NCAA RULES INTERPRETATION PROCESSWhen faced with a question or concern regarding NCAA rules and regulations, the following process should be followed:

Step 1: Utilize the NCAA Manual. If the information in the manual does not clearly answer your questions, move on to Step 2. Step 2: Contact the Compliance Specialist

REPORTS AND INVESTIGATIONS OF VIOLATIONS It is the duty of every institutional staff member or student-athlete to

immediately report to the Compliance Specialist any alleged or suspected violations of Conference or NCAA rules.

 Following a report of a potential violation, the Compliance Specialist will determine the following information:

 The nature of the incident or violation. Names of coaches, staff members, student-athletes, prospective student-athletes, alumni, or

representative of athletics involved in the incident. Dates and places in which the violations are thought to have taken place. Sources of information including names and addresses of the individuals involved. Any available supporting evidence and possible “leads” to other evidence.

  The Compliance Specialist will interview all individuals who were involved or who may

have knowledge of the situation, will request relevant documents, and will review applicable legislation

In the case of a secondary violation (one that appears to be isolated, inadvertent, and resulting in no significant competitive or recruiting advantage), the Compliance Specialist will conduct the investigation, securing necessary information from all appropriate personnel and keeping the Director of Athletics informed of its progress.

When the potential violation may be major or where secondary violations appear to be part of a pattern of violations or involve the failure of a monitoring system, the Compliance Specialist will immediately inform the Director of Athletics and Dean of Students so a plan can be devised with which to proceed with the investigation

STUDENT-ATHLETE SURVEYS Surveys are to be conducted after the

conclusion of a student-athlete’s completion of their athletic career at Goldey-Beacom College.

The surveys are distributed to each student-athlete at the end of his or her athletic career at Goldey-Beacom College.

OFF-CAMPUS RECRUITING Only those coaches who have been

certified (successfully passed the NCAA Coaches Certification Exam) may contact or evaluate any prospective student-athlete off-campus.

Certification must occur on an annual basis prior to August 1 of the new academic year.

OFFICIAL VISITS

Definition: An official visit begins when the PSA arrives on campus or when a coach picks the PSA up.

Length of Visit: Not to exceed 48 hours from the time they arrive on campus or recruiting conversation begins (during transportation).

Number of Visits: A PSA may take an unlimited number of official visits to DII member institutions, but may only take one official visit per campus.

1st Opportunity to Visit: No earlier than June 15 immediately preceding the PSA’s junior year.

PROCEDURE FOR OFFICIAL VISIT1. 48 hours before an official visit, the following materials must be filed with the Compliance Office:

A. SAT or ACT scoresB. High School or Junior College TranscriptC. ItineraryD. Housing form (From Appendix)E. Name of a student-host for the visit.

 2. Day of official visit the designated student host must come to the compliance office at least one hour prior to the recruit arriving on campus to sign the student-athlete host form.  3. Within 48 hours following a visit, the following materials must be filed with the Compliance.

A. Prospect from (From Appendix)B. Coach form (From Appendix)C. All receipts from the visit

 *Failure to follow this process will impact your team’s ability to host overnight visits in the future.

GBC PROCEDURE FOR UNOFFICAL VISITS1. 48 hours before an unofficial visit, the following materials must be filed with the Compliance Office:

TRY-OUT PROCEDURESCoach must submit itinerary and proof of physical (dated within the last 6 months) 24 hours prior to try out to Compliance Specialist

•When PSA arrives on campus, he/she must fill out try out form, risk waiver form, and the sickle cell form prior to the try out

•The try out should last no longer than 2 hours.

TRANSFER PROCEDURESIf a student-athlete from another four-year institution (or someone in their first year of junior college) contacts you regarding transfer possibilities to Goldey-Beacom College, please follow these steps: 1. Inform the student-athlete that you may not speak to them until we receive a transfer release from his or her current institution. 2. Submit to the Compliance Specialist the student-athlete’s name and current institution. A transfer Release Request will be forwarded to his or her current institution. 3. Do not contact the transfer student until you receive “permission to speak” from the Compliance Specialist.

WALK-ON STUDENT-ATHLETES Prior to receiving athletic equipment

and participating in try-outs, practice or competition, a non-recruited student-athlete must complete the following steps:Be approved by the Head Coach to try-outNecessary paperwork for a try-out must be

turned into Compliance 48 hours prior to the try-out

Upon making the team, the student has 45 days after signing forms during which he/she can practice but not compete.

FINANCIAL AID PROCEDURES Fill out the Request for financial aid form located on

the coach/admin area on the athletics website All offers must be verbal until signing period Turn in completed forms to Compliance for review. Compliance will inform coach when athletic financial

aid is approved Compliance will prepare NLIs for coach’s review.

Once coach approves NLI, the NLI is sent by email to the email address that the PSA has listed in the eligibility center (or other email submitted by coach). The head coach is copied on the NLI when it is sent out

The NLI must be signed 7 days from the date of the issue and the conference office must receive the document within 14 days of the signature.

FORM REMINDERS Practice Logs are due once a month! All forms must be signed and handed in,

faxed, or scanned and emailed to [email protected]
