PDF requirements

An full comprehensive guide to creating files is available from the pass4press website (www.pass4press.com).

• They are composite CMYK, PDF version 1.3

The preferred PDF format is PDF/X-1a:2001. This format is a 1.3 PDF, which is suitable for printing and does not contain any transparency or layering data. Other formats, such as 1.5, 1.6 and 1.7 are available and contain more advanced features.

If your files require a higher level PDF format, for example 1.5 for layering, please contact your YMgroup representative.

• Must have trim box.

PDF’s must contain a trim box. This information is set to the trim area of the final product. Adobe products automatically hold this information along with other third party PDF creation products.

• All fonts must be embedded.

All fonts need to be embedded and subsetted. Files should not contain TrueType or Multi Master fonts as these can have unpredictable results. Making sure that no duplicate fonts are present and the fonts that are being used only use the styles available for that font family.

• DonotcontainanypostscriptcolourmanagmentorICCprofiles.

No ICC profiles to be attached to PDF’s or images within the PDF. (Colour Managment advice will be offered to all customers).

• Resolution for colour / mono images 300dpi, Bitmap 1200dpi.

Colour and greyscale images should have a resolution of 300dpi. Bitmap images to have a resolution of 1200dpi.

• Minimum of 3mm bleed.

We require 3mm of bleed all round and that the PDF supplied has the trim box set. (please ensure all tick/registration marks are offset by a minimum of 3mm from the trim box).The trim box represents the final trimmed document size.

Bleed and TrimWe require 3mm of bleed all round, and that the PDF supplied has the trim box set (The trim box represents the fi nal trimmed document size.) Content should be a minimum of 5mm away from the trim area. This will allow for the variants of the manufacturing process.

Fine and Reversed TypeYM Group recommends following a few guidelines regarding using type with 4 colour web offset printing.

• No text smaller than 5pt or text smaller than 9pt coloured in more than 2 cols.• No black text smaller than 12pt set to knockout.• White out type should not be in a ‘Fine or Thin’ style

Reverse outs should be made using a minimum of colours. Whilst every effort will be made to achieve the best result, registration cannot be guaranteed on thin lines, box rules and small size type matter that is outside these specifi cations.

YM Group follows the Pass4press specifi cations. More detailed information on type can be found within the Pass4press documentation.

PMS coloursPDF fi les should be supplied as composite CMYK+spot fi les (where required). Any Spot colours which are held within the PDF may convert with un-predictable results (these must be converted to process prior to PDF creation)

Accepted File TypesYM Group only accept single page PDF’s (not spreads, other than Perfect Bound Covers). We also recommend that PDFs are created to PDF/X-1a (if you require help setting these up contact either your YM Group representative or go to the pass4press website.)

Overprint PreviewWhen viewing PDFs in Adobe Acrobat, please ensure that your preferences are set to respect Overprints. To enable this alter Acrobat Preferences/Display/ and change ‘Overprint Preview’ to ‘always’. This will ensure PDFs will view correctly and how they will print.

Flightchecking FilesYM Group recommend that all fi les are fl ightchecked prior to uploading, this will ensure any problems are picked up saving valuable time and costs. Your YM Group contact will be able to help setup these checks and supply InDesign and Acrobat Professional settings.

Solid Black AreasYM Group recommend any solid black areas are ‘underpinned’ with other process colours to ensure a strong rich black is acheived on the print. We recommend values of 50% Cyan, 30% Magenta, 30% Yellow and 100% Black. This needs to be setup as a colour in InDesign and any solid areas coloured to this swatch.

Files must contain a trim box (set to trim size of the final product). Acrobat Distiller 5.05 and above saves trim box information from the

postscript document. All page elements that run to the edge of the page must bleed off the page by a

minimum of 3mm.Elements that are not to bleed must be kept a minimum of 5mm away from trim. Can also be

known as the crop box.

PMS colours & Spot UVPDF files should be supplied as composite CMYK+spot files and not separated.Spot UV plates should be supplied as a separate spot UV file with an accompanying proof of the area to be spot UV varnished.

Accepted File TypesSouthernprint only accept single page pdf’s (not spreads). These can be part of a multi page pdf. Southernprint also recommend that these pdf are output to a recognised standard, i.e PDF/X-1a. For help on creating a PDF/X-1a file, contact either your Southernprint representative or go to the pass4press website.

Overprint PreviewWhen viewing PDFs in Adobe Acrobat, please be sure that “Overprint Preview” is selected under the Advanced menu. This ensures that what you see in Acrobat accurately represents what will print. A common example where you would see a difference are files that contain white overprint.

Flightchecking FilesSouthernprint recommends that files are flightchecked before they are sent to Southernprint. This will highlight any potential problems and can save precious time and money.

Bulking & Double page SpreadsUnlike stitched books, perfect bound products do not lie flat when opened. An allowance of 2.5mm, in addition to the grind-off amount, should be included to

prevent printed area being lost to view within the spine of the book. This is called bulking.It is particularly important to allow for bulking when designing double page spreads. A ‘double image’ can be utilised in this area to produce the correct visual effect.

Page 1 Line-ups and read acrossIn such instances for perfect binding, 4mm needs to be added to the 3mm grind-off allowance. This ensures that no live matter is obscured when the side hinge is secured as the cover is applied. The IFC requires only 4mm hinge glue allowance; there is no grind-off of covers during the binding process

TAC (Total Area Coverage)For 4 colour web offset printing, Southernprint recommend a maximum TAC of 310% in the darkest area. The TAC or total ink weight is calculated from the 4 printing colours and is a total of each colour percentage. The 310% is recommended to minimise marking whilst on the press.

Live MatterIt is strongly recommended that no live matter be planned within 5mm of the final trim size. This allows for the manufacturing tolerances inherent within the print and binding process. Where this 5mm allowance is not included in the page design, items such as folio numbers, section titles etc are liable to be lost when the magazine is trimmed to the finished size.

TintsFor Common tints and strap lines we recommend using a maximum of 2cols. This will enable consistent print reproduction. It is also recommended that a colour swatch is supplied for any colour sensitive tints.

Prime ReferenceThe prime reference is a clear and unambiguous, single source of information - ideally the file names themselves, which we will use to assign your pages to the imposition. Therefore your files must be supplied as single pages and consistently named.

Naming ConventionAll files sent are to adhere to a naming convention. If in any doubt, please contact your Southernprint representative.

Southernprint’s naming convention is layed out below. Following this naming convention will enable us to handle your files more efficiently and benefits both parties. If for any reason you cannot adhere to this naming convention, please contact your Southernprint representative.

Examples:

Text pages 3 to 50 of My Job January issue would be supplied as,

MJ01_p03.pdf or MyJob01_p03.pdf

If supplying a multi-page PDF, then modify the naming convention as follows MJ01_p03-50.pdf or MyJob01_p03-50.pdf

Cover files for My Job would be supplied as follows,

Naming of Version FilesThe naming of version files follow the same convention, with the addition of version information within the file name. Following the above examples. Text page 3, euro version of My Job January issue would be supplied as,

For the Inner Cover this would be Inside Front Cover + Spine + Inside Back Cover. (For image loss allowances please see the Perfect Binding Guidlines in this guide).NB: Remember to allow for the Hinge on the Inner Cover (6mm either side of the spine will be hidden in the Bind).

Chain of Custody Logo GuidelinesIf you chose to use a York Mailing, YM Chantry, Pindar or Let-tershop FSC® or PEFC logo then please be aware that each business has its own certifi cation and associated logos. Your representative will supply you with the correct logos so that they can be incorporated into the fi nal artwork.

NB: If the logo is incorporated within the artwork it needs to be sent for approval prior to print. Please ensure artwork is supplied in time to ensure this is carried out.

Naming ConventionAll fi les sent are to adhere to a naming convention. If in any doubt, please contact your YM Group representative.

YM Group’s naming convention is listed out below. Following this naming convention will enable us to handle your fi les more effi ciently and benefi ts both parties. If for any reason you cannot adhere to this naming convention, please contact your YM Group representative.

Files need to be supplied as a single PDF for each page named as the folio or cover page. Scripts are available to install within InDesign which will automate this process please contact your YM Group prepress contact for assistance in setting these up.

Colour ManagementYM Group takes colour management very seriously and will ensure everything possible is done to meet customers expectations. Full support will be offered to discuss workfl ows and advice on acheiving the optimum results.

ECIOffsetColourProfilesThe information below outlines which profi les should be used for different paper stocks (printing conditions). The correct profi le should be used when preparing CMYK pre-press data. Your YM Group representative will be able provide the printing condition and corrosponding FOGRA standard.

The above information outlining some of the ECI offset profi les is taken from the ECI offset profi les 2009 document.Available to download from the ECI website (www.eci.org).

Supplying Contract ProofsA ‘colour correct’ proof relies on the use of the correct profi le to simulate the intended printing condition. It is also important to use certifi ed media for accurate colour reproduction. Most major device manufactures produce a certifi ed media. The appropriate FOGRA media wedge is needed for verifi cation. This can be measured to verify colour accuracy of the proof prior to going to press.

YMGroupProofingYM Group will RIP supplied PDFs and supply a Proof prior to proceeding to print.

InsiteAn ‘Online’ approval system which allows a fully automated interaction. (full instructions and testing will be carried out by your YM contact)

ContractProofingFOGRA colour accurate proof which will be matched on press. These will be produced to simulate the printing condition the paper substrate matches.

ContentProofingA Section ‘Book’ proof produced to show how the job will print, these are NOT Colour Accurate. Can be checked for content and ensuring pages are in the correct print order.

Data and ProofsPlease note that proofs and data will be held at YM Group for twelve months after production of the job, but after this time they will be destroyed unless the customer has specifi cally asked for them to be returned/held. Please inform your YM Group account executive if you wish any material or RIPed data to be returned.

Colour Matching on PressYM Group will endevour to match certifi ed FOGRA proofs on press as closely as possible. Due to the nature of the manufacturing process there may be some compromises.

In the absence of colour proofs, YM Group will run to the standard ISO 12647/2 LAB values on press.

Supplying Versioning FilesYM Group uses versioning software for all partial plate changes (black plate change for different text versions for example).This technology extracts version information from the files by comparing objects and colour, and then merges the information into output versions as necessary.

Using the example shown on the right of Joe’s Cafe.

In this example there are three versions, English, French and German. The version change is the black text ‘Welcome’, this is a language change for each version. All other information is exactly the same. To achieve this result a full composite pdf of each version needs to be supplied.

Key points for supplying version jobs.• Composite pdf of each version. (For example: cmyk/cmyk+spot)

• Structured naming convention, clearly identifying the version. See page 3.• Versioning plan, clearly outlining the version information. (common content and version changes).• Make sure that all versioning files have the correct overprint settings applied.• Make sure that only version information changes. For example, if only a black change all common elements must be exactly the same.• File geometry needs to be set.

Perfect Binding Image Loss This guide explains why extra allowances need to be built into the page design in order to ensure the best result from Perfect Binding.

Saddle stitch binding allows your printed copy to lay flat when it is opened, allowing all content up to the inside edge of your PDF to be visible in the final printed copy. Perfect bound publications are glued into the spine which results in approximately 4mm of the inside edge of your text pages to be less visible. This is because a perfect bound print cannot lie flat without breaking the spine (see below)

The ‘image loss’ needs to be allowed for in the page design prior to the PDFs being created and transferred to us. Each double page spread needs the extra ‘duplicate’ image adding to ensure that when the product is opened the image appears continious.

In between the pink lines indicates the area which will be ‘hidden’ in the spine when the product is bound. In order to ensure the picture lines up correctly the image needs to be duplicated and the left half stepped 4mm to the left and the right half 4mm to the right. (from the centre point)

Duplicate image close left edge to the centre and move the picture 4mm to the right within the box the picture 4mm to the left This area is lost in the binding 8mm overall within the box (4mm per page). When the ‘duplicate’ image is hidden then the spread lines up correctly

The allowance for Covers is different, the same principles still apply but the cover has a hinge which glues the inner cover to the first and last page of text. The hinge is 6mm so therefore 12mm overall is ‘hidden’ off these spreads, also any ‘critical’ data needs to be well away from this area otherwise it will be hidden.

The full width of the page is visible when a saddle-stitched product is opened.

The area in the spine on a perfect bound brochure is ‘hidden’ in the spine (4mm per page 8mm per spread)

Spot UV/Seal & Foil Block MasksAny job requiring a Spot UV/Seal or Foil Blocking finish must have a seperate mask supplied.

The elements that have the finish must NOT be included within the file to Print. Please see example below:-

The Front Cover above is being print using 4-colour process colours CMYK. But the ‘2016 CATALOGUE’ is Foil Blocked rather than being printed using inks.

In order for the Cover to produced correctly the PDFs need to be supplied seperated to ensure no issues occur. Foil is ‘Opaque’ so will overprint the ink beneath. In order for this to work correclty the ‘foil information’ must NOT be on the base file.

The ‘Base’ 4-colour PDF which will be printed needs to be supplied as below (this will then be printed as this, then the foil added at a later production stage):-

A seperate Mask then needs to be supplied which will be imposed and used to add the ‘2016 CATALOGUE’ foil elements:-
