Who is GS1?
• GS1 is a global federation of development organisations that support the implementation of global standards stemming from the identification of goods and services.
• GS1NZ is just one of about 110 member organisations that make up the federation. We are a not-for-profit member based organisation with around 5000 members from many different business sectors in New Zealand; including hardware, grocery and healthcare.
• While GS1NZ is usually most well known for our delivery and administration of barcode standards throughout New Zealand our services extend into other areas like Barcode Verification, Photography and ProductRecallNZ.

What is ProductRecallNZ?
• A web-based service where registered companies have a fast, easy-to-use tool to communicate all information relating to product recalls and withdrawals.
• It replaces your existing, largely manual processes that rely on paper-based communication, emails and phone calls.

Company Types
• Initiator (company) – the organisation responsible for the product being recalled or withdrawn. They create and Approve Notifications to be sent out to trading partners.
• Receiver (company) – receives notifications from their suppliers (initiators) and are then responsible for taking action on the information.
• Both – Companies that are set up to both receive and create/initiate notifications. These are companies who wish to receive information from their own suppliers and in turn communicate information to their own retailers.
• Regulator (Ministry of Primary Industries - MPI) – Receives notifications that contain Regulator information.

Initiating (Supplier) Company has 2 User Roles
Initiator – logs in and creates a new notification. Fills out the collection of notification forms/templates which include:
• Recall or Withdrawal,
• What items are affected,
• When & where they distributed to market,
• Is there any special handling required
• Who is it being sent to etc etc.
Once finished filling out the forms the Initiator ‘Submits for Approval’.
Approver – receives an email once the Initiator ‘Submits for Approval’ and logs in to review notification before ‘Approving’ and ‘Issuing Notification’ to trading partners.
Primary Contact – will be either an Initiator or Approver, but can be both, and is charged with maintaining the companies account: adding and suspending users, setting and maintaining the details.

Am I the Primary Contact?
• Primary Contact – will be either an Initiator or Approver, but can be both, and is charged with maintaining the companies account: adding and suspending users, setting the recall/withdrawal Co-ordinator and the Company Details.
• - The primary contact has the ability to add and suspend users via the ‘Manage Subscription’ function.
• - During the admin phase (your company most likely did it recently we did with you (or your company’s primary contact) additional users, whether they be Initiators or Approvers were added in and they received:
• - 3. Then P.C. receives email when they have accepted T’s and C’s
• - 1. An email to say they had been added:
• - 2. An email with their Login Details:

The Gist…
•Process of internally submitting (1) and approving (2) the notification before sending/issuing (3) it to the recipients specified during the 3rd step of the process (3 Add Recipients).

Create Notification
•Adding those retailers/recipients you wish to receive the information outlined in the first step (1 Create Notification).
•Another set of templates specifically for the regulator of your industry, e.g. Food and Grocery = MPI.
•Initiator logs and starts filling out a collection of templates; relating to the nature of the recall or withdrawal, the products involved etc…

• Now login using the new password you created when completing your account’s initial setup.
• If you search your mailbox for an email called “Password Reset Notice” you will find an email with your Username, Password and a link to the login page.

• - We have to create a new account for you.
• - This will generate a ‘Invitation to Subscribe’ email which has your username and a randomly generated password on it.
• You will need to setup your account – follow this link for a user guide on how to setup your account and a user guide for carrying out your mock notification here.

• - You don’t send it to Foodstuffs or Progressives or any of your other trading partners rather to a company called ‘GS1 Supermarkets Ltd’.
• - This is run and managed by GS1 Support team and we will respond to your mock notification with feedback.
• - GS1 Supermarkets Ltd is still a ‘Subscribed Recipient’ on the mock system so you when you get to the add recipients screen you…

• - If you are the Primary Contact you need to think about adding further contacts into the system (GS1NZ strongly recommends this). Also need to confirm that those who have been added have set themselves up properly.
• Incorporate ProductRecallNZ into your existing product safety processes (update SOPs and staff).
