Utilize a Certified Government Meeting Professional for all hotel relations (Professional Liaison)

Restructure the Conference Committee Discuss having a MAEO conference every other year with an

annual meeting in the interim Vote now on next geographical location to secure dates to

begin contract negotiations (CGMP can negotiate individual hotels within that area)

MAEO Board to establish an overall conference budget as well as one broken down by category before conference planning begins Ex: Hotel (handled by CGMP), Speakers, Giveaways, Entertainment, Awards, Print costs etc..

Offer educational programs for member growth in our organization as well as others such as iGO or CERA

Conduct comprehensive venue search while negotiating the lowest rate at your budget/per diem Negotiate contracts Check PO’s for accuracy Manage all overnight lodging Manage meeting room logistics

including Audio/Visual Manage food & beverage with the hotel Provide conference support

The committee should have 8-12 members representing counties from all across the state

No county should have more than one member on the committee

The Chair & Co-Chair should not be anyone currently on the MAEO Board
