our partner col-leges and universities share basic contact data from their prospective student inquiry file. We then create a master list to send tour promotional emails to students. Your participation helps keep Probe registration fees low by minimizing our marketing expenses. Please reach out to me at [email protected] to become a Probe Partner this year.

Consider this booklet your main resource for any information you need to know about the Probe College Tour. You can download this PDF to your devices, or even print it out to use as a refer-ence.

Remember that all high school students in Georgia public and private schools are encouraged to attend Probe fairs, and that counselors, princi-pals, head teachers, superintendents, officials of institutions, and parents are also urged to attend. With that in mind, make sure your information is sup-plied in sufficient quantities to give one to each interested student.

Keep in mind that your actions during Probe activities reflect not only your own situation, but other representatives and your institution, too. Image is very important. Wear a name tag, have your materials organized and easy to access, and be sure to smile.

The NACAC Principles of Good Practice have been adopted by GEAC as a guide. Representatives should be familiar with and abide by them. A PDF of these principles can be found at nacacnet.org.

Promptness is important. You should arrive 15-30 minutes before your scheduled program to set up, and you should remain until the end of the program. Be sure to look at traffic patterns ahead of time – especially if you’re in a region you’re unfamiliar with.

Conflicts or emergencies may arise that prevent you from attending a particular program. If this occurs, contact your fair host.

Table covers are required for all institutions participating in Probe. You should have covers appropriate for 6-foot tables, and these must cover the entire table-top. Your table will be provided for you. Some programs will require table cov-ers to reach the floor on three sides. Representatives arriving at programs with-out tablecloths will be required to get one or will be asked to leave the program.

Audio and video equipment is not permitted at fairs nor workshops.

Smoking and vaping are not permitted by representatives at display tables during Probe events. Observe the program’s host facility for other rules.

While many programs provide light refreshments, it’s a good idea to have a light snack or meal before the program and bring a water bottle with you.

Help promote your local fair by communicating with your community. Contact other local school counselors regarding Probe to assist in getting additional schools to attend.

Ask local businesses to advertise your program on marquees or with in-store signage.

Submit all contracts and bills to GEAC for approval or payment. Notify the

GEAC office of any proposed expenses that will total in excess of $100.

Refer all requests for attendance to post-secondary institutions to GEAC - only nonproprietary (non-profit) institutions are invited to participate. No military recruitments allowed, except by ROTC and the Military academies.

You will be in charge of setting up tables and chairs in all school locations.Make sure the setup is complete at least one hour before the fair begins to allow representatives time for arranging displays. Keep in mind that each institution should be provided a separate table and chair whenever possible.

Institutional arrangement (setup) must be in alphabetical order, including a merging of in-state and out-of-state schools. Extra space may be given to institutions with large drawing power, but they should still remain in their alphabetical position. As much as possible, all other institutions should be given equal space. A list of attending institutions will be sent to you at least one week prior to your fair. A diagram (program) of institutional arrangement should be made available to students and other guests.

Should an institutional representative appear who is not on the list, you have the authority to admit or refuse admission.

It is helpful if you can provide some type of refreshment for the college reps – at least something to drink. GEAC will be glad to reimburse you for any nominal expense incurred in providing these refreshments.

Submit your “Fair Report Form” to GEAC following the event. Include all bills and receipts, information for payment of bills, and suggestions for future Probe fairs.

GEAC has made reservations at all facilities. Feel free to appoint any com-mitee help needed in your preparation of your workshop

A week or two before your workshop, send a reminder invitation to local counselors. Highlight the networking opportunities available at the workshop and get counselors excited about attending.

The Probe Workshop Committee will work with individual workshop hosts to arrange the program. The committee will coordinate all Probe workshops to provide for some uniformity in programming. If you haven’t already contacted the workshop committee, contact them as soon as possible – they are listed in this booklet.

Here is your workshop schedule! All workshops will adhere to the following schedules unless other arrangements are made with the chairman of the Workshop Committee.

9:00 am – 9:45 am: Breakfast9:45 am – 11:00 am: Content Sessions

11:00 am – 12:00 pm: Browsing

Be sure to provide nametags for counselors and guests – include their first name, last name, and school affiliation. Have all participants sign in (including name and institution), and send sign-in sheets to GEAC.
